okay so we're on our second webinar of our series we're talking to be talking today about receiving quality control our last webinar about a month ago we had we discussed supplier management some managing vendors setting up purchase contracts and setting up purchase orders so we kind of took that through the process and that recording is available to up on the website as well everybody's phones are muted right now because we do record this so we want to make sure that there's there's no background noise on the recording and we'll open it up for questions at the end or you can use the question panel in the go-to meeting side and they go to webinar sidebar and you can type questions as we go and I'll cover those at the end so again we're at webinar to receiving in quality control on September the 20th there'll be a webinar going out shortly for this an invite on September the 20th we'll be doing will be looking at items Lots variants and stock-keeping units and will kind of be taking as you can see through these twelve webinar series will be kind of taking the inventory throughout all the process and discussing best practices about designing your warehouse and then we'll also get into in webinar six we'll get into the BC mobile product so we'll demonstrate BC mobile and how that can be used for on mobile devices for receiving movement physical inventory those kind of things alright so today's webinar what we'll talk about we'll be using our item we used before so we you know as you've met as you if you attended our last webinar or watch the recording you'll see that we actually started out with a vendor called evolution salt and purchased some salt in from them so we kind of setup that item and looked at some country of origin specific restrictions and looked at our BC notification functionality for alerting users when they kind of haven't filled something out correctly and and that sort of thing on a purchase order we'll touch on that again today because of course in order to receive I have to create a purchase order so we'll start with that today but following they were received process we'll look at item Lots and then we'll go undergo the quality control process and then and talk about some options for putting things away in storage okay so let me jump over into the software here okay I just want to make sure that everyone everyone can see everything okay all right so this is our roll center for an a/v 16 and you'll see off to the side here we have a roll center for items customers vendors purchase orders etc in our center part of our roll center you'll see we have some stacks and the reason why these are called stacks obviously is you can kind of see they look like a stack of paper and it gives you a dynamic list view of how many items are within that stack you see I've added a chart pane here as well and I have some sections for my vendors I can do reports scheduling as well so if I have some reports maybe like inventory valuation that actually take a long time to run I can schedule those reports so they run overnight and then in the morning I come in and they're sitting here in my report inbox and then also with notifications there's internal notifications in the system where I can actually type notes on a specific document for instance if I have a sales order that goes on credit hold I can actually type note notes into the fact box and actually relay that to a specific user like my credit manager so when that they log in to nav they actually see the notification here they can click on the notification it takes them specifically to that record that I want them to look at ok so it saves me from actually opening up my Outlook and then actually keying in a keying in the details than that and copying in a screenshot and things like that I can actually alert my credit manager to notifications directly here on the roll center so these are these stacks right here you see under the bc act activities these are basically these are very customizable and when I say customizable I mean customizable by a user these are not development sort of related items this is a feature we've added to BC ERP because the really the basic cues that come out of the box with nav are not easily customizable and have to be done through development so what we've done is actually basically made use of Navs you can't want to NAB's key features which is the filtering technology that now and basically set these basically up as far as far as a filter in the background so basically when I'm looking at this and I see lots that are on hold I see lots that are expiring the next 24 days I see expiring documents release sales orders QA that are outer limit we'll talk about that in a short time I can basically click on that stack and it basically takes me into the into the detail of all the lot numbers that actually make up that information and if I click on my advanced filter here you say basically it's showing me all is looking at all the Lots and basically just setting a filter where the number of open holes is greater than zero okay and you can see there's some notes been added over here we talked about these notes and you know I'm on the run the roll center where I can basically add these notes and key them in for a specific user and those are basically linked to that specific record okay so you can go over here so we have our lots that are expiring in the next 24 days so if there's something in here if I'm if I'm a quality manager I didn't need to log in here and I want to see what lot numbers are coming up for expiration this is very handy as well for production if there's certain all Lots that are about to expire maybe there's something that needs to be planned in the way of production to make sure that item gets used before it's expired so it gives me a good indication of how many Lots that I have that are expiring in the next 24 days okay and I have this lot here of almonds that it's actually expiring all right and what we talked about in our last webinar was some of the document management functionality in Neve so