all solutions and you usually learn by doing when a brand new CRM system is set up there are different contact fields to be added But as time passes your data structure may change maybe your business changes or you think of a better way to set up your data when I set up my onepage CRM account I created a custom field to identify the status of my contacts related to the local events I usually attend for example this contact was an attendee and a registrant I had created a text custom field to add this information to the contact but this doesn't really suit me right now because I can't easily segment between the types of statuses but as I started using the CRM more I realized that I that I could segment my clients better if this field was a checkbox instead of a text field just like this this way I can seg my clients better now I don't have time to make this change to all of my contacts so I'm going to use merge import to update my checkbox field with the information in the text field first things first I need to have a new custom field created but this time instead of a text field type it needs to be a checkbox field type let's check it out in settings custom fields and here is the field that I have already already created just ah heads up only account owners and administrators can add edit and delete custom Fields merge import works by matching the contacts in a file using contact IDs that are automatically created in one page CRM to get these contact IDs I will need to export my contacts and the contact IDs will be automatically exported in the file let's take a look and here is my file I have made the updates necessary to it check out the new colume I've created to mirror the new custom field for the event status I make sure that I have my contact ID's column and I've also made some changes to the job title field for example Aiden used to be a junior software engineer and now he's a senior software engineer so now I can make these little changes using merge import as my file is ready I'll head over to the Import and Export section to start the merge import now that we're in the Import and Export page we'll follow the steps as if we're importing a new file until we're on the import page here instead of selecting new contacts we'll select existing contacts we'll select the file to upload select the colume separator as comma in this case we go to upload a next in step one we make sure that the CRM fields are mapped to the columns in the file then we hit on next and step two is where it differs from importing new contacts here is where you will specify the merge rules for each field there are three options we select don't overwrite for this this means that any field with this option will not be updated then we have append if you select this option the information in your import file for the corresponding field will be added for example if you openend the phone number field and you have new phone numbers in your file the old phone number and the new phone number will appear in the contact you will not see this option for all Fields because it is only available for multip value Fields such as phone email URL tags background and checkbox custom Fields then we have overwrite if you select this option any new information on the corresponding colume in your file will overwrite the information in the onepage serum field for contacts with matching contact IDs for example if Aiden's job title is Junior software engineer and I have in my file that is now a senior software engineer then the job title field will be updated with the latter we'll make sure that the event status choice is set to overwrite as well and we'll click on next and let's start the import and my contacts have been merged let's take a look at them let's take Aiden here as you can see now I have the events status Choice which was my checkbox filled in and Aiden used to be a Juni ior software engineer he's now a senior software engineer because we've made the update with merg import let's edit the the contact to see how this looks so here it is I've got my event status here and my event status choice and this is my checkbox custom field that I want to keep now all I need to do is delete the event status let's go over and delete it I'm not the only person using the CRM and my teammates have started to add deals we create similar deals for different prospects and for this I'm using deal items deal items are a reusable list of your products or services along with the description so let's create a deal so we have Aiden who would like to start a deal with us click on add deal we'll give it a name I select deal items and I can select the deal items from a list so select these two and if you forget one you can simply type it in and it will pop up for you the totals will be made for me and I save it look how easy that was but that's not all we can do with deal items you can benefit from having deal items later down down the line when you're reporting on the different products and services that you've sold or that you're selling for example let's say I want to find or report all deals where of sold business cards so let's use the advaned search for this I'm going to select the deal items from the list and I want to find all contacts where the deal item is business card package I save the search as a filter I save and run it and here we go there are eight contacts eight clients that have been sold the business card package and you can find the filter down here as well you can also use the filter in the pipeline let's head over to the pipeline to check it out now that we're in the pipeline let's use the filter that I've just created let's go to filter let's select it and voila these are all my deals that contain the business bus care deal item so you can easily focus and keep track of these deals directly