welcome to another video on a new excel template this time it is the new employee checklist excel template typically in organizations HR department may have a set of activities that each employee has to go through in order to complete onboarding onto the new company and so we can use this template to document such onboarding activities in a nice checklist format and we can use one file to store this information about all employees so in this video we will see how this template works and how we can use it so this is our excel template we have three sheets in this template the first is the settings and then we have employees and print so we are in the settings sheet where the first step is to make sure that we have our company information in this set of fields so the first one is a company name and then if you want to print the activity completion dates then we will choose yes this is by default but if you don't want to you can choose now and then we enter the list of employee activities this is the list of activities that each employee has to complete in order to complete onboarding as a new employee now after you enter the list of activities we can go to the employee sheet and this is where we would enter the employee information so each employee is in a separate row and then we enter their basic information such as the date of joining the title department manager and office location and you can rename any of these fields and use it to store any other information that you want about the employee and then the next set of columns are activity completion date columns and these for example the first one is the attend new employee orientation is the first activity that we entered in the settings so that comes up here and so these have formulas so these cells are formulas so please don't edit them but basically you will have all the activities listed here and you can ignore that and then just enter the dates here for each employee so employee one complete new employee orientation on 5th June completed the i-9 form on 6th June so as each employee is completing each activity and then it can be entered here in each of these columns so it can track up to 12 different activities in this case we are only using nine activities in this sample and that's why we see only nine being populated but you can have up to 12 okay so after you enter the dates in the print sheet we can automatically create the checklist for any specific employee so this is how the checklist looks and I can zoom in so that we can see some of the more detailed features so the top section is the header section where we can choose any employee and the employees checklist will get populated automatically there are formulas which are automatically pulling this information the fields here are also customizable so you can change this to title and then the title will appear here and if you want the department on the right and then similarly you can change these fields the list of fields will be available to you are the ones that we have in the employees sheet okay so and then you can change the format of any specific cell by you know going to the formatting here and then changing the color if you want to do any of those and then we can go down to see the activities completed by the specific employee the activity names and then if the employee has completed that activity you'll see a checkbox otherwise you will not so let me choose another employee who has not completed all the activities so we have three activities completed by this employee but these activities are not and so you see the dates for only three and then the percentage complete is the basically the number of activities completed divided by number of activities in total and you can see that this employee has completed 33% and if I choose another employee who has completed all it will show 100% and then if the employee has completed all the stages you will see the checklist completed date appear here otherwise it will be blank the this section here is where we can enter information which will provide additional information or resources to our new employee just as a placeholder and provided basic contact information for support or health and then links to new employee resources on the intranet if there is available so you can use it to customize it for your business or you can choose to right-click and clear contents so they will disappear and it won't appear while printing so this is how you can use the employee checklist print sheet to create a checklist for any specific employee and you can customize this checklist as well and now you can go to file print and then you can print this or export to PDF by going and export to PDF those are all standard Excel features now in the settings we saw one of the option was to not show date so if you choose no and come back up here you will see that the dates are not appearing next to the activity check boxes the completion date is not appearing so that can be controlled easily by this option in the settings sheet to display or not display the dates so this is how you can create a new employee checklist and store information for all the employees in one file if you want to add an employee to this you can just like then to say employee for and then it gets added to the to the table and then thus it gets added to the employee drop down here employee for since we haven't entered any information for that employee this is all blank and the employee has not completed any activity so there are no dates so this