where I can actually keep track of documents like insurance certificates and I can actually make note of when those are expiring if these are certifications like PRC certifications for my vendors I can basically key those in here as well put an expiration date on those and then I can kind of track basically when those documents are expiring okay again with my advanced filter I can see but basically it's just filtering on an expiration date here if I clear my filter you'd see that I have a lot of different documents in here okay so I have some purchase order entry I have a quick guide for purchase order entries so you know I've uploaded a document in here to let users know how they go through the disorder entry process I have appeal acknowledgement I have some lab results and things like that so you can kind of see how the document management functionality can be used and I can also bring in attachments as well so you can see that some of these have attachments so if I look at my quick order guide for my purchase order entry I can about the attachment basically that pops up on word in the background and takes me to my purchase order entry document and I can work walk through that process okay the attachments are saved in the database so the advantage of that is that those attachments are saved and they're backed up along with your sequel backups that are running nightly and they don't take up much space because the attachments are actually put into a specific format in the database so that they actually be compacted and stored reasonably without actually having your database grow exponentially okay I've set up a chart here so these are the number of quality audits I've had per date per day and you can see in here obviously I'm looking at a test database so I don't have audits on all days but you kind of gives me an example of that I had nine quality audits on June the fifth and you know and then I had six on June June the June the ninth so I can kind of see how my trend is I can kind of SH and see you know if I had real data in here I would kind of see how that trend goes and of course that I can actually click into these and actually get into the data that goes in behind it okay so these charts again are customizable you can set up these charts and based on a filtered list and nav on on any kind of information you're actually looking for okay so let's jump right into our process here so we actually want to get into creating a purchase order okay so I have a purchase order here created okay I can obviously create a new one I think we all are pretty you know comfortable with how to create purchase orders we covered that in our and our last webinar all right so I'm going to change my status here and I'm going to put this back into a new status okay so this basically looks at our workflow technical workflow features in the system where I can basically set up a workflow and how I want the purchase order to actually move through the approval and at each one of these steps I can tell the system what fields are required that what fields have to be filled in and I can also say that which fields are locked meaning that once it moves into an being edited stage then there's certain fields that actually can't be modified okay so anywhere in the system that you actually see this change status button that's indicates to you that that's an area that workflow can kind of take over and can actually it can actually you know you can build out a workflow for that area of the system so you'll find this feature in on sales orders purchase orders items customers vendors etc okay throughout the three of the system including production okay up here into my into my whole menu I'm going to press new ok so I'm going to bring my vendor bring my vendor in okay I'm gonna key in my item okay you can see on the purchase order lines here I'm gonna make this little bigger for us you can see on the purchase order lines we also have an order change reason code so once I've put in a quantity on the line if I actually need to change that line I can actually enforce some restrictions in the system to track why that quantity changed was it the vendor changed the quantity was that we received less was that we had some damage was the vendor couldn't meet that requirement so I can start tracking some statistics against this vendor on receiving to see what why things are changing and how often those are actually changing okay so once I've got that filled in I want to go up to my change status and release my my order okay I get a warning here just telling me that I have a contract available because we created a contract in our last in our last webinar okay just give me a warning for that and also in our last webinar we talked about approved vendors okay so we've talked about that with this vendor I need to actually use a vendor that has actually approved and then I've got another notification may seem alike a lot of notifications popping up here but obviously I'm just trying to illustrate how the different things you can actually set up and I've got it set up that I want to basically stop the user from achieve releasing the order if there's no work rusted receipt date okay so again I stay in the new purchase order status okay go down to my shipping tab okay I fill in my request of receipt date okay then I'll just release that again okay I got my warning there and I approved vendor but then I get released because I bypassed my work order status because I have filled in that required date that I've said it's actually required for me to actually process past this step okay so if you're using if you're using warehouse receiving or looking to use warehouse receiving a purchase order has to be in a release status in order to be able to process it through the warehousing module the advantage of using the warehouse module is that it keeps the users that are actually just all they need to do is receive inventory they're just putting in the quantity and they're putting in the lock number and those kind of things and naturally and posting