email signatures are a great marketing tool to use and with scribe it makes it easy to manage and update signatures for clients including running short-term or long-term marketing campaigns and integrates with google workspace so from your scribe dashboard you can automatically you know run a digital marketing campaign by changing you know the call to action buttons at the bottom of the signature or updating the actual design of the signature altogether and it updates it for all the users across the company and you can have different departments within the company super powerful i'm just going to demo how to set that up and how to integrate that with google workspace uh today as far as pricing do you have a free plan that you can you can start with i think it's up to five users i'm trying to get their pricing right now so try subscribe for free i was ready to sign in so it didn't show me that but it starts out free for five users so let's just close that um we're gonna create a create a new workspace or a new client or new domain so click the plus there and i say if it's a solo or for the company and then how do i want to do this do i want to automatically manage the users and integrate with the service or i just want to do it manually so i'm going to use google workspace and do i need a signature for this um i actually do so this is going to be reuben create all right then uh if there's only one department within the company uh i typically just call this general and then choose the country and then click next so it kind of walks you through setting this up i'm not going to spend a lot of time configuring the template because um you can spend a lot of time you know tweaking things here normally i go with the modern and choose this uh one of these two you do use the last one here is typically what i go with so that's our template we start with and for text we can turn off and on different things i'm gonna turn turn that off co-worker name that's gonna pull dynamically from google workspace and let me just log into google workspace so we can so we can see that here i am logged in and then i can add some information so it's pulling dynamically for the coworker name and job position so if i go over here and click under user information uh right here job title is what it's called in google workspace but if i edit this i can go and type in let's just do head of marketing then click save and just kind of keep that in mind and we'll we'll come we'll go back here now so that's going to pull in dynamically if there's no information there it will just leave it it won't include it at all it'll just remove that all together company name not really necessary phone number yeah let's bring a static phone number uh for this for the entire company we we could link this to either the user's cell phone over in google workspace but for this case here i'm just going to use the company-wide phone number and then the address let's just get rid of that as well you can add custom fields if you want to you can add a disclaimer text and i'm going to turn that off and we will be able to get rid of this made with scribe as well at least for paid subscriptions all right so picture we can choose to include or not include a coworker profile picture and if they don't have one again it's just going to be blank it's just going to move all this text over and eliminate that field we can add a company a logo if we want to and in this case here we will go ahead and add our company company logo in here i'm just going to search for that we'll use want to see the size here i think this is probably large enough the 256. i'm not going to make it incredibly large so i have to click validate yeah so you can increase the display size if you want to i think i'll just make it maybe something like that okay and then social we can't add social media links i typically don't like to do that and then marketing so let's add a default call to action button uh for this so what's our text going to be let's just say shop now not feel really creative but we can actually change these these marketing buttons they're called called action button or marketing buttons we can run unique campaigns on a schedule and automatically have this update users signatures if they're using gmail or you could also link it you could integrate it with outlook as well but in this example we're using gmail and you can't do both you can either do one or the other so for our link here let me just go to the home page or not to the home page let's let's go and grab um yeah the home page is fine grab the home page and obviously i would i would make this a u i would have utm parameters here so that we know exactly that this is coming from the scribed signature and it's the cta link that is being clicked on and i actually forgot one thing i did want to include the website as well up here text yeah i would include the website here so now let's grab the link here as well uh and again for this here too i would be using if i'm just gonna pause the video and get the utm links for that that way it's done as i stopped the recording all right i've got my different utm urls prepared now i'm gonna grab this is for the cta i'm copying that and then i want the domain one first all right so copy the domain one come over here paste that in cool and then let's go to our cta button and grab the link for that perfect all right so now we go down to design and here we can uh do a couple things i like to choose helvetica for my font you can change the font size and spacing a little bit just with a slider so not my new control but this is what's cool you can change you can bring your brand colors here so i like to delete out everything that is in there by default and then just bring in my own colors from my brand guide so i'm grabbing that right now so this is our primary color and then we can add um a secondary color here as well when i have it's really dark it looks basically like a dark black gray so my main color is going to be this color here and you can see it changes the headline there and the icon and then we go down to under the marketing tab but let me change i change the shape of that button but the color is what i really want so i'm going to change it to yeah let's change this color and the default text color leave that as white all right um one thing that is a little difficult to do is to change you can't always change every individual element here but as far as just getting a uniform looking signature and being able to update you know the campaigns that go with it is just incredibly powerful so let's hit next and now we need to integrate it with our provider so click configure here i'm already signed in to this account but if you wouldn't be you'd be prompted to do that to validate you need to okay usually there's one other step that is kind of like skipped it for some reason and it must be because i already had describe you do need to scribe um let me go to apps google work workspace marketplace apps so i had this installed previously normally what it would do would prompt you to the scribe marketplace app and it's really simple it just takes basically just a few clicks automatically redirects the right pages but it does sometimes take a few minutes for it to finish the integration or the connection it just kind of happened automatically here but uh but yeah so there's no you don't really need training on