in this video I'm going to show you exactly how to onboard clients in your social media marketing agency and the process I'm going to share with you is the exact process we use in our agency right now and if you're new here my name is Max or an SMA a super Niche marketing agency and on this channel we explore how to start running grow as successful marketing agency that can help us produce great results for our clients but also help us as the entrepreneur to Achieve Financial time allocation freedom but without further Ado let's just Dive Right into my computer and let's get started with this video alright so we're inside of my computer right now I have a presentation prepared for you and I'm also going to share some other very interesting stuff with you as we go through this process here's what I'm going to cover in today's video first of all contract and payment email basically a template what you what you send to the prospect after you've closed them then the welcome email I also have a template for that so once they've signed the contract sent the payment then you send them the welcome email to begin the onboarding process then I'm going to share with you the onboarding survey I'm have a template for you that as well prepared for you then the onboarding called actual funnel that you have for them and then finally to summarize the video also what I do want to mention before I start today's video is that I have a 100 free social media the marketing agency course how you can start run and grow from zero dollars per month to over ten thousand dollars per month I it's a free course 100 free we have a community also weekly q a calls so you know where to check it out if you're interested but let's get started with Point number one and that is the contract and payment email and I prepared a template for you so let's dig into it so before I show you the template I just want to go over some points here so post sales call so once the client has agreed to using your services you get either process the payment directly on the call or you can send them an email after the call with the contract and the payment details and I have a contract video that I'm going to show you here in just a second or where you can find it essentially but this depends upon your sales process on your sales technique if you're a hard closer and you always close them over the phone then you can obviously collect the payment over the phone with via the credit card and then send them the email or you can just agree that you're going to send them the payment link over email and they can handle the payment themselves for me personally I do my process pretty laid back I focus more so on making sure that the client actually want our solution so when I send the email I know that they're going to pay anyways I basically get the word so we're all different on how we do sales but you I just wanted to mention that the next thing I want to talk about is one call close so in our agency we rarely do one called closest as I just talked about don't feel the pressure to do that we all have different sales Styles the main thing is to present your services better than your competitors prospects shop around it's normal that they don't want to buy on the call so make sure that you do your presentation or your sales pitch or you pitch deck in a very very good way so that you stand out make sure that the prospect understand that you have the best solution out there and I have a video on that as well that I'm going to show you where to find it here in just a second basically how to create the pitch deck how to do your sales call and how to present your services better than any of your competitors essentially it's very important the next thing I want to mention as well is to use Google key so the template that I'm going to show you what I recommend that you do is to save a template of your post sales call email or that template of that email and use that as a template so that you can reuse it over and over again essentially and I like to use the Google keep for my notes and it's available directly inside Gmail so let me show what this looks like now right away so if you just log into Gmail and I use Google workspace and in my course I show people how to set their as well so that you have a branded professional email account so my email is Max Max pearson.com in this case and I'm still using Gmail right so once you're inside of Gmail you can just click this button right here to show the site panel and then they have a notes tool here that's called keeps you can take a note so normally what I do here is that I can like welcome email for example that's going to be the subject line and then I can just copy paste like my email template here so when I onboard a new client I just go into key basically open it up and I have my template right here and then I can just send it away easily so yeah that's what I recommend right there let's go back to the presentation let's go through these points and then the final thing I want to talk about is the payments so we use stripe for our payments and you can refer to my course on how to set it up I have videos coming up on my YouTube channel here as well regarding how to set it up and how to use it I'm not going to show you in detail how to process the payments in this video but with your stripes let me show you their website here as well real quick you can basically just sign up with stripe it's very simple if you just go through the process and then you can create invoices and process your payments through here that's what I recommend I run my business from Sweden I have all my clients in the US and I use stripe and I know that people in the US that have clients in the US still use right so that's what I recommend there all right let's continue I also want to mention that if you want to learn learn more about how to actually create a contract how to sign the contract how to send the contract what to include and so forth I highly recommend to watch my video that's called how to sign 3500 per month smma contracts so I have a template included there that you can download are for free obviously and then I also have another video that's called how to close smma clients using a pitch deck bus soon so if you want to learn more about how to actually do your sales calls for your social media marketing agency I highly recommend using a pitch deck and using zoom and in that video it's a very light video I get a ton of great responses on both of these videos where I basically share everything how we do in our agency right now so definitely check out those videos so now let's talk about the contract and the payment email the actual template so for subject I normally like to just call it onboarding so after the sales call and they asked me to send the contract and the payment link I normally have the subject line like all onboarding or in the subject line I could have like their company name Dash our company name something like that and then I pretty much just say hi name then I normally say something like this so thank you so much for choosing your agency name to advise and Implement Facebook advertising exclusively for your business obviously if you do YouTube ads or Tick Tock ads or Google ads you would change that out obviously we are excited to work with you to generate high quality and new leads for your business then I mentioned here are the next steps so first we've sent you the contract to be signed in a separate email referred to that contract video that I just showed you if you want to learn more about how to do that we use hello sign then you can complete