options where uh you can unmute yourself and be able to speak out otherwise send me a chat message well thank you for joining with me uh today um and today's topic is about G report's digital signature by digital authentication the agenda uh for today is firstly to give you an overview of what G report's digital uh authentication or digital signature is and how it benefits you and your clients and then we'll go through the features and services it provides and in the live demo gort's digital Authentication is the additional and optional service which um we provide to enable uh our users to validate and the authenticity and integrity of a document online with digital signature from their clients what it means is that you can send out documents and uh be able to get your clients to sign off on that using G reports digital authentication increases the productivity as it speeds up the legal process uh or the compliance process enabling the document sender to El electronically send documents for review authorizations by the document um recipients uh anytime on anytime on any device currently got reports um digital digital signature enabling you to um to send for uh for Signature including the activity statements the income tax returns tax file number declarations pyg tax uh tax um as I said tax returns and Financial reports for nard reports generated documents you can send off anything in PDF including letter of Engagement think of work orders invoices contracts or agreements uh or whatever that you send out to your clients uh requiring for them to sign off or even to just basically site uh the document um and you want that some sort of proof for that as well the features that we currently have in dig uh govern digital authentication uh include not only the unlimited signatures uh you can send you know you can send to as many um uh recipients for their their signatures uh um you can send as much as documents a uh either just go reports documents or uh com a combination of G reports document and non-g reports documents it's simply integrated with G reports so it means that along the line along with your your lodgment process or reporting process you can also send the doents um you do have the audit trial so you would have uh a separate um uh dashboard for the digital signature so you would see all your um all your documents that you have sent if there is a need for you to come back to it it's you can be it's it can be a separate application that you go into into to track track and Trace uh the documents that you sent off and because we also have email um uh email configuration customized email configuration what it means is that um once you have your email settings uh set up um any doc any document that you sent out can be traced from your uh from your email your personal email uh so you know if your clients come back and say well I never received a document you can basically go into your send folder um uh from your send folder and be able to trace uh whether document has been sent or not um of course uh documents the documents that you uploaded it can be multi multi Pages uh and um you can Mark where the signatures multiple signatures where you want the documents to be signed um the recipients can be the uh the P the p uh the clients that you want to sign also or also the people that you just want to view the documents as well there is private message uh capabilities as well for each of the recipient that you if you want to send off and of course um uh the status notification so you uh you know when you receive uh whether the document has been signed or not it's or are we still waiting for um your your clients to sign off or to view the documents so we go through we go through the the demo now so that you can see uh with with uh you can see how this functions uh as well I'm just going to log in as I said this is an independent application so you can have it on its own or along with your G reports um uh services or subscriptions so this is the G reports dashboard you can log in from G reports um if it's an independent uh if you use G reports digital signature by on its own then you need to go straight into the digital authentication and it will take you straight to the the dash Board of digital authentication but otherwise along with your uh lodgement process uh if uh so I won't go too much into the the G reports uh uh uh dashboard or the process but what I'll do this is the G reports dashboard for those that are using G reports uh lodgements um you would basically either you can go to digital signature form either as part of your reporting process so you start off with your client let's just I'm going to pull up a client I'm to trying to do a uh a a report uh generate a report just going to go into that go into forms I'm going to try to do an activity statements just a simple basic very basic activity statement and we're going to try to send it off for for Signature um either through the reporting process or you can do it from um your save reports uh that has been validated or you can also and we also so we be sending um for digital signature from um as a separate uh as your own separate document oops okay I might have to something's going on can you check the EV environment all right why why my team is checking on the technical of the uh our testing environment I'll just go back to the dashboard and show you where you can also find it as well so like I said you can go through the reporting process we come back to that um you can also go through like I said if you got your save report you can also send it off for Signature no this is the save report where uh you can have your all all all your save reports in uh in one page and from there you can see the the status of your uh of the reports that you have gener that you have got now you notice there we got the pro valid and process processing valid uh signed and draft draft means that you um those reports that you have uh created in gu reports and saved as a draft mean that it's it might be an incomplete report and that will not be valid for uh um digital signature it just makes a lot more sense for us to send the valid and valid and final finalized reports so I'm just going to go