hi this is Ben Kelly at Champaign schools I'm one of the EdTech coaches and I'd like to share with you all today about the the new work order system some of you may not know work orders have the work order system has changed recently and so I wanted to share with you all how to how to get that system going it's a little bit different than the system used before but I hope that it will be this will be helpful for you to submit a work order in the future so first thing I want to share with you is how to get to the work order system if you're using a Chrome browser or Chromebook you can go ahead and go to the u4sd dot org bookmarks when you go to u4sd dot org bookmarks you'll see at the bottom there is something called web help desk and that will take you directly to this site where you'll enter your username and password which is the same as as your access for getting on to computers so once you select that it'll take you to this this website so I'm going to go ahead and select that real quick and we'll get a brand-new screen here so this is what the help request desk looks like and if you don't have a Chrome browser or not using a Chromebook and you're still needing this kind of help you can go to help Champaign schools org and that will take you exactly where you need to be so once you get there you'll have a few options and you can select the first one is the request type so when you click this here you'll want to select IT request so when I TKE request pops up you'll see a new box with the let's set up over here this new box and gives you an option of putting in the category so the category may be computer some hardware may be distribute accounts network connectivity or security services and this is probably an order of the issue that you're having because usually nice network connectivity issues are are more of a school-wide issue or something like that but every once in a while there's a individual computer that might have some network connectivity issue so this to be a great time whenever you're having an individual network problem but let's go ahead and take a look at computers and hardware first so I'm going to select and when you select that there's a new drop-down that pops up and this is an opportunity for you to share the specific device excuse me that you'll need help with so if your Chromebook one of your personal Chromebooks as a teacher or your student Chromebooks are not working feel free to click this and then any other device here and as your device changes you'll have more options or different options so for Chromebooks you'll have an option to put in the cart number and the device number for if it's in a student Chromebook so so let's go ahead and click back so you can see that so this is what the page looks like with the extra cart and number and device number option down here you'll also want to enter in the the asset ID which it will tell you if you hit the little blue eye button where you can find that and if it's not there you can also enter in the serial number which should be on the back of the device as well and so once you put in your request in this this request box is basically for you to describe what the situation is what is going on with the computer or with the device and then here is a place where you can add an attachment so if you're having something that is best explained by pictures more than words you might want to put in a picture there out of a screenshot or something just a picture of the device and what's not working and why it's not working that might help the technician as well in certain situations so then last but not least you will also want to put in your your school name and then the room number that that should be listed there if I select any one of these schools there should be a list of room numbers that will pop up and when your room number is not there try to select the room number that is closest to it and then in the request box go ahead and tell us exactly what the situation is but then also add the room number that you need to be help in and also let us know that the remember was not listed so we can add that welcome to video to the list if it's not there most of them we believe are there but it's never hurts to double-check so that is how you would submit something for a Chromebook you would also put in click the Save button looks down here right next to my forehead here I don't know if you can see that but anyway that is how you they'll have the option of save or cancel so that's how you would put in for Chromebooks and then there's different options for different devices so if you for example if you have a document camera it might just show you the model and serial number options with the asset ID and then it may not it doesn't show you another option for card number or anything like that so it's specific to your device and if there's a particular device that's not listed up here that you have that's a district owned device and you feel like we added we may have missed it so let us know about that as well so once you enter in your request and you're all the information is in there that you want to then you're good to go ahead and save it and it'll send you more information next next is the district account if you select that option if you're wanting to add a new user there's the option there if you're having an account issue like you're not able to access something and your account may be something your your ability to access YouTube or some other type of type of service that should be available to you through your account you can let us know by selecting other account issue here or if you have forgotten your password to get in and you probably wouldn't be able to get in the access to the work order system but you may have colleague go ahead and put that in there and then say that so-and-so has needs a reset of their password and so that might help out in those situations as well and then next we want to look at the network connectivity which this option gives you a couple different things first of all internet access with internet access you are just basically filing a request to have it look at a broadband connection that is through an Ethernet port so this would be a connected Internet device like a computer a desktop computer or maybe even your laptop if it's the one that's in your classroom or that an internet Access's there's something you think you need access to that you don't have access to with regard to the internet or you don't even have access to the Internet the side of our website that is specifically for employees please feel free to let us know this way VPN if you have a virtual private network or you understand what what that is or know it's what you have there and it's not working please let us know there and then obviously Wi-Fi access any internet that's not connected and there's no cords attached other than maybe a power cord then Wi-Fi is not working for you but basically with them with any internet access issue please let us know only if you've confirmed with colleagues that their internet also is not working so if it's just a personal internet issue with your device this is where you'll put that in so so and all in all these different situations there is it's exactly the same in terms of the part down here so security services for some reason if you're having some sort of breach in terms of security and on your camera or video recorder if it's like a webcam or something like that and people are getting access to it if a lights turning on and indicating that somebody is getting into your camera this is where you would tell us about that issue that's a kind of a rare issue but if it does happen let us know and we can solve the problem figure out how they're getting in and fix it for you so basically that's that's how the work order system works once you hit save it'll send you an email let notifying you that we have been notified and then it'll also we'll also get back in touch with you as soon as possible or come to you as the final as as we can as fast as we possibly can so it's just like the other system I'm going to consider our technicians they will actually be able to receive a instant notification on their their devices as well not just just through accessing the actual website just like you so it should actually increase the efficiency of the system for you for everybody involved so so I hope this was helpful for you I hope this system is usable for you and if you have any trouble at
