alessi here with real office 360. so we are releasing a major product update and in this video i'm going to be walking you through what you can expect from your crm so right off the bat you're going to notice that it looks a little bit different than what you're used to so we've increased the contrast between the background and what's visible in the crm so you're going to notice that it's a bit easier on your eyes across the devices that you use to access it and on the top you're going to notice that you no longer have the nav bar there instead it's over on the left hand side here on the top instead what you have is a global search bar so you can use it to search for contacts deals notes or properties across any page that you happen to be on and the page that i'm on right now is the dashboard which is new to this version so it gives me a bird's eye view of what's happening in my crm so over here i have the contacts so it shows me how many i have in my database as well as how productive i'm being across my activities i can see my pipeline and get a really quick view of my funnel so i can see how many deals i have per stage of my funnel as well as the expected sales volume over here i can see how i'm tracking against my goals so far so up here i can see how many deals have been completed and down here i can see so what my goal is what my sales volume goal is and my income goal and you can click on the edit button to specify these and if you're looking for the income calculator that you're used to from the previous version you're going to want to go to the advanced setting and you'll still be able to access those fields and customize and of course i also have my schedule where i can see what i have on the docket for today as well as the next seven days over on the contacts tab so on the actions menu i can now generate my mailing address labels for printing right from this page rather than having to navigate elsewhere in the crm so you'll be able to do that very quickly and easily and of course you can also set up your lead capture customize your groups export your contacts and set up your import right from this menu here i have a filter ability here where i can search any field that would be contained within a contact profile and get my results showing up for me here i now have some more multi-select and act functions so i can select multiple contacts here i can choose to star or unstar them so you can use this function if you want to denote who your a clients are who your hot clients are who is you know who do you have transactions with right now however you wanted to note clients that you really want standing out to you in your database you can use this function here and what it does is it shows a star icon and next to their initials and also where it says all contact types i can quickly filter to show my starred contacts so you can make sure you're really focusing on that a list or starred list of contacts i can also use this multi select to group multiple individuals at a time so whereas previously you could only group one individual at a time you can do this much more quickly and efficiently and i can send an email to up to 20 individuals at a time now if i select two individuals i can still merge right from the contacts page rather than going into the profile itself and you're still gonna have the sorting features so if there is a particular column you want to sort by so for instance groups or tasks so any of the columns here you can choose to click on the arrow to sort by that field now for the contact profiles themselves so they look a bit more streamlined than what you're used to seeing on the left hand side though not too too much has changed so you can click on the camera icon to upload a profile picture you can select any of these buttons to perform those actions for the contact info these are all clickable fields so for instance if i wanted to add another phone number i could click on the phone number and access the ability to add another that way and this applies across the fields for instance for email addresses as well over here i have what groups this individual is a part of i can see where they were acquired from the family tab has moved to this side of the contact profile so i can click and make any changes and indicate the relationship to my main contact and you can also now link contact profiles so if you have partner spouses roommates whatever it may be that you want to maintain separate contact profiles for so you can go ahead and do that and now you can link them together so you can link an unlimited number of individuals together you would search for them click link and once you do so you're now going to notice that they are available on the left hand side and you can actually navigate to that contact profile right from the starting individual's contact profile in the middle so these are your different tabs for your contact profile so in my activity tab for instance i can see what i have upcoming and i can also see past actions that were taken with this contact so if it's a logged call and note and of course you can navigate to the individual tabs if you want to find something specific as well so follow-ups have changed to recurring reminders so you would click this plus button here and you can add a follow-up also birthdays home anniversaries wedding anniversaries um you can specify how frequently they happen as well as the date and they will be scheduled right into your schedule for you as reminders the pipeline deals so these are my currently active transactions that i have ongoing and past transactions are any completed one lost archive so any of your past transactions are going to show up here for owned properties so now when you add in a property so of course you can select a property type from this drop down menu but if you're selling something that isn't listed here you can actually manually type that in and save that in the system and customize it that way so moving along to the pipeline so of course this is still your digital pipeline you can drag and drop individual cards as the transaction proceeds along your funnel and you can also now actually reorder the cards within each uh stage so if you have a preferred view that you'd like to set up you can do that quickly by dragging and dropping and so your tasks are still accessible at the bottom of the card now this section has changed a little bit so you can type a new task here you can click on this drop down to access a menu of suggestions or what you can do is if you have a set workflow per stage you can actually very quickly put it all on and schedule it so by clicking on the apply task workflow so this is my workflow for a transaction of this type and at this stage so for sell deals in the active stage this is my workflow so i can actually schedule it all from this screen and by clicking on advanced options i can access more options