and find if there is a valid report that I have in the pipeline oh and bad luck for me that I don't have any so I'm just going to go into one of them this is a tax found number decorations uh might not be an appropriate I can't finalize a Tex file number decorations mind you because I don't have a tax file number to valid so I'm just going to go and find a um an activity statement that I can finalize and they all text returns um mind you uh our um testing environment is a separate environment to our production environment as as you can imagine the tax file number the ABN needs to even it's in testing environment it still need to interact with the atto in order to uh test uh any lodgments that might be uh you know um uh um to the A2 for validations and of course in recipients of those documents as well we got a couple payment summaries activity statements yes we got a draft so I'm going to take that um I'm going to try to finalize it hopefully it's going to work with the okay so definitely our testing environments having some issues at the moment uh but if that that was uh finalized you would have the additional options where you can send off a signature from here so with the draft with the draft status um uh report there you cannot sent off a signature so what I'll do now while I'm waiting for my team to update on the the technical uh side of the testing environment I'm going to go into the uh the um reverse the process where we can use digital signature as a on its own application and sending off for um uh my own documents for signature and because our testing environment mind you it's also linking with the ATO so sometimes um yeah when this has to work in conjunction with we we do relying on other other um systems to make work okay so this is the dashboard for digital signature as you can see you can see all the documents that you have S I have sent out for Signature and it has been signed those that's still waiting for for clients to sign it's um it will have the pending for sign status will be pending for signature and if if I really want to um to get this the client to sign off I can click the reminder and that would send the client reminder that um this uh document has requires for their signature and it's um it's uh we're still waiting for their for them to authorize so what I'm going to do now like I said I'm going to set up I'm going to trying to send off a document um you can set up up upload you can upload the document this is I'm going to upload trying to upload a sample agreement you can send as many documents as you want add more documents if you want to just upload the file once it's uploaded would say it's the 100% upload and that's the first document and if you want to upload more you can upload more if this is uh because your own private doc uh your own personal documents you need to add the recipients if you already any clients that you add uh previously you can go into this list and you would be able to just put in their name but in this case I'm just going to add myself and I I think it's going to come up uh I'm going to send it to myself and I will add more of my another person and that person's maybe just to view okay I can send as I mentioned you can send private messages um so it might be uh end uh a business or they might be having partners or an accountant or advisor that wants to review the documents that you sent to to get signed off so something so whatever that you want but this so this private message will basically will only be seen by that uh by that recipient only uh it's like I said I can change the role so this person will will not need to sign but only just to review the documents um so that um the next uh your your your main client uh uh will get an advice and will be able to sign off um of course you can change the subject it might be uh whatever that you want agreement for um and you can send a the this is the general message where everyone's will get it now where um and because every documents most of the Compliance Document do have a deadlines as I said you can set up reminder create a reminder for for all the documents that you sent out so if for example this is a an activity statement uh it would might it might uh would have a deadline to um a due date a lodgment due date so if it's due in 10 days or due in five days you can set up so that the we the clients will get a reminder each um you know reminder how how long after the the first time that you send it out um I might set it as so one day after they I I if I send it today I want if the clients don't sign it today I want it to be sent out um the next day so and how often do I want to repeat this um this um uh reminder it could be you know you because it's there's a deadline it's 5 days it could be very rush so it could be you know you you want to critic critically that the clients uh will look at it as soon as possible so you might want to repeat it each and every day like I said and if the expiry it's going to be five days you want to set up five days and notifications that um the expiry U the document expired so if they don't do not come back to you by this date they might get a fine so you might want to set that the the document expires in one day save that and that basically set up the settings for these documents when it sent gets sent out you next want to review the documents that you sent and you can then um Mark where you want the signatures to be now any settings that you do in G reports or in digital signature that will apply for all the applications that you have in G reports so if I'll go back to the email setting shortly um but uh the email settings so that any email that you you know you you know you send out later on uh it will be sent it can be sent from your email if you do not do the email settings it's uh will be sent from G reports and it perhaps that your clients might not uh you know be uh expecting an email from from G report so that might be a confusions there so it's up all up to you um notice that earlier I put in two two um two recipients to receive these documents so for this person is a viewer the role is only to view the document review the documents so I will not need to to Mark where this person need