in the pipeline and did you know that you can decide how you want to view the pipeline values you can view weighted or unweighted values based on your preferences the weighted value of your pipeline is the value of your deal based on what stage that it is at while the unweighted value is the full amount regardless of the deal stage you can decide if you want to see the deal amount or just the commission or how you want them sorted too since we're talking about pipelines and Deals let me go back to Aiden who had a deal here he is now everything went well with Aiden so I'm going to go ahead and Mark my deal as one as you can see this is an automated workflow that is triggered when my deal is marked as one this is going to send an email to Aiden it's a thank you email it's going to change the status to customer and I've got a little message here telling me hey don't forget to set up a next action I'm going to go ahead and do that let's confirm and done and here it is the status have been updated I need to make sure to set up a next action we'll set it for tomorrow and save now what you've just seen is autoflow autoflow is our sales automation tool it takes three steps to set it up and keep it running let's set one up for the start of my sales process I'm going to click on plus new autoflow here and my trigger is going to be to create a deal so for example well every time I create a deal I want the status to be changed from lead to prospect automatically and I want to send a quote to the contact and set a reminder to schedule a next next action to follow up with them so my trigger is create a deal New Deal is created then I want to send the email which is the quote we select the quote template and I want to change the contact status to prospect and I want to set a message for the user and the message is don't forget to set an next action to follow up let's add an autoflow name start of sales process deal and let's save that let's go back to my action stream and let's find a contact without a deal so let's see ah my like here let's say he's ready to start the deal I'm going to add the deal I'm going to add in the deal name let's go quickly with the with the deal items and let's save it here it is my autoflow so now I'm going to send the quote email it's going to change the status to prospect so at the moment Mike is a lead and it's going to be change to prospect and I have a little reminder here to make sure that I don't forget to set an next action let's confirm and done and here it is my contact status has been changed I'm going to set an exaction to followup and there it is now you're using one page CRM you own onepage CRM but I once heard that if you don't know your numbers you don't know your business so being able to track your team's performance through reports is key for this we have the activity page and this is the beaten heart of your sales process every update every action is logged here and it gives you an overview of everything that you and your team are working on you can zoom in on the specific activity of a team member or you can decide to just check the overall flow of your processes for example if I want to see how many deals um have been closed within a specific week I can filter my user I can filter the date here and I can view it here in the activity but what if I want to go deeper and and I want to know exactly how many deals were closed so for this we have our custom reports now when it comes to getting the updates on your team sales activity you really are the best person to decide what metrics matter most that need to be included in the report so let's generate a report I want to know how many um deals were how many deals were were were created one lost want to know the reason lost as well as the commission if any I want to know how many actions were created and the status conversion I can segment it however I want it so I'm going to keep it to the date ranges last month or maybe this month and segment monthly and I'm going to run the report and here it is and yes you can save the report you can also have it emailed to you or any other user at a specific date or time of the week let's give it a name let's save that and here's my report saved and it will be emailed to me every Monday at 7: a.m. but what if you're more of a visual person and you like to see charts and graphs we've got you covered because we have the activity dashboard and this gives you a summary of all of your sales teams activity this data is represented through different charts and graphs you have the option to segment the activity dashboard with these filters here so let's take a look at the data that we have have we have the number of new contacts created the number of L deals along with the monetary amount lost the number of One deals and the number of New Deals created for the dates filtered then we have some charts we've got this first pie chart here that represent the percentage of deals lost under each deal reason lost so if you hover over each slice you'll see the individual percentage s then we have the one deals versus targets and this semicircle donut chart represents the number of One deals Against The Targets in your pipeline then we have the deals by users that represents the pending one and loss deals against each user if you have more than one pipeline you can select the pipeline that you would like to view then we have the sales activity by user and this bar chart represents the number of complete actions sent emails and calls logged against each user then we have the average deal velocity by user that represents the average deal velocity per deal stage for each user and finally we have the one deals versus the targets by user and this bar chart represents the percentage of deals one against each user's targets just to let you all know the
