hello and welcome to all the erp for sport organization talk my name is stephan lutkanov i'm from hello and welcome to all the europe for sport organization talk my name is stephan lutkanov i'm from roots kind of limited we're based in love uk and today i will talk about what is really different when we're talking about sport organization and why so very shortly the content a bit about us as a company of course then we drop in the main topic order for sport organization uh then we'll look at the university proposition the daughter applied when it when it's about the sport and of course two specific sport case studies which will clear a little bit the differentiation between two extremes not-for-profit versus professional organization so who we are the first one so we are company based in louisville university at the arts innovation center and what we do is we work with sport organizational businesses that are related to sport for example wearable control controls technology companies we're building our strong expertise and learning how about the understanding what the businesses from sports side are really doing with day-to-day you know activities and how we can actually help them optimize digitalize those what is really the difference between them in a normal company and so on it might sound quite surprising for those of you who haven't been working with support organization but they operate very differently based on their types of membership and you know business problems they have compared to a normal small or medium enterprise as a company we have two main goals the first i guess the biggest digitalize the sport industry and what we mean is not just creating kind of a website for them it's you know bringing the whole digitalization for all processes they have on the day-to-day work and integrate it completely with order systems the second which is also very important is bridge the sport and the business what we mean by that is bringing the best from the sport into the business world and the best from the business into sport world i'll do for example it fits exactly all the best of the business into the sport world and trying to provide that for sport organization and make their life a lot easier at this single moment we have two main solutions of course we are as an already partner we are offering the enterprise versions and we also have what we call manage community version what we call hybrid where we integrate all the development uh you know implementation design branding and so forth together we call that also hybrid service so it also applies to enterprise license when it comes to that and what we really believe is that when we help a business and we can sell the business then the outcome is actually the process is first optimized and then we provide order as a technological accelerator to what they're already already doing uh could or if not what we'll fix to do better so let's dive in really the most interesting part order for european ldrp for sport organization what's different and why and i think the first thing is to understand a little bit the landscape those percentages comes not just from the uk they come from the european union and they've arrived from country to country in general when you average for the whole european union that will be true uh so loan for profit is the most massive in some countries going up to 80 so you know in average around 60 percent for how many organizations and thousands and thousands of organizations in every single country the same professional they're around twenty percent and the women by semi-professional are organizations that are led or managed by volunteers as well as fully employed people so not everyone inside of that organization is fully employed and then we have professional organization which are full body for government bodies international government bodies including professional clubs in any kind of sport and everybody will think about the professional football clubs or premier league clubs then there is uh others for example running groups uh they're both based one time in the year they do something together they're organized by some other organization and therefore they're still quite large groups but they're not really a day-to-day activity sport organization so what are really the challenges i think the first biggest is digitalization and that means very few organizations really running digitized process and if they do similar to small businesses they are running 20 30 different types of softwares now our goal is actually we want to help them to digitalize all processes to make it very effective and make it transparent for all the key stakeholders the second biggest and maybe the biggest from all the four is security most of the support organization need to comply with extremely high level security policies simply because they're working with miners or you know adult adolescents and kids so therefore the protection of data protection information is needs to be in a very high level and it's comparable to schools for example in the uk and some other countries is quite similar situation the third not least is custom price now many of the non-for-profit also semi-professional organization they are not really capable of investing a huge amount of money when we're talking uh of the size of deployment implementation cost you know customization cost which comes all in advance before actually they're able to move forward so in that case if we don't fix that then we're losing a huge part of those part organizations and the last is management and what we mean by that is many many times um people who manage those poor organizations are quite uh outdoorly and that means they're not really technically based people so they count on somebody who is from the younger generation to help them support but most importantly they need a very clear concern what could it work how does it work and so forth so and we came up with kind of a simple solution on the first part we talked about fully pre-configured all-in-one with integrated development deployment customization you know design cost and more likely anything that they would need to get them start running with all digital's processes in place to be able to do that we've pre-configured odoo so the managed version of including the enterprise to actually fit that to be able to answer all their needs in advance so we you know as far as within the industry we then went in details we describe all the models different business models that they're working and what this means to be pre-configured now the next one is definitely