hello and welcome to our pipeline overview video in this guide we'll go over everything pipeline related to start let's briefly talk about what a pipeline is a pipeline is a work process for a specific service so if you do individual tax returns you'll have a pipeline for it if you do bookkeeping you'll have a pipeline for that as well and the same goes for any other service that you offer inside the pipeline you will have jobs which are the individual services that your clients hire you for therefore if someone asks you to do a 1040 return for them you will create a job in your 1040 pipeline you can create multiple jobs in each pipeline both for the same and different client accounts your pipelines will be split into stages which are basically the different steps that need to be taken to reach the completion of the service any created jobs will be in these stages and that way you can easily keep track of their progress you can of course fully customize the number and details of the stages inside the stages you will also have one more thing the automations or automatic actions these are the things which will happen automatically as soon as a drop enters the stage you can click on the blue bolt icon to view the stage's automations for example in this stage a contract is automatically sent to every account whose job is in this stage they will also receive a new tag and have a folder template applied to them and lastly a task will also be created for the team now let's take a look at how you can create a pipeline from the workflow page you can click on the create pipeline button but you can also do this from the pipelines tab in the settings page however from here you can also access our template library in order to copy one of our pre-made pipelines i will do that for now i'll click on the copy from library button and then i'll click on this blue icon on the far right of the template's name to copy it i can then simply open it from my list of pipelines and freely customize every aspect of it alternatively if you are on the workflow page you can click on the three dots on the right of it and then click on edit or you can open the pipeline and then click edit from inside of it let's go through all the settings first up you can change the name of the pipeline you will generally want to name it after the service you are using it for underneath that you have the available to field here you need to add any team members that you want to have access to this pipeline if you don't add them here they will not be able to view or open it next up you have the option to choose how you want all the drops in the stages to be sorted and right under that you can select the default drop template whenever new jobs are created in this pipeline this job template will be automatically applied but you can still change it in case you're manually adding the drops yourself here you can see several toggles these are for the drop cards in the pipelines these toggles determine what you can see in their compressed view without opening the drops here's an example of some drop cards with all the toggles turned off and now all the toggles turned on since this comes down to personal preference we recommend you play around with these settings and see what works best for you next we'll take a look at the recurrences if you enable this toggle you can set up a custom schedule based off of which your pipeline will automatically create jobs for selected clients you have the ability to choose one of these default intervals or create a completely custom one if you need to now let's focus on the stages here at the bottom of the pipeline's editing page you can see all its existing stages and here you can add more delete them or customize any of them to rename a stage you just have to click on its name and then enter a new one after you open a stage you will see all the automations within it to add new automations you have to click on the add automation button which is in the top right of every stage and then choose the type of automation you want to add a popular one is the add wiki page automation if you create a wiki page with instructions for this specific service you could choose this automation select the wiki page and then those instructions would be available within the job at all times it's a great way to make sure that your team members have all the needed information at hand as for the other automations they work in a similar way you choose one from the list and then for most of them you just decide which template you want to use then every time a job enters the stage this template will be sent out to the client account you can add as many stages and automations per stage as you want so feel free to experiment there is also an auto move option if you enable it and there are pending elements in that stage then once they are completed the drop will automatically move into the next stage an example of this would be if you send out an engagement letter in the form of a contract in your first stage if you have the auto move toggle enabled then as soon as your client signs the contract the drop will move into the next stage the types of automations that don't trigger auto move are the apply folder template automation the update account tax automation the send email automation the send message automation but only if there are no client tasks in the chosen template the update account access automation and lastly the add wiki page automation all the other ones will trigger automove as long as the toggle is enabled for that stage another thing that you will want to take advantage of are the conditional automations and stages if you click on the cog icon on the right of an automation or a stage a new menu will slide out from the right you can then select one or more tags here once you do that and add the condition only drops for clients with all those tags will trigger this automation or if you applied it to the entire stage only those with the tags will enter the stage please keep in mind that you cannot make the first stage conditional but you can make the automations within it conditional we recommend that you create one final stage where no manual actions need to be taken neither by your firm nor the client since that way you can easily archive all the drops that are in that stage due to knowing that there's nothing else that needs to be done i will show you how the pipeline looks now you can see all the stages but they're empty so let's add some jobs from here i'll click on the add drop button and select some clients the other information will be automatically filled in thanks to the default drop template however if you do need to change something you can make edits to everything except the linked comments and wiki pages click on add and you will see another menu showing you all the automations which are about to be triggered you can choose which ones you want and then you'll see the new drop cards appear in the first stage these drops can also be manually moved by dragging them into another stage you will then again be able to confirm which automations will be triggered if you want to add clients to the recurring schedule you have to click on manage recurrence and then add accounts after you select everyone you want you can either add them to the schedule or you can customize the schedule for those selected clients you can also do this after adding them to the schedule at any later point lastly if you want to take a look at a different pipeline you can easily switch the one you're looking at by clicking on the name of the pipeline you will be able to select any other pipeline from the list and see it instead you can also view pipelines on an individual level by opening a client's account and then navigating to the workflow tab there you can view all their jobs and the pipelines that they're in and that's it for our pipelines overview once