the initial payment by clicking here and this would be a link to your strike invoice essentially so that they can pay online with their credit card and you create the subscription link so that you don't have to send an invoice every single month but they just pay once and then it's going to automatically process the payment every single month so that's how you do that point number three will start preparing the campaigns as soon as the contract is signed and the initial payment is received please don't hesitate to contact us if you have any questions thank you and then you just sign off the email with your name and your agency named T messages for example Max and homeservices.com this is the template I use currently when we get a new client and they want to sign the contract so what I would do if I were you right now is that I would just copy this then go into email and do a new keep note here and for the title I'm going to call this onboarding and then here I'm going to remove this text just copy paste it and there you have your template and obviously you can just adjust it to your specific agency but then you have that email there super simple so when you onboard a new client or you've had a safe call you just click compose you send it you copy paste it into the email and there you go super simple the next thing I want to talk about is the welcome email so once they've signed the contract and the the payment is complete then you send them another email and this is the welcome email now you basically want to start to onboard them into your service essentially so this is the welcome email that I send them so the subject line is very simple welcome names are welcome John for example then I just say hi John and then I say very excited to have you on board we've already started to prepare the ad copy marketing automation systems and landing pages but we still need some more information from your end obviously you would have to adjust this to your specific agency and what service you have but this is pretty standard right when you do lead generation for local businesses if you do Ecom you maybe have to change it a bit then I say please complete the following so first watch this client intake survey walkthrough video I'm going to show you what that is here in just a second number two complete declined index survey by clicking here and then I just say please don't hesitate to reach out if you have any questions thank you so that's basically the email right there and yes so this client survey walkthrough video I'm going to talk more about what that is in here just a second but now let's just talk about this intake survey for a second and before I forget make sure that you copy paste this template as well you will find a PDF below this video with those templates and then you can just go into your keeper as well then we just create a new note you can call this one welcome name and then you just copy paste it in here and there you have your welcome email obviously make sure to adjust it to your specific agency all right so again you will find both of these templates in a PDF in a link below this video so make sure you check that out but for now let's go through the onboarding service actually so yeah if you check the email here the first thing that you're going to do is to check a survey walkthrough video and then they're going to complete a an intake survey so I'm going to show you what that looks like so in Linked In the description as well you will have a link to this onboarding survey and this is pretty much just a rip-off or a complete copy of what we use in our agency right now I have just adjusted it basically with the new image here so first of all I'm going to show you what we include in this one and then I'm going to show you how we can build your own essentially it's very simple so you just upload a header with your agency low on top then it says client intake survey and then your agency name and then it reads please complete the survey so that we can better understand your business and goals please take the time to complete the survey as thoroughly as possible the better you answer these questions and the more information you provide the better we will be able to serve you as a client and then deliver amazing results observe please watch this video before completing the intake survey and then you insert a link to loom video here so what I highly recommend that you do is that you record a loom video and if you don't know what Loom is it's basically a website called loom.com it's free to use and it's a very simple tool to record your screen with your face and just record videos and get them up on internet super duper quick you can download it to your PC or to your Mac then you will have it on your computer like this so you'll have the loom application and then you can just select to show your face or not and then you can record in 1080P or even up to 4K and I highly recommend to include your face obviously I'm recording my face right now so I will not be able to do it but you get the gist of it and this video is very simple what you do essentially is that you just welcome the person again just thanking them for signing up with you and this loom video that you include in this intake survey is just walking them through the survey basically what I'm doing with you right now to walk them through each question by question what you want them to fill out here I want your first name last name here's your email address your phone number your company name Website login details so for example if they have a WordPress website or do the website or whatever that might be ask for their login details to the website if you're going to like pixel codes and so forth or if your media buyer needs to do that and then web hosting company details so if you use Squarespace GoDaddy dude or Bluehost or whatever now might be make sure that you ask for those login details as well if you need to set up a subdomain or if your media buyer needs to set up a subdomain we ask for that forward leads to this email so as we generate leads where do you want them to be forwarded to or lead calls this phone number so we ask that as well what service do you want us to promote write down all of the benefits for your customers when they're hiring your business to complete the job this is basically just you have to adjust this question to your specific natural industry but let's say you're helping gym owners let's say just ask them why would a customer sign up with your gym over a competitor's gym do you have any specific promotions or anything in particular that you use in your advertisements to kind of get them to sign up with you why are you different essentially is this question and then what area do you want us to advertise in essentially we asked them about that and then we also ask them please book your onboarding call with Max with the following link and then you're going to have a link to your onboarding calendar page here so I'm going to show you what that looks like in just a second here as well then I can just fill in yes or no I've I've booked the call and then what is your definition of success from this partnership just an open question and then some special notes at the end also you can include more questions into here for example one question that I left out is for example you can ask them for some specific creatives so for example if they have videos or images in their company that you can use in your advertisement if you're doing YouTube ads maybe you can ask them do you have any videos right now or any video material we can use or if you do Facebook