Receipt maker online free for non-profit organizations

you want to make a change in your community but you don't want to make any mistakes when it comes to filing or structuring out your organization well this video is for you in this video we're going to be giving you a step-by-step breakdown of exactly what you need to do to start operate and scale your nonprofit organization in 2024 stay tuned so let's talk about it the very first thing that we recommend that new nonprofits do is what we call a community needs assessment form the reason why the community needs assessment form is so important because this is going to give you data on the actual problems that's going on with in your community well we always tell people there's a big difference between a passion project and a purpose project and we want to create a product programs services and a business that people need not what we want them to need so the community needs assessment form is going to allow you to collect data to determine if what you think is a problem is actually a problem and then also give you a chance just to collect data in general about your organization which may um move you to actually choosing a different path as far as a nonprofit organization that you're going to take by the way you can grab that Community needs assessment form for free right down below and our nonprofit starter kit has everything that you need to get your organization off the ground so the second thing that we need to do when it comes to actually creating your nonprofit organization is we have to file it directly with the state I want you to hear me carefully most people assume that when you file your 501c3 that's when you become a nonprofit but that's actually not true at all a 501c3 is a tax code on how your nonprofit is taxed or not taxed but in order for you to actually have a nonprofit entity you have to file directly with the state and receive your certificate of formation or your Articles of Incorporation when you receive that form after you apply with the state this now means that you are Incorporated so so many people believe well Tim I already have my nonprofit organization but I'm not a nonprofit yet because I don't have my 501c3 that's not true once you file directly with the state and you get that certificate of formation back you are now a nonprofit organization now can your donations be a tax deductible incentives for your donors not yet but the moment that you apply for your 51 C3 which we're going to talk about here in a second you can send your donors donor receipt letters and they'll be able to use it as a tax deduction as long as you're approved so again we need to file first directly with the state so what is that I recommend that you do is you get on Google and I recommend you do this right now you can just add another Tab while you're watching this video on YouTube I just want you to type in Secretary of State no matter where you're at I'm in Texas but if you type in Secretary of State St for the state of blank Google is going to bring you up to date with your website for your state and then if you click on that secretary of state right at the top right or the top left is going to be a search bar and just type in nonprofit filings once you type in nonprofit filings your secretary of state is going to either have instructions or a streamline application where you can actually go ahead and file your organization directly with the state so let's talk about this so you are aware when it comes to actually filing your organization directly with your state they may give you the option to select nonpr profit or LLC Corporation but a lot of the times they don't a lot of the times there going to be the option of filing an LLC or a corporation so I want you to make sure that you click on Corporation unless you have the option for nonprofit then you select nonprofit now at the end of your application you're going to have the opportunity to implement your mission or your purpose for your organization and if they haven't already asked this is where you will state that you're going to be a nonprofit organization you'll pay whatever the filing fee is we haven't seen a filing fee anything over $150 for when you're filing directly for the state so it's not it's not that expensive um and it only takes maybe a couple of weeks in a couple of weeks you will get your certificate formation back through email and then they'll send you your actual articles and then that also certificate formation through mail as well so after you file to become a nonprofit directly with your state there's two things that we recommend you do number one is you want to go ahead and go to irs.gov and apply for your EIN number this is what we call your employer ident ification number this is going to represent your nonprofit as its social essentially the EIN number is a n-digit code just like your Social Security number so your social security number represents who you are personally but your EIN represents who and what your business is so after you get that Ein in number by the way this is completely free um the next thing you're going to do is you're going to go to dnb.com DNB stands for dun and Brad street and what we recommend that you do is you go ahead and get a Dun in brass Street number as well so you can start positioning your nonprofit for business credit it's important to understand that a nonprofit doesn't mean no profit and in America where we're living we live in a capitalism economic system meaning that you need money to survive so just because you hear the term nonprofit I don't want you to believe that there's no money to be made at all I don't want you to believe that you can't get funding you can't get lines of credit you can't get loans from the bank like you could from an LLC or for a typical business because you can so we want to ensure that you take the step of after you get your EIN number you go ahead and file for your DNB number to position your organization to grow your business credit now after you've done that you are now ready to apply for your 501c3 certification so for your 501c3 certification you can go to pay.gov again that's pay.gov p y.gov and if you scroll down to the bottom of pay.gov you'll see where it says file to become a 501c3 tax exempt nonprofit organization but wait but wait before you do that I want you to know that pay.gov has two types of application so there's going to be a streamlined application which is a 1023 e which is 275 and then it's going to be a long form the 1023 long form application which is going to be 600 so let me explain the difference so the 275 application the 1023 EZ this is saying that you believe your organization is going to generate gross income $50,000 or less gross income $50,000 or or less for the first 2 to three years while your organization is operating if you believe your organization is going to generate millions of dollars or hundreds of thousands of dollars we would encourage you to go ahead and file the 1023 long form to put yourself in a position to now raise any amount of money that you want to with your nonprofit organization so on pay.gov right there at the top right you can just type in 1023 form 1023 