[Music] hi in this video we're going to cover off how to manage back orders in business Central as many of you probably know it's not easy to manage back orders in business Central by default there's really no tools within business Central to do that other than maybe creating a view on your sales lines to see what hasn't shipped by today those sorts of things today we're going to look at a much better tool that you can use to actually manage or more seamlessly process those back orders so first let's look at what we've got in the system I'm going to go into our sales order list here and have a look at all the sales orders in the system for my main location here and we'll just grab this first guy and when we open them up we'll see that we have some back ordered items or a back ordered items on this particular sales order so if we look down here at the lines we've got this LS2 cable and if we scroll over you can see that we've shipped a couple of these in the past and we've got three left to ship now that's clearly a back order because these should have shipped you know quite a while ago and if we look at the fact box for this so we'll open up the fact box for that particular line and we can come down here and see that yes we've actually got an availability of negative six we've got gross requirements for uh six of these guys here and uh you know we don't know if we get some in are we going to be smart enough to make sure we fulfill this order first versus one of the other orders that's already expecting this so we need to know by date who should get that stock or maybe even priority like customer priority or something like that so how do we do that well let me close this out and let me go into our order fulfillment worksheet and the easy way to find out is just to go OFW order fulfillment worksheet and there we have the Insight Works order fulfillment worksheet let me open that up and when we do that what it will do I've got it for our main location here but you can you know use it on any location everything from no bins like the very basic inventory location all the way up to your directed put away and pick locations but in this particular one it's gone through it's grabbed all of our sales orders and it's told me what I can actually Supply so here's that first order we looked at and it's telling us we need three and we've got we've got none available at all and over here we've got uh you know partially available uh quantity so we're missing a few items here we've got another one that's partly available you notice this one is also missing that that LS2 so we've got a quantity of one required here and so on and so forth all the way down to you know sales order eight there which is about to open up because I just clicked on it let's close that guy off and go back to our order fulfillment worksheet all right so order eight here we've also got this LS2 we need a couple layers so you know in total we've got six required there's our six we've got three on on this order we've got a couple on that order or one on that order and a couple on this order and uh you know that's that's the order we're going to fulfill it and if we look at the date but we might also do priority or something else so what happens now if I get inventory in that allows me to fulfill some of these back ordered sales orders let's have a look at that I'm going to go in and I'm going to go into my purchase order list here and we're going to grab a purchase order here and open this guy up I believe this one should have the product on it so now somebody in receiving is coming in they're using our WMS Express which is our free tool or the full Warehouse Insight a tool to receive through scanning or maybe you're still paper based and somebody's come in here and manually entered yes we got five of these ls2s in for my main location I'm going to receive them so you know they come in here they manually post and we'll just do uh receiving and we'll receive those five into stock so it goes ahead post that that inventory into stock and now let's have a look at what that did for our fulfillment worksheet so again OFW bring up the order fulfillment worksheet open that guy up and now what we can see is if we go to the top here hey our order is now fully available to ship it's telling us that we need three we've allocated three to this order and we've actually got five available in the system because we just received five to pick and then if we go to the sales order 4 here that one has now also fully available because we can allocate one of those ls2s we just received to this and you'll notice here this quantity available to pick is now two it's gone down because we used three of them on that first order so there's only two left available for this order which is great we only need one and now if we go to this order number eight here it says partly available because we can supply one of those ls2s for this particular order so that's how it does it it goes through looking at you know sort of how you've ordered your sales orders here and figures out what you can supply and what you can't by default it's by date which allows you to very easily manage those backwards as new product comes in you know a few times a day you might come in in here and just say what can I ship today what back orders have arrived that I can deal with today and then of course you can just sort by availability here and these are the orders that I can ship then I can go in print the pick ticket you know generate shipping labels if you've got order ship Express or dynamic ship those types of things and Away you go so very quick and easy to come in here and manage your back orders I didn't mention a few other things that we'll cover off in other videos like being able to assign priorities to individual customers maybe or or you want to do all your UPS orders first or something like that but that's entirely possible as well this is a very quick way of managing back orders it lists all the orders that are back ordered that have quantities on there that should have been shipped as inventory comes in it simply alerts you that you're able to ship it and you can generate picked tickets Warehouse shipments whatever you need in order to get that product out the door hey thanks for watching I
