and i basically realized it was a cookie cutter process and i started essentially creating these law firms setting it up um setting up the lead generation and the client generation then the clients will come in and i'll have virtual assistants and other people basically taking care of the legal work and taking care of you know even the sales and retaining and and automating it pretty much and just doing that over and over so fast forward some years later i now have about 10 law firms all from my bedroom um and essentially it's the same process once you kind of crack the code you want to kind of do it over and over so the first component is always the client generation which is these days i'll just throw some buzzwords in there maybe for you guys to get exposed to it it's basically through funnels which is a very systematic way to drive people down to the particular action when you want them to take and usually with the mistake that most lawyers make is they go in for the ask way too early so it's like those ads that you see hey we've settled 50 million dollars in cases give us a call that usually rarely works um sustainably for a long time it may work for maybe a couple of weeks maybe a month but you usually see those ads and you don't see those ads anymore the long term sustainable law firms that do really well kind of build their foundation based on the funnel concepts which is basically this the very first thing you always want to do inside the funnel is to capture your your prospect's contact permission which is usually their email address sometimes their name email and their phone number but usually for the most part email address once you do that the next step is nurturing you got to build a relationship with these people there's only two ways to nurture people the best way is through video and the second best way is through automated emails so once they come enter your funnel quote unquote they'll be they'll right away they'll see a video from you it's the same way that somebody walks into your office and you kind of have to pitch them your service say hey bob i know you have this problem well i have the solution for you here's all the people that i've helped in the past and here's what i want you to do next and you invite them to basically do a scheduled booking with you um along with that some people will take action most don't so what you do is you have automated emails with this up here you'll be able to use that you're an active campaign to send automate emails to push them back to that video or push them back to to basically set up those um meetings with you and then when you send people you're basically always sending people to towards that direction and your scheduled bookings when you have the the calls with your prospects that's where you do the sales so all the sales conversation they usually have on the front year that's when you do it um and then that part uh you know once they talk to you then they still need to be nurtured that's we have more videos and more emails and you basically get them to basically for you to retain them or to pay for the service that's basically you know short summary of what a funnel is second part automation great you got the client we got but and let's just say this works out great but you're not gonna have one or two you're gonna also then you're gonna get 10 clients a week and then next week you know more so there's only two ways to be able to do this and now let me segue into the presentation um i recorded i did a training a free 15-minute video about how to use zapier and i'll show you guys all the links and you guys could watch the in-depth i'll try to keep it simple because zapier is out of all the things that i do teach it is the most complex to try to explain to learn so just try to understand the concepts first and then over time it's one of those things where you just understand the concepts and over time your mind will start thinking about wait i could probably automate this i could probably automate this even to this day even though i've been using this up here for five years now there's like new things that i come up with so don't try to understand exactly how exactly how to do it don't worry about the technicalities of it just understand the concepts behind it all right so three ways to automate your law firm with zapier another 15 in under 15 minutes so what i teach instead of legal funnel is that delegation is using people to replace you automation is using online tools to replace you okay um these concepts came to me i kind of my kind of breakthrough was when i read this amazing book by tim ferriss if you guys haven't read this book i highly recommend it um called four hour work week where it exposed me to three key principles the first one was the whole virtual uh model which as soon as i learned about this six years ago i'm like this is amazing i don't wanna be i don't wanna i don't wanna walk into an office um i want to be able to work anytime i want so you know this even though since a year ago we all got forced to basically work from home i kind of had this kind of foresight then no this is a much better leaner more efficient model to run your law firm at so you know i was using zoom since five years ago because you know using all these things that we're all using now um i could tell you it's much better it's much more again leaner more efficient just better more scalable all that stuff the second browser principle is automation where essentially things are running on its own think of it like an e-commerce business when somebody buys something you know the e-commerce owner isn't going to come and package the ship there's going to be some drop shipping there's going to be some automation time behind there where it's running on its own and the third part is scalable all scalable it means is that you grow without doing more work okay so that means practical the practical example is like you create one video that you could send to 20 prospects that's very scalable but you having a coffee meeting with