if you have a digital marketing agency you  need to get paid and you need to get paid   quickly and easily otherwise you don't have an  agency let me show you how we do it stay tuned hi i'm mike mancini, a digital marketing  agency owner for the last nine years   so today i'm going to show you exactly  how we set up payments in our business   we'd use them for setup fees we use them  for prorated billing for the first month   and then every month after that our customers are  charged on the first day of every single month   on autopilot i'm going to show you how to do that  and stick around to the end and i'll show you how   you can find out how we do absolutely everything  in our digital agency when i started my agency   we were taking a lot of payments by check every  month we would receive a bunch of checks in the   mail we would have to take them and physically  deposit them this was before mobile banking and we   wanted to make it much easier also on top of that  we were actually billing our clients after a month   of service so at the end of every month we had  to go through and figure out how much work we did   how much we were charging them based on their  percentage of ad spend or however you decide to   do it and then we would email those bills out and  wait for checks now i know exactly how much i'm   going to make at a minimum for the entire month  on the first day of the month every one of our   clients is billed on the first day of the month  on autopilot it's not something i have to review   it's not something i have to go in and check it  just happens and on the first day of every single   month my email box is filled with payments  from clients so for that month i know the   minimum the absolute minimum i'm going to make  because throughout the month of course we have   additional services that we charge clients for we  have new clients that are coming on we have new   onboarding fees that are coming on and that takes  a whole bunch of stress off your shoulders if you   already know at the beginning of the month on the  first day the minimum amount that you're going to   make that changes everything you know if you need  to hustle more you know if you can take a vacation   you know exactly what's coming down the pipeline  let me show you how we do it so to collect our   payments we use stripe and if you've never set  up a stripe account before it is ridiculously   easy i'm not going to walk you through how to  set it up because it changes quite frequently   but i will tell you it'll take you less than  five minutes to set up your stripe account   so let me show you an example of how we do it in  our agency let's just say we get a client in the   middle of the month now to set up a campaign we  charge a setup fee let's just use an easy number   and let's say that that setup fee is 750 so what  we will do is we will go into stripe we'll go to   the home button and we will click on customers  once we're here we'll click add customer we'll   enter their name we'll say john doe account email  we're just going to put in our email address here and just click add customer that's all that we  need once your customer is created click on that   then go down to invoices and click create invoice now here you can add an item  or create a new product let's   just say we're going to add a one-time  item let's just say campaign setup fee and 750 click save you can customize this down  here then the memo thanks to your business   and what we're going to do is we are going to  email this invoice to our client so that they   can pay it online so we can get started doing our  work you can see over here on the right hand side   exactly what the invoice is going to look like in  the upper right hand corner click review invoice   send invoice for 750 to john doe you can include  other people on the email just click send invoice and here's exactly what the invoice looks  like once they receive it all they have to   do is click on pay this invoice they're taken  to a secure payment site which is actually on   stripe they enter their card number or their bank  information and hit pay it's really that simple   so the way that we do it in our business is once  a campaign starts we start our management fees   that very day and the reason that we do this  is we're managing the campaign from day one   and when you start managing a google ads campaign  or really any other campaign the majority of the   work that you're going to put in happens in  the first month of that campaign so there's no   reason why you shouldn't be getting paid to do  it while you're doing it so let's use the same   numbers from before so for example we got paid an  invoice on the 14th of the month let's just say   we got everything set up and we're going to start  it that day the way that we do this is let's just   use a thousand dollars a month as our management  fee so we have a thousand dollars and we're going   to divide that by 30 days in the month that gives  us 33.33 now if there's 14 days left in the month   we're going to take this number which is our daily  management fee and we're going to times it by 14. that equals 466.67 so what we're going to do is on that day we're  going to go back to stripe and we're going to   go back to that customer and when we start  the campaign we have a call with our client   this call is not only to explain to them what's  going to happen but it's going to set their   expectations of what to expect especially out of  the gate with a new campaign as well as we need   to get their billing information on file before  we turn the campaign on so on that phone call   i will get their credit card information i  will go here to payment methods i will click   on add i will click on add card i literally  will add their card their expiration date   and the card security code and click add  card that is it that's how simple it is to   get started now once you add this card nothing is  going to be charged yet but for this 467 dollars   we need to get paid for that today so i'm going  to create a payment and i'm going to say 466.67 you would choose the payment method in here  and you would add a description if you want   so maybe it's google ad services and you would  click create payment once you click that button   the payment is going to go through so awesome we  got our setup fee taken care of and we prorated   their charges for the rest of the month now  how do we set this up to go on autopilot for   every month hereafter so now we need to set up  what's called a subscription now this subscription   will charge them automatically on the same day  every single month so in that same customer you   can go up to subscriptions and click on create and  here you can click on add new product you can name   that product whatever you want perhaps you name  it a thousand dollars a month because you might   use this product again so price a thousand dollars  recurring monthly and you can click on add product   now you got to make sure you do this part  correctly if we hit start subscription that   client's going to get billed a thousand dollars  right when you hit that button but we don't want   to charge them until the beginning of the next  month so we need to add a trial so right now   where i'm at it's the 20th of the month and there  are 31 days in this month i want this trial to end   on the first day of the next month so there's 11  days left in the month i want it to go 12 days so   i'm going to enter 12 here and save changes so  now you can see the trial ends on february 1.   once that trial ends so it's about uh it's  almost 12 o'clock noon where i'm at around   the same time on february 1st this charge will  go through then you can hit start subscription now right here you will see a thousand dollars a  month you can confirm and the next invoice will   be on february 1st for a thousand dollars and that  is it this is what we do for every single one of   our clients and on the first day of every month  i don't have to think about going through and   manually billing i don't have to think about any  of that all i know is that my email box fills up   with stripe payments and i know the minimum  i'm going to make that month no matter what   so do you think that this is an efficient way  to get
