how to attach expense receipts to invoices in freshbooks hey there freshbooks users this video is going to show you how you can easily add all the receipts for any expenses that you want to rebuild to a client and add it to the invoice that you send them from your freshbooks account you probably already know this but freshbooks is a champion in invoicing and one really unique feature is that you can invoice for particular projects if you have projects where you are accumulating some billable expenses and you want to rebuild those to your clients then get excited because freshbooks makes it so easy you can even use this feature like an expense report if you aren't getting paid for your services necessarily but you just need to be reimbursed for certain expenses let me give some examples so you know what i'm talking about so say you're a contractor and you go shopping for supplies that you want to add to your invoice on top of the service charge that you charge for your clients so you can attach all those receipts from home depot and then when you create your invoice you want those receipts to be attached and they'll be right there at the bottom or say you're a social media manager and you want to run ads for someone but you want to rebuild the costs of those ads back to them you can do that or let's do one more example say you are hired to speak at a conference and you had some expenses related to preparing your speech or traveling that you're going to be reimbursed for and you want to attach those receipts for documentation freshbooks is a great solution for that and i'm going to show you how to do all this in this video see you have to hunt for a tiny little button to make this work that's not intuitive to find but once you know where the button is you'll be so glad you listened so let's do this [Music] all right so step one is to go into your expenses tab and open the particular expense then you will click on the advanced expense settings in the advanced expense settings you are going to attach your receipt to the little paper clip and then you're going to open up the assign to client slash project spot after you assign it to a client or project you will check the box that says include receipt image on invoice you can also add a markup and when you click this you will be able to decide on a percentage markup don't be afraid to do that y'all your time is valuable so if you're taking the time to make purchases on behalf of your clients a markup is certainly not unreasonable then you'll click done by the way if you haven't yet upgraded to the new customizable chart of accounts you have to also deal with this cost of goods sold problem which it always marks things as cost of goods sold when you say that an expense is tied to a client or project that features feature makes me want to die but hopefully most of you watching this will have upgraded to the customizable chart of accounts and if you have not upgraded reach out to me or the freshbooks support and they can handle that for you but if if not you will have to turn the cost of goods sold button to off so make sure that you you do that and make sure it says no then you're going to click save so now you come to this invoices section and you want to invoice your client and you want that receipt for that expense to show up on the invoice so first we create a new invoice after you have added the client name you're going to be able to start adding items to the invoice and the first thing that pops up is this important line that says bill time and expenses so you will click here to be able to do that and add your time that's associated with this client sorry you add your time and expenses that are associated with this client this is not a full tutorial about all the nuances of creating invoices so i'm not going to walk through all the items that you have to check here but i'm just going to simply say that you can add your unbilled expenses in time for this client and if you scroll down you also have the ability to select different types of views for your invoice all right so we have an invoice now this invoice doesn't make a ton of sense because it's just the demo account and it looks like it added five things for the client called chandler bing it was two services related to a birthday party uh plus two different time entries on two different days and then it added the specific expense for bar fancy and that's what we wanted to rebuild as well so we that's the expense that we turned on the feature about adding this receipt to the invoice and so when we scroll down on this invoice we're gonna see the receipt and if we had a whole lot of receipts that we had marked that little button on there would be a whole lot of attachments down there and you that you can view if for whatever reason you want to remove any of these attachments you can just hit the little x speaking of these little x's on the receipt images i have one quick little note for the freshbooks developers it really is easy to x out the attachments when we're in the invoice so i would love for you to have a feature where a freshbooks user can turn on a toggle that says always include my receipts on invoices for projects when i have a billable expense that way if they ever have some that they don't want to include they can just x them out it is a bit of a time suck to have to open up the specific expenses and drill down pretty significantly into the options for the expense to turn on that little button that says attach the receipt to the invoice i wanted to use freshbooks to submit an invoice to be repaid for a bunch of travel expenses a couple months ago and i had attached all my receipts and then i realized that i had to go back into every single darn expense and turn on that little check box to get it attached to the receipts attached to the invoice and i was very sad i don't have a lot of billable expenses so whenever i do have a billable expense i'm probably going to want to attach those receipts as documentation so i would love for that to just be able to set that as the default for me to have that option to set it as the
