my name is ELISA we've also got Tom on the line so we'll be kind of helping sort of field some of the questions today and hopefully you know the technology will work trying to help with some of that the loss got Daria here which is great so she's gonna be the one running this session today and before we kick off we just got the kind of usual bit of housekeeping and so we are recording these stop talking now being boring and so now we're not further delay I'm gonna hand over to Daria okay thank you sir my name is valentina and I work for HCA at UK and I work in a team called clinical informatics so just a quick introduction upon this webinar is actually a webinar for beginners let's say so no advanced knowledge of our history is required prior to this to this webinar and actually there is not gonna be many lines of code webinar but we are going to look at the integration of our studio with with the mock scheduler so if you're really used it in the past this this webinar might be a bit boring for you but I still hope that you can get some takeaways or not I'll be overcame some of the challenges that that are derived by desire by this method so it basically let's say that this webinar is for you if if you have to put reminders in calendar on when to run certain reports and specific days of the month the week so I will start with with a slice so there's gonna be firstly a quick introduction about our team and reason why we need is some sort of task or to make automation we are going to look at at the infrastructure that we use so that you can maybe relate so you can find certain differences between your setup and our setup and then we are gonna go into the history of reporting and the challenge is connected to all the different ways that we've used in the past as to a report yeah different reports and then we're gonna finally at the main topic of this talk which is a integration with task scheduler and our look looking at all the challenges of this new map a desperate and and to see how we try to overcome challenges so work with so we are the clinical informatics team as I said at the beginning it's quite a small team it's six of us we can use all the data include data mainly generated through our HCA so it's year is an organization in the independent sector and just to give you an idea of the non versa it's composed by six main hospitals in the UK plus three HS ventures there's a bomb nine hundred register pads and 125 critical care beds so there is a few challenges because there's a many hospitals that we have to look after but at the same time they're not huge centers so it's only six of us as I've said and so we have to try and find ways to to be more performant and to be able to control the reports that we needed and keep on growing our reporting system so that's why we started using our and that's why we started using just cat litter in communities with our the infrastructure of our overarching selves our data stack looks like these so basically the data is entered into the cleaning consistent in all the different hospitals and there's a there's a bunch of clinical system used the main system is my tech which is our EMR is the trapped the network but then we have systems for critical care for the vital signs incidents and you name it then so they did enter in the clinical system and then there's the IT team especially the business intelligence team in the department of IIT JEE they extract the data and so Mary Tech is a non-sequel system and then they basically among each else to put the data entered in every process equal based also all of the other clinical systems there are sequel based they will they will shape the data and load them into our main server so looking at the clinical informatics site so every day and for some of this assignment they're actually close to live these guys basically delivering the data into our main system which is secure base some of the times herpes there is still a very the right rate so that's what we need to keep in to account when we want to do tasks at a mission because we might not want to run the task if we don't have they're afraid because then the system that we used basically it's every analyst with our own PC that will connect to the main sequel server and they will do they will run all the analysis that they need by loading the data into our studio but then we also have a second server this is what we called the web server reason why is the web server is because it hosts our clinical information portal so it's just and a portal where we display a little bit all of our reports but on the server it's a it's where we also have a database mirror of the previous servers and at the same time we perform all of our students confirmation so everything that is automated will create an output and the output is gonna then be refreshed daily several times a day and then publish into into our portal in terms of the tools that we use we use a sequel server get for version controls we mainly use our in our studio for everything so we're also actually getting a bit away from sequel because everything that we can run come up we do it from ours we are fun of the PI diverse environment and we over the years we have developed a library of that functions called cleaner clinical informatics it's not live on crown because it's very much using function that are how pastina the daily in our in our daily job so they are very much specific to walk with you but this library function is actually occurring in Martha I don't know I would say always almost 100 functions in it we use a flex dashboard for the generation of HTML that shirt so it was also like a bit of code connected with some simple