Hi and welcome to Blu Tiger Academy! Today we're going to learn how to further configure the free AppExchange package called Relate Leads to Accounts. This package allows you to automate the relation of a Lead to an Account. What it does is it looks for a match between the lead's email address domain and the account's website domain and automatically links the lead to the account. If you have not installed this package or completed the configuration steps, then you will need to watch the Relate Leads to Accounts video and complete everything in there before you'll be ready to complete the steps in this video. All right, let's get started! We're going to add some additional features for our users. Here we are in our developer sandbox, we're looking at an account record. This account record already has two leads related to it. One of our users has asked us to add an additional feature that will allow them to automatically convert these leads to be contacts underneath this account. We're going to go ahead and add this button for them. In this AppExchange, we have a Custom Convert button that can be added to the leads related list. I'm going to go into Setup and I'm going to set up a new Lightning Record page for the Account record. If you look over here, we have the Leads related list and if we added the button the user wouldn't be able to check which leads they want to convert because you cannot select which leads you want to convert. You don't have to convert them all. We're going to have to convert this record page to use what's called an Enhanced Related list. In order to do that we have to create a new Lightning Record page. I'm going to click New here and I'm going to go ahead and set up one that's in a format that in my experience users have often preferred especially on the account record. We're going to give it a label and we're going to choose the Object = Account. If you have the Account object changed to a different name, you would look for that. Usually the account record has a lot of fields on it, so we usually recommend using the header with the large left side and the right sidebar. Then typically what we'll do we put the highlights panel on top so when this refreshes you'll be able to see we'll put highlights panel up here. Then we do the Record Detail usually here and then depending on Chatter usage you can put the Activities and Chatter over on the side panel. Sometimes people are are heavier users of Chatter and they would prefer to have Chatter maybe in a tab over here. But you can you can decide what you want to do there. I'm going to call this one the first tab Activity and then this one is going to be my Chatter tab. This is the typical setup of what we usually do and then the last piece is these Quick Links. All right, now we are all set! We've got our record page set up. I'm going to hit save. Then we have to activate it. I'm going to assign this one as the Org Default so everybody's going to get the same thing. Then I'll click Save here. We have set up our Lightning Record page. Now we need to add the button to the Leads related list on the Account page layout. You will need to do this for all your Account page layouts if you're using more than one. We are going to come down here to the Leads related list and we will click the wrench icon. We'll click the plus sign next to buttons you will see in the available buttons a Custom Convert button. You'll click OK, click Quick Save and then we should come over to our Account record here. Click refresh and if Salesforce is being nice everything will refresh. Sometimes it takes a couple of minutes. All right, we have our new layout and then now we can see the check boxes next to the Lead records. We can see our Custom Convert button. We're ready to test this out! I'm going to select the top check box, so it'll check both of those and then I'm going to click Custom Convert. We give it a few seconds here and now we should see the leads move over to our Contacts. We can see that that happened! All right, we'll refresh it, so the numbers in the related lists are correct. Give it a second here. All right two contacts, no leads just the way we like it. That's it, that's the way you Mass Convert Leads over to Accounts from the account record. Give your sales reps that functionality! Next we're going to learn how we can trigger a mass update to all of the existing leads in our database, so that we can relate the lead to the account if the email address domain matches the website domain. We have to do a couple of steps to trigger this update to make that relationship happen for our existing records. Right now, we're looking at the Blu Ninjas Account record and we can see that there are no leads related here. Now I do have two leads that should be related to the Blu Ninjas Account, Shaggy and Scooby Doo. If I click on Shaggy, I can see that the Account field is blank on this record. Let's learn how we can trigger this mass update, so that Shaggy will be related to the Blu Ninjas Account. All right, go to Setup and then we're going to go to Flows. We're going to find the flow that's called Lead | Relate to Account by Email Domain Flow. You're going to click View Details and Versions and we're going to open this puppy up. We can take a look here and see that there are no entry criteria for this flow. This was done on purpose in case you wanted to add additional actions to this flow. Then how this flow functions is it has a decision element here and what it's doing is it's checking to see if the record is new. It's checking to see if the email address does not match the prior value of the email address, if the email has been changed and it's also checking to see if the account lookup field has been changed on the lead. If any of these criteria are true, then it's going to send this Lead to the subflow. Then this subflow is going to perform the automation in the match that's going to match the lead's email address domain against the account's website domain. Now in order to do this mass update we just want this Lead to skip this entry criteria and we want it to go straight to the subflow. We're going to connect the start element right to the subflow. We'll click Save As and Save. Then you'll get this warning message up here, that's okay that's just letting you know that you have an element on the canvas that's not connected in your flow. You can close that out and click Activate. Next you're going to need to do an export of your leads and then we're going to do an import to trigger the update. Now I always use Data Loader because it's a free package it's free software that you can use. If you're not familiar with how to use Data Loader I'm going to show you how to do it. You can go to Setup and then you can type Data Loader into the Quick Find. I will also place the link down below in the Description. All right, we're gonna put Data Loader in here. Click there and then you will see links to be able to download it, help guide, developer guide. Once you get it installed, you'll open it up, you'll log in. We're going to do an Export on the Lead object and I'll just call it Leadextract.csv Then I just need the Id to trigger an update we only want to trigger an update to the ones that have not been converted so we're going to say IsConverted = False here. We'll add that condition in, we only want the leads that have an email. Add Email is not equal to blank. If you want any other fields in your export feel free to add those in. You can add email, maybe you want name, company just to take a look at it. It's up to you, you can check all the ones that you are looking for. You click Finish. Then it will export your leads. You can view it if you want to. I'm just going to click OK. Now we're going to run an Update on the Lead and we will choose the file that we just exported. We will click Next this is going to contain our 22 leads. You will click Create or Edit a Map -> Auto Match Fields. We only need to map the Id, you don't have to map anything else. Then we'll click next and finish and then yes. We should see the update happen, hopefully no errors. We'll hit OK and that should have triggered the update to Shaggy and Scooby Doo. Now we will hit refresh. We do see the Blu Ninjas Account record was populated on Shaggy, let's go check Scooby. We can see Scooby is now there too and we can see the two leads from the account page. Then we can use that Custom Convert button if we wanted to for Shaggy and Scooby. All right, now the last step we need to do is put the flow back to the way it was. What you can do here is you can just go back and we're going to just delete the flow version that we just created and activate the original one. We will activate first one and delete the second one that we created. Now this flow is back to the way it was with the decision element included in the flow and it will control when the flow is going to fire. All right, so we are all set there.
