let's get started welcome everybody uh good morning good day good evening good afternoon wherever you are my name is sayanand i'm a product marketer for zoho sign and in this session we will be speaking about qualified electronic signatures uh which is a feature that we've just launched in zoho sign and how you can use them to sign your documents and with me i have with me on the panel uh chandra mali who is my colleague in marketing and vagison who is a key product developer for zoho sign who will both be helping me assist with the questions and answers that you're asking and at any point in time if you feel like your connection is a little wobbly or you feel like you have to drop off the session and reconnect feel free to do so we are recording this session and we will be sending a copy of the deck and the recording to all the registered participants at a later point in time so yeah feel free to troubleshoot if you have connection issues or if you if you can't quite get the audio or video clear but if all is good to go we can get started all right so what we have in the agenda for today's webinar is uh well first i'll just take about five minutes or so to talk about how eSignatures can help you go paperless then i'll be talking about how zoho sign can help you as an eSignature solution then we'll come to the actual focus of the session which is how you can use qualified electronic signatures in zoho sign and in that we'll just be talking about some introduction um where qualified electronic switches come from and how you can use them in zoho sign how you can enable them how you can get the certificates that are necessary to use them and uh we'll see a demo of how you can use it in real time and along with it we also have some other additional uh features like time stamping there will also be demos so that you can understand how all of this sort of ties into uh how it makes your documents when they are signed with these uh certificates more secure and more reliable as signed documents and something that can be produced in code so before we get started just ask yourself this question or ask your colleagues this question do you still use pen and paper meaning as far as business paperwork goes do you still find yourself drafting multiple pages of documents and making printed copies of them scanning them and sending them to different people to get signatures where most of these signatures are signed by hand and if so how long do you normally have to you know spend doing this or how long do you have to wait for getting the signatures done on these paperwork and not just that also think about how if this involves a transaction or a sale there's follow-up paperwork which has to go through the same procedure where you once again drafted it pass it around get it signed and all of this once it is signed it has to be securely stored away somewhere within your office space and has to be retrieved in the times where you undergo audits for accounting purposes and what whatnot and if you think about it all of this requires a lot of manual work and there's very little digitization or automation in the process and that is obviously going to hinder your company's growth and it's going to play a big role in how you start to scale when your market grows as well and you have all of these problems lying in your way as you try and get past your competitors one is that the paperwork itself is very repetitive it's tiring it's cumbersome meaning your people people that handle paperwork will easily get uh bored of it or rather will lose concentration and that that can lead to mistakes and it also requires a lot of running around you must have agents on standby that need to constantly carry people around go wait in different offices to collect signatures so it's a pretty tiring job in general and if it's physical paperwork then there is obviously uh certain concerns depending on where you operate up of forgery tampering etc and since it's paperwork that's being physically passed around there is always a chance that it will be lost in transit meaning you can lose the paperwork altogether and restart the process or it could be lost in say a very unlikely event of a natural calamity and to add to all of this the paperwork itself when you assume everything goes perfectly fine what still hap happens is that you have to wait a long time for it to get officially signed and processed and all of this put together is just going to be a huge drain on your money the space that you use for accumulating this paperwork and the labor hours that you spend which you could be you know spending doing something more productive and eventually it's going to get to a point where your growth is going to slow down and as your company expands operations are going to become very difficult to scale and that's where eSignatures come in it helps you get rid of all of those problems that you just saw on your way by completely digitizing the process of drafting paperwork and collecting signatures in them so what are eSignatures they're basically a digital alternative to physical paperwork and they don't use this an automatic backup mechanism which automatically backup backs up all your signed documents to a cloud storage of your choice and all of this can be done while offering a brand aligned experience to your signers you can add a company logo you can customize the email templates with your own design colors images and whatnot you can even set your own legal disclosure which the signers will have to view and agree to before proceeding to sign documents and if that's not enough you can make it more authentic by sending the email requests directly from your organization's email address provided you app such as having mfa role-based access giving the users the ability to access reports tamper-proof audit trails and completion certificates on demand and also authenticating the signers themselves uh to prevent unauthorized access via email and sms otp or even asking them to upload say an attachment of their id as proof and you can even argument this further by having blockchain based time stamping for your documents or enabling trusted document digital time stamping where we time stamp it from the times we receive from time stamping authorities and we have several more regional compliance mechanisms