ads ask them do you have any company photos that we use in the ads to test and so forth so that's actually a good question that I would recommend to use as well but back to my point here regarding the loom video what you do in this loom video is very simple a couple of minutes you just walk them through that hey we need you to fill out this survey if you need any help please let us know and then you just walk them through all of the questions for you and it's just a nice touch to have a video there so that they can kind of feel guided through this process so I highly recommend doing that so now before I continue to the next point I want to show you how to build a server like this so what you do is just to this is built with Google forms essentially so if you have a Google workspace or a Gmail account and use Google Drive you can just log into Google Drive and then you can create a new Google form right here and I'm just going to split my screen here real quick and so you can do the same if you're going to build this you can just keep my template to the right and then your own form here to the left and then you just basically name it you can obviously copy paste right here and also what I want to mention before I forget it is that under settings you want to go to let's see here responses and then you want to turn off for stick to users so turn that off requires sign in so make sure that you turn that off and then also what you can do is to go to customize theme Here and here you can obviously change this to your specific color let's say I have this red color I'm going to use red and oh that was a bad color let's say I'm going to use blue and then you can also upload a header image right here you can upload your own or use any of these images I would highly recommend to upload kind of your logo or something like that so that's just a personalized touch and then you can just basically copy paste form description uh this entire thing you can just copy paste it into here and then you just go through the question though first question your first and last name and then this is a short answer then make sure all of the questions are required and if yeah and then you basically do this so then you can create a new question and the next question would be your email address make sure that it's a short answer required so I don't want to keep that in there and then for the ones that you see here that has like a description let me see here for example in this question you see that it's a description so if you want a description under the actual question then you can just click on the three dots description and add a description right there I'm not going to show you how to do this entire process it's very simple right so for example when you doing buttons like this that it's that's a multiple choice and the apps and you can customize this to your liking essentially but you can just copy paste in the client intake server that we have and create your own so that's very simple so now let's continue with the presentation I'm sure you're going to be able to figure that out I'm pretty much giving you everything that you need and showing your templates and everything so it's not going to be a problem for you right now let's continue the onboarding call funnel so if you remember in the survey that I just showed you let me go back to that real quick in this intake form that I showed you last question is we asked them please book your onboarding call and then you have a link here to your calendar page and so I'm going to show you how what this what that funnel kind of look like or how you set it up and if you want detailed instructions on how to set this up then you can just go and join my free course and I will have detailed instructions how to set everything up what tools to use Etc but it's very simple it basically goes from the onboarding survey to the booking page and then we have a thank you page as well so remember right right now we can also actually implement the email right here right so it's actually an email to the onboarding survey to the booking page and to the thank you page and we're using loom videos through the entire process to kind of guide them through the process and this is a very nice First Impressions it shows that you're professional and so forth so let me show you a live example of this so I can just show you the funnel that I use in my agency right now so this is the page that they get to we don't call it an onboarding call we called it a discovery call because sometimes we do calls with the current clients so we kind of merged a non-boarding and a catch-up call to a discovery call essentially so they basically get to select the day and the time and click continue put in their details and then they are forwarded to just a verification page so it says your booked Max but here it's going to pull their first name so your book job I look forward to meeting you soon please review the video below and here I just record a very simple video as well a loom video a new loom video that we just posted that just basically just walks them through what's going to happen next essentially so just tell them thank you so much for booking your Discovery call keep these things in mind before our Discover call them very much looking forward to be seeing you on that Call Etc pretty straightforward I'm sure you're going to be able to figure that out as well all right so let's continue so that's basically it for this video so let's do summary now so the first thing customize you can use this video as a template right you kind of see how the template works I'm giving you template for the emails so for the intake form and all of that right but you will have to customize the onboarding process for your own Niche and your own service so if you help e-commerce businesses you would have to make it a little bit different and if you have different service than I do then you would have to kind of adjust it to your liking as well for example if you have YouTube ads you would have to ask them if they have any video content or something like that right so use this as a template and then customize it for your own Niche and if you want detailed instructions on all of this from A to Z then again check out the feed cores as mentioned and then learn as you go so you'll not know how to onboard your first client initially because you've never done it before and that's completely okay you just have to do it and figure it out as you go so don't be scared about doing these things literally if you have all of these things that I've just showed you you're going to be so far ahead that most people that let's start out from the beginning I had nothing of these things when I started out and I knew nothing when I started out and I still managed to figure it out so don't be scared just dive into it if it feels scary that's good just just do it essentially and then take action my final Point here so Embrace chaos it will be scary in the beginning that's good that's like just dive into action essentially it's completely okay if it's scary everybody think that it's scary in the beginning and you just have to learn as you go so just dig into it and also to finalize this video with a boat that I normally do this is Phil Knight who started Nike and he said Play by the rules but be ferocious I love this quote you know don't rip people off obviously don't scam people don't lie to people always tell the truth always be transparent and do the best for your clients always so you buy the rules but be for Roses go for it man be hungry set up goals for yourself and actually take action and
