all right welcome everyone we're excited to have you this afternoon um to visit about sam registration for your business my name is crystal irons and i'm with the missouri small business development center at missouri state university and very excited to to partner with our missouri procurement technical assistance centers in both springfield and west plains so we have alan waldow with us this afternoon as well as willis mushroosh who's over in howe county over in west plains and they are going to walk us through this registration process that of course you can use for um if you're interested in contracting with the government you'll go through this process and also for many of you on the call today if you're interested in applying for the shuttered operator venue grant program this will also be part of that process as well so with that alan i'll throw it over to you and you can jump in and thanks to you and willis for working with us and offering this today well it is absolutely positively our pleasure i it is a thrill to work with the missouri state university sbdc we've got some wonderful wonderful counselors there and i will tell you right now if you're not connected with the sbdc i highly recommend that you do it it looks like we've got at least three of the folks i see on the call and i don't know if cody's here with us today or not but uh we've got a wonderful group there and then i'm also very honored to have willis mushrooms with me willis is my mentor uh one of the guys that helped get me hired for the ptac and uh willis you want to say anything real fast no you just every time you say uh something about mentor or something you normally refer to how long i've been here willis has been here for a long time every time i do i do pick on him so i'm getting something else in the room very good so i am gonna i we've got a lot of slides to cover and a fairly short amount of time in fact we've got about 50 slides in about 50 minutes before we take questions i think willis may be monitoring the chat room i think realistically we're probably going to be better off if we probably put off the questions the very end the nice thing about the slides is after we get done with this today um we will share the slides with you because this will be a wonderful reference for you as you as you kind of begin your walk going through the sam registration uh but also keep in mind and we'll talk about this in a little bit too but missouri ptac may be able to help you out with the sam registration too so that's saying hold on to your chairs here we go come on there we go so this is a joint presentation by the missouri state university sbdc in the missouri procurement technical assistance centers a lot of people say what is the ptac and truthfully the ptac stands for procurement technical assistance center and we are a close partner organization with the sbdc the sbdc receives a little bit different funding or funding than we do but we are actually funded through a grant by the defense logistics agency which is part of the department of defense and then willis and i are both actually employed by the university of missouri extension's business development program um we are per our grant though with the dla somewhat limited on the types of organizations that we can work with number one we're really not supposed to work with non-profits number two we're really not supposed to just work with companies that are just wanting to receive grants we actually have to work with folks that are having interest in government contracting and when we're thinking about government contracting think beyond federal contracting i mean this could be contracts with the state this could be contracts with the counties this could be contracts for the city this could be contracts with school districts so just about anything at all that that receives federal funding state funding can can be considered to be government funding uh so our main purpose today is to talk about how to get you registered into sam and sam stands for the system for award management we're going to have lots and lots of screens kind of showing showing shots of the sam registration i will try to point out what i would consider to be the um maybe the key components of those of those shots um but sam is the payment system for the federal government um if you are a federal contractor you must have a sam registration in order to do business with the federal government keep in mind that the federal government actually buys or procures over 500 billion dollars per year of federal federal federal contracts i mean i always i have another slide where i try to talk about that and it comes out to be like fifteen thousand dollars a second is what the federal government's actually spending in addition sometimes you have to have a system for reward management registration in order to receive government grants um and it's various for example at one point the usda was giving out grants to farmers they would have to have a sam registration that has kind of gone away they're not real consistent so these were not required same registration was not required for the for the payroll protection plan grants but they are apparently apparently required for the sovg grants um and ultimately what you're getting when you register in sam is you're getting assigned a cage code and a cage stands for commercial and governmental entity code and it's a combination of five letters and numbers and so for example your cage could could be a1 t63 so here we go how to register in sam so there's really three different steps that must be taken and the first off is you need to be actually registered with this missouri secretary of state's office or an individual now i was looking over the requirements today for the sovg grants and i am still not convinced that an individual can actually receive one of these grants i think it's got to be an organization so most organizations are going to be registered in the missouri secretaries in the missouri secretary of state's office i turn off my camera so i don't keep looking at myself i'm sorry they're much better i was seeing myself in and driving me nuts i'm sorry um but you normally have to be registered with the missouri secretary of state's office and why is that needed well it's mainly needed so you can get your done bradstreet number so if you are not registered with the missouri secretary of state's office i would recommend that but probably the very first step you should go and i've got the link here to get you to to get you to that website so if you do believe or not sure if you register with missouri secretary of state please follow these different steps and this will actually find that help you find out if you are registered not so the first thing is go to the missouri secretary of state's website which is this link right here so www.sos.missouri.gov and then click on this link up here it says