I'll talk more about simple slides a bit later, I added a link to their site in the description of the video below go ahead and check them out when you're ready. Now, let's get started with my tips. Number one, Align Your Objects. Alignment and spacing are two of the most common issues in slide design. It can be quite distracting, for the audience if things don't line up or aren't positioned right on your slide. I used to waste a lot of time manually dragging my shapes around until I was happy with their placement. But there is a much easier way to get this done the Align feature. So let's say I have these objects I want to properly align them instead of moving them around with a mouse until they're all in the right place, we can use align objects. Just like the objects you want to align, and then go to the Shape Format tab. Here, you have several options like Align Left, Center, Right for vertical alignment or Top, Middle, Bottom for horizontal alignment. In my case, I want them to be aligned center vertically to get the icons in the circle, perfectly centered, I can use Align Middle. This also works for my text box here. Let's just select them and use Align Left and that's it no more nudging around shapes manually. I also highly recommend the other two options to distribute vertically or horizontally because it will create even distances between shapes. Number two, Replace Your fonts In One Go. Sometimes it's necessary to change the font for your slides. It could be because of a new corporate entity rule, or maybe you're consolidating slides from other colleagues, and want to get a consistent look. There are several ways to do it, but the easiest way for me is to use Replace Font. So let's say we have this corporate presentation, and we want to use the font Lato for all slides. Of course you can go through each slide, you can mark all text boxes and change the font, but we don't want to do that. Instead from the Home tab, you select replace and Replace Fonts. Under Replace it's going to show you all fonts you currently have in your presentation. In this case, we have Arial, Lato and Open Sans. First we select Arial we want to replace this one with Lato, click Replace and PowerPoint is going to automatically find all instances where Arial is used and change it to Lato. Repeat the process for Open Sans and then that's it we're done. All text boxes are now updated to the new font. Just to avoid confusion, for some reason, Arial is going to still show up into drop down, even after we already replaced it with another font. Now, I'm not sure why that's the case maybe it's some sort of fallback font that's programmed in PowerPoint templates. But apart from that, this technique will replace your fonts super fast. Number three, Duplicate With Ease. Nothing is easier than creating a copy of an object, right? We all know about copy and paste, but what if you want to create several identical copies of any object? There is a better way. Let's say you created the perfect shape for your slide, but you need three identical copies of it instead of copy and paste, we're going to use shortcut Control + D. Then we positioned the copy where we want it to be and press Control + D two more times, this is going to position the new shapes perfectly aligned and with the exact same spacing pretty ending right? There's also an alternate way of doing this hold on, Control, click on the object and drag the copy to its new location this is going to copy the object to. If you hold them Control + Shift, and then click and drag the object, it will align it perfectly with the first shape, then click Control + Y and PowerPoint we'll repeat this step for you. Number four, Get Organized With Sections. Sometimes you just have to deal with presentations that have a lot of slides. To keep organized, you can split your slides into meaningful groups or sections. This has several benefits. They're super simple to create just right click between slides and select Add Section. Then put the name of the section in the dialogue box that opens. Once you organize your slides in sub sections, you can collapse entire sections. This makes it much easier to focus on a specific part, of the presentation. If you have to move a section, just simply click and drag, or right click and so they move section up or down. This is going to bring all slides in the section with it. Another benefit of this, is when it comes to collaboration so if you're collaborating on the presentation with other colleagues, you can just assign them a certain section this is going to make it easier for them, to find the slides they have to work on. Now, if you have Microsoft 365 or PowerPoint 2019, you can use PowerPoint's new Zoom feature. You can create a link to a section, and after you presented all slides in that section, it's going to jump back to the Section Zoom. I have a video on PowerPoint Slides Zoom functionality I'll link it up here in case you're interested. Number five, Upgrade Your Pointer. My last sip is less about creating, but for delivering your presentation. If you want your audience to focus on a certain element in your slide, consider using PowerPoints built in pointer options. Often I see presenters using the standard most pointer circling around on the slide, but a white pointer on a light background, doesn't draw much attention. Instead we can do is change it to a laser pointer like this, or use the pointer to highlight certain elements on the slide. Using these different pointer options, is a great way to add some interactive visual element, during your presentation. And you're not just limited to the colors, red and yellow you can just the color of the pointer to get a good contrast to your slide background. One option to change the pointer, is when you're in your slideshow, right click and select Pointer Options and choose one of the options. Laser Pointer, Pen, or Highlighter, to change the color of the pointer, click on ink color down here and select a color you want. To get back to the default pointer, just de-select the option. If you prefer to use shortcuts, you can use Control + L to change to the laser pointer, Control + P to change the pen or Control + I for the highlighter. To change back to the default, use Control + A. A quick way to just temporarily convert your mouse into a laser pointer, is to hold down your Control key and click the left button of your mouse. As soon as you let go of the left mouse button, it's going to turn back into the default pointer. Here's a very simple, but useful bonus tip. This works wonders if you have an important message and you want the undivided attention of your audience during your presentation, while you're in slideshow mode, simply press the B key to blackout or the W key to whiteout the presentation then hit at any key to return to the presentation.
