How to create outlook signature
yeah hello my name is Martin and today I will be showing you how to create a quote sales order and invoice all through O2 all right so let's go ahead and start that the first thing that I'm going to go ahead and do is I'm going to share my page so let's go ahead and do that now and so let's let this load wonderful now you are able to see my home screen on odoo the applications that I'm going to focus on today are just our sales and invoicing app in order to create that quote sales order and inputs so let's go ahead and jump into the sales app first all right now that we're here we can go ahead and create a quotation and just by looking at the different quotes that we're looking at here we can see that there is a filter set so that I'm only looking at my quotations if I want I can take that filter off but let's go ahead and create that quote anyways so we're going to go ahead and click on create and right here I can choose on the customer or I can create a new customer so let's create a new customer call them test I'm going to go ahead and look at create edit we're going to give them an address I'm just going to go ahead and fill this out very quickly now for when I am filling out a customer's contact details we do want to add in certain information such as their contact address as well as their email address and phone number a phone number is good to have but it is not required all right now that we have created our contact let's go ahead and click on Save and close wonderful and as soon as we created that contact we can also see here that for the customer we have their address location the invoice uh address is going to be the same as everything else and so will be our delivery address all right nice so uh this is the very start of our quotation let's go ahead and add a product so let's say I want to quote them for an acoustic block Suite that they are looking at they messaged me they said hey I only want one uh the price looks okay now we're able to set taxes in here if we wanted to or if not we can also just add the taxes in at the very end but anyways let's go ahead and send this quotation to our customer so we're going to go ahead and click on send by email wonderful and in doing so now we're able to see an email template that is created that appears with this quotation so we can see here the quotation number is this the set price is 295 and we're also attaching a PDF with that quote so let's go ahead and click on send wonderful and so as soon as I did that we can see now that the stage change from quotation to quotation sent if we go ahead and scroll down we can see our chatter and so odo's chatter keeps track of any type of change within a certain page so we can see here when the sales order was created equal and now we can also see that we sent out that email we can even check at the exact time by the second cool and if I want to I can go ahead and open up this PDF and see exactly what I sent my customer so this is the quote that I just sent them out wonderful looks good and so I am able to edit this and customize this if I would like so let's go ahead and close out of there the next thing that I do want to show you is our customer preview so let's go ahead and jump into that as soon as I've clicked on that customer preview it's going to go ahead and show me what our customers would receive by email and so they would look at something like this and as you can see here the customer is able to sign and pay and they also have the chatter on their end only for messages sent out to them and so you can see here the message that was sent wonderful let's go ahead and go back into uh the edit mode and this will take us back to that Port that we just sent out so let's say we had some conversation between uh professor and I from the customer is now ready to purchase please go ahead and click on confirm nice and in doing so we can see here that the stage change from quotation sent to sales order another thing that appeared is a new smart level for a delivery if we go ahead and click on this delivery it'll show us that we have one ability set for our test customer to their address with a single product that we are that we need to deliver let's go ahead and scroll down and now we can see the chatter actually changed the stage here from quotation sent to Sales Group so that's showing you that the chatter always keeps track of information all right now in doing so I can go ahead and create an invoice but let's say I first want to set that delivery all right we're going to go into the smart budget and we can also do this through our inventory application but for now I'm just going to go ahead and deliver it through here we're going to go ahead and validate this and it's letting us know that we're going to have to force a transfer okay let's check the capability there and set that done quantity to 1. all right now let's go ahead and validate it now and so it is confirming with me that I'm going to send out an SMS message to my test customer and this is just letting them know hey your delivery is now uh sent let's go ahead and go down here and we can see exactly like with our chatter the chatter is taking note of that and it is showing you and you have now sent out an SMS message to your classroom oh let's go ahead and go back to our sales order nice and now that we have delivered our single product we can see here on the sales order the quantity of the demanded the quantity delivered and now we just are missing the quantity inputs so let's go ahead and click on create invoice so we're going to go ahead and say irregular invoice if I wanted to I could also require a down payment but for now we're just going to go ahead and click on complete okay so now we're looking at the invoice that was just created uh we can see here uh the exact product that we are delivering that we are invoicing for the amount and also the account that this is going to credit and debit if I wanted to I could also choose an analytic account and I can specify exactly how much of the income I'm receiving the money I'm receiving should go into for now let's just go ahead and click on confirm so our invoice draft will appear as posted nice and we can see that that stage has changed up here if you want to we can also go down to the chatter and see that the stages have changed now I just want to go ahead and send and print this invoice so if I want let's go ahead and click on that button and so in doing so I am now receiving a another email template this one is for my invoice and I also have the ability to print this as a PDF maybe if I wanted to keep track of it on file on him I'm going to go ahead and not print on it for uh for now and I'm just going to send it nice and as soon as I sent it guess what the chatter took notice and we can see here that it also includes the PDF if we were to jump into um the customer preview they would see this as well so let's go ahead and register their payment and so we're just saying that we have now received money for this sales order for this invoice so let's go ahead and click on create payment there and wonderful we can see now that our uh invoice is in payment so our customer did pay all we need to do now is go into our accounting application and reconcile uh this term all right so that is how you create a quotation a sales order and an invoice uh in odoo as you can see we were able to send each piece out to our customers and our chatter took narratives of exactly who did this so the chatter took notice exactly that Mitchell admin was the one to send out all of these quotes and to create the quotes and have exactly what time and if our clients were to ever respond back uh the chatter would also keep a thread of their messages here all right thank you so much for watching the video and if you have any questions just go ahead and email me uh and my information is down below thanks goodbye