to sign so I click on the next person which is the the person that needs to sign I can Mark where I want the signature to be go scroll down and because this document has multi Pages three pages I just need to view the document make sure it's the right documents that I want to um the clients to sign off and click on the next page Mark the signature where you want the signature to be if there are multiple documents there will be the next tab here that you would click next to uh to uh to view the documents so click on the next page and assuming that they I want two signatures to be marked uh to be signed uh by these clients so I'm going to mark one there as well uh if I have incorrectly marked the wrong uh the wrong uh the wrong place where the signatures to be I can remove the locations and remark uh remark uh where I want the signatures to be if I'm happy with everything uh then can send that off for Signature it's now basically the document has been sent and the recipient would have received it by now and it's the status is now pending for Signature I can click reminder if I want to uh at any time uh that means it's basically if you really want the clients to sign off in in uh you know within two hours or or 3 hours whatever because it's an urgent it might be an urgent document you can click reminder and it will send another one uh to the clients um that's where the do my documents having said that my documents in before I go to basically the document recipient and show you what your clients would have received I want to go through uh what you have in here as well in your my documents is similar to your ouse you would have the draw folder so anything that you draft and have not sent it would be in your draft folder your send folder and of course uh actions requir is when you sent off um when you sent off to uh perhaps yourself or and you might need to do something so this is when you you send a document to yourself and you um you need to sign send um sign that on document there are few ways of doing that as well you either send it to um you know um if it's your own documents then um you can either set yourself as the recipient or you can um basically mark it as your um um your owned this is where you also need to if if and when you signing it yourself on the same document on the same set uh settings then you need to create signatures from here but there's few ways that you can do it and I believe this is a harder way but I'll show you the easy way as well um the pendings for Signature so you can see the folder where you you can see all your all your all the clients that have been um that have not signed the documents um and um you know um you can go in there delete the avoid the the documents and then that means the clients will no longer see it if you do if you do decide that to to void the documents um your clients and both yourself will and your clients will not be able to get um the clients will not be able to get access to that document after you have voided um and uh it's basically become and also the same thing if the expir documents um if you set the expiry date after that date the client will no longer be able to get access to that document that means that you have to resend it and uh mark that perhaps it's part of your your setting so that you would advise the clients that uh because they sent it off they they they did not sign the the documents they now likely if it's a a Compliance Document and they will likely to get a find or um you know uh if they they get an um if it's a tax or or an activity statement they might get a penalty from the ATO and that's basically your record for uh for auditing or for auditing purpose later on so like I said anything expired any document that has expired it will go to your expire folder your sign folder and of course any your clients can also decline um any of the documents that you send through as well they might not agree to the to the uh activity statements that you prepared uh uh all the figures that you prepare and then might said well they do not agree with the the um the amount of GST that they have to um they have to pay um and of course your contacts um all your client contacts will be here but anything that you have added to the um uh you know to to the um to the um the the applications it will also be saved so that later on when you start to send out when you want to send out documents it's can automatically pick up the the contacts to create signatures um similar to your to that of your clients you would have um um three options one is uh that you can upload your signature so you can sign on a piece of paper scan it and upload it onto uh onto uh onto goport digital signature or you can also take a snapshot of your um your signature on a on a piece of paper on the mobile on the with using your smartphone and upload onto the application as well or you can use the mouse and draw your signature whatever and if you're happy with that you can save it uh I normally like to type it I I like to type it so uh you can uh you know I can use uh choose the font bold or italic or the different kind of fonts that you want to apply and um of course the size as well so I haven't in um choose chosen the size so I'm going to choose the size a little bit uh bigger and what did you want to underline as well so once you've done that save it and anything that you sign it on using using um uh dig you know when you have a two-ways uh a do ments that you both not only require your own uh signature but also your CL your client signature but also your own then you can sign off and using this uh going forward with of course with the logo now I'm going to go back to um I'm going to go to me as the recipient of the documents as the clients so this is my this is the viewer this is uh me as the the accountant or the advisor I would only my role is only to view the documents and approving it so I can go in the same thing for your whether it's a sign or the the document um or the viewer only they when they click view document it will open up the applications and will automatically send them a um uh a one-time password that they can go in to to uh to view the documents now we this is part part of our