it keeps them out of the purchase order where they don't need to they don't need to see pricing they don't need to see any of the information on here and we don't want them editing that information either so we keep some kind of edit this area and keeps them specifically in the warehouse area where they're just focused on the the tasks they need to do alright so for creating a warehouse receipt I do have under my action menu I do have a function here for creating a warehouse receipt alternatively if we don't want the users in the purchase order I can go into the warehouse receipt and I can actually get the get source document so let's just created from here for a second okay alternatively if I want the users in the warehouse receipt what I would actually do is create a new warehouse receipt put in my location code and then I'll go up here to my actions and I would actually get source documents and what that gets whereas documents does it actually goes through and it'll actually show me all of the purchase orders that I have you know and and and their dates and locations and things like that but I can actually pull on to this warehouse receipt so it kind of shows me everything is in it with an expected receipt date you'll also see I have some transfers in here as well so of course anything inbound into your into your into your location so it could be an inbound transfer it could be a sales order return or it could be a purchase order that's being received so any of those three sort document types you would see here in your source documents also when I'm actually adding the source documents I'm not limited to receiving this one Pio so if I would do want to add three different POS on here and I'm receiving them all at the same time on one warehouse receipt I'm perfectly able to do that okay it doesn't have to be a one-for-one relationship okay you'll notice on my purchase order I put a hundred okay and then over here I see two that's kind of strange well what I've done is on my item I've set it up so that I have to receive this item in bags I'm actually ordering it from the vendor and pricing it in kilograms and I'm actually receiving it in bags or pounds or any other unit of measure but I can set it up how the warehouse needs to receive it we don't with the warehouse actually having to figure out the unit of measure conversions so we set it up so that they're receiving in the physical unit of measure so on my warehouse receipt I have some ability here to ship this at the shipping agent so that's your carrier I can assign this to a specific user so where the assigned user comes into play is very handy for signing it out to a user from a mobile perspective so if I want to assign this out to myself or assign it out to one of my warehouse employees they're walking around with a handheld device they open warehouse receipts they see the warehouse receipts that are actually assigned to them and they know they have a task that's ready to be done okay before I go ahead and receive this I just want to jump into the warehouse setup for quickly for a second and just actually talk briefly about the policies on the warehouse state warehousing tab here okay so from a receiving standpoint you'll see that I have this require put away and use put away worksheet so what these two fields do you know we have a separate a webinar to talk about specifically about warehouse setup so I won't get into all of the setup here but from a receiving standpoint I can tell the system that every time I post a warehouse receipt I wanted to automatically create a put away document which actually is another document from the win the warehousing granule tool to give the user something to actually work against okay it has a header in lines it has a it has a take from your receiving bin and place into where the system has suggested it the system can suggest where to push put that item as far as bins go based on allergens bass line spacing based on cube it can do so some of that some of those algorithms to they suggest where would be the best place to put this because we don't want things conflicting together based on allergens we don't want to put something above you know an allergen item and things like that so we do have some ability to do things like that if I actually check off the put away worksheet what the system is actually going to do is not create a put away each time it's not you gonna allow me to use the put away worksheet and pull in all of my receipts at once and then create the put aways from there okay so just two different options on how I can do the put away obviously if I don't check either of these off what I'm gonna do is receive things into a receiving bin and then I can actually use my reclass journal on the mobile device or in to actually take it from receiving and place it into the bin where it's going to reside okay it's a couple of different options on the warehousing side for how to attach they put things away I'll leave the put away checked here for a second so we'll actually see when we actually get into there and of course we'll get into more warehousing I think it's in our webinar for we're going to ideal warehouse setup we'll talk about allergens and things like that in that webinar okay so in my lines here okay I do have Whitby CRP we do have a lot online functionality so if this is all one lot number I'm able to just basically assign the lot number at the line level if I do want to assign more than one lot lot on the line I'd want to go into the item tracking lines and assign the individual Lots in there with a respective quantity for each lot okay for them for my instance what I'm going to do is have the system assign a lot number okay so what that will actually do is go into my number series setup that I haven't set up for that item and actually pull in the next lot number from the list okay once I've got that lot numbers set up I can open up the lot number and I can actually fill in a bunch of information for that lot okay so I can actually fill in things like temperature I can fill in the