on if i'm presenting to a ceo or a manager if my presentation is going to be actually reread line by line or if it's going to be presented to someone and be voiced over and even the industry if it's like a bank or a charity for instance when trying to understand your audience a few questions to think about is how senior are they because typically the more senior someone is they care more about the so what of your your project and your recommendation rather than how you actually got there so more about the content rather than the process and hence they do care more about the key points rather than the detail and all the calculations and the data behind it another thing to really ask is also what do they really care about for instance sometimes that can be what's really frustrating them their pain points or even their needs and another question is what style do you prefer something quite visual or something a little bit more text heavy if your slides are going to a company let's say like apple which we all know is super creative and they really care about the design if you send something across really boring really text heavy you know that they probably won't read it because firstly it doesn't align on their culture and that means that they probably feel that you won't understand them and hence what's the point of reading the slide deck and also secondly it's just a bit more difficult to process when there's no visuals or graphs for instance so they probably won't fully understand or take in the stuff that you've actually sent over and feel a little bit overwhelmed the second thing that you need to know is the goals and objectives of your presentation the purpose and is usually split into two things firstly what is the purpose of your team what are you trying to achieve with the powerpoint deck and then secondly how is the client going to use it what is their purpose typically there are three types of purposes a presentation would have firstly to communicate information to build understanding secondly to present information and that can be for example to make a decision or persuade the audience and thirdly to inspire and motivate the audience to generate enthusiasm make sure you also keep in the back of your mind the pain points of the audience okay so now too much more of the juicy stuff and how do we actually craft presentation slide with storyboard we wire frame we straw man and in simple terms we draw i don't know why consultants really do make our own language sometimes so a straw man is an outline of what the structure of the presentation should be you can see here that you know i've divided this page into boxes and each box would be a slide each slide can go into chronological order or what you can do is that if you know you have certain content for certain slides and you still haven't figured out what the story should be you can kind of just number each slide what some people do is that they do one step in between they kind of start writing it out on a word document and they start categorizing that into slides if you can just skip to the straw man you are going to be seeing lots of time and effort and we are all about being more productive often your partner or your client doesn't have time to read through all the slides and all the content on the slides i know you've spent so much time but they still don't sometimes it's a little bit frustrating what they typically do is they read all the titles of the slides so you need to do two things when building your straw man if you just take the titles by itself and just read those titles in order someone should be able to understand the key message your key recommendation i.e the storyline so slide one slide two slide three the all the key titles should equal the storyline now if you just take one slide that slide title for that specific slide should be the so what of all the content on that specific slide the summary the key point of that slide so instead of writing a title like highest revenue making areas you would write a title like groceries chocolate and magazines make up 80 of revenue some people call those action titles i just call this a good freaking slide do this so that we can take the client on a journey and get them to feel how we want them to feel and it's a little bit manipulative but that's exactly what consultants do we get to shape the data into the story of whatever we want the client to feel or what we think obviously the right thing to recommend is if you think about it is a very powerful thing that we can do but actually how should you structure a deck and it's very dependent on if you want to be impactful if you want to be discussive or persuasive and there's a couple of ways you can kind of play around with this one of the first ways you can do that is using mckenzie's ser framework so s is for situation and that gives context or background c is for complication and that's essentially the problem or the challenge that you want to make to the status quo and finally after resolution which essentially goes into solving the problem and also essentially solves the pain points that the audience has you can change the sequence of the ser framework based on what type of communication style that you want the client to feel so the first way is situation to complication to resolution and this is where you start quite relaxed the client to make them feel at ease get them on your side and credentialize yourself that actually i know how you're feeling i know what you're going through and you get to empathize with them using this framework it shows that you also understand the content because you're showing familiar content to them another way is resolution to situation to complication and i use this one quite a lot when my client doesn't have a lot of time to read through the whole deck i actually want to go straight into the answer and you can also do complication to situation to resolution which is when you want to be a bit more impactful and creating a sense of urgency that something really needs to be done now the other thing that you want to put on top of this whole framework which mackenzie doesn't really go into is where do you want to put all your supporting arguments you could go situation complication then you're supporting arguments and then the solution or you go solution and then all your supporting arguments and then situation in context for instance honestly