will highlight some of the benefits you can achieve by utilizing sap tm and sap lbn in your sales order process you can optimize and automate the outbound logistics process from order creation to final delivery the solution support connectivity and collaboration with logistics service providers it also provides real-time end-to-end visibility helping you anticipate future problems in this video we spend time across sales and distribution and transportation management in s4hana as well as sap logistics business network freight order collaboration our journey starts in sales and distribution with the creation of four sales orders the orders are instantly available in transportation management and we pick them up from here in tm we will do the planning and creation of freight orders in parallel we will initiate dialogue with our preferred carrier through lbn at one point we will trigger delivery creation based on our transportation plan we will move on with milestone reporting and see how this is reflected both in tm and in lbn freight order tracking we will end our journey by performing freight settlement including invoice submission by the carrier with instant and automated invoice verification even though warehousing or ewm is an integrated part of any outbound process we have deliberately left out some of the warehouse activities we will revisit the already created sales orders a couple of times we will execute most of our activities from the transportation cockpit the collaboration with the preferred carrier will take place using several targeted apps in the logistics business network carrier portal track freight movement app will be used to illustrate one of the many ways we can provide detailed end-to-end traceability for each single freight order let the journey begin in the transportation cockpit we can see the four orders represented as four freight requirements or to be more precise four freight units in the bottom left corner we can see available transportation options resources on the top right we can see several freight orders again these are the results of previous planning at the bottom right we can see details for a chosen freight order the current screen setup is just one of many page layouts available in sap tm we can easily open each of the four sales orders from the freight unit window by clicking on the link in the freight unit overview in the process flow area of the sales order we can see that a freight unit has been created representing the goods that need to be transported please note that no delivery document has yet been produced we can perform early transportation planning based on sales order information only thanks to the order based planning capabilities we move on by marking the four freight units and trigger the freight optimization as we can see by the one dollar symbol the system has proposed to consolidate all four freight units into the same freight order we accept the result by pressing save a new freight order becomes visible in the freight order view by clicking on the order we can in the detailed view below see the planned order on a map a generic order overview stage information as well as an overview of identified potential carriers in their ranking when we revisit each individual sales order we can see that each sales order and corresponding freight unit have been attached to the same freight order please note that no delivery document has yet been created we will revisit that later back in the transportation cockpit we open the freight order different information is available on separate tabs for instance a complete document flow and overview of all freight items the different transportation stages with distance and durations the utilization of the truck stage by stage as well as a subcontracting tab with the carrier ranking on the tendering sub tab we can see communication has been initiated to our preferred carrier pgi trucklines we will now turn to logistics business network and act on behalf of pgi trucklines in the carrier portal they can see that several requests for quotations have been received by opening the app they can see a list of six we open the request just sent from us and can see some essential details about it such as the goods to be shipped the delivery stops and stop sequence and contact information in addition they can see our expectation on freight cost based on our mutual existing freight agreement the carrier can reject propose changes or accept it as we just did jumping back to the transportation cockpit and the freight order we see that the response has been received the answer is automatically evaluated considering possible changes before being awarded to the carrier if it falls within the defined tolerance criteria in the status tab of the freight order we can see that after awarding it to pgi we are now expecting a final confirmation from them so we revisit the lbn collaboration portal and through the freight orders for confirmation app we will commit to the order on behalf of pgi this also gives pgi a chance to record information about the pickup truck and driver if already known at this time back in the transportation cockpit and on the freight order we can see that the carrier is now confirmed therefore we can trigger the delivery document creation directly from tm an example of transportation-driven delivery creation based on a planned transport if we look at the sales orders once more we will see that a delivery document now has become part of the process flow this is also reflected in the document flow of the freight order lbn freight order collaboration also offers the opportunity for carriers to book a dock appointment if requested the doc appointment app reflects the structure of the pickup location the opening hours and any taken or available time slots per loading point during execution there are many ways to report execution statuses we will look at how this can be done manually through the lbn collaboration portal and the freight orders for reporting app in the app all milestones to be reported are clearly displayed by freight order the carriers can report execution time upload relevant documents and report deviations such as a delay we manually report the first milestone the departure from the pickup location and record a time within the tolerances defined in the system the recorded status is reflected also in the tm freight order visible on the execution tab in the freight movement tracking app we can get an overview across freight orders and details for every order in addition we get a graphical representation of the freight order both the overall process flow and the deliveries pinned out on a map we continue to record statuses manually and flips between the apps to see that changes are instantly reflected across system components on the third milestone we deliberately record an execution time outside the tolerance level of 10 minutes we can then see how such deviations are reflected graphically through the use of colors and remarks all planned and executed time stamps are collected and serve as part of ongoing carrier performance evaluation for completion we quickly record and review the milestones for the remainder of the freight order depending on late or early reporting the color of the milestone events changes ingly it is time to look into how we settle the freight order with the carriers at first we will have a look at the charges tab of the freight order then we do a quick recalculation of the freight charges before we trigger the creation of the freight settlement document the freight settlement document is transferred to finance and contains among other things the cost distribution of the total cost in our case the total has been split down to delivery line item level based on gross weight when the freight settlement document has been posted we can see a significant change in our document flow we have accruals posted for the calculated freight cost and purchase order and service entry sheet that will be used to match the incoming freight invoice from the carrier through lbn we can make carriers aware of freight orders required to be invoiced carriers can submit the invoices directly through the collaboration portal they can review the information provided look at our freight calculation and add or amend the estimates if changes are within agreed tolerances we can automatically verify and settle the invoices the solution also supports self-billing the carrier invoice and its verification become an integrated part of the freight orders document flow providing a complete end-to-end overview the functionality shown in this video is