pack date I can fill in with a vendors lot number so if there's something indicating on the package what the vendors lot number from a traceability is I can actually key that in here as well okay so I'm just going to key in something in here okay I also have establishment number so establishment numbers are really important in the meat and seafood industry you know they're becoming more more important as we see more and more recalls you know coming up on the news and things like that where the FDA or from a recall perspective they really want to be able to determine what plant the thing came from okay so not only what the lot number is but what plants had actually originated from because maybe there's a problem with Listeria or something at that specific plant so the establishment number allows us to gradually pull that information and to see what the packing plant was or that or the location that it was actually produced that provided that information is actually given to us on either the Bill of Lading the packing slip or on the physical item I'm receiving okay I also have an external lot number so if this is an item that I actually transfer it to a 3pl warehouse as many of you are probably experienced the 3pl warehouse is very rarely going to track your lot number in their system okay it becomes very expensive for them to do that so what they end up doing is and I'm giving a whole lot number two the entire receipt that they're receiving okay so we have an internal external lot number there and some other countries of origin I can fill in here for farming sort of companies I can put a crop year so if I ever crop you're on fresh produce or something that I'm actually importing I can actually put that on here as well you'll see here on the hold reason code that I have this this lot numbers automatically gone on hold okay so I haven't received anything yet but the yonk lot is actually already two already tagged as a hold alright so we'll talk about that in a second on hold on hold reasons and how we can actually set things up on hold and the system actually gives everything a hold tag so I have a unique number this stays in the system that never disappears which is the actual hold tag which I can you know if I want to I can go into this whole tag I can print out a tag and I can place it on the physical item if I wish but the whole tag stays in the system with the recording of who put it on hold that date it was actually put on hold who took it off of hold what the disposition reasoning was I can enforce disposition comments things like that so I have some ability here to actually track this whole tag in the system okay alright so on the let's jump out of the lock card here for a sec okay and let's actually receive our items so just remember our lot number is actually twenty-one all right so we're gonna actually we have a quantity to receive okay I'm actually gonna post this I'm gonna post my receipt all right so I posted my receipt and you'll see on my purchase order line of course I have a quantity received and then I also have a quantity to invoice so I have a quantity is waiting for me to receive the invoice of course I would enforce vendor invoice number I would place an invoice number in here and then post again at the purchase order level to actually create my invoice all right so what about you're going to do this escape out of here and go back to my menu okay so let's go to my lot information so lot number information all right so these are all of the lots that I have in the system okay so I can actually filter on my item number for you okay so again with my filtering in navdy n-- and these filter fields here I don't have to put the full item number in okay so I would just put pink in there okay you can see I have a bunch of Lots in here that I've actually received with different expiration dates and different amounts that are on hold 21 is the one where we just received that we need to actually worry about okay so I'm going to open up this card okay so there's the lock card we were just in we can see we have a whole tag information here so now I'm not you're going to get in and I'm actually going to do my quality testing on this lot okay so what I can actually do is if I got a see of a for this lot number okay keep in mind I'm just gonna make this little bigger here so over on our FAQ Box pane over here okay I do have my basket so if I've actually received a seal wit C at C of a in an email or as an attachment keep in mind I can drag and drop that into the document basket okay very slick nice functionality if I have my Outlook open I can grab the whole Outlook email not just the attachment and drag and drop that into the document basket and that is then stored here against that lot okay so now I see you have a document account of one I can see that it's a see of a I do have an attachment at any point in time I can go through and I can open my attachment okay okay so here's my certificate of analysis that came with my lot number with all of my you know certification information laboratory manager also gives me what lab did the testing all that information so again that's permanently stored now against the lot number I don't have to dig through my emails if I'm not in today nobody has to actually got to contact me to look for that it's not stored somewhere in a folder on the server because we know we all know how those folders on servers get out of control so it's basically its hatch then to that lot number four good okay so let's go into my QA worksheet so I'm gonna do my own tests on this okay so basically I open my QA worksheet I say that I'm gonna create something new I go into my my list here and I do see I do have a couple of different tests that I can actually do I'm just going to open one of these up so we can just briefly look at the setup on how this is set up okay so these are all different questionnaires that I have set up my database so I have ones for temperature everyone's for log finished lab results so you can see that I have a variety of different questionnaires