the problem with most organizational charts is that they only show the internal structure of the business they don't tell the people within that structure how decisions are made here's what an organizational chart is it's a visual representation of how a business makes decisions so in a nutshell your organizational chart should be a decision making machine for your construction business owning and operating construction business without this decision-making machine is like trying to build a project without a set of plans sure it can be done but it will come at a cost you'll waste time by trying to solve problems on the fly you'll waste money because mistakes will be made which in turn will increase the inefficiencies of your production so think of the organizational chart for your construction business as the set of plans and the scope of work for your business the hardest part of designing your organizational chart is knowing where to start so i've given you a sample org chart in the article that i wrote so depending on where you're seeing this video there's a link in the description below or you can head on over to my blog at seanvandike.comblog and download a copy of the sample org chart now your org chart is laid out in two axes the x-axis and the y-axis the x-axis represents the divisions of your business and the y-axis represents the roles within your business the divisions run horizontally and the roles get stacked up vertically and that's how we're going to build this out so back to why you need an org chart if everything depends on you the business owner then you will remain the bottleneck of your organization if you want to remove yourself as the bottleneck then step one of creating an organizational chart that actually works is to define the divisions of your business most construction companies have at least three divisions operations administration and financial now you may have more than that's fine but let's stick with those three for the purposes of this video if this is the first time you've ever attempted to create an organizational chart for your construction business then don't worry just keep it simple list the divisions of your construction business along the x-axis and then define them by how they serve your business for example operations i would define that in how we produce the work the product or the service define administration is how we coordinate communication between the divisions and the financial is just how we measure profitability of the business so that's step one define the divisions now step two before you start stacking up all of the current jobs in your construction business within your newly defined divisions you need to create one more layer of organization along the y-axis of your chart along the y-axis you want to determine the roles within your organization roles for your organization might be executive director manager lead support or entry levels and here's a pro tip roles are not the positions that comes in the final step the roles to find the responsibilities of the individual positions so here's some examples the executive role is defined as responsible for the successful execution of that division to achieve the desired outcome of the business so an executive is basically the owner of the division and like i said before that division may be operations administration or financial the director role well they're responsible for leading and supporting the managers within a division that leads to the manager role they're responsible for communication and coordination of the various teams for which they are responsible the lead role well they're responsible for leading team or teams to produce the work and training others on the teams the support role is going to assist the leads the managers and other personnel to accomplish assigned tasks to achieve goals and maybe your entry role is responsible to perform the assigned tasks and contribute to the success of the team each role in your organizational chart is a level within your organization okay now that you have defined the divisions within the organization along the x-axis you've determined the roles or the levels of responsibilities along the y-axis then the last step is to design the individual positions and give them a name now don't make this hard the name of the executive director and managerial positions will most likely come from a combination of the name of the division and the role so for example chief financial officer cfo is the executive level position for the person responsible for the financial division of the company the director of operations well they're going to maybe report to the chief operating officer and project manager's report to the director of operations the structure is reflected in the names and the names for the executive and director positions are pretty standard across most businesses and you'll probably have some more specific names for lead support and entry level positions and maybe even your assistant positions listen to this these names matter the job titles matter don't discount the power of the job title or the position name in this article i linked to a previous article that i wrote about how having clearly designed job titles helps create engaged employees for your construction business and how engaged employees will make you more money so go check out that article as well okay last thing i'll say before we wrap this up here's the one thing you don't want on your org chart and it comes from this idea hire the position not the person you see a structured and well-designed organizational chart shows how each position supports the businesses operations at each level and within each division but do you know what you don't need on the organizational chart your employees names and here's why names change as your company grows the functional role of the position does not that's the biggest mistake i see many construction business owners make when they attempt to create an organizational chart they think about the people who currently do that job instead you need to think about what the job is what it's called and how it serves the overall business not the person doing that job because you'll end up designing the position for a person instead of designing the position for the business if you design a position around a person and then that person leaves then you're left with an impossible task you have to find another person just like the one that left but if you design the position and list the duties and the responsibilities and show how that position serves the overall business then you can recruit people to fill that position based on their competence and the character that you require you won't have to try to find a new person you'll be recruiting to fill a position a position within your decision making machine positions won't change but the people will so forget the names focus on the position okay let's do a quick recap most org charts are full of outdated and useless information but you can create an org chart that drives the success of your construction business if you follow these three simple steps number one define your divisions of your construction business along the x-axis step number two determine the roles in each division and lay those out in levels along the y-axis and finally step three design the positions and create job titles for those positions remember hire the position not for the person they're replacing an organized business is a more efficient business you'll experience fewer inefficiencies increase communication and you'll have happier employees your organizational chart should show and tell your employees their roles and their responsibilities and how they serve the overall business and most importantly your org chart will answer the question all of your employees want to know what's next the