one prospect is not scalable so when i learned this i avoided all phone calls direct phone calls i avoided all coffee meetings instead i focus my attention how can i create one video and get it out to 20 of my prospects that's the idea so again run it through again virtual that means you run it you run your you run your work from your bedroom uh with no nine-to-five schedule it has to be automated so it's running on its own and third is you cut down on those one-to-one interactions and i fell in love with these principles and i started applying them and the result of of it is what i'm about to share with you guys um i've been able to serve across seven different law firms over 7000 clients just for one of my law firms i have over 2000 google reviews every single one of these reviews is real and by the time you check this it'll probably be more and it's all result again as a result of all the funnel stuff that brings in the clients and then having the automation that takes care of the clients on their own and to this day i don't i haven't done any legal work at all in the past two or three years it's a it's a it's a dream come true it is completely possible and i want you guys to kind of have that vision for yourselves as well i've also been able to receive this this award the click funnels to comment club award which is awarded to people who generate at least a million dollars online using these funnels and i was actually the first lawyer who was able to get one of these awards and since then i received the second one and the third one is about a is a month away and you know it's kind of replicating the same kind of process over and over and i've also been able to kind of uh spread these messages trying to get out and saying like it's such a better model to kind of have this virtual law firm model and my mission is to kind of empower other lawyers to kind of have the same lifestyle um so my story why automation is necessary i think these days automation is completely necessary because as time goes by and as we grow older time becomes more and more valuable so if you find yourself doing the same things that you were doing a year before that's a that should be a huge red flag for yourself that that maybe you're not growing as as well as you can be you always want to look for opportunities to be able to hand off or use online tools to take those tedious tasks off your hands and the more you do that the more money you will make and what i share is time is money so if you spend less time with automation you will make more money i kind of had this it's kind of like a mindset shift like what can i hand off it the more i can hand off the more more money i will make so have that mindset one of the tools that's that's integral part of this automation is zapier um it is a very it's the most popular automation tool um i think they're also about to go public let me just inside information if they go public buy buy their stocks because um anyone who uses their tool is kind of stuck with using it so what that means is it's very sticky and usually usually means it's a very good business model so let me just say it buy their stocks when it comes out so the way this up here works is when this happens do this okay so it's an if and then kind of statement i'm sure we learned this in law school that's the same way it works when this data something comes in mr zapier i want you to do this okay almost clear on that so what are the three ways most common ways that you can automate your law firm with zapier the first one is when you get new incoming leads okay a lead comes in either from your website from your funnels software that i use click funnels for that from facebook if you do facebook lead generation which by the way is a great source for getting clients um kindly if you get scheduled bookings from your prospects or if you have a crm or anywhere else where basically somebody who is not a client yet and to become a prospect that's the first source first trigger that you can use to start the automation okay new incoming leads second one is i would say new new incoming clients or payments okay if you have a service you usually the beginning of that relationship that you have with clients is usually payments that usually comes from stripe or paypal if you guys are working on a contingency that usually works the start of that is usually we get the retainer agreement signed so as soon as the retainer agreement is signed i want you to do this and the third one is new incoming intakes so after they become your client usually one of the first things we all have to do is to gather that information from them you should at this point you should not have to get on the phone or get on zoom to get those questions answered there are a lot of online tools a lot of different online tools such as clio or the one that i use it's really easy john form that allows you to create an online intake very simple online intakes where you just send the link you either email it to your clients as soon as they become a client or you text it to them and they just go through this intake for you to gather all the information that you need up front and you want to be over comprehensive up front so you don't have to go back and forth you don't have to keep saying hey what happened to this what about that get all those documents up front and get all the information up front okay so again new incoming leads or when somebody signs a retainer or makes a payment or when they fill out the intake those are the typical triggers for zapier integration bonus is that also if you can be mindful that if you get any any type of information from anywhere usually when it comes to marketing or your clients or leads or anything any kind of data you always as a one as a back burner as kind of like your backup you always want to save that information into a google sheet because the more data that you have that you collect over time the more you'll see patterns of exactly who are these people who are they how can i serve them and you can