today we're going to discuss odoocrm this is an abbreviation for customer relationship management we'll discuss how to manage leads and convert them to opportunities and how to organize those opportunities we'll also see how to manage communication and how to create dynamic reports based on our pipeline odoo is highly integrated so we'll touch on some additional apps as well what is a lead leads are a stage before opportunities and once verified can become opportunities you may want to have a sales manager comb through your leads verifying and assigning any valid leads and converting them to opportunities you can receive leads from multiple sources today we'll be reviewing leads that were created when someone emailed our email alias also note leads are an optional step so if you'd like you can skip the lead step and have all outreach be created as opportunities in case the leads feature isn't already enabled you can enable it by going to configuration and settings you'll notice this is a theme throughout the platform we like to keep things light and simple so if you notice the future is missing you can probably locate it in settings so here we see a lead we see we have all of our necessary contact information and if we check the chatter we see the note created when our prospect emailed our alias this lead looks legitimate so i'm going to go ahead and convert it to an opportunity so to do that i'm going to click on convert to opportunity and then we'll see that we have some options i can choose whether i want to convert to a new opportunity or merge with an existing opportunity and i can also decide who and where i'm going to assign this lead to so i'm going to assign this to marc demo who's on the american sales team this is perfect because our lead is from the states um so i can also decide if i want to create a new customer link to an existing customer or not link to a customer at all i'm going to go ahead and not link to a customer so now we've created an opportunity if we check the chatter we can see the timestamp which tells us when this occurred down to the second so we can see that here so here i am on an opportunity the first thing you'll see is the opportunity title quotation for 50 shares next you'll notice we have an expected revenue this is five thousand dollars this is really helpful information to see at a glance and it can help you prioritize your opportunities so next you'll notice our probability lead scoring this is the probability that you'll win an opportunity or a deal you can add your own probability as you see here or you can use the probability that odoo's provided for you by clicking on this gear odu's probability lead scoring is based on your previous success rate as well as several factors that you can add and remove as necessary for example i may want to add language my clients who speak english tend to close less frequently and i would like to see this reflected in my probability the more opportunities you win the better and more accurate this lead scoring becomes you'll also notice the probability increases as you move the opportunity through stages so now we see we're at 91.67 percent we're going to use studio shortly so i want to take a moment to introduce you to the application studio is a separate app that allows you to make developmental changes to the platform you can do everything from creating new applications to building out automations if you'd like to learn more about studio i suggest checking out our e-learning modules or reaching out to me directly at npl odoo.com so here we are again on an opportunity you'll see all of your relevant customer and sales information to the left now next we can select an expected closing date we can also give this opportunity a priority this opportunity isn't especially promising so i'm only going to give it one star now let's add some tags we can add more information east coast and size one to five later we can use these tags to segment and filter our opportunities and a new update in v14 is that these tags will actually sync with your sales order so i'd like to see which product lines our opportunities are interested in so i'm going to use studio to add this field i'll show you how easy it is to use now so i'm going to toggle studio and now i'm going to see i have the option to add a bunch of fields i can add text fields dates files i can also add a selection field which is what i'm going to do now so i can make my options tables chairs and both now i'm going to go ahead and confirm this and then i'm going to label um this new field that i've created product line because that's what i'm looking for i'm looking to see which of my customers are interested in which product lines so i can add that now and then i can go ahead and edit exit out of studio i should say and we'll notice that this field that we created actually updates across the opportunity form so we're not just going to see this on our quotation for 50 chairs we'll see it across the platform now depending on the formatting of your screen you'll either see the chatter to your right or below your opportunity the chatter is the best way to keep up to date on interactions with your prospective clients you can send them an email directly through odoo for example hi client i noticed you have a question about a potential order please give us a call you'll notice you have the option to format your email directly through the chatter if the client responds to the email the responses will be captured in the chatter now you also have the option to make an internal note this is a note that the client will not see so you may want to tag a colleague for example mark demo and say something like hi mark this prospect seems interested please reach out this will send an email directly to mark that includes a link to this exact page you may also add activities when adding activities you can choose the type so it may be a call an email a to do or any option that you'd like in this example i'm going to make an activity to call this prospect in a week if i'd like i can also assign this activity to another colleague or myself you can see all of your activities in the chatter in addition to whether the activity is due not yet due or overdue now here is our crm home page you'll see all of your opportunities you can view them in the kanban view view here or you can view them in the list view the list view has been updated for v14 so you'll now notice you can at a glance see your next activity and even schedule an activity now another update for v14 is we have a my activity page you can easily view and complete your activities all from this one page great so now going back to our kanban view you'll notice that all of your opportunities are in stages you can easily add a new stage or you can use the stages provided you can also fold a stage if you prefer not to see it you'll also notice the colors at the top of every stage these colors correspond to activities created in the chatter red means activity is overdue yellow means it's due today and green means it's not yet due the colors allow you to quickly see whether you or your team have been on top of your pipe or not allowing you to get back on track so personally i know when i sign into my crm if i see tons of red i know i'm going to have a lot