CSS and some JavaScript functions for reporting we also use a other functions coming from our markdown library and also from the neat art library we do a bit of a layer science using these edges do mainly what they are going to be focused on today in this talk is the use of task scheduler a Microsoft a scheduler so if we just have a look at the history of reporting and within our teams before I joined and I during the company more than five years ago I think it was just like the beginning of the team however the team did not existed at all there was a reporting done to excel control C control V and then tactful work orders major by connecting Excel directly into to the sequel database finally and this is that was lucky because these happen like a coupla months before I joined the team we started using our so all the are generated reports and I guess many of you are not using it to run your own reports and finally we moved into all majority of HTML based reports just to look at the housing council each other the of the methods I couldn't find any prosper control-c control-v because as a well-known at these macro be is very much coming to ever it is time-consuming is extremely frustrating especially when your reports have the huge number of rows and the excellent will keep on crushing the validation a lot of by Excel they're not great the report can be using modified by users and no matter how much you try to lock sheets then will always find a way to to change the numbers in it plus the data are not like sorry tell me you would like to create a new report and send it to the to the users a small improvement and I provided when we connected the Excel spreadsheet it directly to sequel less prone to hours because after you have set up the connection you actually know that you're holding the correct the Atlanta specific cell phone and he's less time-consuming because you just need to keep to keep town and button to refresh your data but of course there's a lot of user experience issues because especially for people that are not tech savvy they might forget when they need to refresh the page to display the new numbers so these are came with a lot of calls and emails from the users saying basically little pages not refreshed etc amenities was a little coming for a lot of time lost in to enter our team to fix the dishes every time that you need to do a quick update some to one of the cells or the or the workbook you will have to sum the game in a new file and they main issue with this is gonna be version control because you cannot version control on your machine but at the same time it could be that the users are still using the old version of the file that she sent and take it's kind of caused a lot of issues finally I'll go back to our so a lot of cars parametric so you can just write a piece of code that that could run every single day and you don't have to talk to change anything because maybe it's like it's all connected to a specific date that it can be between by using a specific function great versatility you know large version control which is it blossom and mainly reason why I think my team started using it with because it allows for great visualizations we did it what and then after starting using it we realized that everything else was great and we kept using it a lot other forms of output so it's not just exciting excuse me could be text file could be PDF generated with latex and other sorts of goods the commons distribution is still an issue because once you have the generated report you need to think of ways to give it to the users it's not live and what does it mean is that as soon as you have created the reporter the data could be updated and we all know that after there is basically a living organism because once you've generated the data the same day of my change in the system and the good example is a with date except I know a lot of the NHS trusts are using Linux for recording incidents so what happens is that if we report a number on total number of incidents and one of the incidents get rejected one minute after we have generated the report the total number of incident system decreased by one and this means that once the new users are going out doing the report they're gonna call us and get me to say this number is not correct so this means that we spent a lot of time trying to prove to validate our reports with the users and the most of the time we were corrupted but the main issue was just at the report was not live or was not updated anymore so that's why we decided to move into HTML reports this is because we can kind of control the outlet so first of all we know that if something is wrong we can take it out of the way well we cannot really move it clear once we have sent it by our emails is definitely a better user experience because the user can go on watching the place well maybe just we can share a link with them in the can download the report and at the same time we can refresh it as much as we want but it comes with HTML reports but still that the jobs still needed to be triggered manually from our studio every time that we want to refresh the output so the focus of this talk is gonna be how can we solve this problem so the the way we found you I think it like it's a very simple and basic but we found it so effective that is not I don't know for four years of your using it and maybe haven't come across any big issues with it so we using tasks aguilar search a scheduler either is a component of Microsoft Windows provide the ability to schedule the launch of programs or spits so you just need to decide when you want to launch it and what you want to launch and this is gonna it's gonna work