use that information to kind of uh continue optimizing your your law firm okay so be on the lookout anytime that you get any good information put into google sheet so it's there so it's stored and you won't lose it all right so that's pretty clear pretty easy okay so how to use zapier so let me show you guys so this is zapier i'm actually i'm on the highest plan of zapier and i'm i am i max it out which is crazy so i'm at i have about five days left i've i've automated 46 000 automations and i you know i did get to 46 000 because i do it for um i set up these automations for my own law firms every single one of these are different law firms or different clients that sometimes i work with um and you know each of them are more or less based on these these three that i share with you guys so let's create one and maybe we'll just do it as yeah we'll just wing it so create zap that's where we start and the first thing is always the trigger so where do you want the trigger to be so let's just make it up i want to say that every lead that comes through my funnel which is basically click funnels i want you to text it to me for example so my trigger is click funnels the trigger event basically what you want to happen oh what do you want the trigger to be so whenever there's a new contact in click funnels continue then you will have to select your account if your account isn't established you basically have to give um access to your account to zapier so i have my clickfunnels account here i'll choose that click on continue then it will choose basically which funnel or what what you know whatever it is so i'm going to say hey any of the the one that i have is a business my business funnel the final step is my landing page continue and now once you create your your trigger you want to test it to make sure you get you actually get that pull out that data so we got that data this is capturing their the prospect's email address and we click continue so that was the trigger where every time a new lead comes through the business funnel now what about what i want to do with it so there's a couple of different things that you can do with it so let me share with you guys right here and then don't worry about these notes you guys don't have to write it down i'll share with you guys these links let me actually put it here's the document for it i'll put in the chat right now that's the document that has all the notes and screenshots and then this is a video um that goes into the detail of how to set it up exactly but i think again i just wanted today just to show you guys concepts and then uh the technicalities of it i'll show you guys even if you don't you don't have to set up yourself maybe you can get people to do it for you i'll show you guys how to how to do that all right so a new incoming lead comes in what i want to do is i want to add the lead to activecampaign to receive automated email series okay a lead comes in automatically i want to be able to send them maybe likes 10 emails the next three months that automatically comes from me that says hey i know you have this problem i could help you okay so that's activecampaign that's another automation tool that's very integral next what if i want to notify my team or myself that this lead came in okay so pi it's a very or whatever whatever it is that's very valuable you want to call them right away then using twilio and you have to kind of set things up intelio first to get that phone number intelio once you get the phone number then you can use twilio to text the lead notification text it to your phone to say hey this lead just came in other things you could do is you could text the lead if you have if you collect their phone number somewhere you know through the funnel to the website whatever you could also use ring central or sales message to text the lead so right here when you select an action you're going to select rings ring central for example and you're going to go through the motion okay so what i want to do i want to send the text which account i'll just say this account and from one phone number so and again this is all these things are relevant for that for that tool so this one i wanted to be from this one number okay now the question is to what phone number and that's where the zapier is is useful is whatever data that you pulled in here then you'll be able to map it to this so your phone number this one actually yeah this is actually the phone number that i wanted to be texted to so let's just say i want to text it to my cell phone and then i want to say hey new lead is what the text says and now it's pulling out data from click funnels so i wanted to include the the prospect's email and if i was capturing the legislative phone number then their phone number will show up here and that and then once i set this up i'll be able to kind of test the trigger and it should come in yep new lead i don't know if you guys be able to see it in the camera but new lead we pretty much got triggered and it came in okay and then next thing i want to do is i also want to add to sheet to google sheet so a good way to keep track of your leads simple way is just to add them to a google sheet even though you know i'm tech savvy and all this stuff i still use google sheets as my main crm it works it's great it's all in one place anybody can use it i don't it doesn't it's not clunky it's simple straightforward so for all you guys from now on if you guys don't keep track of your clients make sure to keep track of them if you don't just keep it uh keep track of them in google sheet i keep on track i'm there and i create columns where i basically tell my team hey when this lead comes in i want you to do this and when you do this then update the lead statuses to say yeah i reached out to them and all this stuff so that's that next new incoming payments either come from stripe or paypal or if you get let's say a uh your retainer agreement signed then you want to maybe send a message inside your slack which is basically your internal team