How to eSign a document: eSignature legitimacy for End User License Agreement

[MUSIC] TONY RAMOUTAR: Hi, everyone, and thank you for joining. My name is Tony Ramoutar and I'm a Product Manager here at . Today we'll be talking about how you can accelerate your agreement process with , eSignature from Microsoft. With hybrid and remote work becoming a necessity over the past two years, many businesses have quickly adopted many digital tools. ing to an octave study, business has, on average is roughly 175 tools across the organization, which is a lot. As a number of digital tools increase, workers are required to switch between more and more applications frequently in order to get their work done. Now, what does that actually mean for your business? This constant context switching from having too many applications can actually have quite an effect on the organization. A study from Ring Central shows that on average, users spent 32 days a year switching between applications. That's more than a month's worth of time that employees could be spending on completing productive business-related tasks. Moreover, when there's a large number of disconnected and different applications, employees have to constantly adjust their workflows to adopt a new technology in order to collaborate and get their work done. This frequent adjustment takes away valuable time and also creates disconnectedness within an organization. Hindering the agility and speed of an organization's performance. recognizes there has to be a better way to manage work. That's why we've invested so heavily in building a robust ecosystem of integrations. With 400 plus integrations, we enable our customers connect to the eSignature, to the systems they use on a daily basis. Helping to reduce manual cumbersome tasks, increase productivity, and help you get more work done. As you think about the steps to create and complete an agreement, every organization needs to prepare that agreements somehow. You need to get all those agreements signed somehow. They need to act on or fulfill their obligations of the agreements somehow. Then they finally need to manage their agreements somehow and somewhere. We call this accompanies system of agreement. Through our partnership with Microsoft, has integrations with various applications across the Microsoft ecosystem. This gives you multiple opportunities to complete the agreement process from end to end by leveraging and Microsoft together. Together, you can prepare agreements leveraging Outlook, Word, and Dynamics 365, sign agreements with our Microsoft Teams Integrations, act on agreements with the Power Automate. Lastly, manage all your agreements in SharePoint and and/or dynamics. Here's your typical workflow. You may already use a Microsoft product each step along the way. With our integrations, you can further streamline the agreement process. As an example, let's take an HR use case. You're extending an offer to candidate for an open position. The HR business partner authors a draft contract within Word and stores it within SharePoint, then send it for approval directly via the Outlook Word or SharePoint applications. They may use our Integration with Teams to drive the internal approval process. Once internal stakeholders have signed off, the agreement is routed for external signature from the candidate. Once signed the agreement and the agreement data are written to the system of record like Dynamics or SharePoint. The concerned parties are notified and downstream workloads such as sending a welcome packet and provisioning a new employee in various systems is automatically kicked off using our Power Automate Integration. As you think about how integrates with Microsoft, the fact is you can connect eSignature with the best of Microsoft throughout the entire agreement process to eliminate time-consuming manual work and App Switching. Ultimately, this enables you to speed up the agreement process and keep your business moving forward. Now, let's dive deeper into how this actually works with each integration and we'll show you some demos. Let's start with the initial step of preparing a document. With eSignature from Microsoft Outlook. You can easily send important documents and request a signature without ever leaving the Outlook inbox. The ad in seamlessly integrates into your Outlook toolbar. If you receive an e-mail with attachments that you need to sign, the outlook integration enables you to quickly go from Outlook to , complete the documents, and take you back to Outlook. You can even attach the sign to complete a documents to an e-mail and return them to the sender with a quick click of a button. Now, let's pivot to a different way you can prepare agreements. With eSignature from Microsoft Word, you can quickly sign documents or request signatures all within a couple of clicks. With the integration, once you're ready to sign your request signatures, just click on the Add-in and within one click, you can go to , helping to cut down on the time spent between switching apps. Let's take a look at this in action. Today we're going to review how tally uses eSignature for Outlook Word in Teams to security sign and sudden agreements. Ted Dawson works in the procurement department with Tally and regularly works on quotes and purchase orders. For quotes, he frequently needs to fill out the forms, sign them, and return them to the vendor. Let's see how for Outlook helps make this process as simple and fast. Ted receives an e-mail from a vendor with a quote attached. He needs to fill in some fields and add a signature. From Outlook, Ted has the for Outlook add-in Installed. He clicks on "," then "Sign Attachments." will open in a new window where he can add text fields and date fields to fill out the form and add his signature. Once he's completed, he lands back in Outlook, where with a click of a button, he can send completed forms in an e-mail back to the vendor. Ted hits "Send" and these all done. Next, Ted needs to send a purchase order to a vendor. He'll need to route the document two is purchasing manager for approval first. Ted opens the purchase order. He's been authoring using Word. He has the eSignature for Word add-in installed, so he clicks "Requests signatures." opens