I love that I can complete signatures and documents from the phone app in addition to using my desktop. As a busy administrator, this speeds up productivity . I find the interface very easy and clear, a big win for our office. We have improved engagement with our families , and increased dramatically the amount of crucial signatures needed for our program. I have not heard any complaints that the interface is difficult or confusing, instead have heard feedback that it is easy to use. hi friends welcome to the channel and today we will be discussing about the sales module in dynamics crm it is one of the most implemented module and usually when organization starts implementing dynamic crm they start implementing the sales model as the first model based upon this for sales module we go on implementation of our service modules in the marketing module so let's first discuss a little more about sales module with a real life example let's say you want to buy a car and for buying the car you would be meeting up multiple dealerships or the companies in the across your city those companies could be different manufacturers let's say maruti tata hyundai nissan once you have visited those so what they would do is their executives would create would enter your basic information in the application which would create a lead in their application once the lead has been created there would be few of the activities like let's say sending out your like sending out you an email a phone call or setting up a meeting or a test drive for the car and once all these things are in place and let's say you are a prospected buyer the organization looks upon you as a prospected buyer then they would be qualifying this lead to create an opportunity out in there once this opportunity has been created you are ready to go to the next level where in the organization would be offering you their offering let's say you want to buy a nissan rogue in there so what they would do is based upon your country based upon your location they would be attaching a term is price list and then based upon the price list the products cost and everything would be visible in your opportunity record and this phase is known as the developed phase of an opportunity once this developed phase of an opportunity has been completed the organization against takes up a discussion with you and they start proposing you with multiple quotes out in there which is known as a proposal state like let's say i would be offering you a nissan ro for ten thousand dollars so a quote would be sent to you over an email and it would be again dragged into the application once this code has been created there is always a provision for you as a customer to ask for a revision of it let's say i am not interested in buying this car for the worth of ten thousand dollars so the sales executive on the other hand would be revising this code based upon the discussions and he would be discussing the codes now the code has been revised and let's say a new code is being shared with you and you accept that quote which means now you have ordered a car from the ex dealership and then a order would be created into the application once the order is fulfilled and then definitely an invoice has to be generated and based upon the organization this invoice creation process can be customized that is first an invoice has to be generated and an order has to be fulfilled or vice versa now all these things in the applications can be configured and needs to be configured a lot based upon the customer requirement or the implementation partner requirement now i would be taking you ahead with the entire process in dynamics crm right from creation of a lead to an opportunity moving it to a creating an order and then creating an invoice apart from this flow there are multiple other things in the application let's say creating of new products the price list out in the creating of the templates for the code order and invoice or we would be exploring these areas whenever it is needed so let's proceed ahead with the general flow of dynamic crm so this is how the application appears to an executive when they login into the application over here since it's a demo version or a trial version which has not been configured to meet up the expectations so you are able to see a lot more information than required in here so let's start with creation of a lead recording there so usually let's say mr x is visiting nissan or this is visiting organization in here so what the executive at the organization will do is they will first create a record for mr x now in dynamic crm if you can see on a lead record you have two sections contact and company so contact like once this lead has been created and if it would be qualified then the information on the first tab the first section out in here would be used so as to create an associated contact and the information out in here in the company would be used was to create an account so usually a contact is being represented in dynamic crm term a contact is an individual with whom you are dealing or you are offering the service to whereas company refers to an organization to which this content needs to be associated so let's say take an example you are planning to sell 100 cars to different different people at organization is dell so what you will do is an account of dell would be created and all this content who are buying the car would be associated to this contact it depends upon the organization the flow how they want it to be this is entirely customizable whether you want to create a content whether you want to create an account or whether you want to create both of the things in that application so let's start with creating of our lead record nissan group mr x first name i am filling in is sumit last name i am feeling is gupta job title let's say software engineer it's again the out of box cr that's the reason i'm filling in my phone number and the mobile number if you need if you want you can fill in your email id the customer's email id definitely and the company to hit belong so let's say we are interested in creating a company all smith company website is google.com street address let's say 280 acclaid avenue city somewhere and state let's say california now it's our requirement it's a business requirement and it's our responsibility to fill in more and more information as possible and so now we have created a lead for mr sumit gupta where customer is sumit and the topic is mr x now on this lead record you have different tabs out in here i have first filled the summary record based upon the discussion let's say i want to add more mr sumit wants to buy a suv with features of four wheel drive okay the industry to which mr sumit belongs let's say consulting and will revenue if it is their employees again all these attributes can be configured based upon your requirement now what are the preferred ways in which mr sumitha should be contacted we can set up all those information and let's files now at times the we would be asking the customer for their driving license for their other documentations or if they have a pre-approved loan in there so what exactly happens is dynamic