security that uh uh because Financial most of be believe that it's when since it's integrated with govern rep most of the time you will be sending out digital U sorry sending out Financial or personal informations that um you know it's require some sort of security and it's part of initially part of the ho uh requirement that is some uh security that applies to um you know um Cloud applications so this is one factor authentications uh not two last year when we first release it we had two Factor authentication unfortunately we found that that a lot of uh many of the tax agent clients and bass agent clients are not computer literate and very uh very suddenly they had been able to um uh remember the password nor do they know how to use uh um applications online even though it is quite simple to use so I'm going to go in I'm just going to go in and view the documents mind you this is the person who do not need to sign the documents now it says here that a password has been sent to me one time password so I'm going to go back to my email and there's the password I'm going to copy it instead of I'm not want to I'm going to copy it and go back to the to the app paste it submit and voila because I don't need to sign so I just have the finished I do not have assigning options so I assuming that I'm happy with everything I'm yep client to sign Etc then it would notify it would notify the sender that I have view the documents and also the recipient that I have um uh have given um uh the go ahead now this is the person I need to sign off on the sign off on this documents similarly now the instruction I forgot mentioned the instructions of what is expected from you know from from your clients uh of how to use it or what to expect are all here but most of the time we find that most of our most of the clients uh when they see view document all they do is just go KCK straight on to it you can tell the clients up front uh your clients up front yeah when you click your document just mind you they it will open up the the app and they would need to go back to their email in the inbox to get the Dig uh to get the one time password that would have sense to them I'm going to copy that similarly copy it and I'll go back to the app paste it now I can see the document now you can see that there's more options for me I have a declined and a finished um if I'm not happy with the the documents that um you know the the figures that I um I've seen in here or the what's the contents of the the document I can Decline and I would give need to give a reasons now because this is the not the first time that I use this app so I've got my signature already there but if I want to change it I can go in and change it or remove the signature and whatever that I want to um um you know if I want to upload my own signature I can do so but assuming that I'm happy with this I'm going to give it that I want to underline as well remember the signature or if I want to each time that I go in I would need to to um sign it separately then I can click um not to remember the signature okay and then of course I if I um there is an automatic options where I can use the app to sign all where I do not need to basically place where the signatures to be and and that would this the applications will sign it all for me placing my signature where I'm supposed to sign but if um assuming that I I happens to sign there and I'm not happy with it I can remove the signature see that the signature has been signed there with the sign by Tiana and uh on that date and the time and we also do capture the the um the IP address so that if in case of there is an audit and the your clients basically uh saying that well I never seen it uh we would be be able to to trace it who it was sent to and which IP address that was sent from as well so there are two in these documents there are two uh sign documents sign location is on page two and three so it will tell you where you're supposed to sign so the first docu the first page you um do not need um I would not need to sign anything there I go to page two if I want to place the signature I can click the mouse put my mouse where I I want to sign and click and that would then place the signature there for me um and same thing on page three I can click I can click where I want the signatures to be and that will sign but if I'm not happy with it I can remove all the signature and I can use the the like I said I can use the app to automatically uh place my signature where I'm supposed to sign that also can be done and that's now uh place my sign the sign my signature automatically uh using the app and that's where it's supposed to be there you go um so I can click that if there's multiple documents then you can click on the next documents and uh and signed I said if I I will now click finished signed they might send you a comments your clients might say saying that how much do you know they the do they have to pay or whatever in terms of it's a if a if it's a tax liability but uh whatever comments they can send it back to you um once it's been signed they can no longer back go back to it but automatically the system will then send them a a copy of the uh the signed documents notice I got two there because earlier it was sent um uh he you know this the the the view the it was the advisor or it was the other person has basically said happy for client to sign there so he can send the message to everyone that he has review the document and your client can now sign off it might be a you know it might be in a business there are partner who um one person needs to sign the other person is basically just basically um or it might be the financial controller or whoever that is in the business who H who wants to um uh uh look at all the legal documents all the all the Compliance Document review it before the business person the business owner sign off so they might this basically give the the um give you the compliance process where um you have better um you know better mon manage your your clients and also their their process as well and this is another copy where I have signed off this is my copy and the PDF copy of the uh of the the documents with their signature on it so