hey everyone Yama here and in this video we're going to learn how to automate leads through a typical sales pipeline starting from the new lead stage all the way through to invoice paid first let's take a look at the pipeline here so you can do that by heading over to Opportunities and then heading over to pipelines and here you can create a new pipeline I already have one created as you can see we have a sales pipeline here with all these different stages now the goal is to ensure that we get the maximum amount of people from the new leads which is the first stage to the last stage which is invoice paid and in order to do that that we'll have to create some automations making sure that we're taking care of all these leads through the different stages so let's dive right into it and we're going to deal with each stage one by one all right as you can see we have the first stage which is New Leads now this is where the people coming in from our ads maybe they're filling out the Facebook lead forms or funnel form and they should be populating under this stage so in order to do that we have to create our first automation so what we have to do is head over to automations right here then we are going to create a new workflow and then we're going to scroll down a little bit and and choose the recipe Fast Five this automation is already pre-built with some amazing automations and it tries to have the maximum touch points within the first 5 minutes of the lead filling out the form now this is really important because a lot of case Studies have shown that if you engage with the lead within the first five minutes of them filling out the form or reaching out to you you can get the maximum responses so that's the goal this automation already has that so you can customize this automation right here it already has some awesome email and SMS actions right here and if the lead does not respond as it you can see we have an ifel condition here and then we can follow up based on their action so if they respond cool we can take them another way send a call connection request and if they do not respond it automatically follows up so this is a great strategy to get the maximum response it out of the lead within the first 5 minutes you can easily customize the automation let's say you want to change the email here so you'll just go here and then you can switch out the content inside the email and same goes for the SMS and all the other action steps that are in this automation now before you publish and save this you have to add in a trigger that when should this automation start and we're going to add in a form now if you type in form here you'll get a few different options so of course you can trigger this automation based on where you're hosting the ads so maybe you're doing Facebook lead ads or maybe you're doing Tik Tok or LinkedIn for this example I actually have a funnel form because I'm driving my Facebook traffic to a funnel which already has a form in it so I'm going to choose this one right here then I'm going to add a filter to choose my form and I'm just going to search for it select that and hit save trigger so anytime somebody fills out this form they will start getting all these automations and we are going to also update this opportunity action right here which is we want to place these leads into our sales Pipeline and the stage should be new leads and then we can leave everything as it is if you wish to and then hit save and then lastly just hit publish right here and hit save all right now we're going to create our second automation which should be for hot leads so what we want to do is click on create workflow again and we can start from scratch right here once it opens up we're going to add a new trigger and the trigger should be reply so if you search for reply right here we're going to choose customer replied and then we are going to add some filters right here so we are going to select replied to workflow now we're choosing replied to workflow here because whenever somebody responds the first automated text that we sent out from the first workflow we want to trigger this automation because that will be an actual hot lead so we're going to select that workflow here which was this recipe Fast Five and we're going to save trigger and then we're going to create an action here which would be create update opportunity and then we're going to select the pipeline here and then hot leads and then we're going to hit save action so now anytime a lead responds to the first messages that went out they would automatically be moved to the hot lead section so we know that we have to prioritize these people because they are responsive and we can get them right away you can also add more actions if you need to just like adding a tag is really common because you can differentiate these leads from the other leads that are in your system and all you have to do is add a new tag here if it doesn't exist before hit save action I already renamed it and I'm going to hit publish here and then save all right now it's time to build a third automation which is for booked appointment so in order to do that we firstly have to make sure that we have a calendar and you can do that by heading over to calendars right here heading over to calendar settings and here you can actually create a calendar I already have a couple of them set up one is for sales which will be the initial call and then we also have an onboarding calendar you can easily create that by clicking here and then choose your scheduling type you can easily create one if you don't have so let's go back and build the automation now so we are back under automations we're going to click on create workflow right here now you can start from scratch but we already have recipe for appointment booking which can save you time so just select that one right here and then we're going to add a trigger so just click here and search for appointment I'm going to choose appointment status and add in some filters so the filter would be in calendar we're going to select the sales calendar here and then we are also going to select appointment status is confirmed so this way we know that the appointment has been booked and confirmed and we're going to save right here then we're going to add an action which would be