so if you're working on a Windows computer you will have to schedule it already installed on your machine I'm just gonna give you a quicker than we it's maybe but it could be that you already know very well how to use it so once I okay I can go to the to the library and these are all the tasks with names status the triggers next time they're gonna run the last time that I ran the results the offer so at the contributor are most of them are basically created by Microsoft there's a few of them that are being created by by millions as a test in these machines and every time that you click onto one of these upwards you can access all the information in year so the description the triggers so this dog would one day be a tree nine update the action what actually happens so if I want to create a new job I will only have to click on to create task I can give it a name specify a trigger and then I can specify the action what is the action and it's basically it doesn't allow any more to send an email over display a message it's always gotta be with Excel files so basically it's gonna open an executable files if you point it to towards one of the spots he works with partial or coming from two commands as well we generally use command prompt saved in a batch file because it's a very convenient way to automate routines and potentially have multiple tasks to be run from the same data file so a batch file is a special kind of text file that has a that's essentially we're gonna have a look at how to create one it's very simple and basically includes a one or multiple commands that can be evaluated by the command and once invoked through the cannula application so what is a thoughtful you just need a tax auditor to create one so you open the you're not I'm not a bus pass anything is a tax auditor you type the command to be right and you say it's as dot but if we just want to have a look at what all of these lines means equal of basically just disables the the display prompt then term command equal gothic then you need to specify underscore test and it's exactly this one so one piece is like very simple it's just like two lines of code I'm using one of the function that it's in our clinic package what it does it is just a wrapper around the team our library function to send the message into it instrument just like you don't need to know anything specifically but I'm just gonna try to send the message into my themes channel with the title NHS our webinar and a message is gonna be test successful so this is gonna I'm gonna try to do so if I go on a scheduler again let me start from the beginning so again I need to create a task I'm gonna give you the name and I'm gonna go leak Aleta tests and the tests are this pretty sure yet another test this was gonna run the task so it's it's my login I want to run it whether the user is locked in or not I usually take fine with highest privileges because you can call summation is easier if you're not running to scheduler as with priorities triggers I'm gonna create a trigger and the trigger means when when you want to to run the job there's a there's a few options that are there that you can specify so you can run the job only one time and that's it you can run it daily and the record every day a specific time of the day weekly in which you can specify the days of the week monthly if you wanna run on specific months certain days of the month etc I'm just gonna try to run it one time and I'm gonna put these always like 1:24 I'm gonna put it for 126 hopefully will be cannot to go through these them and I'm okay these I'm gonna leave it as a as it is okay so I've created my trigger now I want to create the option so it's action is a wanna start a program which program I'm gonna start the bat-file which I've showed you just now really our studio because other conditions Satine so this is just to be like a fun setting so if you if the task fails from start every one - for example or stop the task if you long lap runs longer than one malware complaint at okay so I've created money my task I need to add the password you fer if you're running from a plasma tactic computer so as you can see here it is a lap here already so this is my new job and it will be a bunny at 1:36 on this specific day and this is the author I've just created it so what expected to do at one 26 and 28 seconds I expect it to sending that message to the sticking channel pretty fast and this title so I'm just gonna open the tunnel okay this is the time my tunnel so this is like as I said that sanctities function is a from Team R and it is basically creating expect to receive a notification and message in here well like we can we can wait and hopefully it will work fine and then I'm going to show you another way of creating jobs in the scheduler by using our studio through three functions that it it's called task scheduler so let's give it a few seconds again maybe the top is finding actually what I can do is you can display for running tasks yes so this task is is running so if I keep a refreshing here has been running for 15 seconds and oh poor you once this is done I will receive the message here in the background I'm Terry we've had a quick question from similar if you're just one in someone's just asked our scheduled shared or are they linked to a user can a project when a file on a shared Drive we do have a shared Drive it's just like you needs to be you need to be permission on to that sure Drive so if your users permission to that specific folders you're good to go so I'm sure you use it on my computer at the moment but our setup is a romantic scheduler from a server that is shared like whether by by all of us and it's what