I'm now going to go back to to me as the the sender I'll go back to my documents hopefully I haven't been crossed out now you notice the work that the the document that I sent the status now is has been signed um so so that's that's basically uh now I do not need to um you know I now can either go in click on that I can open it open it up view the documents or I can yes the the first person has been viewed and the the person that suppos to sign has signed so this documents is now compliant or based on my on your client's requir ments or your uh process it's now basically this is your auditing uh uh later on if they you know your clients come back and say well I never seen it or whatever you now have a record that they have it has been it has been U viewed by them and signed by the right party as well so I'm now going to go back to to G reports um and um like I said I mentioned as I mentioned the settings for you to uh to do the the email settings just make sure like I said oh uh you do need to um to get your email configured so that you can track and Trace uh anything that has been sent uh to your clients um and if they come back and says to you they never have never got it you can trace go back to your email go to your your send folder and see if has been sent um to them or not and you can advise them ingly um you can uh go to email setting edit email settings incoming emails basically similar to your email settings or on your phone incoming emails is when you receive lodgment receipts uh lodgment receipts or anything that coming from G report sending to you like the bills uh reminders or or uh whatever that whichever a or your client sending U sending um you know like sign the documents where do you want to receive it it could be your internal process where you want all the info coming back it will be going to your uh all the uh all of these emails coming back it should go to your um uh receptionist uh and anything sent out it should be sent from your uh your other staff for example and that's the outgoing email so you can set that if it's pretty much if it's a Google mail or Yahoo Gmail or Yahoo it's pretty straightforward you just put in your username and password similar to that when you set up your phone um your email on your phone if it's your own personal personalized email then you need to put in the SMTP server and SMTP Port datails once you put it in um it's pretty much we integrate with with your email settings and that means that you can send it out uh directly from your emails and of course you can put your email signature on that as well so you if there is a there is a queries that your clients want to come back and ask you um they can uh you know your personal details your um your um your contact details will be there so that they can conveniently call you directly without having to um you know um search for them uh your phone number number or whatever uh from from their contact dat uh from their contact from their uh uh contact mail uh contact list from another system or something okay so I'm just going to go back to here and like I said if there is I'm going to try like I said um set up perhaps oh I forgot my password sorry I'm one of those that do not remember my password um so I'm going to go in back in to show you the the the um the process when you um the process of sending for Signature from the reporting process go to forms select the clients go to forms select the forms that you want to work on for this testing purpose um just basically confirm the date all of um that I want the um to do the um the activity statements in this case i' like I said I have selected an activity statements just that I don't have to um to do a lot of figures in there now when you list an activity statements you will list out all the all the activity statements the when you confirm the the period of which you want the ACT to um to uh access the activity statements for that period period it will list out all the activity statements you then can select the um the ones the report that you want to work on I'm just going to select one of them normally if um if you put a DAT range as I did uh quite a big uh a large date range between 1 of the 20 1st of the 1st 2004 to 2007 June um that's a wide range and usually if you have done uh all your you have Pro process or launch the reports previously it will says that it's process the status in this case because this a testing account so that client has been not been launch activity statements for quite sometimes and for Simplicity I'm going to do a man a manual process and IAS if you got other uh if your clients use uh software you can upload the file or export the file depending on which software they use you get the prefilling from go reports and also from atto the document ID Etc need to review go in and review the documents uh review the figures and putting the figures where it's appropriate uh for Simplicity like I said I'm assuming this entity has not um uh done any sales or make any payments in the last uh for this particular period put in the date which is today the 1st of June like I said on the lodgement process you can sa this as a draft if you this is an incomplete documents or if you're happy with everything all the figures are there and this is the true and and uh accurate records of for the uh for the clients to um you know to Lodge uh to to to repair because they did not do any sales or purchases during this period or have any pay staff payments then you can save and validate uh and then send it off for Signature and that will take you to the safe um to to the safe reports where you can get access from govern reports uh dashboard or you can if you're happy with everything and you want to send it off directly uh validate finalize save and valid finalize and then send for Signature it can also be done from here as well but if otherwise um for some people they just launch a direct because they got a uh paper wet copy a paper copy of it then they can launch direct for for this particular example I'm going to save and validate so that it will go into q and also um go into the save report so we can you can see that there are options where you can uh another options where you can