time management and we have a dedicated car manager that we put forever of the projects but it also will require dedicated account manager from their side or person who is the main key communication similarly to what all the implementation methodology does however in some cases we might need more than one depending on where the you know the weakest link is in the other organization and we develop that plan very clearly so we are interacting very differently we don't spend that much time as we normally do in a project but we share the time between both sides so we become very transparent of what's going on but we also give a lot of tasks so they can complete it and get it back to us of course in time so we can complete the deadline the last one is education strategy so everybody who are even non-technical can be educated we also use dedicated people from both sides in that case our like example account manager would educate maybe one or two or three depending on what departments are on the other side specific key people who then educate everybody else with our help of course but we're running away from the model where we educate everybody from the other side we're there to support we're there to help but we help keep people to educate so it really makes sense because they know the business then all the you know the people who are involved and becomes very transparent how the education works and let's move forward and see a little bit about community enterprise and a unique value proposition for model when we talk about sport now um we have some organization coming from you know purely communities so they've managed it on their own they've tried to support it maybe they've had some kind of hosting provider manage the community version for them and so forth there is a massive challenge at that moment especially when we talk about you know security and we'll talk about migration uh customization of that software it's not that easy they need custom apps they need additional functions um in some cases they really want to make it work with a api with third parties devices and it's very challenging and very costly and so forth so we have some some of those organizations moving to us uh from that solution and what we do as a hybrid version is actually providing those additional services on the top so they literally forget about everything what happened we provide the core apps third-party apps back-end apps foreign apps we also give them a design we can help design the website ing to what package there are and so forth we also have one of our other platforms called infinite cure which is a physiological psychological profiling system to be integrated with order in that case for sport organization they pack everything whether it's on the business side and everything what is in the sports side and bringing them together in one single platform that's a really big relief because they save massive amount of softwares and you know subscription fees and a lot of other software and we optimize the process the next level is when we bring those extra functionalities from the enterprise so we when the organization is matured and ready for the enterprise we really want to push it there so we can actually give them the total value of what all you can bring and that value that is quite unique and very very powerful to go through that so what we say is that the native pathway what we see is going from you know kind of a community building into the hybrid and the organization mature then we can move them to the enterprise license of course when we're talking about professional organization organization did a you know a very different situation of course we're talking directly for the enterprise and very different implementation technology or methodology as well um many of the major competitors on the market they have license for the non-for-profit organization that's why we created the hybrid so we can actually be able to feed that back to the organization otherwise it always goes to who offers that kind of license and who not at that single mom and the hybrid is challenging the other structure so we provide the full service and once they are onboarded it's much easier to move them upwards and it's not about the costing license and so forth makes a lot of sense for them and also makes the risk very low so let's jump in two very extreme cases so not for profit which is a very typical case for us so this is a real example let's progress association where there's a five one place there are no volunteers on the top of the organization who is the border director and there are roughly around 12 000 members distributed for between 230 clips um and what they expect is everything almost out of the box they don't use any kind of a very specific custom integration and so forth although we've given them infinite queue or the physiological side support side a little bit on the top but not all the features and if they need only one website which is more like membership management website and and that's it there is very simple very straightforward the education then of course comes afterwards but this is what we call phase one this is what they need now something really different and kind of extremely different is professional football club where there are 50 employees roughly around 1200 members and 1200 members those daily to daily activity involved so the kind of volunteers different academies different things that they're doing parenting and so on they're part of 53 member association and what they need is very very different because they're very you know strict about security they go to the highest possible level of security they need separated event management they're operating three main websites where one of them is only for design and hospitality that they provide of course they needed custom mobile app and maybe more than one and then we're talking about full integration physiologic platforms so all their support system could go in one single place for the purpose of support profiling because of course um very extreme requirements about access rights accessibility extra protection and so forth now if you compare those two um you know you would see the the first big thing is one could be delivered within one week literally one account manager 10 hours very strict very forward customization because everything is pre-configured it works very fast and it's still very low risk factor from their point of view because they don't really have investment because we're putting them on that kind of a subscription base through the year so the cost for