welcome in this video we'll go over how to invoice expenses and run reports [Music] to track and see expenses make sure you have them enabled in workspace settings to invoice expenses you've tracked create an invoice for some client and then click import time and expenses we'll choose everything from last month from all the projects this client has next enable include expenses and choose how you wish to group them you can display each expense as a separate line item or you can summarize them by project user or type click import and everything will be added to the invoice and each expense will be marked as invoiced you can edit line items and change description or price by clicking and editing and it won't affect the tracked expenses in case you delete a line its expenses will be marked as uninvoiced you can differentiate between time and expenses based on item type expenses are listed as project type and time as service you can rename these types by going to invoice settings clicking edit types and entering something else if you don't wish to display item type on the invoice pdf go to the appearance tab and disable item type let's now cover the expense reports which you can find in the sidebar here or by clicking here on time report and then expense report you can get the report for any date range you need by clicking here and selecting either some predefined range or by choosing a custom one you can filter the report by any criteria you need like user category status and so on like this you can also sort expenses by clicking on the column header here you'll notice that the expenses we have invoiced a few moments ago are marked as invoiced if you hover over a tooltip will let you know which invoice picked them up to manually mark some expenses as invoiced so new invoices don't pick them up click on the check box next to them or select them all here and click mark as invoiced marking as uninvoiced works the same way finally you can export all the expenses in csv or excel by clicking here as an admin you can see everyone's expenses and can edit them by clicking on the three dots here in case you're a manager you can see expenses for your projects and teammates plus edit them if allowed in workspace settings regular users can see and edit all their expenses to prevent people from adding or editing expenses for pass dates you can lock timesheets here in workspace settings to add an expense for someone else go to expenses click add expense and select a different user be sure to check out our other videos to learn more about expense tracking reporting and invoicing [Music] you
