what are the six main things you need to have as a successful real estate agent in a crm let's talk about it what's up guys louis gold welcome back to the channel today we're talking about crms and before you switch off because it's so boring just know that a crm could make you a fortune if you use it correctly so you know i never used to use one and i'm a bit of a space cadet really so staying organized is very very difficult for me if i don't have my google hounder if i don't have my crm i don't have a couple other tools like i'm a nightmare but if i have these things telling me what to do and working on my behalf it's off to the races so with the crm there are six main things that you're going to need if you're picking one if you're looking for the first time for which one to use make sure you have these six things before you purchase it so what is a crm a crm is a customer relationship manager it's basically where you store the data of your leads or your customers and clients and then from there you can use that information to market in different ways to send things out to do whatever you need to do within real estate so crms come in all different shapes and sizes you can get them from super cheap that don't do much at all to really expensive ones that actually don't do much at all and some in the middle as well you want to find the right one that is an affordable price but can do all six of these things at least that will help you propel your business forward and i've used tons of them including boomtown follow-up boss compass crm and kvcore which are used now okay the first thing you need is to be able to add in leads manually by yourself now that might seem like a no-brainer but there are crms that you actually can't so if you're under a certain brokerage they might have their own crm which is proprietary and they provide leads and they don't let you actually add people in which is kind of crazy and weird i don't know why they would do that but there are things so you know if you're joining if you're a new agent joining a brokerage make sure that you have access to a crm that you can add in your clientele as well and that you own that information well what do i mean by that well some brokers actually own all of the rights to everything inside of the crm they provide so if you put your information in there or clients information or whatever it is they actually own that and if you left them and wanted to export it all they could actually say no and it's crazy you're like what is that but it actually is a real thing so make sure you vet if you're a new agent looking for a broker make sure you vet that you own everything that you put into the crm and you can take it out whenever you want for instance one of our agents on our team came from solar and brought in a huge database of his past clients and just entered it all into crm and he can get to work on that um but he owns all that information and there's nothing that the company take from him or take anything from the leads and it's all owned by him so make sure you have that okay big thing number two you want to make sure you have the ability to add notes to all of your clients so you won't be able to click on their name jump in and add notes and this is really important because if you're doing follow-up properly you're calling them you're texting them you're emailing them the responses you get you want to be able to drop notes in there and what's really nice if your crm has an app you can you know if you're going on a tour with a client you can just whip that out and put some notes in there as well or if it's the first time meeting the client you can sit down and take some notes on the phone as well i do all the time and it's really really awesome because you can refer back to what the last conversation was or some pain points with them or whatever it looks like so the ability to add notes is massive the next one is really important the ability to categorize people and add your own categories to people so you know you want obviously buyers sellers maybe you want investors maybe you want agents uh lenders whatever so everyone that goes inside your crm you can categorize them into different things so if you just want to send out you know something to all the buyers you would just buy and then you just send it to them you know so it's really really important to be able to categorize them and also into you know where they're at with everything are they a new lead are they in your sphere are they a past client you know because all these things dictate different actions from the crm you know for us and my team inside the kv core if you just close the deal click them on the past client it'll go into uh eight year past client follow-up and it will just notify you to follow up with them you know every and 90 days so it's seven days after the close then 30 days then 90 1990 for like eight years so you know different things like that triggers when you put them into different categories are huge to be able to do and it just makes it way easier because otherwise you've just got a list of names and you're like i don't know who any of these people are i'm just flooded with information and i just can't get going so categorize the ability to do that massive okay the next one is being able to mass email your entire database it's crazy to me that some crms still don't have this but you know you know you want to send say you want to send out like a happy thanksgiving email or a newsletter or whatever it is you just want to be able to click one button and it will go to every single person in your crm so mass email you know you don't want to overuse this because you don't want to like just spam everyone but using it for like holiday things or if you do like a monthly newsletter or a monthly market update uh those are really good to have just have that template write it in mass email to everyone and it goes out and the other big thing about mass email especially for a new agent is you can just put a mass email to everyone in your database like hey i just got my license you know i'm ready to start going i'm with this awesome team or brokerage or whatever it is uh if you need anything reach out boom and send that out there and you will be surprised that you start to get deals pretty quickly you know depending on how big your database is all right the next one is huge absolutely huge most crms have it but you just want to make sure that it has drip email and text functions so you know drip campaigns are massive most people don't use them correctly but they are really big if you use them properly along with call follow-ups too so drip campaigns are huge uh like i've said in a few other videos we have them all built out for our team i think over 40 different scenarios that you click on so drip campaigns if you're not familiar it's going to be emails and texts that are going to go out to your leads or clients or whatever it may look like and they're just kind of built out over a time period so you know it might go out on day one day three day four days six day seven then day fourteen twenty one and onwards and numbers numbers and the way we do it is we just fill up with value so it's not just like hey what's going on give me a call it's not that it's always a value add inside of every single um piece of text that goes out there might be some little nugget of knowledge or something that's kind of pushing them towards you know getting financed or whatever that may look like so make sure you build a good trip campaigns don't make them just generic most of the time don't use the ones inside of this system that just come with it because they suck and even the ones you know that they're inside kv core they're not for me that with the generic language everything to do it just doesn't make sense so you know i spent a solid week building out all these drip campaigns it takes a long time but it's going to be worth it in the long run because it sounds like me talking or at least it sounds like an agent talking that all my team can use too so don't just use the generic drips inside of there but make sure the ability to do a drip campaign is in the crm all right the last one is tasks a tasking feature inside the crm is massive and again it just keeps you on track of everything that's going on and you have to be able to do this again it's crazy that you can't do it with some crms because it's just that's just dumb to me but you know i use this a lot along with notes and everything else so you know the way i use my crm most people don't use it properly is every single morning i jump in there and see what my tasks are for the day and the reason i look in there is because every single time i have a conversation or a showing or someone wants to do something i set tasks so i go into their profile new task okay hey tomorrow i need to you know update their search to this or friday i need to make sure i submit the inspection objection or whatever it may look like tasks that you have to do and that way like i said i'm a kind of big picture dreamer kind of person i'm unorganized but this keeps me organized and it's just the diligence and the discipline to be able to add tasks after account everything you do and once you get the rhythm of it it's kind of easy because you know before you click out of their name just add a task to do whatever so tasks are huge because for me and kvcor it emails me every morning at 8 a.m and it says hey here's your calls for the day here's your tasks for the day and obviously when i open up kvcor it has it in there too and i just check them off and leave notes as i do it so the ability to task is massive and you will see with all of these different things that the more you just get in there and do the work with all these things and add them on it will exponentially grow your business and all of a sudden you're going to start getting leads leads leads convert to appointments who convert to clients who convert to closings so those are the big six that i would recommend for a crm obviously you guys know i'm partial to kv core i love it um i've been around the block a little bit and this is by far the best crm i've used but there are multiple ones out there that you should explore for your budget you know because some of them are pretty expensive i think kv core outside of our brokerage our team is like 12 grand or something like that i'm not 100 but it's pretty expensive so make sure that it's within your budget you don't have to start with all the bells and whistles just start with a basic crm and there's another crm i use outside of kv core for different parts of my business and it's called crm grow which is phenomenal i'll drop a link below that you can check that one out crm grow is very affordable and it has all the bells and whistles and they're continually evolving all the time which is so cool because it's built for real estate agents the automation you can add in is insane and it is very very cool so i would recommend checking that one out for sure kvcore obviously get free with our