form and what will come up is two different appliations and both of them which is the ones I just mentioned the streamlined application which is 275 again and then the long form application which is 600 look I understand that finances may be tight or whatever may be but the best way to do it is the right way the first time what we've seen over and over again is individuals are so in a hurry just to start their organization just to say that they're 501c3 that they end up doing the 1023 easz but then when they do their business plan they create their budget their budget says that they need a quarter million dollar their budget says that they're going to make $100,000 within their first year but they apply for 1023 EZ you don't want the IRS to look at your decision as fraud and then penalize you for private inment or remove your entire organization completely so again the best way to do it is the right way the first time now after you apply for your 501c3 certification at that moment you can start receiving donations with the tax deductible benefit for your donors as long as your application is approved it'll be backdated and you will be 100% clear as well as the donors as well so the moment that you find your application I would encourage you to start acting as if you are a nonprofit with the 501c3 certification so now that you filed your organization directly with the state you have your EIN number you have your dun and bread Street number you've now applied for your 501c3 certification you have now structured out your nonprofit organization and now it's time to get to the work so the first thing that we encourage people to do is after they' developed their complete organization is you want to start working on your business plan if you follow the path and you do the community needs assessment form first you're going to have a lot of data about the problem that you're trying to solve within your community and now your business plan you're going to be able to put it all together as far as your mission for your organization the vision for your organization the programs that you're going to be providing to your community how you intend on receiving funding how you attend on raising funding the whole nine the business plan is the very next step to actually solidify what your organization is going to be doing we recommend you having a website as well you can use wix.com it's very userfriendly um Squarespace is another very userfriendly platform there's so many different ones out there but we want to encourage you to set up a website it's something that is a monthly expense for your nonprofit organization but understand that as a nonprofit CEO as the founder you are a entrepreneur and when you're conducting business there's something called business overhead the business overhead essentially is is the cost to run your business so let's say for example if I'm using multiple different platforms a coaching platform Kendy um zoom and let's say my monthly expenses to operate my business is $400 a month just give an example that's going to be the operating expenses the overhead of what it takes for me to actually run my business so for you as well I want you to consider what's the budget of what it takes for you to run your business if your website is 30 bucks a month to have access to thatat platform okay great if you're using zoom and you have the the next level of Zoom which is $15 a month then now you're at $45 right if you're going to have staff if you're going to have VA and you're paying them Oho much amount of money on a monthly basis these are things that you want to consider because this is what it costs for you to run your organization this is what it costs for you to run your business it's so so and so important to consider these things so you're not positioning yourself where you don't have the money to do something that you want to do so the next thing we want to do is we want to open up that bank account now when it comes to to your bank account for your nonprofit you're going to open up a business bank account and you're going to need four things number one is you're going to need your ID number two is you're going to need your EIN number number three is you're going to need your articles underc Corporation and then number four you're going to also need your bylaws these four things you can walk into any large bank and actually open up a business account for your nonprofit organization this is so so so important is because if you plan on receiving donations how do you expect to receive donations if you don't have a bank account the number number one rule that we tell any new person starting off in business is never ever conflict business with personal income never confuse the two never have all of your donations just going to your personal bank account any transactions or any Revenue that you're creating with your nonprofit you don't want to receive it through cash app and then have it go directly to your bank account CU you're being too lazy go open up a bank account open up a stripe account right have you a zel platform just so you can actually receive the money properly so when it comes time to make payroll when it comes time to pay operating expenses you're not diving into your personal Revenue but you're actually taking from the business Revenue this is how we grow our business now with developing your nonprofit you're going to need board members as well we recommend that you have three board members outside of yourself if you are the founder we recommend that you do not sit on your board there's so many reasons why and there's another video for that but we recommend that you don't sit on your board and you have three other individual idual that are sitting on your board um the key ones are maybe a president a Treasurer and a secretary these roles we recommend you have fied early on in your nonprofit status therefore you can have individuals help you along your journey I said this before that what you're working on right now is bigger than you and because it's bigger than you it's going to require more from you and more than you so it's not just going to be you who put this entire organization together it's going to be a team of people who are governing what you're doing understand that with your nonprofit as well that you do not own this organization the organization is actually governed by your board of directors which is why it's very very very important that you choose your board of directors wisely so if we call back to the business plan and our six-step layout that we teach our clients we recommend that you focus on program buildout focusing on three simple steps the problem solution and then promotion we need to identify the problem that's going to be in your Marketplace before we do that we have to identify the target market the reason why this is so important is because if you don't know who your target market is this mean that you don't know what their problems are and if you don't know what their problems are this means that you're creating a whole organization and your programs based off what you think that that people need and instead of what they actually need and this could cause your whole