so i can say if i want email notifications for that particular task or not i can set the time that the task is due and also change up the day so you can go through and customize the workflow for each deal type and each stage by clicking on this customize my workflows button so what it's going to do is it's going to take you to a settings page and the task workflows is where you're going to be interested so this little matrix is what you would use to specify your workflow per stage so here is my type of deal so a buy deal lease other or sell and this is the stages in my pipeline so if i want to for instance specify what should happen for an active buy type transaction so i'm going to go to buy and i'm going to go to across to where it says active and click edit workflow so you can delete any items that don't apply you can add them in and then this number of days so for instance if you have a new lead and you know that after two days you want to make sure you do a follow-up call so you can actually schedule that right in so you know for instance your showings day one happens five days after um you initially scheduled something in and so rather than having to go through the calendar and always specify the dates um this will automatically be done for you so you have a level of customization available for you there that will really save you time as you go through and schedule your tasks for each stage of the pipeline so you would go through you can fill in this matrix and once you do so when you're on your pipeline if you are on that stage when you click apply task workflow all of that's going to show up for you and again you can really quickly schedule that in and so when i was saying number of days so here i have everything at zero days so it's all scheduling for today's date automatically for me but if i had said my arrange key drop-offs is always going to be five days from you know closing or whatever it may be then it would show from today plus five days from now so that's how that would work you can also now export your currently open transactions by going to the actions menu here and you can say export pipeline so it'll give you a csv file that you can open with any kind of spreadsheet software so for instance excel or numbers and um you'll be able to see all of your currently open transactions that way you can also set up lead capture customize your tasks workflows it's going to take you back to that page i was just showing you you can rename your pipeline stages and also edit your deal types now moving along to transactions so this is just what has happened in the current year and so i have some past years data here so the year options are going to show where i have a transaction in the past that happened so i can always go to those if i want to see what happened in a particular year i can sort by deal type i can also export my transactions i can go to my goals which is going to take me back to my dashboard if i want to go ahead and set them and of course you can edit your deal types from here as well so i can really quickly see what the status was whether i won the or essentially completed that transaction or if i lost it i can see client information property address type price and commission now on your schedule this is of course where i'm going to see what i have upcoming as well as any reminders so you can switch your views to your preference and so this is what a reminder looks like so i have an individual's home anniversary coming up so it is going to show up as like a little flag reminder whereas my tasks are things i can check off and complete as they are being done so this is what an individual crm profile looks like we are also bringing you teams accounts in this version and so everything that you can do in an individual account you can do in a teams account sorry i'm just going to load my team's account so i'm going to show you this so on your team's accounts your crm looks very similar to the individual account i was showing you except now there's an additional icon here and this one says team members so when i click on this this is taking me to my team so i am the admin of my team so i can add individual members um i can look up you know who else is here i can see who has accepted my invitation to a team versus this team member still has a pending invitation and you can filter and also remove team members as well so in the dashboard it still looks very very similar some differences is here in the pipeline i have two transactions in my funnel so one active and one conditional but you'll notice when i go to the pipeline itself there's more going on so my dashboard is showing me my individual so my initials are av so it's showing me my active and my conditional transactions and i can see my other team members also have transactions on the pipeline but my dashboard is going to show me my individual data and it's going to show me how i'm tracking against my personal goals and then on the schedule i'm going to be able to see my tasks as well as the next seven days so the pipeline is going to be different but everything else is going to still look the same for contacts i'm going to see all of the team's contacts pipeline again i'm going to see um what is on the funnel for my entire team if i only wanted to see my own transactions i now have a filter option available where i can only see you know i can choose to only see what's been assigned to me or i can choose to see the entire team and so these views are going to be available to everyone on your team now when we went through the task workflow earlier so that's still applicable on the team's version but of course you know you might have two different realtors working on the same transaction or an administrator helping out so when i go to advanced settings i can now choose who i want to assign it to so for instance i can assign it to myself i can assign it to a third team member so it defaults to whoever kind of owns that transaction or is assigned to that transaction but the individual tasks i can divvy up across my team again all just from one screen and another thing that's going to be different is your schedule is going to look different so i can now again i see my initials so i can see my whole team's upcoming tasks and again you can filter by assign me so for instance i only want to see what's assigned to me i can filter that way so you have the ability to collaborate with team members and set them up to be able to access your database to collaborate on transactions etc so in terms of teams plans to access this you will need to upgrade your plan to be able to get this view and then once it's been set up there's going to be one central payee and so it'll be that pays responsibility to add individual members and um just to be aware that for each member a new seat will be added on to your billing so that's the general gist of the new version we're
