Retainers in Harvest allow you to collect funds upfront from your clients. Then, after you've completed work on the client's projects, you can apply those retainer funds to a new invoice based on tracked time, expenses, or fixed fees. Retainers are managed under Invoices > Retainers. There, you'll see all your ongoing and archived retainers. When creating a new retainer, you'll first choose its client. Just like Harvest invoices, retainers are specific to individual clients. Then, you can choose a single project that the retainer funds can be used for. Or, as long as you don't already have project-specific retainers set up for this client, you can choose to have the retainer funds available for all projects you may invoice for that client. This includes future projects you haven't created yet. Once you're sure of your selections, create the new retainer. Then, to add funds to the retainer, you'll create a free form retainer invoice. A retainer invoice is a special type of invoice that only adds funds to the retainer. You can choose whether to accept online payment for the retainer invoice, then save it as a draft. From there, you can send the retainer invoice to your client to collect the funds, or mark it as sent. Just like with regular invoices, when a client pays online, the payment is automatically recorded. Or, if they send the payment another way, you can record the payment manually. Once the payment is recorded, the retainer funds are available to be applied to invoices. You can add more funds to an existing retainer like this anytime. On the retainer's page, you'll see the balance, total funds that have been added to date, and the total amount drawn onto invoices. You'll also see the total uninvoiced amount for the applicable projects, as well as how that breaks down across time, fixed fees, and expenses. You can even click the link to see a detailed time or expense report. This helps give context to how the retainer balance may be applied to invoices. When you're ready to bill your client for tracked time, expenses, or fixed fees, you can apply those retainer funds while creating the new invoice. At the bottom of the invoice creation page, choose the option to draw from the retainer. Note that this is the only time you can associate a retainer with an invoice. If you accidentally save a draft invoice without applying retainer funds, your best bet is to delete that invoice and recreate it, this time drawing from the retainer. If the retainer covers the total amount, the invoice will automatically be marked as paid. If the retainer does not cover the total amount, you can send the invoice to your client to pay the remaining balance. Let's say the retainer did not cover the full invoice amount, but you saved it as a draft. Then, you added more funds to the retainer and want to apply those to the invoice. When you edit and resave an invoice that previously pulled from a retainer, Harvest will check to see if more retainer funds can be applied. When you're finished with a retainer, you can archive it to retain the record of its activity. If it still has a balance, you can create a retainer invoice for a negative amount to zero it out. Or, if you didn't end up using the retainer at all, you can permanently delete it as long as it has no past activity.