communication tool to notify your team hey this retainer got signed or this payment just came through go ahead and start the process or you could you could text it to somebody or you could add that information to google sheet or you know whatever you could take that data and maybe add it to add it to a pdf with pdf makers so many different things you can do with it next one a new incoming intake comes in either from clio or job form or from wherever then you connect it to you know pdf software to fill out the pdf um you could send you know a select slack message you could text it or do whatever you want with it so the idea is again you're taking whatever data comes in what do you want to do with it now so that you don't have to do that okay tedious stuff and again don't forget to always add that into google sheet so the two links that i share with you guys um is i would i would recommend all you guys to watch that one the second link that kind of goes into actually shows it's a little bit tedious but again just first think about what what what do i want to automate come up with that then all you do is just mess around with it you just you set up your trigger and i think it should be pretty self-explanatory as you're going through the steps of okay what i have to do the important part the only confusing part another i think about it is just this mapping idea okay so whatever data that you have here you map it to here so you're pulling out oh i want the email address here so here i'm going to say email is this phone number is you'll be able to search for it phone you say it and this is maybe the name okay that's like this is probably the hardest concept as long as you're just mapping it and that's it pretty much that's zapier um i would yeah i would just say go down this list you guys the first thing i gave you guys um it's here let me just show you guys all this is here kind of see you know uh what you want to do is go to file make a copy make a copy for yourself and then be able to make your own changes um you know right around it write your own ideas and then if you scroll down you'll just kind of um there's screenshots of me kind of showing us how i mapped it except if you guys do get confused any questions before i move on to other useful stuff does anyone have any questions i have one question about the documents or maybe you'll touch on this like say you have an intake document like say your retainer agreement for example do you have that retainer agreement so that it instantly sends to them and then they can instantly send back or or like other intake documents so so what's the trigger oh okay so the trigger maybe would be that when they maybe when they when yes you mentioned like like say says you have a new document signed [Music] that would go okay well what about if i don't know like jennifer i know was was trying to do this with cleo like say okay i know say somebody wants to sign up for a consultation and they sign up on your website so they sign up yes i want to book it say you have your calendar they book it but then you want them to fill out that intake form is that something that you connect that zapier connects something else and what do you use for that sure so the trigger will be your contact form from your website whenever that comes in they will get an email from you okay so your action will be gmail or active campaign okay which contains the link to your intake it says hey i just i just saw that you know you need this the first step is to fill out this intake so as soon as you fill out this intake i'll be able to give you a call and you know qualify your case for you so that that's how it works and then the email will contain that link and then uh automatically will immediate to them and then once they fill it out as soon as that intake is signed or filled out then you get notified and yeah you took it from that point very cool we get access to clio by the way for free so i think most people use it but then it doesn't have that automatic document there's like ways to build it but we heard that it's easier with zapier [Music] was that a question i was going to ask uh are these like are a lot of these third-party programs uh uh like subscription based you have to pay for them right yes okay most are so this is this is this definitely needs to be addressed because i see a lot of lawyers struggling with this don't let the cost of the tool ever ever ever hold you back from signing up for these tools i can tell you hands down 100 of these tools are worth it if you use it if you don't worth it you don't then not worth it it's like the gym if you're gonna go it's the best money you'll ever spend if you don't go you probably shouldn't be buying it so the the practical level is you sign up for always on a monthly first month is always monthly rule of thumb you try to use it in your first month and if you see that you're actually using it then the second month you sign up for yearly and i can tell you with from using 100 tools i've never ever lost money from a tool that i've used so as long as you use it it's great um you know the the value of the software sas is they're able to bring down the cost um because it's a scalable product it's a scalable thing because they already created the software so it doesn't it doesn't cost them more to bring on another user but the value is so significant that's why you know netflix subscription is 12 bucks for unlimited movies like what that doesn't make sense it's the same thing so yes just sign up like pretend like it's free give yourself like 500 a month free unlimited disney pass for yourself to be able to get sign up for any tool as long as you use it just go for it any other questions have a lot more everything i had a quick question excuse me are there any issues with um just screening or sort of vetting clients i mean what if you get the client from hell that sort of signs the agreement pays you and now you've got this you know you're in this relationship and you find out after the fact like oh my god if i had screened