business services so when you click click on that link you will actually get a search engine page that looks something like this the easiest way to search then is actually search by entity name so i did a couple searches yesterday when i was preparing for this for this presentation and you know i thought about theaters down in branson and i thought about presley's theater has been there for years and years and years so i ended up entered the word pressley theater and what i came back with is that presley's theater's actual name as registered with the missouri secretary of state's office is jerry presley's guiding country theater llc but then i thought okay so i was having a difficult time finding some other local theaters and i do not know who all is on this call today or what maybe what theaters what types of promoters that you are but so for example i was looking up the word springfield little theater and i could not find the springfield little theater when i looked up andy williams moon river theater this came back to me as a fictitious name so more research may need to be done in order for you to actually determine what your name should be for them for in order to get what they call a dun and bradstreet number um they will have both for-profit and non-profit theaters that are listed there so for example the springfield contemporary theater came back in good standing but it is a non-profit corporation domestic so after you have gotten the exact name of your business then you have to determine if you have what's called a dun bradstreet number dun and bradstreet is a is a commercial organization that assigns nine digit numbers much like your social security number to organizations so in order to find out if you have a dun and bradstreet number and i understand this is one of the questions that came up before this call today is i recommend that you go to this website which is www.dnb.com when you get to that site you can go to this little clip little part here it says duns number click on that and then look for an option that says duns number lookup option so once you've gotten to the duns number lookup option um and i just went ahead and kept running around around with the with the jerry presley idea here so i typed in the word jerry presley um i got the email address right i'm sorry i got the actual physical address of the theater which is 1840 west 76th country boulevard branson missouri 65616 it does not give me information as far as what the duns number is so i asked them to email me the duns number but the other thing i would recommend when you're looking at your dun bradstreet number assuming that you have one is to go ahead and take note of the exact address as you see so in this case he's got 1840 west 76th country boulevard branson missouri 65616-2123 it is important that you write that down or take note of that exactly because when you get when you start beginning to register in sam you must have the exact physical address that you have for the for your theater or for your business or for your organization and also note and i'm going to talk about a little bit later too but for example the word boulevard is not spelled out but it's blvd and that would be the way that you would actually have to put that into sam and instead of spelling out the word west it's actually w so once again that's something you actually have to put that way in the sam registration so i went ahead and requested to get the dun bradstreet number you've got the right to request the number i put in my name i put in my email address i hit submit and then about a minute and a half later i received an email that gave me the exact dun bradstreet number for presley's guide and country theater which is at 0 seven four six one four five five six so if the presley's theater was interested in going and applying to plan to get into sam step one for them is already done as far as having done a bradstreet number but i'm also going to say that that probably a lot of you do not have a donor brad street number so i went ahead and continued on with the theme of the springfield contemporary theater so i put the springfield contemporary theater in there notice it did truncate off the last couple letters i made sure i put down the down state of missouri i hit search and i came up with absolutely possibly no matches for the springfield contemporary theater so in other words as a springfield contemporary theater were interested in actually planning to get some of these some of these grant funds they the first step they would have to take would be to get that done in bradstreet number so how do you get the done bread street number well there's two different ways ah shoot keep trying to move a screen i keep moving there's two different ways to get the done brass street number first off you can click on this little button right here it says get a new new duns number i would recommend not clicking on that number or on that on that screen because what we'll do is bring you to another website and it can take you up to a week or week and a half to get that dun and bradstreet number here is probably where ptac can can really truly assist and even though i'm not quote-unquote probably supposed to agree to this but even if you're a non-profit i have zero problem with you getting ahold of me or i probably wills would be the same way too we've got a hotline number where we can call dun and bradstreet to bryant street with you and uh actually get assigned a duns number on the telephone call so uh that would be one way that we could we could assist you in order to get it done in bradstreet numbers you get this thing moving a little bit quicker we will have our contact information on the last slide so if you have an interest in calling us with us mainly working out of the offices right now it's probably the best way to connect with us would be through our email addresses so moving on rules for done in bradstreet things that you've got to keep in mind and this is the reason why i stress the missouri secretary of state's office so much it's got to be the exact name as registered with the secretary of state's office most the time when we're dealing with dun and brad street they will do a search while we are on the phone with them with the secretary of state's office looking for the nuances of the way that the firm is registered so for example if there's a comma in the registration so it may be alan waldo llc and there's a comma between the between waldo and the llc we would need to include that comma in that registration it can be a fictitious name you're being registered under but what they will probably end up doing is actually registering it under the name of the main company and then put the fictitious name then as a doing business as as name it's got to be the exact address so it's got it can't be a mailing address i've got a lot of companies one sometimes we'll get in touch with