to create/update opportunity select the sales pipeline right here and select the booked appointment hit save and then you can also customize these texts that are going out just change the wording you can also add an email action so that you can send confirmations and even reminders for the lead that has booked the appointment once you're satisfied just hit publish and hit save all right so next stage is verbal yes now this is where people from their call center if you're calling yourself would be dragging the leads manually because this is something that you can only find out maybe on a call and let's say this person is interested and then you want to move them to veral yes you can do that manually but we're going to add an automation when somebody is dropped into the veral yes stage which would be sending them a proposal of what we talked about on the call now in order to do that you will need to set up a proposal and you can do that by heading over to payments and under documents and contracts you can head over to templates click new here and then create a new template I have one already created which is gmbb marketing proposal so we can use that for our automation so let's head back to the automations again click on create workflow and I'm going to choose start from scratch now as I mentioned earlier that we only want to send a proposal when somebody is dropped under the verbally yes stage so what we're going to do here is add a new trigger and we're going to search for Pipeline and select pipeline State changed then we're going to add a filter which would be in pipeline firstly we'll select the Pipeline and then the next filter would be pipeline stage and choose where will yes right here and hit save trigger so we have the first part of the automation now let's build the second part which would be sending a proposal so we're going to search for that step and choose this one right here and then just select the user and then I'm going to pick my template which is GMB marketing proposal you can of course choose the one that you have built and hit save action I'm just going to rename it and then hit publish and hit save and we are done with our fourth automation all right so coming back to our pipeline let's say somebody got a proposal now in order to move them to proposal signed we need to know if they actually signed the proposal so that will be our fifth Automation and I'm going to head over to the automations again and create our fifth automation so for this one our trigger would be proposal and estimate so we have to choose that first and I'm going to add in a filter which will be document type is proposal and then we will add another filter which will be status is signed or accepted and then hit save trigger so now this all will trigger when somebody signs the proposal we have sent them and the first step that we will do is change their or update their opportunity inside the pipeline so we'll select the pipeline right here and then update their stage to proposal signed hit save action now before we hit publish there's one more thing we have to do which is if they have agreed to the proposal because usually in the proposal you'll mention this is what you will do these are the terms and this is what the pricing will look like so if they've signed on it it means that they are ready to pay you guys and then get the onboarding process started so what we'll do is add in another step which is to send invoice we'll choose this action right here then I'm going to select the user again and then choose the template if you do not have an invoice template what you can do is head over to payments right here and under invoices and templates you can create a new template right here now I'm going to keep the payment Mode live because I will be receiving actual payments and then hit save action and the last step is again to publish this and that is pretty much it now if we come back to our pipeline there's one one last stage that we have to create an automation for which is invoice paid so I'm going to go back to automations again and create a new workflow now for this one our triggered would be invoice and we are going to add in a filter which is invoice status is paid and then hit save now once somebody pays we want to update their opportunities so I'm just going to select the pipeline here and then select invoice paid and hit save action now you can add in some additional steps like a good action could be sending them an SMS thanking them for the business and also sending them a link to the onboarding calendar I already have it custom valued you can of course add in your link directly if you need to but this would be a good time to send them an onboarding link if you are a marketing agency or if you are in a similar business of course this can vary from industry to industry but usually you can send in some confirmation or add in the next steps so the customer would know what the next steps look like once you're done building this just rename it hit publish and hit save if you didn't want to create a whole new workflow for this last stage which was invoice sign there's actually a simple way to do that all you have to do is head over to payments under documents and contracts you have to click on settings right here and then select the third option which is product invoicing once you have that selected all you have to do is toggle this on and hit save now as you can read here what this will do is every time somebody signs a proposal that we sent initially it would automatically create an invoice from them now it is important to not that it will create that in the draft mode so you will still have to send that under invoices it's just for the reason that if you have to make make any last minute changes in the invoices but this can save you some time if you do want to create an automation I created the automation because I wanted to send out that SMS thing as well but if you don't need to do that you can make use of this simple process as well all right so that was all about this video as you saw that I chose an example for a Google my business marketing agency now of course your business would be different but these set of principles or automations would work pretty much for any industry if you follow this tutorial you should be able to