or talked to this individual there's a good chance i wouldn't have signed them up so i just wanted your thoughts on those type of issues sure so you'll always be able to qualify them before you talk to them so the way that i qualify my leads is in my calendly meetings i ask very specific qualifying questions what's the problem you're having how soon do you need this are you looking to use the lawyer to to do this um so that's where you're able to qualify them and a lot of lawyers don't realize they could cancel meetings i don't understand you don't have to take on meetings with everyone you get you see you review their answers and if it doesn't match with your style cancel and be like i'm sorry i can help you or maybe give them a source um you know give them a source for them to you know be able to review um so that's one place second is that's where you do your comprehensive intake kind of gathering up front from that i guess you still have a decision to make you don't have to take on any clients that you don't want you know so yeah take advantage of it all right so what else could you automate the the one that it's really really a big one that takes most of our time is emails who's who gets who gets who spends more than three hours a day answering emails yeah okay i used to go from answering um emails for eight or nine hours a day to not answering emails on average 15 minutes a day um and sometimes i don't even check my emails maybe i check it once every two days at this point so how do you do it so first of all it is possible it's completely possible i just have to work on it um and the way to work on it is um one is you gotta structure your email inbox you might just fill my email so you guys could see how structured everything is so first is you these labels on the left side you have to create for yourself you kind of have to create the structure of like what divisions are there um you know what are the different types of emails that i get i could send you guys a screenshot of these to get or just go through it you know billing calendar stuff calls different things whatever it is so that's first you create these uh labels next is you create rules which is basically how you tell gmail hey every time there's an email that comes from this person or every time an email has this subject line or if this email mentions these words this is what i want you to do with it okay so let's just say every time i get an email from bob at ll.com what you do is you click on this upside down little carrot click on that this is where you kind of create the parameter so there's three parameters that i use again from or if the subject line says certain thing let's just say it contains the word billing or if the uh if the email mentions the word billing okay so i create the parameter based on that then i click on create filter and now you tell gmail what you want to do with it so the first thing i always do is i skip the inbox and i want it to be in my main thing i wanted to automatically go to that label that i created so one of these labels so label it as billing and never send it to spam and i create the filter and i do this over and over and over it's not just that one time that i sit there create these rules as i'm getting emails if i know i'm gonna get an email like this again in the future right then and then within like five seconds i go create this rule and now i probably have like i don't know how many rules i have now 500 of these rules uh that i built over time um and automatically you know it does it basically sorts out the emails and then when you have virtual assistants or employees or whatever then be able to create rules for them hey every email that comes under you know calls that i want you to do this with it every email that says you know google lead do that with it so that's how you kind of create the structure and then give instructions to your team to handle that's one aspect of it second is there's this cool little tool called mix max um i kind of really kind of came to this problem when i was kind of i would repeat uh i was copy and pasting the same things over and over i basically had i'm sure all of us have these documents that have you know one central place where you're copy and pasting stuff because do that you know you have one place okay so i you know six years ago i kind of fell into this into this tool called uh into this tool called a text where it allows you it's called the basically a text expander where you'll be able to kind of create um codes to yourself that says hey every time that i type out a semicolon ein1 go ahead and automatically type that out so this is good this worked for me for like a year or two and then until i got exposed to this even better tool called mixmax which allows you to create those templates which i just showed you guys which is basically that just saved text but even better is allows you to create sequences with it so what is sequence sequence is just a series of emails that every time somebody emails me which is usually a prospect or anybody else where i want a reply i always have a rule of thumb to send sequences so that i could automatically follow up with them without me needing to follow up with them manually and i kind of you know again came from a problem where you know i was getting all these leads but you know by the time it was wednesday i have to go back to all the money leads and email them again i'm like why am i doing this over and over this is so annoying so i kind of resolve that situation so instead i just say somebody emails me and says i need an ein i have a sequence for that kind of explains okay i know i know you need an ein it's a little cool little video a video that goes that goes in there i'll show you guys that about that later and then i have the first email and then the second email that says if if email one is not reply to in one weekday go ahead and send them this second email great if that email is not resolved back to you in one week after that go ahead and show them some sign my