such as being able to print and sign an upload signing with a usb signing using third party digital signature certificates and of course qualified electronic signatures which we'll discuss in the session and what's more is that all of this can be as i said done not just on your web browser but on any device zoho sign is available with native apps for android ios ipad os mac os and even windows so when you pick something up on the web browser and you want to move you can leave it as it is and then just pick it up and resume working in an app all your work is saved and synchronized across these apps because it's cloud based and zoho sign integrates with pretty much every other popular zoho app out there in fact it is one of the most tightly integrated apps within the zoho ecosystem because it ties into the whole service layer of the stack of an operating system zoho zoho sign can be used not even by visiting zoho sign but directly from these applications if you know your way around these integrations so yeah go ahead and try them i urge you to and when it comes to third-party integrations zoho sign does integrate with uh ecosystems like the office 365 google workspace and with cloud storage solutions like onedrive box google drive and dropbox and we will integrate with mailboxes for you to receive and sign documents from your inbox such as outlook and gmail and a collaboration software like microsoft teams or let's say you want to connect sign with say some other application which we don't directly integrate with one you can use the api or you can use integration platforms like integromat zapier or formstack documents it makes it so much more easier for you to use zoho sign because we provide cutting edge technology in with respect to digitizing your documents so here's a look at our very simple web dashboard what you see on your screen is all you're going to be seeing if you use zoho sign because it's as simple intuitive and self-explanatory as it gets you don't really need to refer to documentation to work with the application so feel free to try it out if you haven't used the host sign before you can sign up and get a free 14-day enterprise trial and this is something we've gathered from how our customers existing customers use zoho sign we notice that it is being used to sign paperwork across departments roles and functions it transcends all sorts of domains because paperwork let's face it is everywhere and zoho sign is absolutely at the very heart of it when it makes when it makes sure that your paperwork is done and processed by cutting down the time involved so now let's get into the main topic of this session which is qualified electronic signatures so before we get into what qualified electronic signatures themselves are we need to just quickly revisit how electronic signatures function or rather let's let's take a quick revisit at how electronic signatures are classified now electronic signatures are commonly classified into four levels with varying degrees of compliance varying degrees of use cases and what not and without a doubt you cannot really say that any one of them is non-compliant or is illegal or something of that sort all of them are compliant and legal but it's just that they are accepted to varying degrees in varying use cases so at the very bottom of it you have simple electronic signature which is a digital mark which could be a stamp or an image of your signature or your name itself added to a document when you're signing it and this is something that is commonly accepted but might come into scrutiny if you use it for higher level transactions so that's where standard electronic signatures comes in where a digital signature certificate is added on top of what you already have to sort of seal the document and thereby making it secure and tamper zoho sign before we introduce qualified electronic signatures was an application that's offered standard electronic signature services but now we offer more than that and the next level is advanced electronic signatures where this digital signature certificate that you attach with the document is actually owned by the signer rather it's it's given to the signer and it's within their sole control ownership and possession and this obviously means that there's a higher degree of authentication and verification and there's one level further than this that is regulated electronic signature which works in the same principle as standard electronic signature except here the digital signature certificate is actually issued up to very specific officials organizations and its use is very strongly regulated by administrative authorities and legal authorities this is something that is typically required only in high level or say some specific geographical scenarios and that's kind of where qualified electronic signatures come in it lies in between advanced electronic signatures and regulated electronic signatures because it is offered by trusted service providers and it is regulated within the eu or the european union region for transactions that exclusively take place in that region so qualified electronic signatures are considered the legal equivalent of documents signed using pen and paper in the eu and the key specification is that it requires a qualified digital certificate provided by a site provided to the signer by a qualified trust service provider as per the eu regulation 910-2014 which is more popularly known as the e-i-dis and this offers the highest degree of compliance with the eu loss as the issuance of the qualified digital certificate involves face-to-face identity verification and even the submission of personal identification and tax identification documents and qes or qualified electronic signatures is typically mandatory for paperwork that is used in regulated transactions especially in fields such as banking finance healthcare and government services so how does this work in zoho sign well to offer the service of qes zoho sign has partnered with oana taka an authorized qtsp or qualified trust service provider and to enable the service the following steps need to be performed inside zoho sign first your zoho sign administrator has to enable the digital signature provider integration with one attacker then the administrator selects the users who can use the service to