folks this is not just a mckenzie framework all consulting firms use this and they just call it different things so for instance let's take pwc they just call the problem or the complication the hook and they call the resolution the fix and what they say is that the hook really should inspire feelings of wow i can't believe this and the fix should be like oh wow this is so cool for the sake of argument let's just assume that my presentation is going to be read and there's four key parts you want to put into the presentation firstly the title page and the introduction and depending on what style we just went through it could be the contacts it could be a tagline of your recommendation that they need to just hear and then secondly you go into the executive summary so there's one page that the client needs to read is this page it has all the key messages you want to get across and then thirdly you go into actual pack so the actual story the journey you want to take the client on go through some of the key recommendations and maybe you know the data or arguments that actually support that and then lastly the appendix now this is just more like an fyi if you want to read through any of the detail calculations if you want to read through some of the insights that we had from the interviews or maybe just the process that we went through this is where you kind of shove all that stuff now you know what the structure of the storyline is going to be you need to take that a level down and onto your actual slide just like you have logical flow on your storyline you need the same thing when you actually go on each slide and that is essentially an order now it could be like categories like fruit and vegetable it could be by chronological order from first loss it could be by ranking from highest priority to least not even location like geography or position this is awesome book written by barbara minto which is called the pyramid principle i am sure you've heard of it and she was actually the first female mba recruit to actually go into mckenzie and one of the key points that she makes is essentially that every single idea should sit under a single thought like a pyramid so on a slide your key takeaway is the sly title that we just spoke about earlier you start with a key takeaway at the top and then you can see you go into the main argument and then you go into the sub arguments and these are all backed by data see a pyramid the arguments underneath it need to answer what why how and if you can try to get all the arguments to be mesi now mesi is this other principle which basically says that actually there should be no overlap between all the arguments and try to get all the possible arguments that you can but actually in reality it's a little bit difficult to get all the possible arguments or you don't need to do that for your client so you don't have to be messy like no one to barber i said that okay so we've spoken a lot about the structure and well thank you if you're still here and now we're going to go a little bit more into the best practices that you should do when you're building slides first things first you want to make sure that you don't lose the reader in the slide deck now sometimes slide decks can be 300 pages long so you want to navigate the reader and kind of use this thing that we call signposting and what you're doing is you're showing where they are in the presentation for example on the contest page let's say you put a b c and d let's say we're on c i would typically gray out a b and d and i would put c in a different color for instance to showcase actually hey you're on this part of the presentation and you've still got one more to go now you could use shapes you could use text you can use even icons and i try to use icons because it makes a little bit more fun and interesting a little bit more visual on the slide deck and another key part of the slide is actually the footnote now in the footnote you want to put down two things typically either any notes that you want the reader to know or secondly sources now make sure that you try to keep the same format so for instance it may be the name the company and then the you know year it was published for instance and try to keep that same format and the same consistency as you go along on each of the slides you also want to make sure that you do it in the order they appear so the first one would be the first data point you put the second one the second one underneath would be the second data point that comes across in the text the next thing that you want to do is get really familiar with alignment and distribution because this is going to save your life and a lot of late nights i actually put these buttons in my quick access toolbar just because i use them so much and when you join consulting you are going to be probably given a piece of work to do which is called formatting which is basically making the slides look pretty make sure everything aligns making sure everything is distributed the same length but make sure you get familiar with this because this will save you so much time and it just makes everything look you know symmetrical on the slide the next thing is icons and icons are your biggest friends they break up a big blocks of text and make things look visually stimulating what it does is actually give some white space on the slide and gives the reader an opportunity to take a breath compare the left side to the right and you can just see how much more visually appealing it looks and you can find icons across the internet from nouns projects flat icons icons eight and so many more what you also want to make sure is that you are consistent across the whole deck now keep a consistent set of colors for the whole deck and then if you're color coding something like revenue make sure that that same color is used across the whole deck make sure also your grammar is consistent so if you're starting something with a verb start everything else in the bullet points of that particular box with a verb and finally you want to make sure that you use graphs to support your conclusions typically what we would say is try to use one graph to give one key message and don't forget to make sure that your units are the same across all the graphs because otherwise the reader won't be able to do a a really accurate comparison between the graphs folks i totally lost the footage and that's why