they'll say what's your address and they will give me an address so i'm thinking man that sounds a heck of a lot like a ups store i got usp sorry about that it sounds a whole lot like a ups store it cannot be like a ups type mailing type store it's actually got to be the physical address where you're located now if you have a home office that's fine it could be actually your home office and then the dun and bradstreet will actually do a search also on the united states postal service site to make sure the address meets the requirements they're looking for through the u.s postal service on a personal note many times when i'm working with a client i sometimes will go to google earth and do a google earth search for that address just to confirm that yeah there's actually a house there there's actually an office building there and a lot of times i'll even make sure that if i can read the doors uh the names on the doors that i can actually see the name of that business on that door or on that sign and then finally the duns number is is in the process of being replaced by what they call unique identity unique entity identified fire number um it's going to end up being a 12 digit it could be alpha alpha and digits as of about april 2022 on a personal side note i think this is going to be an absolute positive mess but it's probably not something i need to worry about for about another 14 months so but it is going to be eventually replaced and if you already have a dun and bradstreet number you will automatically be assigned a new unique unique entity identifier number i can't even say it so now we're to finally to the sam registration you've gotten your duns number and now you're registered ready to register in stab there are two major steps that you have to follow when you're registering sam one of them is you actually have to establish an administrator and i will kind of give you my thoughts on on on who you should establish as your administrator then you actually have to go through the actual registration process couple other caveats number one do not and i'm going to stress this again do not falsify anything to the federal government depending on what you falsified and depending upon what maybe advantages you received you could potentially end up in jail you could have civil liability there are a lot of federal contractors right now that are doing some very very long prison sentences because they have lied to t e federal government the same could be held for grant seekers also there is also a chance during this registration i may have failed to include a screenshot i was using a lot of the information i was finding from the sam website because unless i was actually doing a sam registration and that did not have it done in bradstreet number or anything to work with at this point um i did that could not actually go to the sam site to get the to cut and paste the images that i would like to have included and the instructions i'm giving you for this training only includes those who have an interest in registering sam to receive a grant if you are interested in federal contracting there are many many other pages that you have i have to go through the sam registration and that includes putting information there for example about your sales in the past three to five years the number of employees that you have uh what they call next codes which are basically describe what your business does and then you also are agreeing to a bunch of other what they call representations and certifications that would be needed so these are just the instructions for grants if you are interested in going beyond just the grants and you think that you may have a product that the federal government may want to buy that would be a great opportunity then to work with myself or work with willis or one of the other ptac counselors we can help you get through the sam registration do and probably help you do some market research to find out if the government's actually buying the product or service that you have so the sam administrator the first option i'm going to give you is choose carefully if you are the owner if you are the president then i would recommend that you probably become the person that becomes the same administrator you may have a trusted secretary you may have a trusted employee that you would like to turn this over to but the problem is sometimes those relationships will go sour and if you have chosen one of these peoples to be your sam administrator they also have the right then to go into salmon and thrown off your cage code and to deactivate your sam account and that can be a little bit of a mess to get to gather that information back number two that the person that's chosen the same administrator needs to have an email email address and also a telephone number and the phone number typically would have to be one you can receive text on i also do not recommend using a general email address so why don't we say that you're a theater and that your general email address is tickets at abc theater.com i would recommend that you try to come up with a different email address to use i have got a current situation i will not tell you who it is but this organization decided to use a general email address and the person that has the general email addresses that's registered in sam has left the organization and they left the organization in a huff and at this point they have not turned off the sam registration but they are they if they get to thinking about it they can do that very very easily and we are having a hard time gaining control of that sam registration again just because they're using that general email and then you must also be able to answer security questions the security questions i'm going to show those here on the screen or two but they're kind of boring and they're not overly imaginative and they only give you about seven right to choose from so if you're going to register to sam this is what the sam website looks like it's the same at www.sam.gov that dot gov at the very end is important there are a lot of organizations and companies out there that will that will say hey if you type in the word sam registration into yahoo i am pretty much going to guess the first three or four responses that you get back are going to be from commercial companies or trying to get you to pay them to register you and sam i will tell you right now just say no once again ptac could probably help you and these companies would like to charge you anywhere from 500 bucks to probably a thousand bucks to do a sam registration for you so if you get directed to a website that does not look like this does not have a dot gov i would back out of that website and try to get to the sam.gov site so the very first thing you will have to do is establish an account so looking at this page here um let's look at this page here down below you've got that little arrow pointing to create