all right hi everybody i just want to introduce myself real quick before i show you this contact management system my name is calvin morgan i'm an mca in rochester minnesota and also a regional mca for the north central region and what i have here is a contact management system completely simplified yet extremely powerful at the same time for uh it's designed for real estate agents but really can work for any sales industry out there that you're doing any sort of follow-up with a client database and what it is is um trying to simplify contact management systems i've seen so many agents come on board or come in within the region and struggle with a contact management system for one they never get on board with one or two they get one but they never can actually get it up and running because they're so complex and the learning curve for them are pretty um long and what you basically need is a full-time assistant running those contact management systems for them to work properly so i want one that a real estate agent can use on its own put his a put his clients in there and that have the ability to be told when to follow up with them so they can convert them into sales so here it is quickly i'm going to go over this i'm kind of stuck short on time due to the youtube video link so i'll go through this real quick the other thing with this is when you get the program you have tutorial videos so if you want to learn how to do anything you just simply click on the tutorial video and it'll bring you right to the youtube video on how to do it so quickly it tells me i've got a database of 141 people in mind and then also it's got my nine categories here tells me how many people are in it and the percentage breakdown and i could change those as well so if i don't like the names that i'm sending off with the database you can change it to your liking as well and i've got six charts on the executive summary tab here and the other thing too if you're watching this video and it does seem a little fuzzy make sure you turn it to high resolution it's in the bottom right hand corner of the youtube video the first chart here is how many touches have i made over the last 12 weeks i can quickly see that see if i'm actually contacting my database the other great chart here is the key to a database obviously is feeding it and building it every single day so i can quickly see the trends of me building my database and if the things like if i've done something over the last two to four weeks obviously it's working so i'm going to implement it in my business something i did five to six weeks ago either i was on vacation or i was trying some sort of marketing strategy but it was not working i can probably discontinue that because it was obviously not converting the leads and maybe it was something that took a couple weeks to generate the leads i can see that within my chart here i can see my touch is coming up so i can time block for that how many people i've got due to contact next week or even this week and up to four weeks my touches over the last seven days i can see what i've done then i've got an active listings report it shows me my inventory and how old it is so i've got one listing that's a week old i've got some three that are older than a week older than three weeks and so on older than six months a great report here is your top five listings about to expire in days until expiration so you can quickly see if you have anything coming up do um to expire and do one of two things obviously be thankful it's expiring or actually go and extend that contract so you don't lose that listing again so simplicity is the key to this form all you do is if you meet a client you're adding them to your database click on the contact input form go down and we're i'm going to take this person out here and just re-enter them and show you how that's done so i had a 141 i just took out 140 i'm going to put her back in that is jane seller who i just met this weekend and purple is the call to action color in this program so when you see purple it means take action and the reason why it has purple here is because i need to enter in this information to make this contact management system launch so i'm going to say i met her on the 14th and then i'm going to choose from the drop down menu she is a buy seller prospect and a very hot one so i want to key to this boom five days i want to contact her every single five day period i want to follow up with her in some way i do not want to lose this lead i put five again the purple will go away because i filled it out correctly and then i'm following up with her every five days the action plan is now launched i'm good to go i don't have to worry about it i'll put in her address that i got as well put in all that information and that's jane gmail.com i 507-441-1111 have them fill that out so i'm going to send all my clients stuff on their birthday and i'll show you a quick and easy way to do that within this system so i input this person then all i do is every day during my lead generation time i go to my follow up tracker tab here is where if i see purple it means take action i'll scroll and i've got purple on three of my people that are over due to contact and here's the reason why i said i would contact this person every 30 days it's been 32 days since i've contacted him so she berna turned purple here so i'm going to make a phone call to her today and that is on 8 14 and the purple goes away so all i do is i come in here every day i do my lead generation i contact my database that is purple and i can add the notes in as well of what we're talking about buyer buying soon 145 price range whatever the con whatever the notes are and if the comments get large it will expand the cell as well so i can see all that information so all you do you see purple you come in here and you take action as simple as that printable hot sheet you can print this off every day and all this is is a top 50 people to contact so these are your next people coming up to contact your top 50 you'd print it off and you could do your follow-up go into your lead generation room or your call room and make your phone call to these people all of their comments will automatically come over here if you have supplied the contacts on the follow-up tracker tab it will come over here so you can see that anybody in purple is overdue i've got a bunch of people about to be overdue there's zero days tomorrow when i come in here they will all be purple unless i actually follow up them today so that's as easy as it gets you just print the hot sheet off and you can follow up with your clients every single day when you're doing your lead generation the active listings report again purple call to action color if you see purple it means take action and i'll just start on this listing right here let's jim so all i would do is i would come in here and i would input my seller name my address my list price and then the commission percent it'll calculate automatically the commission amount which it's going to total down here how much commission i have sitting out there the average commission i have sitting out there my volume out there and then my average volume out there as well let's focus on this one again i put in the listing date and then the expiration date and then it'll automatically tell me how many days it has until it expires so i can see all my listings and this one's purple because it's about to expire once it gets below 15 it will turn purple just warning me saying hey it's time to follow up with this also i can set how often i want to do my price reduction review it not do them but at least review the listing for a price reduction i have it set to every 15 days to review so once these dates get 15 days old these will turn purple saying hey it's time to review this listing for a price reduction and then i would put in the new date and then the purple would go just like this if i put in i did that today the purple is gone and then i set up my 20-step marketing plan for my listings i only have 13 in here if you have 20 great i only have 13 and you can change these as well once you get the program and all it is is just steps that i must do when i get the listing so fill out the listing packet and then right below it i put how many days is that due from the listing date and that's it and then once i put those steps in here and how many days due once they come to this one is i listed this on eight seven said i have a do done within four days i haven't done this but actually i did that today i just go in here and say yep i've done that and then i would eliminate the purple and then that is no longer purple and then i would go to this listing here and say yep we did the second open house here on the 24th and that is no longer purple so i'm done with all my listings take care of them no problem birthdays if i'm doing my birthdays for september i just go to september it pulls everybody up with a birthday their name their date of their birthday and also their year so i can see their age their email address their phone number and then their address which automatically all of my people go right on the birthday labels i could print these things off no importing or exporting they automatically generate within color and handwritten form so i could print that off right there from the birthday label separates all my clients into their categories all my buyer prospects seller prospects so on and so forth and if i want to do labels let's say i want to email all my buyer prospects i've got two options i can select my people individually or i can select an entire contact type i'm going to say i want to email all my buyer prospects i go there and i just scroll using the scroll bar here all the way over to my labels and it puts all my buyer prospects on label form all i do is go here and i go print and they're going to fit right on the avery 5160s automatically formatted for you and i would go there and go also go to page two of that because i have quite a few buyer prospects so i have 30 plus all these people as well so i'd print that off and that is it so again that is the system there's an executive summary page that you would check every day your input your clients here and then your follow-up tracker and your hot sheet and your active listings that's it every day you just come in and check that you see purple you take action quickly the cost of the program to order it is just emailing me