of work to do that day so as a prospect moves through your sales funnel you can move them through the stages you see here so i'm going to take our quotation for 50 chairs and move that to proposition now that we're in proposition let's go ahead and create a quote for our prospect here so i'm going to click new quotation we'll see all our relevant customer information to the left we can add an expiration date for this quote and then now i'm going to go ahead and actually add my products so i'm going to add 50 chairs to this quotation great so we've added 50 chairs there now we have a few options of what we can do with this quotation we have the option to send this by email to our prospect as always we see that we can update the template and we can also attach a pdf of the quotation and we also have the option to go to the customer preview so if you send your customer a link to this customer preview they can sign in see all of this information and then they can even sign and pay directly through the portal so i'm going to go ahead and go back to our quote i'm going to say our customer loved it they want to go ahead and confirm the quote so i can confirm the quote here and now i'm going to go ahead and navigate back to my opportunity so i'm going to click on my customer here i'm going to go to the opportunity using our smart button i'm going to click into the opportunity and then i'm going to go ahead and mark it as one because they loved our quotation so when we mark it as one we see a lovely green banner across the screen showing us that we've won this opportunity and you'll also notice it's moved into the one stage now reporting an odoo is robust you can use our filter and group by tools or you can view custom reports using our reporting feature no matter the route you choose to take odoo's reporting arms you with actionable insights today to improve your business tomorrow so let's review some reporting now so i'd like to show you how you can use our filter and group by features to segment your opportunities you'll notice we already have the filter my pipeline now that we're only seeing my own opportunities let's add opportunities that have medium priority or high priority so i'm going to go ahead and add that now so medium priority i'm going to add a condition because we also want to see high priority and i'm going to apply that now so now i see all of my pipeline that is either medium or high priority and remember the fields um product line that we created using studio we can actually filter by that field i just need to add a custom field find product line and then i'm going to say both so now i'm seeing all of my opportunities with medium and high priority that are interested in both product lines now i'm going to go ahead and remove these filters so that we can see more data remember the other tags that we created earlier we can filter by those tags as well so let's search for the tag information here we see all of the opportunities with that tag now another great use of filter in group by is to use it to view your territories so i'm going to filter by the tag east coast so this way i can see all of my east coast opportunities that also have the tag containing information we're using both filters at once so now that we've seen some of what filters can do let's use our group by feature so first i'm going to switch into list view now let's go ahead and group these opportunities by product line so i'm going to go to group by and then i'm going to add a custom group product line so now our opportunities are grouped by product line and we can drill down to see what opportunities make up each category now what if i want to see how many opportunities each of my sales people have i can go to list view group by salesperson and again i can drill down into these categories and if i love my reports i can always save them and come back to them later now what if i want to see how many of my team's opportunities are overdue to answer this i'll go to my activities and select late activities this will show me a list of all of my late activities now if i want i can see this for my entire team by removing the my activities filter so now let's take a look at our reporting feature let's first look at how much expected revenue is tied up in each stage so i'm adding stage here and now we can see how much revenue is tied up in each stage we can also see this information in a pivot table now let's add another report so let's see how much expected revenue each sales person has now we can see the results here and we can also view this information in a pivot table so now let's look at expected revenue in relation to our product lines that field that we created earlier using studio so let's add that now and then let's also see the probability that we'll close each of our product lines we can see that here and a really cool feature in odoo is we have exporting features so you can click the export button here and you'll have a formatted excel or csv sheet immediately so let me show you what that looks like so you'll see that here we can see all of the fields we added and then you'll also notice the formatting has remained the same so you can create your perfect table in odoo and then go ahead and export that and share it with your team i'm sure those of you who are familiar with odu's previous versions notice some exciting updates throughout the platform i'd like to take a few minutes now to show you some updates that we have not covered we're going to go through these updates directly through the crm by easily clicking the new rental button this will lead you to a frontal quote you'll also notice the smart button which will allow you to see any rentals directly from the opportunity instead of having to open the rental app which can definitely save you some time we also have a new app called data cleaning that's seamlessly integrated with our crm you can go to the data cleaning app and set rules for dedupl d duplication say that five times fast in this example we see that if the email or the name are similar they'll be marked for deduplication we can see that if the reference or tax id are an exact match they will also be marked for deduplication if you would like to learn more about the data cleaning app you can reach out to me directly so information changed on the opportunity will now be reflected in the contact there's no more need for double entry so we'll see here we have no phone number i'm going to go ahead and add a phone number and then we'll see that now appears on the contact page you can also now search by phone number this really comes in handy when a prospect calls you back with an unlisted number you don't have to ask for their name instead you can search for their number and find their information excuse me find their information an associated opportunity immediately providing you context right off the bat we also have a feature called recurring revenue this is a great feature if you know your client will be paying you on a regular schedule you can choose the recurring revenue time periods and you can also report on this recurring revenue you can also now create leads directly from events you can even choose if you would like the leads to be created when an attendee signs up when an attendee confirms or when the