crm can be well integrated with sharepoint and then whenever we would be uploading the records out in here those would be saved and would be available to your organization through sharepoint that's a way of saving the storage now we have created this record now it's up to us whether we want to like let's say at times there are various competitors let's say for this nissan organization mr smith is in discussion with mitsubishi or some other organizations uh car selling so we can associate them with this competitor if there are multiple stakeholders let's say stakeholders are like the decision makers apart from sumit who are all the decision makers in buying this car if we have some information then we can associate all those information now let's say we want to set up a call with mr sumit so i would be setting up a call phone call activity in here and phone call activity would be dragged in here so that in future let's say i today i am working overhead tomorrow mr instead of me some other sales executive would be working over so they can go through all these information like what all information what all things has happened in past with mr sumatra if they want to track it otherwise let's say i want to set up there are two ways out like i i want to set up a call and i want to track it other way could be i want to have a call scheduled for future when i wish to call mr smith and i can all set up all those activities out in here so that whenever i am doing those activities i would be tracking it yes the introduction has been completed uh the email has been sent so that i am not missing any of the sales process flow now based upon the discussions what exactly happened is we have two things either we can qualify this lead or whether we can disqualify this lead qualify mean disqualified means that we lost this lead yes mr sumit is no more interested in buying this product from us because he no longer needs it because he cancelled it it was a lead which was been created the other thing is i want to qualify this lead and take it to the next level so let's qualify this list and i qualified it and this would create three things in the background a contact for mr suman gupta an account for the company information which we have filled in and the most important is the opportunity out in there so that we have all these three records in place that will help us so as to try this our other process out in there that is the develop process so first process of creation of a lead is known as qualify now we are in the developed state wherein an opportunity would be created we would be having multiple other discussions with mr suman so as to track what exactly he is looking in for and for which country and for which information so if you can see on my screen like most of the information which we have filled while creating the lead has been copied over that has been mapped over like topic has been mapped over a contact record has been created an account record has been created currency has been autofilled the description has been auto filled in here and we can fill in more information so that the opportunity team which would be working on this the development team business development team which will be working over this they can have more information about it and if you can see the phone call information which we died while we were working on the lead has been also associated to it which means the people who would be working on this opportunity while developing it they know that the introduction call went well all those information is out in there now when mr sumitha wants to buy this car so i say immediate what is the budget amount let's see the budget amount is 12 000 purchase process how you want to purchase is it an individual or a committee or an unknown i am saying mr smith is an individual what is the current situation customer has a car and wants to upgrade now customer needs suv four wheel drive proposed solution we haven't proposed it here now the executives in the development team would take up multiple other activities so as to get well clarified about the requirement like which color which country and everything out in there and based upon that they would decide the price list which needs to be associated since it's it's a demo version of crm so mine price list which has been configured as of now is this one and i am selecting this price list i am saving the record exactly price list is a way of grouping the products with their prices let's say the organization with which you are implementing dynamic crm is working in multiple countries let's say india u.s australia and they are selling the same car in three different regions definitely the price of the car would be different so based upon u.s whenever you would select the us in here you would be able to see the prices and the car properties which would be available in u.s if you would select it as india then you would be able to see only the things which are available in india and so that's the reason we selected this it's again a demo price list so that's the reason now after doing this we click on add a product so it will now refresh it will add all those products which are associated in this price list and i am saying let's say i want to have this product added as 2 as a quantity s2 and this one as well save to opportunity and now this product will get associated to your opportunity record for which you would having a customer discussion now in here we have a revenue field so how you want to calculate the revenue do you want the revenue of the this opportunity to be auto generated system calculated or you want it to calculate it so i am saying system generated and the moment you save the revenue on my opportunity has been calculated based upon the price list which has been associated to it now we have calculated it internally if you want to offer a discount or discount percent or if you want to add some fright amount we are always having those options available to us now again this is configurable based upon the customer requirement we can hide or show an attribute make an attribute as a mandate a required one or a not required one now based upon our discussion if you can recall the discussion says once an opportunity has been created we have to go for a code creation and let's move ahead with the creation of a quote out in there so over here if you can see a code you have a code tab in here if you would have had any files you could have associated those files directly in here so i am clicking on codes and i am plus new code and what it will do is it will generate a quotation which can be shared to your customer you can send it as a pdf you can send it over an email you can send it over uh like a mailbox if you wish to now a code is being created and it would have all those information which has been tagged till now to our lead record so see the code id has been generated the revision is zero at this moment of time since i am creating this record that's the reason it's coming as sumit gupta the name of the code the currency the price list if we have any shipping information like how you want to ship this product to the end user the customer