that all right so now i can drag over the different they call them co-workers the different people over into this department this general department to give them that basically that signature that we just created so i'm going to drag over actually i'm just going to move over everyone and it's really that there's some real cool features in scribe even if you have an alias set up you can create different department four different alias and it will automatically update correctly if that's something that interests you drop a comment below and i could show a demo of that for another client i can't show that with this client because they don't have a different alias domains but i do have one company that has four different brands and so we created departments for each of those brands with a different color scheme obviously different links uh you know in the web page and or yeah for the domain and for the call to action button but it's incredible how powerful and how nicely scribe handles those different aliases um within google workspace all right so got that done now scroll to the top here click next and then we'll see a preview and so for anyone who doesn't have a photo it just basically eliminates that that field and this is a very simple signature you know we don't have the address we could add that in fact i think i'm actually going to get rid of the logo just because it it just don't like how it looks so i'm going to hit create and then i'm going to go back and update the signature so back here to signature and then under pictures we're just going to turn off the logo yeah that looks it looks better all right so i'm going to click uh signature for signatures all right now there's a few other things i want to do as well there's actually it gives me a checklist over here so the one thing i still want to do is actually turn off that made with scribe and i want to configure the dns so i can go over to and i do have a paid plan but by default when you create a new one it will be under a free plan and then you can just click to upgrade so if i go to settings here and turn off scribe branding okay here's where it's time i need to upgrade so we can upgrade and now if i go to settings again now i can turn off scribe branding and one other thing i want to do is configure dns so if i click on this it will actually take me to this tab here with domains and then um i guess there actually is our alias domains but they're not we don't use them so i need to click configure here so i've hit the if i hit the pencil it asks me what sending domain i want to use and i typically use what they suggest so email signature dot my domain dash dot com or obviously it would be studio331.co.com so i actually have this uh copied in the dns and and let me show you how that looks when it's set up so my domains are managed over with kinsto so i'm going to pull that up and then bring it over actually let me do a screenshot so essentially uh what we have is we have our email dash signature and then the way that kingston has their dns management set up it automatically ends adds the domain but then points to this is important and it's in the text right on here so you just actually click that button to copy it but it points to cname.scribedashmail.com so i'm going to delete this this is already set up on the domain so all i need to do is just click configure here and and copy over or i can just type in email dash signature dot studio 331.co well i do recommend copying so that there's not mistakes so it takes a few minutes to validate while it is doing that while it's doing that let me just let's open up gmail okay i should have showed this to you before but you can see that it updated and if for some reason someone goes and deletes their signature so let's just go to see all settings and they go and just delete that signature and so now if i go to compose you know it just doesn't this will show let me hit save save changes and now it's composed and there's no signature there but as soon as i go to scribe here and that we can we can leave this page and let that continue running let's go back to departments and let's go uh sorry not departments yeah departments click on general and then deploy changes so there's no new changes so that's why this is grayed out it says all changes have been deployed but if i click deploy anyway it will then re-update everyone's signature so now if i go back i do need to refresh gmail for this to take effect so if i just go in if i do if i don't refresh if i go hit compose you know nothing changed but if i refresh gmail and then click compose what happened let's try one more time refresh compose all right what's going on let's look at our settings uh see all settings it is showing my signature here okay i have not seen it do this before where it doesn't automatically for new emails um where it doesn't have my cintra set that is strange usually it does you know change that but so now if i hit compose it is there but your your user should not need to do that in fact now this is set as my default my signature one and maybe maybe that's a problem if i delete everything out it does not set anything as the default if there wasn't a default anyway but let me show you a few things let's say i want to change uh let's say i want to add the address all right so we're going to go to departments which we were in then general and then signature and now let's say we go let's go to text and let's turn on uh right here address so let's just type in the address okay there we go and i need to toggle this on and it will show up right there have an icon and i can go click deploy changes in department all right so it's finished with that now if i go back to my gmail here and now if i refresh and it won't do well i actually didn't do the current one okay i thought it might i thought i might need to delete this and compose a new one all right so i mean maybe one thing you're thinking about what if my users go and change their default signature so this is how that's handled if i go to see all settings and go go down let's just say they create a new signature so i'm just gonna say demo and i'm gonna say this is let's do this here my name short signature and i go over here and and and changes to demo and hit save obviously now if i go hit compose it's going to have that that signature as the default but in scribe let's go back here again and let's deploy these changes again so if i'd be in department i'd go to the department we have and deploy anyway now what's supposed to happen is it's supposed to change from that demo custom signature i added to the new one that was pushed from scribe well it actually wasn't a change it was actually the same signature but it pushed an update deployed changes so now if i hit i just need to refresh it's now if i go and hit compose we'd switch back to that scribe signature so you may see this as a downside that your users can't they can't change the default if you push an update it'll automatically go back to what you pushed out but i see that as a positive so scribe is super powerful and it works even even more powerful in my opinion or i was surprised by that power when you have an alias domain and you're sending maybe from several different brands from within the same parent company it's incredibly powerful and if that is something that interests you drop a comment below uh and i can give a demo of how that