we called like the web server so if you if you have permission you can uh you can run specific files from any folders I don't know if I answer the question in the meantime I don't know if you can see I actually received the message that accent so the job actually worked so going back to the to the slides as a preteen year you could use the library that is called the task head you are of course someone that's already creating a library to use the scheduler really not so you make things even easier so this is the library that you need to stop operating solely on my computer so I'm not gonna run the usual dot packages but if you don't have it whether you run this line or you could use our studio through the usual packages installed and I installed the library so just to explore the library I'm just gonna lured a few libraries that I'm gonna need in 37 again this one is not is not needed actually at the moment as of yet but it's just come later the main function that I find very helpful from these library it's called tuck scheduler on the school unless so if I just run the documentation basically you don't need to add any argument specifically so if you just run it as it is what it will do we will create a data frame with all the scheduled tasks as a creative in your task editor on your machine so if I just run bisman I'm creating this data frame not really it will appear here in a few seconds if I open it it's basically all the information that I've seen in task because it should overcome any problems with folder permissions if you have permissions on that folder of course and finally if you're trying to use a scheduler to run an HTML page with Flex dashboard since that through the batch file we are only invoking the exact file you might not be able to find where Kongo keep saying it so you might want to add this line at the top of your app script so that us at the beginning and just like a suggestion that we might want to give you is that you don't want to receive the news that a job is failed directly from the users is not good so you need to put things into place to be sure that all the jobs that you were running in the background will run fine and if they do not run you will be the first one to be notified so then you can have it fix it straight away or you can send the notification and apologies to the user that is expecting that the job as I said at the beginning that construct several times because there could be a DTL delay so by the time the delay we expect the data to be on our main server it could be that it's like they're coming one hour later so if we run a specific job you might fail because there's no data etc so you need to think of ways to avoid this scenario so I'm just gonna give you a couple of ideas I don't know whether you already come across this problem and solve it another way it would be nice to hear at the end of the talk but it seems I'm ready under tied up you're using flex dashboard so we produce a lot of HTML - great so we decided why don't we create and diagnostic they are diagnostic - and this is basically you're using data a scheduler function to look at all the jobs are running on test heavier we are filtering them by only the ones created by us and we can displayed successfully we can explai how many jobs are successful or the ones are still binding the ones that have failed so just the typical kinda did that the dashboard itself sorry so this is the Bashford so there's a few extra things tab said to keep an eye on simple tables but it but basically you but she's every 15 minutes so it was important but knowledge should yeah so it requires like 15 minutes who means and now it's running again and shows all the jobs that are on the scheduler the last time that the random the result the next time in the corner by so I can basically immediately know these job as fails I need someone to fill the carry or if it's not important then it can wait at least we know what's going on at the same time what we have added here is a some kind of timeline because once you start using the scheduler you can automate all the jobs that you want but you don't want to come the task editor system or that server that it's running your instances of the scheduler so you need to understand what is the best time and also you can decide what is the best time because you might have to wait specific there at her rather than things like that so we decided to create this sort of timeline and these are all jobs so they're burning along it takes for each document so this is like a typical day for us how it looks like how many jobs burn and not many times a day we want specific jobs to do that the function a scheduler is not enough because it doesn't tell you how long the job has been running for so we try to solve this issue to read a different way what we did was we have created what it's called a jobs log table so it's a simple table in sequel but you maybe can put it in the CSB they're saving a specific location and every time a job is run in line is gonna be added to this table with a few information like personnel find a job the host name job name the main job initial time and if the job is made up of multiple parts then you will have the main job initial part the initial time the start of that specific part the end of the specific part top name things like job job type in this case they're all coming from our but we disable real cyber jobs from sequel the a new row into this table commands our versions so these are all information that you can get directly from our the the function that we wrote it's like it's very simple it's part of this cleaning cutting each other game is not in Khurana but it is like to