launch from from uh from go reports as well notice that that uh that activity statements or that installing activity statements is now valid it's just been done today which is the first the due queue date is the 1st of the June and that was done at uh uh 5:37 um p.m. I one click on that so if I want to send this off for Signature I can click there for send for Signature notice the the earlier when I try to click Send for signature for draft reports it wasn't available now the valid reports is now I would have an additional options where I can send off a signature obviously in your practice if you got stuff um you know like that reporting stuff are diff uh you know the the the staff that prepare documents uh are separate from the the staff that are um you know uh chasing up for bills and signatures and so forth you can also create the jobs and send um uh separately so like I said just to show you how that works send for Signature from from the Save report now the the activity statement is attached if I want to upload an additional document it might be your letter your letter of approval uh or the the invoice uh to your clients you can do so as well so it's entirely uh depending on your process and how you work with your clients you can upload additional documents it might be your working whatever you want them to view it um it's entirely up to you so for now I'm happy with that just one person to receive it and like I said you can change the the the subject but and here it just basically in stor activity statements and whatever whatever else that you need to sign um I will just keep it simple um can't remember what it was which period it was so first of the uh first quarter oh that's not a that's a yep okay um and assuming that I'm not going to do the the change settings as you can already see and if you want to create a reminder that's entirely that's also up to you since this one is way overd overdue um so let's just say that I want this quite urgent in three days notifications one day save click next now we got multiple doc ments because they've got two documents one is the activity statement of reporting the the G reports uh IAS that you have created and also the perhaps it might be the lead of Engagement or lead of um of authority so you mark where that you want the signatures to be for the first documents and then the next document click on the next document and Mark where you want the signatures to uh uh where you want the signatures to be as well so let's just say that we do that send for signature now it's gone to your my documents uh where you the the the status is pending for Signature waiting for your clients to sign off um that's basically done there so uh your clients need to sign and there's two documents there you can see this uh the the um uh overview of that and similarly the same I'm going to go back to me as the document recipient here I go this is the this is the ones that I just sent through I can now view the documents the same thing I would go need to go back to my email to receive the um uh the one time password that the system has sent sent through F5 if it hasn't come through because it's um I'm sure I send it to yeah there you go the password took a little bit longer to come through I'll copy that go back in it can take seconds I mean subsequent on your subsequent your client subsequent use or subsequent times that they come back to it the system does remember their past their their their signature and their um the access so they just go in uh pretty straightforward and then click the next documents uh next page which I know it's it's on the next page sign it off and they can click finish and then of course they would receive a copy uh combined PD have copy of both the the the documents that they they or separate copies that they have sent uh they have signed off if they I happen to the client so yep if it happens decline the same thing they would um they would get an email copy indicating that it has declined the document that has been sent to them so would take a little while I'll come back to that but on your on your um uh applications digital uh applications now the status will be declined your client has declined that and um you can also view that um you know of course you would not only it's it's updated on your on your uh on the digital signature um dashboard but also you will get an email notifications that it has been declined by your clients so declined and if I open that well it has decline so there you go it's um you know it's it's pretty you can sort it out and it will go to your decline folder as well so that's that's B basically my documents will give you an overview of all your of all your uh all the document that has been sent out but certainly you can go to separate uh folder and and be able to sort out if you know your client has been um you know uh order signed you want to search for a a document that has been signed off previously you can go in and search for it that's the search bar uh because I these are testing uh clients so I don't remember much of them but certainly you know your clients you can search for your clients uh documents of course over time you would have a lot of documents in your in your folder so that's the search folder if you need to say um you need to uh if you want to search for a particular um client that has all the document that has been signed by this has been sent to this client and also um uh the and anything that has been that has been sent to them or signed by them okay so that's basically it really uh it's pretty straightforward I believe but um you can print out once they have signed from from G reports itself you can also uh print out all the signed documents so this one has been signed you can go in you can print it or if your client said oh I never received the documents that has been signed uh that I sign off you can also send it to them as well that's not the you can aim to you can aim to them for if they want that copy that I has sign off and um uh or you send it to yourself or send it to your clients or whoever that requested for it as well the status has been signed so then you now can uh you know that you now can take that off and launch