in a new window with a document preloaded. Ted has the recipient information adding the purchasing manager Maggie as the first and the routing odor followed by the vendor. Ted tags and sends the document for signature. Maggie is the manager at Tally and wants to approve Ted's purchase order. She has the for Teams app installed. She gets a notification in Teams that a envelope needs her attention. She clicks on the notification, reviews the document, and improves by adding our signature. The envelope is now on its way to the vendor. Maggie will get a notification in Teams once the venom finishes their portion and the envelope is completed. eSignature for Word, Outlook, and Teams enable organizations of any size to save time, reduce manual processes, and accelerate the pace of business. All with the Microsoft applications they already use today. In this next phase, we can show you how you can use our integrations with Microsoft to sign and complete agreements. With the rising pressure to provide users more seamless ways to get work done. We've been putting focused behind enabling users to stay where they're already working. One of those ways is Microsoft Teams. More than ever, Teams is the hub where work is done. can deliver real-time chat notifications to users when they need to sign agreements or update them on the latest, when other recipients have side. This can help cut down on the time to completion and speed up the pace of business. Let's take a look at this in action. SPEAKER 1: Today we're going to take a look at 's integration within Microsoft Teams. We start by following Walter, an HR manager at Tally. He's about to use the Teams integration for the first time to send a document. After being guided through selecting a template, Walter supplies the new employee's name and e-mail address. Walter then hits the "Send Now" button in order to send the new hire agreements to tallies news team member. The new hire is already at Microsoft Teams, reviewing a conversation with their new manager. When they get a notification. Preston has just received his new hire paperwork directly here within Teams. He has the ability to access the documents and then interact with them as you would expect, signing the NDA and clicking finish to return it back to the sender. By using in Microsoft Teams, customers are able to both send and sign documents out of their primary communication platform, allowing their employees to focus on the tasks at hand. TONY RAMOUTAR: Next, let's look at the act phase of the agreement process. One of the ways to act on your agreements is to leverage our integration with Microsoft Power Automate. Power Automate enable citizen developers to create complex workflows all without writing code. A couple of examples where you can use it across their organization would be in the HR onboarding process. You can set up workflows to automatically create a new account once a new hire signs your offer letter. If you're managing an IT service request, you can leverage this integration to automatically open service tickets, kick off the provisioning process all once the agreement are signed. We've got new enhancements with power automate that allow you to create and send envelopes end to end. You can pre-populate documents, define the recipients, add information to fields, and send it all, all without writing code or complex implementation. Let's take a look at this in action. [MUSIC] SPEAKER 2: Today, we're going to review how Tally uses eSignature for Power Automate to build customized agreement workflows that reduce manual tasks and automate business processes. Daren Randall is looking to build a workflow that will take a selected document from SharePoint, create an envelope, and send via for signature. He wants the process to be as seamless as possible for the end-user. The flow will automatically load the document, apply an e-mail subject and message, add the recipient, add tags to document fields, and pre-populate fields with data. To get started, he opens Power Automate, New flow. Today he's going to use the instant Cloud flow. After connecting to a SharePoint site, he now wants to create the envelope and using the selected file. He clicks on "New Step", Add an action, searches for , selects the connector and chooses "Create envelope." He signs into his account and specifies the e-mail subject and message that will pre-populate the recipient e-mail. Next, he specifies the file to add to the envelope. He then selects "Add documents to an envelope" and adds a SharePoint file. He first must convert it to base-64, so can process the file. Next, he adds the recipient to an envelope and adds the username and e-mail as the recipient. Next, he'll specify the tabs by referencing anchor strings. Anchor strings can be used to denote where tab should be placed automatically in the document. At Tally, they use the same anchor string convention across multiple document types. Here they use the /s/ to indicate the signature field. Usually the text is then colored white so that it's hidden to the end-user but detectable by . The next step, he adds tax for other fields. He can specify the properties of text fields like font, font color, and font-style. For text fields, he can also pre-populate data by either hardcoding the value or referencing data from another system. Finally, he adds the action to send the envelope. Now any user can select the file in SharePoint, go to automate and select the workflow. He then checks his e-mail inbox, clicks on the " e-mail" and completes the document. Tally uses Power Automate to create customized streamlined agreement workflows that reduce manual work and stitch together data from different systems, best of all, end users can use integrations without ever leaving the business applications they use every day. TONY RAMOUTAR: In the final phase is managing the agreement. Once you have prepared, signed, and acted on the agreement, you need to store it and manage it somewhere. You can do this with eSignature for SharePoint Online. It's likely that many of the documents your organization uses for agreements are stored in SharePoint. You may also need to store copies of the signed and completed documents after the agreement process is complete. You