sign documents but it's not as simple as that the users then have to register on the provider's website and go through the submission and the face-to-face verification process and only when they are successful in that process they will be issued the certificate which they will use to sign documents with their qes and when they're being provided the certificate they're not given the certificate itself rather they're given the credentials to access the certificate which can then be configured or added to zoho sign to access the certificate whenever needed to sign the documents and when the users eventually get to sign documents they can choose between the providers they can choose to sign it using the normal zoho sign certificate which they they were doing earlier or if they want to use their qes then they would have to choose one attacker who was a service provider to sign the documents now let's take a look at what are the prerequisites for you to use qes in zoho sign well for one you need to be a valid zoho sign enterprise or zoho one licensed customer in the eu data center meaning this is something that is extremely regulated and is therefore exclusively available only in the european union this is for transactions that take place within eu therefore this data cannot be flowing out of eu or leaking out of eu therefore we have mandated its presence only in the eu data center and also you need sufficient zoho sign credits which is an add-on which you have to purchase and the reason for that is that this is offered through a partnership with a third-party service provider and therefore there is a fee paid for every certificate that is issued and every document that is signed hence we recover that cost by consuming zoho sign credits whenever users use a service now if you want to know how the consumption takes place you can visit our credits page but to give you a rough idea it costs you 200 zoho sign credits to activate a license and three zoho sign credits for every signing activity so that's roughly about uh 20 euros per certificate and uh about 30 uh cents for each signing activity that takes place and presently this is only available for users within a qes enabled zoo sign organization meaning people who do not have a service associated with them or people or signers who are outside of your organization to whom you send documents cannot use this to sign documents so let's take a look at how you can enable qes and associate users within your zoho sign organization first just on your dashboard click on the settings icon in the left navigation menu and open up integrations under the general sub menu in that page you will see the digital signature providers with whom you can enable or disable and you will see one attacker who is our service provider for qes so just click on the slider and switch it to on so that you can enable the pro service and once it has been enabled you will see two options appear on the right side of the two click on manage users then you can click on associate user where you will have to associate the users within your zoho sign organization to use this service so when you click on associate user it's going to show you a pop-up listing all the users within your organization then you can select the ones that you want to use the service and you can click on associate and when you do that it will proportionately tell you how many zoho signed credits that will will be consumed or deducted from your account for you to pay for the service and once that is done they have been associated and from that point on it is up to the users to configure the settings and go about signing documents so now let's jump over to how a user who has been associated to use qes within zoho sign can go about acquiring the certificate and start using it now the steps i'm about to show you contain a lot of instructions which you might be receiving through mail or on the interface so it requires a lot of thorough reading before you can proceed as submission of sensitive information will actually lead to rejection of your qes application if there are any mistakes in what you've submitted so when a user has been associated all they have to do is click on settings on the left navigation menu and go to integrations which is the same page that the administrator had good had to go to and over here they'll see that the service provider one attacker has been enabled and there if they're not the administrator and their users they'll have to click on configure and over here it's going to ask them to enter their username and password and this is the credential to access their qualified digital certificate to enable qes signing and since they don't yet have a certificate with them they they don't really have the credentials so instead they would have to click on the link at the bottom to open this pop-up where they would be asked to enter their name and email and proceed onto the third party website ona taka's website to complete the registration process so when they click proceed they will be taken to a page that looks like this now i have not shown the entire page here because it's a pretty long application form where you would be required to submit your name as it is in your id documents and also provide information such as tax identification formal government identification etc and you would be required to upload copies of these as well and once a user has done all of this and has successfully submitted a registration request for a certificate they will be receiving an email that reads something like this that a video recognition request has been initiated for them to receive the certificate and it would automatically fix an appointment time where they would have to be available in front of a computer device with a microphone and a camera and also have the documents that they submitted on hand to show it to the person that will be interviewing them and this process although it comes with a fixed time for the interview you can reschedule it or you can confirm the time if you're okay with it all you have to do is just send a reply to this email once that is done you will be receiving a follow-up email with the confirmation of the final verification video verification processes time and the link to join the process and when you join the process obviously i