implementing the pro and start running is very very low for them and then of course we integrate the infinite queue to some extent uh the professional one is exactly the opposite one so we need a full team of five people around 1800 hours for three months to integrate that with all the customization and everything i was very custom hosting very custom security and of course if you take a look of that is also very high risk for the organization because they're moving from completely different system to aldo for all the education you know discussion with them convincing every stakeholder is is a key so it's a very long process of course very worthy but the bold implementation are completely different so audio is definitely a incredibly powerful business solution which every support organization need to have and that's our goal we want to populate the support world without it we want to give them something that does not exist we want to bring all the support up so wearable devices heart rate higher variability physiological side into one single you know platform that makes it really powerful and that all this is what audio is all about our experience is that if there is one thing that needs really to be successful that's the implementation of the logic if we have it very clear if it's very transparent if it's direct with the customer sometimes they don't like that we're direct and they want everything and we say no that's not possible that needs to be in the phase of our face to face tree sometimes they don't like it but the reality is that if we're direct and successful project and therefore a successful project folder therefore it's a successful project for the future so i would be very happy to see more and more partners more and more uh you know people moving to that kind of uh idea behind it and also providing services not just for the professional big organization but also providing services for the not-for-profit or for you know foundations that they cannot literally afford that but making it possible and still getting the best out of them for the business as well i hope that makes sense thank you very much for the time those are our contacts odo experience thus far we're gonna go ahead and dive into some questions so if you have any throw them in the chat and we'll kind of dive in but one that i'm just most curious for too is what and i'm sure you spoke to it a little bit already stefan but what would you say is one of the best aspects of or one of the most useful features with node to help with running a sports organization specifically so probably i'll start with events but especially the combination between events and project management it's very exciting because honestly as you're organizing right now a big event is very similar to sport organization you need a very good project management that is linked to events and and that's that's a major feature that turns incredibly well for the sport organizations yeah that makes that makes a lot of sense um is there is there something that you would kind of give as a piece of advice for people who are looking to put together their events and manage those projects associated and what the ways that they could harness odoo or things that you think are just best practices that you can pass along our experience at the moment is linked to understanding the specific sport business case because we call it sport business many organizations are very different some of them are really around the sport so it's just purely organizing um and you know selling tickets for free or giving something away which is kind of a not-for-profit and the others are much more commercially organized where the brand exposure is very is very crucial but both of them are similar to some extent but to a bigger extent is very different so our philosophy is consultancy first and then we try to optimize what they're doing in the best possible way so it could be you know 10 different versions how we are going to manage it i guess the key aspect is implementation methodology so how do we actually realistically make that in real life to happen that makes sense that makes sense and this is a really good bridge one of the questions i was just asked about specifically the implementation is just whether that three-month period is it is it combining standard and specific functionalities in that um can you extrapolate on that a little yeah so if it depends on the size of the project but most likely the biggest one when you go to a bigger you know bigger team an organization there is a very different approach compared to a small ones at this moment we have a lot of more smaller organizations not for profit or semi-professional compared to really the large ones so we take out them very very differently on the enterprise level we would go as a typical audio implementation methodology on a lower level we have customized that methodology to make it possible from businesses but also make it possible for the organizations otherwise we're running in a lot of technical challenges delayed in our responses and so forth and um we we could practically make uh onboarding within a week which is you know without that and that's not a big issue in that case most likely is on the side of their you know all the materials that they need to provide us how fast they can respond compared to what we can respond awesome and i think that's another good question just to to dig into a little bit what is when because obviously an implementation is a two-sided event right you're you're leading the services and providing them but is there something that people could be aware of of if you were to say you know this is what makes someone who is the fastest implementation or who is very easy for us to work with or these are the details or information we would need would you be able to speak to that a little bit that's a very tricky question but it's also very important question i think the main area here is that you know from our side there is account manager somebody who is a one contact and of course from the customer will require the same except if it's a really large organization but when we're talking about from being ready from their side with what they want is the biggest issue so if they're really clear about what are the products the services and what they actually want to digitalize it becomes very fluent process we know what to ask and we know how to get it otherwise the first discussion was about you know business sense and what are really the things that they're delivering and sometimes that changes the business model of the