How to create outlook signature

all right well let's get started so what I'm going to show you today first I'm going to give a little background about the tool that we're going to be using to automate our trade show follow-up process and really track and monitor everything against that trade show as well as the revenue that's generated down the line from the trade show and I'm going to show you how we segment our leads by hot warm and cold and how based on the rating of that lead whether it's a hot lead a warm lead or a cold lead they will have certain activities automatically assigned to them so let's uh get going here this is the tool we're going to be using and this is Microsoft Dynamics CRM now this is the homepage for Microsoft Dynamics CRM online and the online just means that Microsoft hosts this for us they maintain it they secure it and they update it for us automatically we just subscribe on a per user monthly basis and now this is a demo site just with some um sample information in there but you you can see a few of the dashboards this customer service the leads and sales pipeline but uh let's focus on the trade show so I'm going to go into marketing campaigns where I've created an example trade show and I'll show you that so this is the event that I created for the life science Alle Expo which is what we're going to be adding leads to and and measuring against uh there's just some general information in here it's proposed to begin on 129 proposed to end and 6 months out and just kind of some of the financials the budget we've allocated how much revenue we expect to get back and you know any other miscellaneous SCA that were associated with the event and here you can also add planning tasks which would be automatically assigned to whomever you want on your team such as getting sponsorship if you needed to talk to someone about a booth get marketing materials printed those kind of things you could add that all in here and it's going to be assigned to whoever you wish so let's go inad and start adding some leads and I'll show you how we segment out the list so I'm just going to close this out here we're going to go into my leads or sales and let's create a new lead that we're going to associate with that trade show campaign so let's say we talk someone at the trade show they're very interested now we're an IT consulting company so we'll do it as if we were at the trade show and we were working with someone there so let's say that they were interested in sales and marketing automation software which is kind of what which is exactly what we're showing you right now so they're interested in that um we'll just call this uh Tim hotle and he is from meriti medical link and so we'll say so this is a hot lead and what we want to do with the hot leads is give them an email a phone call and also send them a direct mail piece so I I'll show you how that's automatically generated with the warm leads we're going to want to send them an email and a phone call but we don't want to send out direct mail and with the Cod these we're just going to send them a thank you follow-up email so I'm just going to enter in just that general information I'll put my email address in here and the phone number that is my direct line but please don't abuse it and um you know if there's any other General details now we do want to associate this with our original campaign so we'll just type that in here and we're good to go so I'm going to save and close that out and it's saying it already sees somebody with that with that email um that's that's okay but it it picked that up you can see how it picks that up um I was creating some test ones earlier and good thing the system works so uh We've created a hot lead now let's create a form lead so looking at doing something in 6 months with document management so this is Jenny War lead and she is from she is from FL so and we'll say she is the CEO and she's a warm lead so remember the warm leads are going to get a phone call and they're also going to get an email and so we want to make sure that we associate that with the campaign and I just type it in it automatically detects that um I want to do the life science alley Expo and so I'm going to use a colleague of mine a coworker of mine as well.com as the email and we'll do our main number for the phone so we're going to save that and the worm lead um she is going to get a phone call and an email which is going to show up on my activity screen at the front which I will show you right at the end here and so let's create one more which will be a cold lead and we'll show you how this all comes together so this is not interested in much at this time um followup with email so we'll just say that this is Tommy cold lead and he is with Minnesota Medical he is the CEO and a cold lead so I'll just put in of the spelling of my email and our website I know we weren't adding that before but we can throw that in there um and we'll throw in our phone number 5555555 okay so last thing again associated with the event and we're good to go now we've added our leads we've Associated them with the campaign now let's Let's Go and show I'll show you how this was all automatically generated for us so go back to my home screen which earlier oops just minimized it there so we're going to click on home and now we'll see okay so we can see here that Tim hot lead which was the first one we added we said that we want to send them an email a phone call and a letter so we'll see that so here's the email email that was automatically created for Tim hot lead and I can just send this straight from here um we and it can also be set up to send automatically but you can see this is the email it just says um Tim this was automatically filled in thank you for stepping by our booth here's the white paper six questions you need to ask about CRM software which is a white paper that we give out um based on what we learned about this is the company name that was automatically inserted and I also have here please expect a follow call Monday December 14th so I'm just going to close that out and I'll show you the phone call that was created you can see that this was due December 14th for Tim hotle and just like as stated in the email you can open this up and says for this phone call gain a deeper understanding of mariti medical which was the company name help them identify and you can read through that and you can see down there it's due 12:14 by 5 p.m. now the warm lead we can see Jenny warm lead this is um it's the same email same email that Tim hotle got and it just says I'm still going to follow up with the phone call which you can see was automatically created right here and added to my task to do and you also see that um Tim hotley got a letter which I forgot to mention so this was the follow-up letter that we want to send to only the hot leads and it's just going to say based on what that person was interested in let's send them a brochure and um when we're entering the lead you can put that in the notes so and then the last one here you'll see is Tommy cold lead and Tommy and we love him to death but he is only going to get an email from us this is just going to it's a different email than the hot and warm leads got it just says thank you for visiting our booth I've attached the white paper I hope you find it useful