cannot show what happens in the process as that would be a privacy violation but just to run you through what happens you will be connected with an operator who will ask to verify your details that you've provided by sort of confirming your video and asking you to show the documents that you've submitted on the video and also by reading out certain statements as a form of affirmation of confirmation of your identity and once that video verification process has been successfully done you will receive an email where one attacker will issue the qes to you but before that you must sign a contract uh having understood the terms of use of this qes that is provided to you so you will have to sign the contract and then you receive another mail where the credentials for the qe certificate access is provided to you now from this point on it's fairly simple you have your username and password which you can just copy and paste onto the configuration page inside zoho sign and click on apply to just integrate your zoho sign account with your unattacker account and through this process every time you sign a document these credentials are automatically used by zoho sign to fetch your certificate to sign the document let's quickly take a look at how you can actually sign the documents with qes and verify that it has indeed been signed with a qualified signature so here i have a video so first i'm on my dashboard as you can see and let's just quickly head over to settings and integrations to see that the service is enabled so qes is enabled and it's been i've been associated to use it so all i have to do to use it is to just click on sign yourself and uh upload the document that i'm signing so let's select a sample social media policy in this case and once the document's been uploaded i can just give it the name i want and click on continue and with that i'll be taken to the document where i can give the document a read and after that it's just a simple matter of dragging and dropping on the fields of information that i need to put inside the documents to sign it so i'm adding my name i'm adding my company and i'm also adding the signed date and i'm just going to be scrolling down and i'm going to add my signature so once i've done all of these fee added all of these fields i'm done signing the document right so instead of clicking on just sign with zoho sign we're going to click on sign with one attacker at this point it's going to ask you to enter an otp which will be sent to your mobile phone from the yuan attacker's website which verifies your identity and then uses the certificate that has been provided to you to sign the document so now the document has been successfully signed and you can mail it to somebody who needs it or you can just go to zoho sign and click on the completed document and you can view that it has been completely signed and you can download a copy now let's quickly open up the copy that you've just signed i'm going to be opening it in adobe acrobat which is a pdf reader which shows me the signature details as well as you can see it has the digital signature certificate issued to zoho sign but if i click on signature panel it's going to show that i have signed it myself and the signature is actually it says that the signature is a qualified electronic signature ing to the eu regulations and that the document has not been altered and it is ltv enabled and valid and if you open the signature properties and see the certificate it says that it has been issued by one attacker qualified eis certificate authority or qualified trust service provider so yeah that's how you sign the document once you've enabled your qes and it's just as simple as as you just saw there is not a lot of it involved maybe the initial setting up part might take you some time but that is just a one-time process once everything is set up it's fairly simple going forward to sign the document in fact i'll show you a demo after i'm done with the presentation once again to show you how quickly you can get this done now here's something that i wanted to add on as some as an additional facet of security to documents that are digitally signed timestamping is an additional security feature which is requested or rather asked for by people that operate with digitally signed documents because digitally signed documents normally what happens is that the digital signature certificates which are used to sign these certificates have a very specific validity meaning they can expire after the validity period ends and in the case where the validity period ends and the certificate expires the documents that have been signed with them you're no longer able to prove that they were digitally signed at just time and place and as a result it's it's difficult for you to sort of prove its signing and existence at that point on hence we have what we call as qualified timestamps or digital time stamping where a time stamp is taken from a trusted time stamping authority and added to the document after the digital signature is added therefore it proves even after the digital signature certificate itself expires it proves that it was indeed digitally signed at this time and date and thereby sort of has this no proof that that document which was signed existed at that time an instant so let's take a look at how you can enable it in zoho sign because this is also something that we have enabled for the eu region so to do that just go to settings from your left navigation bar and click on account settings and uh do keep in mind that this is something only the administrators can do so go to account settings then you will see a tab that's called document timestamp on the left sub tab and in that you will see that there's an option to enable long time archival and all you have to do is just check that option once you check it the time stamping authority drop down will become enabled for you to use you can click on the drop down and select one attacker once again in this case the time stamping authority that we have partnered with to offer the service for eu is one attacker who are authorized to issue qualified timestamps so you can select them and click on save so once you click on save every time a document is signed a qualified timestamp is added to the document below the signature itself so that you