may even have rigid requirements for the format, location, and naming convention of these documents. My SharePoint Online integration is a convenient way to send documents, but also provides their bus configuration tools for managing documents after they're completed, helping to automate business processes, save time, and ensure compliance. Let's take a look at this in action. [MUSIC]. SPEAKER 3: Today, we're going to review how Tally uses for SharePoint to secure the send, sign, and manage agreements from any SharePoint library. Blake Hayes is an admin at Tally and at Tally they have specific requirements for how documents are stored in their document repository for compliance, searchability, and orderbility reasons. He goes to Account settings and navigates to the settings for for SharePoint Online. Here, he is able to customize how he wants to complete a document to be saved as. At Tally, they require their employee agreements to be saved as a document name, followed by the recipient name, as well as the date and time the document was signed. Blake configures those settings and also selects where the completed document should be saved. Ted Dawson works in the HR department of Tally and regularly uses SharePoint to send out updated employee resources. Let's see how for SharePoint fits into his HR process. Ted is ready to send out a workplace policies document to a new hire. First, he navigates to the document he wishes to send for signature by simply selecting the appropriate document in SharePoint and choosing the drop-down menu. Today, he wants to get signatures. With this application, he can seamlessly transfer documents from SharePoint in the . Back to the document he selected, he enters the recipient's name and her e-mail address. Then all that is left for him to do is scroll to the envelope and place the appropriate signature fields. Maggie Manager gets a notification in Teams that she has a document to sign. She sees a new message from Tally prompting her to review a document. Once clicking into the "Envelope," she agrees to the electronic record at signature disclosure and then navigates automatically to where she needs to sign. She signs and her job is done. Back in SharePoint, Ted is able to track and manage this agreement by selecting "" then "Check status" From here, he can see all of the completed documents and any in-process envelopes. Now that Maggie has signed, he sees in the status section that the document is now complete. A copy of the sign in completed document is automatically saved back in SharePoint. The title of the document is dynamically generated in ance with Tally's standard naming convention. Even metadata associated with the originating document is preserved on the signed copy. eSignature for SharePoint Online enables organizations of any size to securely the send, sign, and track important agreements from any SharePoint Online document library anytime, anywhere across devices. TONY RAMOUTAR: For certain lines of business like sales, Dynamics 365 is the home-based for managing the sales process, which is why we want to ensure it is as painless as possible for your teams to close business. Preparing a document for signature is simple, using the eSignature for Dynamics 365 integration. The sign and get signatures actions are pre-configured, allowing you to easily send or sign a document stored in Dynamics 365, pre-populated with the appropriate recipient information from Dynamics. You can also create custom processes to merge data between Dynamics and . You can pre-populate the fields with information from Dynamics in eliminating double entry, saving time, and reducing mistakes. If the information is updated by recipients during the sign-in process, Dynamics fields are automatically updated with the latest information from . We know time is of the essence so every step along the way, you can check the status of your agreement directly in Dynamics. Your sales team no longer needs to leave Dynamics in order to get all the information they need about their agreements. Let's take a look at how this works. SPEAKER 3: for Dynamics enables users to sign or send documents for signature directly from Microsoft Dynamics CRM. In this demonstration, we'll walk through how to use the standard out of the box capabilities of the eSignature for Dynamics 365 application to send documents for signature directly from a Dynamics record. Users can populate a envelope for documents from Dynamics, as well as assign contacts as recipients. When documents are signed, they will automatically save back to the Dynamics entity once the agreement is complete. For step one, navigate to the entity in Dynamics where the documents reside. We support a large number of Dynamics enemies, including customer entities out of the box, which can be configured by a for Dynamics administrator. In the ribbon menu, depending on your screen resolution and menu configuration, you will see options to sign with on the ribbon through under the extended menu. Click "Send with ", "Get Signatures" When you click "Get Signatures", the documents attached to the note section of the entity are available to add to the envelope. Select the documents you need. After selecting your document, you can select recipients from the contacts and the record. You can also search Dynamics for other contacts to add to the envelope who may not be associated with the entity. Click "Open " to create the envelope with a document and recipient selected. You will end at the repair page in where you can specify the recipient role, add e-mail subject and message and more. Once your envelope has been prepared, click "Next" to add tags. Here, you can add fields such as a signature or text fields for recipients to complete. Once your documents have been properly tagged, click "Send". Once back in Dynamics, you can check the status every envelope by clicking related transactions. Once the envelope is signed by all recipients, the status in this table will update to completed, and a copy of the signed documents will save to Dynamics. That's it. eSignature for Dynamics 365 helps accelerate the agreement process, automate previously manual workflows, and frees up time to get back to your business. Thanks for watching.