an account click on that button and it will bring you to a confirmation email so you will have to put in the email address that will send you a confirmation you at that point once you've clicked clicked on that confirmation email it will ask you to create a password the password needs to be at least 12 characters long you've actually got to receive either a good or a great rating on that password to continue on you can use characters you can use numbers i would always recommend not using something that's easily guessed that i know some people will use password generators i don't particularly always like those because number one i can't remember them and i'm not probably high-tech enough to to use those password generators but use something you can remember make a note of the email address but make sure or not the email address make a note of the password and be sure you can find that password when you need it so create a password i'd mentioned you that it's looking for a good or great i actually went ahead and created a sam registration under my personal email account yesterday just so i could have the exact screenshots um you will see that i got the word great but until i typed about the last two or three digits of this of this password uh i still had what they'd call kind of a so-so but until you either get to good or great you will not be able to go on so when you hit continue it will then bring you to a page that wants you to set up a secondary authentic authentication setup you know there's probably other better ones to use i mean you can use security key you can use a authentication application most of the clients that i work with probably just go ahead and do the phone number um and so what will happen is anytime you sign in to sam you will get a text with a six digit code you will be asked to put that code in once again if you're a little higher tech than i am you can use one of these other methods you're not you're probably not a government employee id so that wouldn't be would be off the table but the phone seems to work pretty well so i went ahead and chose the phone personally i put in my telephone number there i put down that would like a text message sent to me they sent me sent me the security code i inputted the security code i hit submit and voila i'm now signing into sam for the first time now this is kind of a truncated screen this this entire screen on the right side here actually also allows you to set up like a different type of uh sam registration the one that you would want to choose though is you would want to create an individual account and that is on the left side so if you click the create an individual account button you will then get a page that looks like this anything that's got a star in it next to it is a required choice and i've got that also uh stressed on another slide a little bit further on too so obviously at this point you would like to put in your first name you need to put in your last name the email address is already in there for you you want to go ahead and put in your phone number and i would say probably use your phone number that you've used for your personal personal code if you are choosing to use that you can choose a primary communication code i normally when i'm working with a client would normally choose email that is not a required spot and then they want additional comments and i have never ever ever typed anything into the additional comment part i just don't think it's any of the government's business obviously the country would be the united states and the rest of this page is on the next slide so the username um it's got to be at least six characters in length uh at one point this is what sam used to do your register or your sign on now they're using your email address a lot of times when i'm working with a client i will recommend that they just use their name so for in my case on this this one here even though it's not written in here i used alan waldow so i use capital a-l-l-e-n then a capital w-a-l-d-o if you've got a fairly common name though and after you've hit enter on this page you could actually be kind of rejected because there may be somebody else has already got that username so if that's the case don't panic just change it up slightly maybe put your middle initial in or maybe put your entire full name in or something like that and the odds are you will probably at that point be able to use that username then you get to the security questions so we are going to look at the security questions on the next page but you would click down click the down arrow button choose the question put your security answer in there and you know some people like to just use the same answer over and over again i had one gentleman one time that i was dealing with i think absolutely positively every single every single answer is republic so we put republican there the entire the entire way down but here are the security questions roughly nine of them they do not change and you gotta choose three of them uh and you know you just need to build to remember your answers just in case and the typical ones that i see chosen when i work with a client is what city or town did you meet your spouse or significant other or what city in town was your first full or part-time job um once a while someone used this one what was the name of your first stuffed animal what is the name of the first person you kissed uh what city or town did your parents meet and then where were you when you first heard about 9 11. and it caught it caught me off guard about two years ago i was dealing with a guy that was getting the landscaping business that was 19 years old he says i wasn't born at that point or it could have been 70 i don't know he was a pretty young guy but he said if i was born it's probably in the crib so um some of these questions are getting a little bit dated at this point but uh those are the typical ones that i will we'll see chosen by the uh by people that are registering to set up an administrator account so once that is all said and done once that your username has been approved you will get this little confirmation come up on your screen and then you hit come over here and hit the done button so now finally and i'm going to take a quick breath and grab my grab my i'm going to stop for a second take a quick breath finally you're now at the actual registration itself you will be once again asked to put in your email address you'll be once again asked to put in your password you will hit the button button for signing in and the very first screen that you will come across is this usage agreement we could scroll down i could cut and paste the entire thing but i usually sum it up with my clients in a very short sentence don't mess or don't screw with the us government they will find you out so if you hit decline on that i think your day is done if you accept on that then you can proceed