can verify it going forward into the future this is an example of a document that has been signed and carries a timestamp as well so in this case this document has been signed using us using the general certificate and as you can see it says that the signature includes an embedded timestamp and it also contains another entry at the bottom where it contains a document timestamp as well so both of these timestamps have been added by one attacker after the document has been signed to preserve the validity of the signature even if the certificate itself expires later on and you can verify this by opening up document properties and sort of looking at the certificate details and the certificate provider etc so yeah uh that's basically how you enable timestamps there isn't much to demo there but uh since a lot of people had the issues viewing the video let me just quickly give you a demo of how zoho sign will work uh so now i'm doing a live demo of how you can use uh qes to sign a document so i hope you can see my dashboard here so here you can see that there is a document that requires my signature on my dashboard so let me just quickly try and sign the document but before i do that uh let me check if you know everything is all enabled so let's go to integrations i can see that the qes provider has been enabled on and let me go to account settings and check if document timestamping is enabled even that is enabled so let me go back to my dashboard now i'll click on the document that needs my signature so the document is now loaded it's a partnership agreement now i'm going to click on i'm going to read the electronic signature and record disclosure and i'm going to agree to it now i'm going to start signing the document so the first field would be my signed date it's automatically fetched and filled next would be my name which is also automatically fetched and filled then finally i have my signature which is also automatically fresh and filled i'm just going to resize it though and once that is done what i have to do is click on sign via and if i select zoho sign it's going to use a default certificate to sign it which would only make it a standard electronic signature but to make it a qualified electronic signature i would have to use one attacker's service so i'm going to click on own attacker and now it's giving me this pop-up saying enter the one-time password so just wait for a second folks as i receive the one-time password on my mobile phone yep i've got it now i guess it just takes a while to get i guess all right so i'm entering my one-time password yeah uh with that the signing should happen without any hassle you still have some luck yeah i mean uh like i think it's it's sent from europe and i'm sitting here in india so i guess that takes a while for it to come but yeah the document has been signed so now if i go to my documents i can see that the partnership agreement has been signed i can download a copy of it so let me just quickly open the copy i'm opening it on adobe acrobat so yeah as you can see this is the agreement that we just signed and if i go to the signature panel we can see that it carries the digital signature certificate provided to zoho sign and it carries uh the sig the first signature by the first signer and uh you can expand that and you can see that there is a doc uh first signer has been added and that signer is dave zilker and then second signer which is me and it was signed using one attacker's qualified electronic signature which it says is a qualified electronic signature and finally we also have the time stamp itself which has been added which it says is a document timestamp and it's a qualified electronic seal so yeah that's how it looks uh once you've enabled it uh the enabling process is all just a one-time thing it might be a little technical if you don't understand it but i guess if you can read up on it you'll probably get why it's necessary in what's required and once that is done everything is good for you to go and you can start using it so yeah i would say uh with that i think i'm done with uh the session itself uh but before we start taking more questions here's something for you as i was saying earlier if you have been using zoho sign for a while uh we would love for you to leave us a review on the gartner pair insights platform uh the link for that is on the screen um i think i'll uh if you if you uh molly if you can uh i'll stop sharing the screen and i'll uh go to that particular slide so the link is clickable for you in the document slides and you can go drop your reviews there if you drop a review and credits so you could use this to probably get a so a qa certificate or two and even sign a couple hundred documents at no additional cost so yeah just something for you to sort of you know uh try and i can see that my colleagues have always done a great job answering what are the questions come here come my way uh there are a few more questions that i guess uh we haven't answered yet so i'll take a look at them and answer them so we have a question where where i think betty has asked us do we absolutely have to use adobe reader well not necessarily we recommend using a software that can read the properties of a pdf and not just something like a browser because browser would simply just show the pdf contents itself it will not show the properties which which is where the digital signature certificate and the time stamp and all of those lie so you won't be able to assert in those information if you open it using something else so since adobe is the most commonly used software i was using that to demo it but you can use something else like fox it or some other pdf reader which can read the properties as well all right um karen is asked is zoho sign integrated with zoho sales orders in zoho books we want to send prospective customers a sales order which they will e-sign before we generate the invoice so this is a very good question this is a feature request we've received in the past and uh this is something that the zoho finance team has taken into consideration and has put on their product roadmap so i can say that this is currently in development but uh i'm not really sure as to when it will be available however when it does go out you will be able to sign both purchase orders and sale orders in