hi everybody Dana sparks Broker of maxima one Greater Atlanta Realtors and this week's contract tip has to do with the effective use of a sign in your contracts now this is not a technology video this is the effective use relative to customer service and your clients and customers understanding what it is they sign now as you know if you have ever been the recipient of document setup through electronic signature that the required electronic signatures you can get from fill in the blank to fill in the blank by simply hitting the tab key and it will tab through to the next required fill in the blank whether it be for a signature or for information that you have to complete the issue is when you receive a document or when you as an agent set up a document to send to your clients and customers and you set it up for the required information that they need to complete again either signature or information to fill in if you set it up that way the client too will simply tab through and it will just go to the next required place for the information for the client or customer to fill in that is not really the effective way to present a contract to your customer or client when you are not with them in person because you are setting it up for them for electronic completion so what I suggest you do to effectively use a sign is if you are not able to meet your client and customer in person then what you should do is fill out the the document to the best of your ability based on what you need to fill out basically everything except for their signature download that document to your own computer as a PDF file send your client or customer that document as a PDF have them open it up on their computer so this has nothing to do with Isan right now have them open it up on their computer give them a telephone call in over the entire contract not just the fill-in-the-blanks on the front page of gar or the first four pages of the purchase and sale agreement in the re forms but go go over not only to fill in the blanks but go through every paragraph in the guard contract the entire thing and have a discussion with your client regarding what they are promising to do with respects to the contract their timeframes their obligations and the consequences of them not performing as they said they would if you are writing a contract on the re forms not only do you need the four pages of the actual purchase and sale agreement you also need to download and attach and reference as an exhibit the additional nine pages of standard terms that's where all the legalese is that's where all the consideration of the contract is and that's in the re forms is where it talks about the clients responsibilities obligations and consequences of not performing so as an agent fill out all the information download this to your computer send it to your clients as a PDF pick up the phone call them have them read through it with you answer their questions go through the contract after they have a complete thorough understanding of the contract then set it up through the e-sign program whether it be through F MLS or I'll send a sign or Georgia MLS or or whatever electronic signature program you are using then you set it up with that send it to them so they can sign it but that way you have a the understanding or you have the knowledge of knowing that you have fully presented everything to them just a little bit on these same lines once you get it back signed from your client then you download it reset up a new signing program or session I guess and send it to your co-op agent even if you have your co-op clients email addresses never ever send the other agents client something to e sign you send it to the agent you let the agent deal with their own client the clients sometimes when they get if they're used to getting these signed documents even from their own agent they don't understand necessarily how it has all been set up and arranged and from whom they are receiving the document so just as you would not want another agent or another broker contacting your client electronically for signature where they sign it you have no idea what they have signed you don't do not want to do the same thing for them so after it's signed by your client again you download it into your computer and then you set up a new sign session to the actual co-op agent and let them interact with their own client so I hope this helps again this is just for the effective use of a sign in your contracts for customer service for client and customer understanding of the contracts and for your benefit too so you can answer any questions and provide good service to those who entrust you with their real estate needs thank you so much for watching again Dana sparks Broker of maximum one Greater Atlanta Realtors satisfying your needs with service innovation and education you