get unity item is very specific to our database but you can certainly replicate it you know in a few steps okay so argument our job name job type and all the columns that you want on if you have the columns are are in the output are are generated so you don't need to specify them there than in here but basically every time that you run this function and you're always gonna be added into the into the table so this is just to load a few rows on the table of all the jobs at one since yesterday so near you have all the information and you have you can calculate the duration of each specific job as well so this allows you to create this sort of visualization that cannot be scheduling jobs when it is what it is anyway is the best time to burn a specific job so just to summarize I picked up the work flow that we use for task automation you you will have to create the escape that you want to run and you want the artistry to be run from task editor so you need to keep in mind a few things like no hard coding is allowed to here's it if there are certain variables that you need to change manually before the job is run from the scheduler then it doesn't make sense so you need to try and make it all parametric as much as possible for example what we do we create world in Windows based on functions like sea state or this time to cut out of all the data that we don't want to be a part of that specific report you don't need to create a bad file and as I've shown you is a it's very simple you just open notepad open notepad and the e type where your r dot excel file saved on your computer you just type CMD batch and the blue link to the time the files that you want to run SATA or alternatively even though i showed if you ever given my demo you could use the arts video unseen then we go to the scheduler and create a new task you can keep everything as much as possible as as default you just need to specify the trigger and the programs that you want to start in this case it's gonna be the battle file and then you need to wait for the trigger date and time and then you can check out the outputs just to give you an idea of the types of after that we hope you can produce there's like a lot of them so the majority of them are HTML dashboards and we found it very useful i don't know if you have a similar setup but we have a what we call a one-stop shop this is our portal it's like simple HTML kind of a page where we basically link all the reports that we want all the HTML pages that are gonna be refreshed so every time it's a scheduler instance it's gonna refresh the specific HTML dashboard this is gonna be in the same location so we just have to link it from from the portal and the list our new users they know that if they need something from us there will be certainly a link for them into this this portal that they can use to to download all the because I think then I've shown you the teens notification so I if you haven't done so yet I highly recommend you to use this theme of function it's very easy to set up and you can create your own bot to send messages to yourself for example the things that I think that I do I send messages to myself especially for those jobs are very important for example at the moment we're working a lot of it copied the report so I need to make sure that the report is run so I send a message to myself so I don't need to be logged on to my VPN to check whether the job is run I can just talk on my phone whether I receive a notification within things we use a lot of latex PDFs and these are these are produced sugar neat our library used it we can send emails through the there's a few libraries the other is news mailer but uh but a thinker one more that is actually a bit more easier user friendly this one and then you can create all sorts of after like excel file see it's a new name it but then you need to remember to regularly check either it - were like these one their Diagnostics or what you could do and then something something else are doing we actually implemented last week you couldn't send a notification to yourself all the in case your best fails so for example we have created another team's funnel because there I think that everybody's working with things these days and the channel is called color 22 John figures so if it sends a list of job that failed since the previous serve an author of the data likeness to be destroyed one thing that I hadn't think have mentioned is that this dashboard is actually a very quick to run and we make you one happy 50 million because 15 minutes we found as a it's a good time to check whether there's some new jobs that have failed or not hopefully not too many so yes I think Lisa this makes asked whether does the code run itself or is it a reminder to run the code the code runs itself so you basically just you don't need to do anything there's the option where you can decide whether the code is gonna be fun if you're logged in or not in that case if you're not on your computer and you don't select the option locked in as well it's not gonna run but you don't need to do anything else it's just it's gonna run so we have a lot of jobs running at night with no reminders you can set it set set up reminders for you because it another question come free do you have to have a speedier opening in order for the code to run no absolutely not you just like it works it doesn't need to be open you will find automatically where R is saved because actually in this case is not using the ID which is our studio but it's using the our software itself so we just need to put the path to the location where are shaped and and that's it your your computer I can be logged off you don't need to