zoho books invoices and inventory uh when it's available so uh it is being integrated but uh it is not presently available is what i would say if you're still looking to sort of integrate sales orders with zoho books and send them out for signatures one workaround i could suggest is connecting your zoho books with zoho crm and syncing your sales orders from crm to books or from books to crm and then sending it for signatures from crm using the zoho sign extension because that is possible all right uh can you please share the link i'm happy to make yeah the link i believe is right now visible on your screen so feel free to click on the link and leave us a review as you please all right there's a question from swen uh asking us is there a timeline on that um sven could you please uh give us a little more context maybe it's it's base of a question that my colleagues have answered i'm really sorry if i'm uh if i hadn't taken a look at that but if you could let me know what it is exactly that you're uh asking about i would be happy to answer so gisela has asked us does zoho sign work only with one attacker certificates uh good question we are presently integrated only with one attacker but uh we understand that uh there are different providers across the different countries in in europe so we are working on uh partnering with other certificate providers as well uh so very soon we will be offering qes through infosert as well and we are also in talks with a few other uh certificate providers certificate authorities to try and make more uh authorities available and i believe this is because of the fact that certain certificate authorities are not recognized uh despite being recognized by eu not outside eu or within some uh exclusive uh economic zones uh that deal with local certificate authorities only so uh yeah we are trying to sort of uh make sure that you know we are compliant everywhere and we have the necessary partnerships in place for people to make use of the qe services offered by different certificate authorities mario's asked can i integrate my digit search signature with zoho sign a good question uh mario this is something we are working on however what i can say is if your certificate that you have is being held in the form of a usb or a pfx file you can still use use it with zoho sign by using the windows app for zoho sign uh just go to uh the microsoft store and download the zoho sign app and uh see if the app is able to pick up the certificate that you have on your device if it is then i believe it should allow you to sign documents with it but if you hold it in a in a different format or if it's held separately in a cloud a solution then i believe that sort of uh integration is presently not possible but we are looking into supporting it in the future all right um marcus is asked how many credits do i get when using the zoho one license uh well marcus if uh you do get automation credits when you use uh when you subscribe to zoho one you get i guess 10 credits per for every user license you purchase with zoho one but this integration requires zoho signed credits which is a completely different add-on it's not the same as automation credits and unfortunately those are not available by default when you purchase a zoho one subscription as uh these are have been designed to support exclusive third party services where there is definitely a cost involved which you have to pay or bear on top of what you've paid for the license all right rafael said zoe signs a great tool and helps my team save a lot of time and money that's great to know rafael uh thank you for the feedback do let us know how we can keep improving our service so we can make it better for you and your team we hands us on what plans is qes available so presently zoho sign makes qes available only in the enterprise edition uh this is because most of the requests that we've received are from enterprise customers however if you are in another plan and you require qes do write to us and we can try and see how we can support it uh to accommodate your request going forward uh marcus is asked what do these credits cost all right so zoho sign credits are a new add-on that we've introduced removing our previous add-ons which are the api and the sms add-ons zoho sign credits cost i believe 0.1 euro per credit and you can purchase them in denominations of 500 which means uh for 50 euros you could get up to 500 credits so if you spend 50 euros i think you should be able to get at least two to two certificates uh for qualified electronic signatures and get up to about 30 documents signed using them what happens if i have a certificate from another qtsp in europe do i need to purchase a unattacked certificate a good question as i was saying if this other certificate that you have procured from another qtsp if you hold it in the form of a physical qualified signature creation device or a usb with you you can use the zoho sign application on windows to sign documents however if it's not held in that format if it's held say in a cloud repository or a separate hardware security module housed elsewhere then uh that is something which we do not presently support uh but we are looking into supporting sort of third-party certificates or personally acquired certificates held in the format of a cloud storage uh in the future all right i can i can see that a lot of people have responded to me asking if my voice is audible at the time so thank you so much um is it possible to monitor the activity of the document seeing if the document has been opened by the other user and finally signed uh yes it is absolutely possible we have a complete real-time document tracking pro process where the document uh if you visit document page you will be able to see what the status of the signer is whether they've received the email whether they've opened the document whether they've signed it etc and not just you can do this not just by checking the document page on zoho sign but by also receiving notifications uh by enabling them uh within your zoho sign account as well gabor has asked hungarian language is not currently supported is there any plan to have it uh yes we will be supporting uh hungarian uh uh polish and a couple of other languages very soon uh we are you know speaking to translation uh experts to