forward into the sam registration so now as you can see i've got welcome samantha test one these are actually cut and pasted from the sam from a sam registration kind of a how to do business exam website which i think is a little bit dated but you're staring at the screen you will have your name up above so welcome alan waldow where you want to go at this point is on the left menu there you will see the word entity registrations when you click on that you will be given the option and you at that point will register a new entity if you have been registered in sam before we'll have something about existing entity registrations which is right above that registered new entity and we're not going to talk about that one today but register a new entity you click on that and it brings you to this screen here this is the this is the what i will call a warm-up screen telling you what types of information that you're going to have to put in there and what types of information that you need to have ready so when you click down the very bottom of the screen you will see start registration and then instead of going to the next page this little blue box pops up on top of that page and it once it kind of gives you the warning that you're going to need it done the bradstreet number in the physical address you're going to need your taxpayer id number so your federal id number or if you happen to be an individual practitioner your social security number you'll need your bank information which would include a writing number for a bank account and your bank your actual bank account number and then i also recommend also having your bank's phone number available too so you click on the continue and it brings you to this screen here now we're going to spend a little bit of time on this screen here because because this is a decision point that will need to be made first off what type of entity are you registering you are a business or organization um if you click on any of the other things i'm not going to say that you can't back out but if you keep going too much further into it you may have messed up the sam registration we have to start all over again but the second point down there is what i would call the decision point after kind of hearing me talk today and after maybe thinking through that hey do i have something the federal government might buy you may want to choose the top circle which was i would like to bid on federal contracts or other procurement opportunities i would also like to apply for grants loans and other financial assistance if you are just filling this out just to get this grant or to be able to apply for this grant then i would recommend just just marking the bottom button so i've kind of put a little box over there on the right side kind of a narrative once again if you think you have a service you think that the the service that you're offering may be something that a federal buyer may have an interest in buying then you can mark that box but also keep in mind that if you're in the springfield area our individual buyers around the area are somewhat limited the largest federal buyers in the springfield area the federal medical center uh and they do spend a lot of money but typically they're going to do things on their site obviously the army corps of engineers is somewhat nearby but they've also got quite a bit of their own entertainment type facilities you've got national park service has got some some locations somewhat nearby but once again they've kind of got their own areas of their work you've got the missouri national guard which actually falls under federal so you may or may not have a product or service that the government may want to buy but if you'd really like to have a conversation about this and i would recommend reaching out to either willis or myself and we can kind of talk you through this before you actually hit that button decide which direction you want to head so once you've chosen um and i have we're going to assume that we have chosen that you're just going after your grant you should get a page that looks a little bit like this um in this case i mean there are a couple reps in search but generally you just have to fill out fill out the numbers one through four or one to one through four minus number two which are the assertions so you hit that page you go on and here's where you've got to put the information that you got from dun and bradstreet so you put the nine digit duns number up there you put the legal business business name with the proper pronunciation uh so if you're if you are allen waldo inc and you have a period at the end of inc please put in allen waldo inc or put that comma in there you also will need to put your address information in there exactly as done in bradstreet's given you so like when we were talking earlier with the pressley's theater they did not spell ou the word boulevard they did not spell out the word west they use the w use a blvd be sure to put it in that that way um you do not have to put in one thing you do not have to put in is that four digit zip code back here it will automatically fill that in for you but if you've put in everything properly the very next screen is kind of fuzzy up in the corner will be your dun and bradstreet verify any of the information screen so in this case once again it's a test um you will see that it came back as as matching if you have not put the information incorrectly you will not get to that screen you will need to try to put that put that information back in there again there has been times that i've had to call dun bradstreet to find out why the information is not being accepted so next and this would be the very very next page here business start date if you do not know the exact state start date of your business that is fine but i would recommend trying to come fairly close to what that number is so if you've been involved in something that's been been open since sometime in 1963 that actual start date may or night may not be known but um that's probably the one piece of information you don't get exact i've not seen any issues that yet you're asking for your fiscal year end close date most companies or most most organizations i did deal with are actually on a december 31 year end so put in the 12-31 if you do have a website this is a good time to put that in and then finally i don't have an arrow pointing at it but here's your m pen m-pen stands for marketing partner information number this is a nine character when i say characters no special characters but it's numbers and letters you've got to have at least one number at least one letter but it needs to be nine characters long something that you will remember because number one you have to use it on the next page number two is why don't we say you're a woman-owned business and you decide that you're actually going to go for contracts you have to have that information when you when