organization overview in your board binder and this should include your mission and vision statements that clearly outline your nonprofits purpose and aspirations history of the organization that shows where you came from and how you've grown description of your programs and services with what your organization does and who it serves and any strategic plans and goals but what if they don't read it no worries here's some tips to make sure that they stick you can create a one-page cheat sheet with the most important information or use infographics and charts to make the information more engaging and easy to digest I also like to do new board members onboarding sessions where we review the highlights directly with them now let's move on to the technical but crucial governance documents they might not be the most exciting but they are super important so here's what to include obviously bylaws and Articles of Incorporation the backbone of your organization board policies that cover things like conflict of interest and code of ethics board structure where we outline the Committees the roles and the responsibilities and board member job descriptions and a board pledge this is a formal commitment made by each board member to support and fulfill their respons possibilities to the nonprofit organization this can include commitments to attend meetings participate in or use tabs or color coding to Mark the most critical sections in the binder and you can bring up different policies or sections in board meetings as they become relevant and occasionally present on these topics in a fun interactive way during board meetings so next let's talk about financial information so here's what to include in your board binder you want your most recent financial statements with balance sheets and income statements to give a clear picture of the organization's Financial Health you want approved current fiscal year budget from in your IRS 99 90 for the past year which provides transparency and accountability and financial policies guidelines on the financial matters and how they're handled you can even include your gift acceptance policy but what if they don't read it so here are some points to make sure that they get the important Financial info so you can provide easy to understand summaries or you can use visual aids like charts and graphs to print the information you can hold short briefings during your board meeting to go over key financial point now on to legal documents and compliance so your tax exent status letter any state regulations and permits that you require annual reports key contracts and agreements and any compliance policies like your whistleblower policy but what if they don't read it so create simple checklist that outlines compliance regulations or some periodic updates on legal compliance changes or reminders about important deadlines now let's cover additional resources these extras give your board members a full picture of your organization so your organization's chart which is a visual representation of your nonprofit structure showing who's who and how department and roles work together and your staff directory so contact info for key staff members so board members know who to reach out to for different issues any recent press releases news articles so updates and media coverage that highlight your organization's activities and ATT treatements and any awards and recognition if they don't dive into the resources here are some tips to ensure they're not missing out so send out monthly or quarterly summaries of recent news and include a staff Spotlight or news highlight section in board meetings you can introduce new staff members or any significant news in a brief engaging format at board meetings so these tips will help you ensure your board members are up to date with all the additional resources even if they don't dig into every detail themselves and as for that board pledge a QR