that I can actually set up you'll notice that over here I have an auto hold reason code so you'll see that this is how that lot number automatically got on hold because I have a USDA inspection I've told the system that that's the reason that I wanted to go on hold when I actually received that lot number okay in our last in our last webinar we briefly looked at this hold reasons might seem a little bit daunting here it's not really that bad what we do is have our hold reason codes here and then we basically based on the columns across the top we tell the system what is allowed to be done okay or what is not allowed to be done where what transactions in the we want to block when a lot number is on hold for that reason okay so if something is pending QC maybe we don't want my block that they the sale in this point okay but if we have a USDA inspection we actually want to block it from being sold we want to block it from being used we want to block it from being consumed I want to make sure that nobody accidentally goes and grabs that item and uses it because it's still under QA hold okay but you'll see over here we do actually we don't have block bin transfer checked okay so we do actually want to be able to receive it put it away in a location move it around the warehouse we want to be able to do all of those sort of transactions with it but we do actually want to block them from being sold and being used okay so I do have ability to set up multiple hold reasons and then tell the system what transactions I want to block and then also my last column over here I can basically stipulate what users are allowed to take things off of that hold so I can kind of control what users within the Quality department or the quality department as a whole is the group of users is allowed to take things off of hold okay so every USDA inspection okay we've made this active if I look at the questionnaire setup this is where I can set up the different tests that I actually want to do okay and I can also within these tests I can set up specific calculations okay so I want to look at what the lot remaining quantity is as the received weight we want to look at what our sample size is I've told the system what a sample size is I can tell yeah I also want to track the color if there's any damage as a boolean meaning yes or no what moisture percentage I'm looking for a decimal I've also over the right-hand side here I've set upper and lower control limit so anything outside of that limit I'll get a warning and they lot will actually go on out of control it's that it's out of a control limit but if I set a low and high value of one in 10 the system will not let me record anything outside of between 1 and 10 okay so I've set just a control limit so I will let them actually record a result outside of 1 to 10 but I'm actually going to actually notify that the lot number is basically out of limit so they can go through further testing okay and you'll see here I have a merchantable wait and that's a calculation it looks at the received weight with China sometimes the moisture percentage divided by a hundred so in this formula I can build out some complex calculations here of how I want specific data to actually be calculated so we'll see that in a second I'm gonna record a quality audit against this item right away okay so let's set up our QA questionnaire for salt ok you'll see I can actually note what the sample size is I've said the sample sizes one bag I could do one gram I could do one pound I could set up whatever my sample size that I wish I can actually say who the greater is so if this is a fresh item that's actually being graded like peas corn tomatoes things like that those all go through a grading process on time of receipt and I can also say who the inspector was okay I'm looking down into my user list here okay and when the inspector would click completed that so let's go down here okay so lot receipt I'm gonna put my comments in there okay okay I'm gonna say what my color was automatically my received weight comes in as a hundred okay I say that there's no damage okay my moisture percentage is 26 okay so it does give me a notice notification saying the high control limit is 10 letting me know I'm out of my limits on what is acceptable for this item allows me to continue okay so I'll put in a debris percent and then I get my merchantable weight which is my calculation of moisture percentage with my quantity receive giving me you know basically what my usable weight outside of the moisture is 74 you know pounds okay so if i refresh this you'll see here now my I'm out of limit okay it's because my moisture percentage is that of limit alright so if you I can actually go down to the my second line here I can record a second sample so maybe I go through a process of remediation on this item I go through maybe a drawing process or you know whatever needs to be done to actually make this usable and then I can go in here and I can say this is my test - okay or my sample - okay and then I can record a second set of results based on my test - and basically if those actually pass all of those qualities then I can actually say that now the and now the lot number is within my limits that I've set up against this item okay I do have my quality information here I have a document basket so I can actually pull in that that C of a into the lot into here if I want if I had to send this out for lab results I want to key those lab results into here and then we attach the document that came from the lab I could certainly do that as well and then that that is actually tied to the QA questionnaire as well over here I see an overview of my answers so you know instead of looking at my answers across ways I can look at them over here in a fact box and I can see which which are which limit which questions were recorded as a tab limit okay so I do have a moisture which is at a limit of 26 okay so if I want to change my status here again my change status is my workflow I want to make this actually lock complete okay so I've