you decide to register as a woman-owned business so the recommendations i give on this is i used to spend a lot of time kind of worrying about this my name is alan i was born in 1963 if i had to come up with an impin i would probably use allen or i'd use waldo and i'd probably use 1963. the example i gave over here is your name silent you were born in 1970 sally1970 works or you know you may like musicals or with the super bowl going on this weekend you might decide to choose my homes 15. as long as it's nine characters long and it's and it's nothing but numbers or digits your numbers are digits numbers or or alphabetical letters you're okay and this is the lower part of the screenshot here so why don't we say that you're that your address that you have done in bradstreet is not the one that you want to use you can actually put in a separate mailing address here and then at the very bottom it will ask you to put in your taxpayer id number once again notice the little stars next to all these things these are all required so your tax payer id number and that would be that be something you probably have from the irs if you do not have a taxpayer id number for your organization actually i mean i talked about getting you done in bradstreet number first you can still do that but realistically you probably need to go to irs.gov first to request an employer id number and that is something that i've helped out with once or twice that's something the sbdc might be able to probably has a little bit more expertise in helping you get a irs number is that probably true crystal hello crystal okay so moving on you're right you're right alan sorry well you can help them with that okay perfect uh so once you've put in your your taxpayer id number you've put in your your what type of tax thing you hit enter or save and continue and you will go to the next screen here is where you put in a little bit more about your taxpayer be very very cautious if you put your taxpayer name it's the same way that you file your your income tax it may be slightly different than done in bread street number but be very careful go ahead and put in your taxpayer name as you would normally file your income tax like i just stated um you can choose to year the way to look at that is not the tax year that you last filed but it's actually the last tax year so working on this in 2021 always put it in 2020 in that put in the next box down the individual executing consent be sure to put in the person that normally signs the tax return put in that person's title and voila here's where you use your impin again so in my case since i created the m pen of allen 1963 i'm going to put allen 1963 and i'm going to hit save and continue um next page you come to is it wants to know if you already have a cage code and as you may recall a cage code is a commercial and government entity code and this is ultimately what you get when you've when you finalize your register registration to sam so does your entity have a cage code if you've never done this before the answer to that is no if you have done that before it may not have it there it's kind of stupid but up in the upper right corner your cage code will be up there so you would pop your page code in hit search and that and your information will then self populate this next page on the right here then talks a little bit about the business in general so the first thing you get to choose is country of country of incorporation um that's always typically gonna be the united states the state of incorporation would be in our case probably missouri but if you are not an s corp you're an idc corp i would probably leave all that blank they do also ask about company security levels i'm going to pretty much guess that everybody on this phone call probably does not have a classified security level of any type i would leave those blanks then it talks about an institution type and if i had the down arrow button i mean there's like hospitals and foundations if for example you're a foundation you want to choose at but otherwise normally that's going to remain blank and then unless you are certified as a what they call disadvantaged business enterprise with the with the missouri department of transportation or lambert airport port or the airport of kansas city you're going to answer no and then the final question that you could answer on this page if you're a native american you can go ahead and mark what type of what what basically where if you're american indian if you're alaskan native if you're a hawaiian native but go ahead and answer that question too in the second part of that screen once again to go on down a little bit further um organization factors if you hit that down arrow button if you're either an s corp or an llc you've got an option to choose there most of you are not going to be manufacturers of goods the next button down is is once again that's normally going to be left blank you're not going to be a small agricultural cooperative and then depending upon the entity structure you can either be taxable or non-tax validity if you're a non-profit you'd be a non-tax validity uh and then you're here you're gonna choose your for-profit or not-for-profit if you are an owned organization and you're at least 51 percent owned by a woman a veteran or a minority feel free to mark the appropriate boxes here you know for the grant situation it's probably not overly critical you do that um but you know i mean you might as well get get proper credit where credit's due next page is the bank account information page um do you accept credit cards most time when i'm dealing with a company that actually sells a product to the us government i would like to mark yes on that because they've got what they call micro purchase requirements where a government official can take out up to a certain amount of money a credit card and just buy it directly from you in your all's case the answer that's probably going to be no i mean i guess if you sell tickets and you take credit cards for your tickets i mean you feel free to mark yes there that one doesn't particularly excite me one way or the other for what you for what we're currently talking about today but then you will actually put in your eft your electronic funds transfer information the federal government likes to pay electronically does not like to send you checks just like they prefer to send you electronic payments for your tax return so you'll put in your bank routing number and that's the nine digit number it's usually the first one that's on your credit card is on your checking account you go ahead and put in the account number for the bank the ach us phone call phone number and once again realize these are the ones that have the stars next to them go ahead and put in the bank's phone number and then the remittance address down below is actually your own phone number or your own own remittance address that