try and have them supported in the user interface and in our templates in the in the very future in the very uh coming weeks uh however uh i can't quite give you a timeline on whether it's possible right away but uh we talk talks are ongoing and we should look to have it hopefully by any time in 2022 can i use a unattacked certificate garden through zoho sign for another purpose i'm not sure as to what you mean by another purpose if you mean if you can use the certificate to sign uh elsewhere and not through zoho sign i believe as long as you have the credentials to do so you should be able to do so but uh more information on what this purpose is would help but uh do keep in mind that this certificate has been procured on behalf of you by zoho so uh there is an expiry rate and a validity associated with it so you need to make sure that you stick to those and try and uh follow the guidelines of the manual that they provided for the usage of these certificates is it possible to use one attacker certificate for our client's signature well if your client has a certificate they can what do i say if your client is part of your zoho sign organization only then would it be possible under the current circumstances but as i said you can send it to your client for signature and if your client has a a qualified electronic signature in the form of a usb they can still sign it using zoho sign and that would uh provide it with the highest quality of compliance and uh security as well oh all right uh so sven had earlier asked about the timeline which i guess he's clarified now by saying for external user signing uh wells when we are looking to support it at the earliest uh we are working on how we can try and expand the possibility of uh offering certificates to people that are not part of zoho sign organizations or zoo accounts uh to try and get this uh to get them a temporary certificate or a certificate which is valid only for the period of signing etc but these are just things that we're exploring and we're trying to uh sort of implement but it's not quite uh concrete yet so uh i believe it'll take us a while to try and support it but yeah it's very much in uh progress as far as development goes um see that one attacker has a validation platform that allows violating all the document signatures inside a document uh is it integrated with zoho sign uh well the validation platform itself is not integrated but if there is such a platform that you are aware of uh you can always upload the document that you've signed uh using the qes offered by one attacker in zoho sign to that platform and check if everything is in order so we urge you to do so if you find something uh that that's not supposed to be the way you expect it to be do let us know and we will work on that feedback to try and improve our services um would we send sales orders from crm and let them sign the codes um oh we would send sales orders from crm and let them sign the quotes but they can't sign for the moment all right okay um yeah that's that's correct i believe this tie to the question you asked about uh sales orders from zoho books uh yes so um sales orders from crm is the current workaround and of course uh finance does support signing of quotes uh and invoices with its integration in zoho sign uh but uh for the current period yes sale orders and purchase orders are not supported within the zoho finance apps apps but uh as i said we've given this feedback to the finance team and they have assured us that it is in development and uh will soon be available for everybody to use through the integration um all right so unfortunately not windows debian uh well we are looking to try and support the functionality of the usb signing in other oss as well for example we are presently exploring the possibility of supporting it in our mac os app and uh if that should be possible i guess for linux based environments as well it should be possible going forward but it's all work in progress there isn't anything for us to give you a timeline on at the moment but uh hope we hope to have applications that support these platforms in the future um i am sending mail merge document via so sign once the signing is complete can we fetch the data of the fields filled by the user and paste them in our zoho crm fields uh this is possible but it is not possible through any of the native integrations uh we do have apis which allow you to fetch the data filled in by a signer in a document so you can maybe try and use a deluge custom function to send an api call to fetch that information and then use this use an additional function to paste that data onto a crm record so uh this requires i believe some form of technical uh development or coding uh which i'm not quite the expert but if you know your requirement pretty clearly do write to us and i i'm sure our support engineers would be more than happy to help you construct this algorithm and help you you know achieve your use case um is there a collaboration with itsme in belgium uh well not that i'm aware of not presently but do send us more details so that we can read up more on this and see if something that we should be initiating and taking up as well like i said a lot of this uh these partnerships come about as a result of partners and customers giving us feedback so we are more than happy to oblige you in you know sending us these things so that we can try and improve our services to uh help you better all right current zoho sign process is where email and sms is used is it simple or advanced signature whatever is email authentication only uh well it is actually standard electronic signature uh where there is a digital signature certificate that is being used to sign the document but that certificate is not provided to the signer themselves rather it's provided a zoho sign and zoho sign signs it on behalf of the signer and the email authentication adds an additional step of security or authentication to the document which makes it a little more compliant in terms of verification uh however it's it's not something we can call advanced or qualified as for that the signature must be in the sole control and possession of the signer themselves which is only possible if you do it through your own personally health certificates or through the qes services all right is