actually setup there's a mandatory status okay okay so I've said that this one has to go through a manager pending view all right I've set it up the hand I need a greater so somebody has to record that information in here and then it all may I make myself the inspector as well typically I would have a couple of different people there okay so now I've moved it into a pending approval okay and I move it to completed all right I've left my other limit there I can actually enforce that I actually can't move it into an edible limit I can't actually release it while it's still a lot of a limit pending another set of test results okay so I go out of here okay i refresh my lot number okay my hold recent coat stays on there because what happens is I've not actually you know I'm still out of limit on that lot so what I can do it here is if I actually want to actually you know if I've done some remediation on it I've contacted the vendor that sort of thing I can go into my hold here and I can change my status here okay so I can actually say that this is this is clear okay so I do get a warning up there with my disposition code so I've told the system that I can't actually release them from hold without telling the system why I'm actually releasing it from hold all right so again these these hold reason codes and disposition codes are actually defined by you you define what these different disposition codes along with your quality Department as far as what is an acceptable disposition okay I'm gonna say this is past all right so now my whole tag you can see that when was it when was this disposition marked who did it and what the status is released okay so I go into my lot number here I see that I don't have a whole reason code or a whole tag but I can go up here to my whole tags in my menu and I can see all my previous hold tags alright so I can see basically all of my history along with this along with this lot okay so one of the things I mentioned in the webinar we wanted to talk about a bit as well okay after going through the QA process we've released our lot number our lot number is now long no longer on our USDA hold which means that I can now transfer it now I can transfer to another location I can consume it I can do all of those kind of things with it as well alright my workflow status says this is an active lot I still have my document count showing there okay so one of the things that to look at quickly was that was delivery tolerances so this is what the area the system with we've added with B CRP that allows you to basically stipulate what you what isn't allowable under and over deliver delivery tolerance when you're actually receiving something the advantage of this is really that with certain vendors or certain items or combination of those I can basically tell the system that I want to allow you know in this case let's look at this code for ten so I want to allow an under to delivery tolerance of ten and an over delivery tolerance of ten okay so of course if I order a hundred pounds the system will allow me to receive a hundred and ten without actually going back to the PIO contacting the purchaser having them open the PIO changing the quantity and then allowing me to receive it okay the under delivery tolerance that basically works by if I order a hundred and I receive ninety well then I consider that POS complete okay I'm not going to hold open a backorder I'm gonna basically have the system actually update the peel with the quantity of ninety and then when I go to invoice it it's gonna close out the PIO and not leave an open appeal with that our remaining ten pounds they're waiting okay so if I go you know eighty eighty five pounds that of course that's not within my tolerance and I'm not and it's gonna leave the peel open and also under the over delivery if I go at 115 pounds then I'm gonna get an error message telling me that I can't actually receive that much I need to go some approval somebody needs to adjust the delivery tolerance or adjust the peel or contact the vendor okay so what have the delivery tolerances are set up basically I set up a code and then I basically set up my percentages here and then up in my catalog is where I can say that my combinations of an item and a vendor or an item and all vendors or all items and all customers you know that kind of thing so I can set up any any variety of these combinations okay so I can set up item all items or I can actually set up a specific filter group of items and as we talked about before with filter groups we can set up filter groups in the system which allow me to say for this this table this is what I would want to say I want to take maybe it's all items that are finished good it's all items that are raw material maybe it's all items that are salt related allow a specific amount so if I get flour in flour into my silo of course I order 30,000 pounds and it's never going to be 30,000 pounds it might be 34 might be 35 I want to allow basically oh you know I want to but I have ten flour items I have a whole wheat I have a white I have you know all these different I have organic things like that so I don't want to set it up on all those individual items what I can do is set up a filter group for all flour items and basically assign them to a tolerance of 10% okay over under right so the filter group is very powerful the filter groups are used on the on the on the stacks you see on the roll center okay they're also used and throughout the system anytime you see a filter group they're used in trade for commissions and rebates things like that but we actually use them we can use them here as well to say how we want to set up the delivery tolerance just gives us a bitter you know it's not all items and then I also all items is too broad if I set up all the individual items it's too much work to actually maintain the matrix so I can actually use the filter group to basically group and items together based on a subset okay so over here so I set up the item okay so I have my item my pink sea salt whenever receiving from all