organization to be left when it should be going right now after we've identified the problem we want to now focus on the solution this solution is going to be your program it's going to be the services that you're focusing on being able to make change within your community so when we look at this we want to identify where people are right now in your market so if we're focusing on someone who's overcoming drug addiction we have to consider where they are right now where they going to be when they work with inside our program what they're going to learn this is going to be the curriculum that you put in place to build out how long is it going to be how long is it going to take and then we want to have what we call a conceptual outcome what do we believe is going to happen on the other side of someone going through your program this is so incor because if you don't have the ability to communicate at the value of your organization and the value of your program and express the problem identify the solution that you're going to have for that problem and then come up with the conceptual outcome for your program it's going to be hard for you to communicate what how valuable what you're doing is effectively now from this point we have the organization we have your EIN number your dunz in brat Street you file to become a 501c3 you created your business plan you built out your programs now it's time for us to focus on how are we going to promote and Market our organization you could have the best organization idea in your head the best plan the best concept but I want you to write something down for me best known beats best product every time best known beats best product every time so yes you have a great idea yes you have a great heart but now how are we going to get people to find out about what it is that you're doing this is going to come in the community outreach um connecting with different sponsorships connecting with different Partnerships actually leaving the house getting off of YouTube getting off of social media and going to walk into a business walk into a foundation Center and see if you can collaborate them let them meet you in person let them feel your energy this is going to be the most effective way for you start to getting people to see about your nonprofit outside of you creating content online which we highly highly recommend now once you start promoting your organization there's going to be people who are interested in your programs and services and we recommend that you give your program and services away to at least the first five or 10 people in exchange for testimonials the reason why this is so important is because now that you have testimonials AKA success stories we focus on the next step within your nonprofit development which is receiving funds applying and acquiring funds now most Grant makers there's going to be multiple stipulations and guidelines and prerequisites that must be met for you to be approved and what is that we've seen we working over 600 different nonprofits is that Grant makers love to see success stories they love to see test testimonials they love to see examples of how your program has already been working for people before you receive Government funding now if you're someone who is competing with another individual who has a great idea but you have a great idea they have a great intention you have great intention but they didn't give their program and services away for free you did a couple of things are going to happen number one they truly don't know how valuable what they're doing is because no one has went through it number one and then number two they haven't had a chance to make it better because no one has went through it to give them constructive criticism or testimonials about what they liked and then if they like something you can make what they like better but this individual who actually took the time to work with five or 10 different individuals you're now learning how to actually manage and handles people's emotions things like that while you're running your organization number one number two is you're getting testimonials which can be used as success stories number three you may get some constructive criticism that you can use to make your program better and then number four you have the confidence that what you're doing is working because people have already gone through it now if these two people are in competition if one is John and one is Tim if you're a grant maker which one you going to choose more than likely you're going to choose Tim right because this individual is more prepared and I want you to write this down for me this life that you want is not just about what you ask for but it's about how you prepare to receive it this is why we have to position oursel in preparation to win the grand in preparation to have thousands of people find out about your organization in preparation does that make sense then last but not least when it comes to developing your organization now we start applying for Grants now we start seeking sponsorships now we start seeking different donations and Partnerships what so many people do in the nonprofit journey is they try to get grants and donations and sponsorships and fundraisers first without the plan without the program in place without the mission statement without even fouling directly with the state and I just want you to know that the majority of the answers that you're looking for the majority of the problems that you need solved are going to be along their Journey not before the journey starts so you as an entrepreneur if you Google the term entrepreneur and it's exactly what you are with you starting to be a change agent a Founder a nonprofit founder this is someone who's invest their money first upfront with hopes with plans with expectations of receiving get later so remember that remember that change agent for you as an entrepreneur remember that don't expect to come into this game don't expect to come into this industry and have someone give you all the handouts in the world just because you have a good intent look there's 1.6 million nonprofits the IRS sent out a newsletter saying that 95,000 people apply for their 501c3 just in the last 12 months so I don't want you to think that there's not a lot of people who have good intent who have a good heart you know and they're even willing to work hard but what we have realized is that not a lot of people are willing to strategize to plan to treat it like a business a lot of people are Trea like a hobby and this is where you someone who's taking this serious can come in and dominate think about it look if you find Value today do us a favor and like smash that subscribe button drop some comments down below let us know what you took away from this video today also let us know what else you like to learn this is an educational and training Hub and the only way that we can get better is if we know what problems that you have so we can make content on how to solve those problems again my name is Timothy Wright the founder and CEO of the nonprofit launcher we appreciate you for being here appreciate you for supporting us and we'll see you in the next video peace