there a valid cert authority under uk laws does a signer have to schedule an appointment for video id verification can the signer all right um i there are several uh certificate authorities in europe itself uh and i believe uk still uh uh despite uh you know leaving the european union still seems to sort of have an agreement with the eu in terms of how uh eSignatures are accepted so i i believe they follow a model very similar to the e-i-dis so under the same model they should be recognizing a lot of the certificate authorities uh both in europe and outside of europe so this is something uh you know i guess uh would have to it depends on your requirement and uh where uh where you're operating and what certificate authorities uh would be valid or rather would be accepted in your region uh for uk laws uh it's it's something you have to visit their legal websites to find out which certificates uh csd accepts uh signatures from and does the signer have to schedule an appointment for video id verification well uh this is something for qes i guess is mandatory the whole process of qes is that for you to receive that qualified digital certificate you must undergo a mandatory video based face-to-face verification process that's written in the law and it's not something you can change it's not something as easy as just going online and submitting documents and being done with so yeah that's just the way the law works and we are trying to be as compliant with it as possible um are these certificates also available if you are not aware located in europe um yes it meaning as long as your zoho account or your zoho sign account is in the is in the eu data center and you operate out of this account you can still acquire these certificates and sign documents with them outside of europe as well and uh so i i managed to acquire a certificate for our use and uh i use it to demo it and i'm based out of uh the zoho offices in india so uh i believe it's just done on the basis of verifying that you are indeed the person applying for the certificate more than whether you're based out of europe or not but what is necessary to know is that these certificates are used exclusively for transactions that happen within the europe european union therefore uh it it it it depends on whether you have business to do in the eu or not but you can be outside the eu as well um does zoho sign work in spanish uh yes absolutely zoho sign does have spanish support uh you can switch the language to spanish and i think you should be able to work on the application we even have a spanish demo if you would like to go through it do send us a request and we'll have the demo sent over to you how will qes work with creator and writer integrations what i can say is it it will work with these integrations so long as the signer is within your zoho sign organization and has qes enabled for them but if they are somebody that's outside your organization then i guess it's not possible at the moment but as i was saying we are looking to support it for people outside this environment as well is it possible that one party uses zoho sign but other party is printing in physical copy absolutely zoho sign is such that it sort of supports this hybrid work uh environment where somebody is using digital services somebody is printing and signing it physically so when you do send it to somebody who cannot sign it up digitally but wants to sign it physically uh they they have the option to download it print and physically sign it and then upload a scanned copy of the physically signed document back onto zoho sign and mark it as signed this is something we recently introduced as well and it goes hand in hand with a lot of regional regulations uh in certain countries where certain documents need to be signed uh uh by hand only so yeah you can you can do that absolutely all right um can i write a trainer directly um rafael i'm not quite sure i'm getting your question uh could you rephrase it and send it to us so we can try and answer it gartner asks at the end of the survey uh well this is something we're not really aware of i'm not sure if that is the case because i believe got themselves a reward uh people for uh giving reviews but if this is the case do send a screenshot so we can try and understand this a little bit more all right in my zoho sign document i have two signers one is customer the other is from the organization once the first signer signed the contract is it possible to do a counter sign automatic so that the second signer do not have to sign again and again uh that's not quite possible and that's also that also has a lot of legal implications meaning automating somebody's signature on behalf of them is not quite legal in all all the places i understand delegation and automation in signatures is something that is coming up and a lot of people do it but uh we try and uh be as compliant as with with the laws of the land as much as possible so from what we can understand it's not quite uh in a region of completely uh being legal so uh we're not uh sure if we can support it but if you want to automate it do let us know what your requirement is and we can see how we can implement it in the future is sign a separate paid app paid for app or is it part of another bundle well you can get signed as uh in an individual license or you can buy zoho one of which signs that the price edition is bundled with so you can pick and choose which suits your business operations more uh is it possible that the blockchain functionality in zoo sign does not work yet uh it does work however uh since it's blockchain uh meaning it's related to the ethereum cryptocurrency uh the the commit uh part of it might be a little uh fluctuating or rather it will be uh depends on the volatility of the price of ethereum but uh it still absolutely works we can uh it's not like it's broken or something uh it just might take a little longer to commit to the blockchain but it still commits with the timestamp of the signature so you don't have to worry about uh it being there um can you uh send this query to uh support zohostine.com so we can have our support engineers answer it because i don't think um i'm equipped to answer this at this point in time yeah i believe this is a follow-up question so do send it to us at support and we'll try