vendors I want to assign it to this code which is 10 which means 10% over and 10% under okay so I've got of flexibility there on how I can set up delivery tolerances okay the one thing we want to look at the last thing we want to look at is freshness rules okay so with freshman's rule fresh about freshman's freshness rules what I actually want can do is I can set it up so that what I'm receiving something I want to make sure that it's within a defined tolerance that I've set up so I don't with the vendor shipping me something that only has 10 days of shelf life left on it I'm not going to have time to use that item I want to make sure that when I receive something from a vendor I actually have 15 days 18 months whatever that code is so you can see that I can set up some freshness rules here with a minimum remaining fresh in its days and then I kind of basically say I want things to go on hold for so if something comes in in three days I want to stick in and hold for not fresh alerts my Quality department to actually review through that maybe I still can use it but I want to get a nice discount from the vendor for actually taking something that's actually so close to expiration okay so I do have an override code here as well so it's what what person can override that so if I if that user as part of that group then they can override that and basically maybe the warehouse employee can't receive anything but maybe the supervisor or the purchasing manager is permitted to do that okay so here I can set up my codes with the minimum remaining days and then if I go back to my okay if I go back up here to my freshness all right I can do freshness rules assignments and you'll see this kind of looks like our delivery tolerances we just looked at so basically I can say that on you know I can say that the specific customer when I'm buying this category of item I want to assign it to this freshness rule code all right so I can say when I'm buying a specific item from a specific vendor I want to make sure that it Reb IDEs by this freshness group code okay it gives me a lot of flexibility to say all vendors potentially for this item in case I order from a different vendor this week allows me to stay still stay within those freshness rules no matter what vendor I purchase that item from okay you see obviously customers are in here as well so if I have some very specific limits with customers I'm producing something for them and they actually have a mandate under the contract with me that I have to provide them something was at least three months worth of shelf life okay so I can basically set my customer in here with my item and do a freshness rule code and that will actually prevent anyone shipping by mistake something to the vendor which they're going to return or they're gonna ask for a significant discount on okay so again I can do this on customers and I can do this on vendors okay so some of the things we looked at today we looked at our roll center and how we can actually set up our roll center okay so I can do that through my queues so in my queue definitions all right so this is kind of where I can set up these queues all right so you'll see here I'm set up now as my supplier manager so they here I have my vendors pending review so I'm set up as my warehouse person today lots were expiring the next 24 days lots on hold so you can see all of my groupings here and then basically I've set up a filter group all right so that's basically the technology that's behind that is really just looking at all lots and setting a filter based on some sort of date parameter some sort of quantity some sort of status okay so these queue is very handy to basically give your users any visibility to a specific tolerance or a specific item you're actually looking to alert them on as soon as they log into now alright so we looked at this we looked at actually receiving into inventory so we looked at purchase purchase orders creating a purchase receipt okay in the system we didn't touch too much on on on put aways okay we do have put aways in the system okay we're put away created here for the item we actually receive today we'll talk about this a bit more when we get into our warehousing webinar we'll talk about pics and put aways and things like that in this webinar I just wanted to alert you that those kind of that kind of functionality is available in the system okay so we looked at put receiving and put aways and then we also looked at law tracking because we looked at your lot number information I could actually type today okay so we looked at our lot number information right so we looked at our Lots we looked at things automatically going on hold for whatever reason code looked at hold tags some of the some of the other information we can set up against lots like maybe even fumigation dates as well establishment numbers if this is related to a specific grower okay a branch a block a field if I want to track those attributes against the lot I have the ability to track those as well so we looked at taking things off hold taking a whole tag and then also we looked at the history here we looked at document management bringing documents in and we also looked at workflow in a couple of different places okay so you just jump back over to my slide presentation here okay it's kind of the things we actually looked at today on versions so for some people are all on different we have customers that are on versions 2009 and then all the way up to 2016 so just gives you an idea of where you are what I what version things were released in so document management approvals it's a lot of these things we looked at today with quality hold reasons freshness rules those were all introduced in 2013 so those are available to you in your release if you're on that and then with 2015 and up we introduced those custom cues on the roll center word templates you know auto releasing the QA when that when the lot is actually when they're quality audit is actually released and then also a lot of it fields that are enhanced on the lock card where