is not the banks that remittance address but that is your evidence address and that will be used just in case the federal government is having a hard time getting the bank to take your electronic payment next question uh basically talks these are these are kind of the overall general sam questions that that you do see both as a government contractor or as a potential government grantee but it wants to know if 80 of your annual gross revenue is in federal contracts or grants and then number two is if you if the uh lead person at least got 25 million in annual gross revenue from federal contracts or grants the odds of you answering yes and that is probably none i think i work with maybe two businesses and answer actually i have to answer yes on that but you've got to answer the question next page you see deals with the solicitations and you'll see what they call these far provision clauses and foreign stands for federal acquisition regulation um this is wanting to know regarding a specific far um if you've received funds in the past on this once again the odds of that being answered or answered yes it's probably very low if you've answered yes you have to fill out other questions on the on this page but if you answered no and like i said i think majority of the people i deal with i'm not sure i've ever answered yes on that one either willis may have at some point but i think the answer is almost always going to be no and like i said this is kind of boring stuff but these are the things you're going to be seeing as you go through the sam registration next thing and this is a decision point this allows you to be listed or your company be listed in what they call the sam public search engine now majority of people on this call until i brought up the sam public search engine and probably never heard of that before so it's not a a database that a whole lot of people actually use to find information out about a company so if you want to be on the sam public database you can go and check yes my general thought though is if you are not interested in government contracting and all you're going for is this grant i would probably mark no on that the reason why would mark no on that it keeps you a little bit better hidden and it also probably keeps you from getting some spam email because i will pretty much promise you that sometime within a week after you get your cage code assigned to get through the sam registration you will begin to receive a lot of unsolicited emails from people that are wanting to to help you out with your sam registration and oh by the way past 500 bucks to do it so now we are literally almost done we are what they call to the reps inserts if you are a government contractor there's a whole different listing of reps and searches you have to look at um but the reps that search for a government grant you get to this page and so for in my case is alan waldo llc wish to apply for federal financial assistance or is alan waldo llc currently recipient of funder of the federal funding assistance project or program since you are going for the for the sov g grant you need to answer yes on this otherwise there's probably no reason to go through the sam registration whatsoever so mark yes and then you're going to get a whole listing of various rules and reps and search that the government would like you to read through and make sure you agree with them so why don't we say that you're reading down through this thing and i don't know for some reason you have a problem with number three we'll disclose and write any potential conflict of interest to the federal awarding agency or pass through entity in accordance with applicable federal awarding policy and then it gives you the code of federal regulations the 200.112 which is conflict of interest you're saying heck no i'm not agreeing to that then i would say do not take any money from the federal government because if you're going to have a hard time agreeing with anything that they've listed here odds are you could find yourself in huge trouble later on but unless you answer yes that you're willing to follow all these different guidelines that they're giving you then you will not receive the funds so i highly recommend reading over these i highly recommend having a rough idea what each one of these things say and i highly recommend that if you can't agree with it though that you end the registration or you do not at that point apply to actually receive the grant funding points of contact they did not have a screenshot for this it's pretty self-explanatory it's going to ask for ask for um titles of people it's going to ask for the people's names going to ask for email addresses it's going to ask for phone numbers on a couple of the different points of contact so we'll actually ask for a mailing address and then after you've gone through the points of contact you're ready to submit the registration so you get the screen that looks like submit registration very bottom you hit submit and you officially have submitted your registration to sam so what happens next number one you should receive an email almost instantaneously stating the registration has been successfully successfully submitted secondly approximately two to four days after submission you will get an email that basically says that the irs information that you put in there was was certified or was or was correct if you get an email that says is not correct then you need to go back into the sam registration to find out a if perhaps you typed in the name wrong and the tax return information but more than likely you could potentially put in the wrong number so if you use a missouri tax id number not the federal tax id number they will not accept that there is a chance that you could get an email from what they call the defense logistics agency asking for additional information if you get that email is a standard list of about 10 or 15 questions they normally like to ask i will tell people to do not ignore this email feel free to share that email with either willistry i'm sure willis has answered a few of those i'm actually working on one today to respond with uh do not ignore it because i think you've got somewhere between 72 and 96 hours to turn that email around and if you do not get it back to them uh with the required information then they will send you back the very beginning of the sam registration you have to have to start over the only positive is you will have to put all the information back in there the final two things is you will get a cage code assigned if everything else goes through normally within seven to ten days with the potential glut of registrations that are being being submitted for this grant that could take a little bit longer so probably being getting this done sooner rather than later is probably good and then after you've got your cage code assigned remember the cage code is that five letters and