organization which is not ideal and you know that kind of a homework could be done in advance but that's also one of the reasons why some of some of those organizations are approaching us uh because they want actually answers of the business side first and then digitalize the processes second yeah that makes sense um is is there anything you mentioned you know the difference in between having kind of the smaller non-nonprofit semi-professional organizations and having some kind of customized even like one-week long stand-up periods and and versus the more enterprise is there kind of a dividing line between the two that you see where you might help people categorize themselves a little bit oh that's that's a very interesting question so maybe you can say it does not matter how big is the non-for-profit organization it matters how it operates i guess it's the same when you go to professional semi-professional it really matters how do they really operate on you know on a day-to-day business level and how well they understand that processes most not-for-profit are very simple even that they could be large like twelve thousand or fifteen thousand members it does not matter the size of the members is much more matters of what they actually do on the daily activities how many internal users what exactly those users are doing which is the same case in the professional but they're the you know some some things could go quite crazy because of security issues i can give example like an organization ask for their accountancy model to be additionally secured out of every single model not just by the default all the requirements but by additional security which is kind of a crazy but it's their internal requirement like example that becomes a technical issue more than implementational issues of course it's solvable but it's not directly solvable got you yeah certainly difficult to just kind of draw like a single line in the sand um definitely understand that um i was going to ask too just i mean you know obviously you have a wealth of experience in working with these organizations helping implement though do is there something that you know to individuals who are running or a part of or thinking of running these organizations is there something that you've gathered just some kind of solid intel or advice to just say you know if there's one thing that i would say do this with your organization that you might pass on to people that wonderful question i always advise go and consult first i mean go really and ask the question we normally will always do the first consultation for free won't be really something that will ever charge because we want to understand and define the problem with the organization and sometimes we'll say no that's not a problem actually you have it's another thing but go and ask because if they don't ask they don't get any solution and some people are very afraid because they're you know you know coming from different generation management is slow and so forth but if they ask they get it cleared and everything can move forward if they don't ask then it always is a is a challenge what is the next step and how does it move forward yeah yeah that makes sense obviously we don't know what we don't know right so being able to clarify that and dig into it makes a lot of sense and if there are further questions keep asking them in the chat we'll definitely pick up on those as well um i'm wondering if you can just kind of share from just your experience something that you've enjoyed most working within the space or the context of odoo that's just made life easier or more enjoyable or simpler something that you could share with us i i really love the network i i was just sharing with one of your colleagues before it's like all the experience and the whole audio network is fantastic and i believe that more and more partners will go to a similar model what we do with the non-for-profit organizations because if we didn't change that model we won't make it possible for them to have order and our goal is to digitalize them but also the secondary goal is how we can actually give the model you know like example and and that's the main thing if we if we have the partners working on those models if we challenge them to update as much as they can i think that's possible and and that means a lot of organizations more than they're using it right now to actually use it not only sports but you know going to all the other not-for-profit foundations that they're out there and they they will have different problems than what we will tackle but they're in the same kind of a situation yeah that makes sense yeah we were just talking about uh you know before just the benefit of the network of odoo and just uh missing some of like you know not gonna do that in person so definitely anyone that's joining us know that stefan would love for you guys to reach out and connect i think that's a big part of this would you just get one more question in i want to go ahead and ask here so um the question is just that the organization is dealing with a non-for-profit organization at the moment and you know really asking about just for organizations that are fiscally on a tight budget who are on a tight timeline like what would you recommend or how can you work with them what what what are some of the ways that you can help in that area yeah so i will start again with consultancy because understanding them makes everything faster but what we've done is pre-configure a lot of those questions i've also will send them a lot of questionnaires we'll prepare just a 30 minutes call which will more likely get it very clear where they are right now and how would we move forward and if this is done within 30 minutes they'll understand how simple it could be to actually get auto and that changes everything because most of them comes afraid most of them comes very scared of a big digitalization and a high risk and they certainly they understand actually there is almost no risk from us you know there is a lot of simplicity in what we do although is a user-friendly environment and it changes the way they perceive it and if we succeed to do that within 30 minutes then next steps is very natural to actually start talking about real life implementation yeah i think that's awesome uh and the ability to obviously do that in a very succinct way and and create some comfort and create you know obviously if you guys can do that in those 30 minutes then that that fear of an implementation timeline certainly should be dissipated for sure um we're just about out of time here so if
