hey everyone this is awesome wakashi from Z ideas today I want to talk about that the CRM systems the client information management system that we've been working on uh this system is developed for nonprofit organizations and then this is just one of my clients that uh we've been helping uh it's called Center of Ottawa so they have a client who have a failure uh who uh lost uh kind of speech Mobil uh Speech ability uh because of the stroke and then some accident and then this organization has been helping a lot of people so just like any other organizations who provide services to the community uh they have their own intake process and then the first step uh the client or applicant they have to do is fill out the referral forms and here's the instruction so first download um their referral forms and the referrals will be accepted from healthc Care Professionals Community agency family member friends or people with a fure and they need to fax and complete referral forms to uh this fax number or send by mail because uh it's uh it's very the information is very confidential so they cannot really email uh to the center so whether they have use facts uh or um they have to actually deliv to to the center physically right and here is a referral form let me just click that um so this is a fillable PDF but there's lots of information they have to fill out and then um at the end uh the referring person uh have to uh put the signature and then print out and send a facts right so here is the um kind of workflow uh this is intake process the old one so the doctor or referring person uh sit with the applicant or patient and then fill out a referral uh PDF form and then the doctor or referring person uh put the signature and also applicant put the signature and then send it to uh via fact to the center here and then they approve it now this is a part really time consuming so the admin or staff at the center manually input the information in the Excel file so that's how they can manage uh the client information it's very time consuming so that the solution we came up with is using uh CRM the client information management system and we digitize everything so uh we built online referral form uh with signature functionality and then a doctor or referring person uh after they fill out information and they put the signature or digital signature and hit submit okay and the email notification goes to applicant or patient or client and then uh he or she can put the signature and then submit again now that another email notification goes to adamine at the center and then whether and then she or he approve it and just one click and then goes to to the database okay so I just show you quick demo here so this is the old PDF and this is new online form so this is a referring form okay so I filled out partway so name um and then based on uh date of birth uh of course it generates the age okay and put uh address and phone number uh email address there's lots of information here so for this demo purpose I'm going to just skip uh uh some of the some of the the field here and then at the bottom here so referring person uh has to put the signature here so now hit the signature button and then put the signature here and then save it okay and actually uh you can use this QR code uh if you don't like to use Mouse uh you can take a picture or scan with your smartphone and you can use your finger to uh put the signature with your smartphone this is a really nice feature we built in all right so after we reviewed everything uh looks like I cannot really submit here probably I'm missing some field that I have to put in okay here we go so so this is referring information here and then professional uh appliation here okay so I have to pick that so it's going to be family physician and this save now okay so I should be able to submit that so I hit submit okay so I got to just uh extra security here I'm going to put the capture okay so uh the form got submitted so hit okay now so I got the email notification here uh from the system so this is Dear Lisa more so that's the physician so family doctor here uh who refer to the person okay so this is an email just saying that okay so the system kind of acknowledges that uh it received her referral form okay and then here is the email to Henry this is applicant or client okay so the system uh sent email notification automatically now it's his turn to put the signature so here is a quick callede AC button here so click that and then now Harry review this information and then once everything's okay and then put the date today's date here and then signature and then now he can put the signature and save it and go hit submit okay here we go now I got so I'm ad me or staff at the center here so it says Dear staff so the new client Henry Tanaka application is submitted and they need your attention so click uh please click uh this below button and then review it okay so now just review that and hit submit so now you see it was new referral and then now moving to active intake so here is the kind of process okay and then once again and confirm so now that's done so now I'm going to log into the our CRM system as admin okay and here is the system let's open up okay now Harry Tanaka information is here okay so let's take a quick look and here's all the information here all right and then we can also change view to I personally like this uh grip view or List view looks like a spreadsheet I prefer looking like this and then just click double click and they they can see a uh client information quickly and then uh here's another form here so if he comes to uh one of the sessions and then he has group charting and then hit add new data and then automatically uh his name um data of birth are filled out and then they can start filling information when he comes to um our program or session okay so once again so this manual process um it took them long time to process client information but you see so this is just the one uh one of the process the workflow we developed is uh this is just intake process filling out the referring form and then made it online and automatically just with one click and goes to uh the cim in the database