numbers then you will have to have to use a notarized letter it has to be under what they call template one i've got a link to that once again this is something that willis and i could ind of help guide you through and then if you happen to happen to have a need to actually have to renew this thing on a yearly basis after one year your cage code expires you would have to go back to the registration again and if you have not marked to hide your name from the or do not put yourself on the public search uh you will begin getting uh emails probably about four months before your registration is actually due that looked pretty official that are from these companies that would love to have you pay them to help help renew your sam registration just say no i've got about five minutes two questions so i can feed hack help well number one we can definitely help answer questions along the way um if you're working on the sam registration you've chosen not to work with ptac on it for whatever reason um if we do a zoom call then we can kind of look at your screen and kind of help guide you through the rest of the direction on what the way you need to head we can obviously help you assist in getting a duns number if you're not sure if you have a duns number i did not i did talk about early on in the presentation but once again if you get a hold of hold of either willis or i we can actually look up dun the dun done bradstreet number for you we can call up to find out perhaps they can find a number and if they do not already have a number for you on the on that phone call after about five or ten minutes we can get you that duns number you're going to need one thing i did fail to mention earlier is once you've got the done you do have to wait somewhere between 24 and 48 hours before you can register and sam we can officially work with you if your vineyard is for profit and you're a potential federal contractor then we can officially sign you up as a client if you're not going to go that direction we really can't sign you up with a client we really can't spend a whole lot of time with you but on the other hand i think willis probably feels the same way about this too um especially all being local companies we refuse to leave you hanging i mean we'll do our best to try to help you help you get through this get through the sound registration get the done bradstreet number and i'd kind of mention this before but the nice thing about zoom is we can see is we can share a screen with you you can see they're exactly what we're doing and we can watch what you're doing i added a slide this morning these are just some of the helpful websites that may be good for you i've got the done brad street website i've got the sam.gov website uh in some additional research today through the sba i came across these two documents the pdf file that's on top is an excellent resource seven or eight pages long and i i think ron may have done a presentation yesterday some of you all may have been on he may have referred to that pdf site and then our local resources uh i've got the ptac website i've got the msu sbdc website and then i've got a region 7 sba office which would be able to get you back in connection with ron with rom so here is good looking willis and not so good looking me we've got our office addresses in here we've got our phone numbers and we've also got our email addresses and like i say with us basically working out of the office right now due to covid the very best way to get in touch with either white willis or i would be through our email addresses and with that i am done sharing my screen i've done this and had three minutes left to spare and i have to run out a whole heck of a lot of information to you that hopefully has been valuable i hate to i hate to shoot this much information out there but it's a complicated subject and that's the reason why a little bit later on today you'll get the powerpoint so you will have an opportunity to be able to click some of those links but uh willis i don't you have anything that you want to add to us trying that mute did i admit you did okay good uh no not really alan i will say one thing that it sometimes doesn't matter whether or not you have clicked that you don't want to be uh public on the sam site on whether or not you get those solicitations there i have had clients that get several solicitations from people trying to sell them services that were never accessible and by public so right i don't know how and i never have figured that one out you know i understand if somebody gets a federal contract or grant because then that information is out there becomes public knowledge through one of the procurement sites but if nobody's ever received i've got people too that are hidden that have never received anything are still good i have no idea uh some some type of fraud going on there but oh well yes it so i've got i'm looking over at the um yeah if you initially are set up to receive grants can you update your status as a federal contractor when your company's situated yes you may yeah that's actually fairly easy to do sunday um it would just have to require going back through the registration uh but yeah that's actually that's an excellent question yeah so you've got the opportunity to change that you just have to come up with an entire entire different rules of some of the questions you'd have to answer so good so crystal i think it's just a matter of logging back into sam and uh changing the purpose of the registration perfect is there any word on when the shutter venue application will be available um so mark i did a little research on that this morning and i don't think there's any word as far as when that will actually be out there um i would say keep checking probably on a daily basis um and truthfully i mean with you being connected with the sbdc um i'm assuming that if you all see something on that too crystal you'll probably send out an email to folks saying hey the application's now out there yeah and i actually did uh touch base with with our local um kansas city district office and they confirmed that it was not open yet um and so they will make sure that that they push that information out to us and and everyone signed up through their newsletter and and through twitter as well as soon as um those applications come open so we're still in a hurry up and wait game at the moment but hopefully people can utilize your information and and start their registration process because it could take some time so since we got a little bit of time um i never mind kind of asking directly so sunday do you have any other questions that you can think of or do you still with us cindy oh good uh tina or i don't know the the full name but m starling don't be shy it's a great chance to answer and you've got some real i mean well thank you that's very kind um you've got some excellent excellent resources on the phone with you um