reviews if that email is not reply back to in two week days go ahead and send them this short kind of personalized looking email if that email does not reply back to you you know get a little bit more aggressive and if download emails and reply back to seven days after you know give them give them your all give them everything give them all the questions you need answered and let them kind of sort it out whenever they're ready so very pretty much over time created all these sequences created these labels created these rules and then basically taught my team gave instructions hey every time somebody needs this go ahead and send this sequence every time i ask somebody asks this question send them this template once i create that kind of structure then as long as my virtual listeners know what to send the emails are being handled the service is being handled you know everything is pretty much being handled just since again it's something they build over time it's not like it doesn't happen overnight it takes you know months and years to be able to do this um and it works it works great i taught this anybody that i've taught this to who's applied it you know it's they come back to me like oh my god you saved me like three four hours a day i'm doing this stuff so um at the very least um download this cool little five dollar tool that's best buy you ever have a text it's called a text and then even better the tool is called mix max mix max any questions based on this it's pretty useful any questions more i just have to have enough voice to be able to do it i'm good so far i have a question um and i'm i'm sorry if i you know i should have done my research i usually do what what type of lab do you practice and how do you incorporate this into the into your practice i mean you know like the actual the actual practice the actual i i can't talk right now so i think you know um so i do business one of one of the ones that i do is business formations but this could be applied to any type of law so a lot of times when i share these things you know a first night comes to people's heads well maybe it works for you or maybe it works for services or maybe it works for this and i can tell you being in this field and seeing it all and seeing growth from people is that all these concepts could be applied in some shape or form for everybody so it doesn't matter what it is as a follow-up to that question um the firms that you you know set these things up for about how many clients do they serve and do you know the size and how many attorneys they have i usually set up their funnels so they start getting leads and it sounds weird but anybody that i work with like let's say 50 to 80 of their workload comes from my systems and then i would say it's it's time it starts off with like 30 clients a month and it grows from that so i have some clients who get up to like 100 for the clients a month systems i have a question i have um a problem i'm trying to sort out right now i had an a client interview form that i had created a pdf i had someone create a pdf a fillable pdf and now i go great i've got this beautiful form i want to make sure i get it to the client but it's a lot of personal information i'm in criminal defense especially so i say i should probably have this going through my case management system to them if i'm going to send out an electronic form now i don't know how to um get these pdfs and i'm assuming i'm going to have more i'm gonna have a lot of different kind of forms how to get that linked up with my case management system and a lot of people keep mentioning zapier zapier and saying that that's my might be what i need to do do you have any suggestions fortunately security and those ethics issues are not my forte um one thing i could come up with is maybe pass or secure the pdfs before you send them but yeah that's not my offer take really i guess i meant more um not the the ethics of it but how to get the information from the fillable pdf if i could have it zapped to the my case management system so i'm totally not tech savvy so no worries um the data you already have the pdf filled out and you just want to take that data and take it out and put it into my case without having to use any of their forms if i have my own forms i want to create and i want to have that data automatically entered how did that data come in the pdf in the first place from the client to me so they filled it out like so they're just preliminary information okay great i figured out for you so that's where you use either clio or one of these foreign builders like job form for example business intake every time i get a client they get this hey it's samulai business delivery for entrepreneurs i'm gonna ask you a few questions because you're starting your business um they filled this out what's the name what's the name of your business et cetera sorry i'm like losing my voice and i might have to cut it um but this information will now be added to wherever like basically using zapier thank you sure uh i can i chime in uh to try to answer lisa's question also i think in my case i also use my case right now i'm going to switch to cleo though but i think my case you can um there's a feature where you can create a document for your firm and and then you can probably i haven't done it myself but this is how i imagine it works similar to cleo probably has this feature also where you can just generate that document so you'll have like a like your intake sheet let's say and then you can just send that intake sheet to your client to the client or the potential client and then when they fill out that intake sheet it will populate your like client profile in in my case does that make sense i think that i think my case has that feature i haven't fully looked into it but i've noticed it um maria i would love to come back and contribute more i just have to i have to cut a shirt yeah i think i think so i feel bad for you that yeah i mean i really appreciate that you did as much as you did but we can definitely do a part two