you can have that shipping information attached to it again this is all configurable if we would have entered the addresses out in there those would have been pre-filled in here the products have been pre-filled the prices have been pre-filled everything every information has been preferred and if you can see in here it shows sales information that is opportunity with to which it is associated is this and the customer is this and over here the customer is being shown as your account noise now if you want to have any other information like i am sending this quote to mr sumat today i am sending out an email all those information can be pre-filled in here you have related tabs so as to perform other things now there are two ways out like i want to first and the most important is i want to like before sharing it to the client definitely i want to freeze this code that is no more changes would be allowed on this code so i have to activate this code the moment i would activate this code what exactly happens is your code is now activated and won't be editable now there are three or four things in by which a code can be shared with a customer i want to export it as a pdf that is an attachment again this pdf can be configured based upon the customer's requirement a code would be generated we can email it we can save it to dynamics second way is emailing a link and the third and most important is sharing the code with selected people in your team which would be sharing this code with the people out in there now let's say this code has been shared with the customer and the customer is really happy to receive the code but he is not really happy with the pricing which is being offered to the customer he is expecting at least a discount of 10 percent out in there and how we should accommodate the discount for that we are having two options out in there we can we have to revise this code let's say revise we revise this code and the moment we revise it see the version has been increased now i want to offer 10 percent discount to this code so i offered a 10 percent based upon this see the price has been calculated and i again activate this code i share this code with my customer and for now the customer said yes i want to proceed so there are two things now based since we we have got an approval definitely we need to create an order so we click on this create an order button and the moment we say create an order the opportunity which has been created for this would be updated if how you want to update it is one and do you want to close the opportunity and do you want to have the calculations reflected from the revenue i say cs2o and then the order would be created out in there and this order would be visible to us on our screen and it is again being associated to the same opportunity record which has been done in past now this order has been created again entire information which you have filled while creating a lead record has been associated over here now definitely there are there could be two things for some reason you are not able to the order has been placed by the client but for some reason there has been changes and you want to cancel this order the cancel button is here you want to fulfill this order or you want to create an invoice so let's first there could be two thing in organization at times what exactly happens is first they fulfill the order and they generate the invoice at times there are organizations which first create the invoice once the invoice has been paid then only they start fulfilling the order so let's proceed with the general cycle that is fulfill the order i am fulfilling this order and there could be like i am fulfilling it partial or completed at times what happens is we have an order let's say to send over 12 cars or 12 pieces of a product but for some reason for this time we are able to do only six items so what if we want to do it that way i fulfill the order now the order has been fulfilled again and after fulfilling the order i want to create an invoice which needs to be sent over an email or an attachment or a pdf to my customer and now my screen is loaded to generate an invoice and again now we can see the invoice has been created successfully in our application and based upon our business flow you can cancel this invoice if it has not been fulfilled or there is some other concerns you can share with your team as a record you can email a link to your team and at times we also configure the functionalities like downloading it as a pdf downloading it is a word file which can be shared over an email with your prospected customer or client out in there now i would be taking back to the account record which was created and would be showing you multiple associations which have taken place with this record now we are on the account record the company record if you can recall which has been associated which has been created by the application automatedly when we have created the lead record when we have qualified the late record now all those activities which have been like few of the activities have been created by the sales executives in the company or in the team and few of the activities have been created automatically by the application based upon the configuration so if you can recall this is the phone call activity which was created for the lead these are all the activities which have been created for the code by the application by dynamic crm automatically and these are the activities which have been created by the application again against your order now if you can see in here we have the association to the contact this contact has been created automatically by the application when you have qualified the lead and all those information which was prefilled in the lead has been populated over here and it does have the phone call activity which was associated to it now let's say in future the same business reaches you again and they want to create a new opportunity with you or new business with you so you do not to start creating the lead again right from the scratch you can simply open the account you can simply select the opportunity you can click on new opportunities and you would be having all those functionalities so is to create the opportunity let's say direct opportunity contact would be submit i am associating the same contact in here budget is let's say ten thousand dollar this time estimated revenue is uh let's say eight thousand dollars nine thousand dollars and it is estimated closed at the end of this month so the moment we would create the opportunity record would be created directly from here and we would be able to do all those stuff the same way that is you would be able to associate the price list associate the products to it to create and code followed by creation of an order and then closing it as an invoice now there are multiple things which happen in the background i would be covering those things in the upcoming discussion which includes setting up of your product in there so what exactly happens is like let's say you are creating a price list and you are seeing a list of products how that is happening and how it can be useful to us we would be
