take your freelance game to the next level if you're new here consider subscribing if you haven't watched my previous contract video consider watching it because it's extremely important to know the basis of hello bonsai before we get started now you can watch it here or you can just follow along in this tutorial hello bonsai or bonsai for short is an amazing tool that lets freelancers invoice send contracts do time tracking and a lot more just through one platform now i'm going to show you how to use it but unfortunately it's not free so if you would want to i set up a referral code so you can have a month free after using it for the first time so the first thing you're going to want to do is go on to the actual hello bonsai website and you're going to want to sign up and as soon as you sign up you're going to be greeted with this dashboard the first thing it's going to ask me is what do i do in a typical day now for me this would be designing and consulting so we're going to pick that the next question is what best describes me i'm a part-time freelancer as i'm still a student in university so i'll click that and lastly is what am i most interested in bonsai as i said has a vast array of tools that you can use but i'm going to show you invoicing and payments so that's what i'll click for this video so the first thing you see when you finally sign up for the platform is this dashboard now what we're going to want to click is uh to send an invoice now once we click this we're going to be greeted with this pop-up window which lets us choose a client we can obviously create our own client but for this video we're going to use a sample client so we can actually show what the platform is capable of we're going to leave my awesome sample project as the project name and we're going to use this as a one-time recurring payment so we're going to create invoice so as soon as you are actually into the invoice you see this page which is your final invoice now this is the best part about bonsai where you can actually send change and add many things including your company's name and address if you have one the sample clients address name and location if they have one when it's issued on so we can change that we can change it to it's issued on the first of september and it's due on the 15th of october for example now the first thing we're going to try to change actually is the profile picture i'm going to add that right now and as soon as that's added we can actually start changing everything else we can give it a new title so for example we can change we can change it to a youtube tutorial and we can change it in what folder it's filed under so if we had a lot of invoices for one project for example that could be useful for you we can add a background but i'm not going to for this video and we can add an address so once i have that added we can finally go over to the sample client and we can change the name to for example john appleseed and their company and their sample email as well now now one of the great things about bonsai is they can also add a second recipient so if you wanted to automatically send it to someone else maybe a co-worker or a partner in this in this project that you can do that and so here it creates another email form where you can just fill in the the name great now we get onto the fun part where you can actually start adding everything that you've done for the project and you can set it up as part of the invoice payments so for example here we're going to choose hourly design rate and for example we worked 15 hours at a rate of 100 dollars per hour as is in this example now you can change that in the actual settings or you can just change it here to i'm going to change it to pounds because that's how i work with my clients great gbp that we have that and now maybe you did a few hours of consulting for them so for example we can change that to consulting and add maybe four hours of consulting at 200 pounds per hour now that automatically adds it to the tab and we can now see that in the final payment that is all automatically added up and nothing has to be done on our part it's all automatically adjusted in the price now if we wanted to we could also add expenses but i'm not going to for this video just because you need the pro version and as i'm on a sample account here i can't actually do that we can add tax so for example i can add a five dollar tax and it automatically adds that for me if they are going to pay tax for example or vat and finally you can also add a discount so if they were great clients and you want to give them a discount you can do that and it automatically changes that for you so here we see the final total which is 2 350 pounds of course it's just an example but this is what bonsai can do by adding up all your rates and every expense that you have automatically and it just makes it all easy for you now one of the greatest things about bonsai is that you can choose all these different options where the client can actually choose a debit card a bank transfer if you're in the us you can get it by paypal or you can have a wire transfer or even a mail check so that's a great thing about bonsai they have all these options now i'm just gonna i'm just gonna click a credit card for example and here's where i would have to connect my stripe account if you have one and if not just make one it's extremely easy to make next up is late fees you can actually add a late fee to this invoice if the client doesn't pay it on time so for example if it's not paid by the due date that we put which was october 15th we can actually give them a 10 late fee which is an insane amount but just for example and here you can also add your tax id number if you have one so we're just gonna add that and then we can add another note like thank you for everything and lastly you can add an attachment file so for example if you want to just put all the files from the project into one email you can do that now so now that we're ready we finished the invoice this is the complete invoice we have our name the client's name when we issued it the date the hourly rate that we charge a consulting rate attacks discounts everything's completely added up we've added our payment method you would in case this was real life and a late fee in case it doesn't get paid on time we've also added our tax id number and also a note to thank them for everything you can also add your attachments but we won't do that for now so the next thing you want to do is send it so it comes up with this pop-up window which lets you change the message that goes out with an actual email so we're just gonna change this to thank you for everything please ask me any questions if you have them now we can now send the invoice to their direct email or we can just send it via link now i'm just going to send the invoice because that is what i would do if i actually had a client right now so this is what actually happens after the invoice gets paid you get the sticker on the dash of your invoice so that you don't get mixed up you can also download this as a pdf which lets you print it out or anything that you need in physical form you can just have it as a pdf or you can just file this a lot easier on your actual computer so that's the complete tutorial for invoices and hello