launch that directly once you've launch it it will go to your launch uh your today's lodgment or your your total launch today it will take a little while to come back I'm just going to my Lodge documents now this has been uh uh so you can see this is the lodgment history or the Lo if it's an activity statement or it's a compliance report that you sent out and has been signed notice that you got um submitted and it was with the signed documents or submitted without the signed documents so depending on so it means that if there is an audit later on from the ATO and they said oh well um we never got it or we have you got it with your your client sign off you basically now you can go into gu reports and pull out um yes it was has been signed by the document and I got it digitally and it's the record is there so instead of you having to you basically go into a different applications or a different folder or you know however that you keep your your client sign uh documents Um this can all be done in the one process and if that like I said if there is an udit it can be pull up uh the report can be pulled up within minutes and seconds and um sent to the the at uh auditor who or whoever that audit the the uh reports and it's you're all compant because you've got the signed digitally signed documents right there questions you can unmute yourself so that you um you can chat without having to send me messages you do need to get clients authorizations to lunch bass yes if you are preparing the bass for your clients uh I believe that's the that's uh part of the ATL compliance requirements and of course you don't need to get digital signature you can get a get a wet signature or if the A2 does approve for you to also have an email authorization from your client so if you send a client your client an email uh um of your of the B that you prepare or or you prepare for them and finalize for lodgment if they come back to you on an email you um email that you they're happy for you to to launch that that's also is approved by the hoo having said that it will be difficult like I said it will be difficult for you in the um uh you know if if there is an audit later on and how do you how do you how do you keep those um you know like approval um on an email or even on a WB documents I mean on a you know paper because it means that it's a separate um um separate um way for you to manage all these sign documents that you have on paper as well so it's all entirely up to you how you run your practice but certainly if you got one or two clients it's it can be easily managed or a few clients you can be easily managed but when you have you know like a lot of clients uh certainly uh the digital signature does help you to organize your work a lot better like I said you can see here from um uh you know you can pull out you can you know that which one has signed up has signed the documents has has given you authorization for you to for you to um to uh to proceed with the lodgment um so that you can go forward but if those one that haven't been um that haven't sign off uh sign off you you would also know and so that you can chase after you can follow up with them and saying that what you might you have not got got it LA or got it signed by them so you cannot laod it's all entirely up to you so like I said it's it's it is a uh digital signature can facilitate and and make your your compliance process easier but it also depends on your business oh and if I didn't answer your questions uh correctly lean U separate declarations they the the activity statements that I drafted earlier it's um that's the ATL format with the if uh format for bass agents or tax agents who prepare prepare bass or activity statements for clients um they need to get their client to sign off that's um that's the ATL format Gort digital signature is $129 per year plus GST uh and you like I said the features are there un you got unlimited um signatures or or clients or uh documents that you can send um um for your clients that we don't have a limit how much you use or you can if you got limited clients and it's only a seasonal things that you do you can go for the month-by-month um arrangement with G reports and that's $15 plus GST per month um and there's no contract with that so if this is the busy month of the year for you and you want to get all you got a few do clients that you need to sign documents you can just basically sign up for the $15 per month um month by- month basis and um like I said there's no contract you can take it off at any time the good thing like I said it's you you know not only you can use it for G reports but you can also use it for your practice and other other documents or other comp um you know like might be a legal documents or other services that you whichever else that you do for uh within your practice like I said it might be your when you sign up a client you need the letter of Engagement um initial or uh letter of Engagement and your fees and and uh contracts that you know fees and and services that you provide for them to sign off it's yeah it could be used for any anything um there's a questions if I have a g reports account do I still need an account from the ATL portal um at the moment yes going forward likely no um going forward um with if you got activity statements with um with uh subscription with uh with G reports um uh you can you no longer needs to to use the the ATL portal because uh we do have the live client update so you can add the client in and be able to update directly into the atto uh database or ATO portal um so you don't do not need to go back to the atto portal this is available from 1 of July this year um into uh running balance account that will be soon available as well so if I believe that with these two you no longer need to log into the um the ATL portal at the moment the the for now between now and and end of June uh if you use SC report for lodgement you do still need to have the ensure that you have the clients in your ATL portal uh before you use SC reports but going forward that's not that's not the case any other questions if you do have other questions um you know um after we we have finished the sessions please give us a
