drop them between those items as well as adding checklist to those items every understands that piece a little bit know maybe go into that a little bit more in-depth then so on the cultivated phase if you have like say you have this listing here and now you've set an appointment from them you can take that appointment and you can drag it up here to the active side you go up to the active side you could hit the appointment it's that same appointment does it now move from cultivate to active you could also hit the the loop or the sorry the opportunity at bear in mind of trying not to use the wrong words and the wrong spots on these things so it's tough DocuSign and doubt loop we've made the same names alright hate doing classes on Tuesday because Tuesday is a day they do the most updates we can put them back into the nurture stage the other thing we can do up here which is a great thing to do is to change the opportunity name now if we are starting this opportunity the first time it's gonna pop up with their last name - listing unfortunately for compliance reasons it's really hard to find that transaction maybe when we get the earnest money check in or something like that so the recommendation is to change this to you know your address first - last name - listing so that way you build a search for it based on that address when we have commissions when we have things we need to apply to those loops into those things we want to make sure we change that name to add in that address similar to what we do without loop so we haven't made the recommendation we search for the address but that hasn't come in there yet so we're working on I always making changes right the other option we have up here is the check lists we can add check lists for these types of stages throughout the process so if you need to add any checklist on the things you need to do getting them from like under contract to closed you can have those checklist items - that piece right there absolutely where I take a 60-second break to fix some technology problems yeah we're gonna start them as a contact you can go to their contact or you can go to opportunities either one is going to start an opportunity so yep create an opportunity okay well let's hope that everybody joined us you guys have questions and you're joining us remotely feel free to unmute and ask the question in the on I should've made it I'm sure I made this jump see how quick it loads here so we click on an on a contact here and now we can go into the opportunities here on the right-hand side and we can click create opportunity at the top right and then I go through the opportunity creation piece basically we're going to fill in as much information we know about them so if we know potentially it'll close date when they want to close what they want to list for custom tags I typically put in these are tags for the listing so I put in like if it's a new construction if it's a prebuilt if it's a fargo-moorhead four-bedroom make separate tags for those so you can search your opportunities quickly and easily maybe you have somebody call and say hey I want to buy a Fargo property you might have an opportunity coming up you can search opportunities quick and go hey there's a Fargo property that I can maybe work together with this deal usually need to be a little more in-depth but you understand the concept yeah okay sure so if you have a shared email in that regards I would put the email itself I think you could only put it under one of the contacts yeah so when you send signatures out and DocuSign know you can have the same email for both clients in there so if you're sending out for them to sign it you can do them both in the same email from there though okay that's one of the one of the selling points of DocuSign is that they can have one email or whatever reason I guess he would still be logging at the time of date if it was signed and whatnot and I would want to know it I mean you want to disclose to your clients that you're using the same email address most the time they'll know yeah it's a good point all right so now we got our opportunity and we're in the appointment phase or let's go into the once it'll cultivate phase here now we need to get some documents signed by the seller so we're gonna go over - yep so I just clicked on opportunity put on the cultivate square I would add them as active now as you're continuing to build in the command system though it's gonna start tracking how long your opportunities have been in those spots so the more accurate data you give them the better it's gonna help you analyze how long you go from cultivate to active yep correct it's still not gonna the history of approximate day isn't gonna actually met calculate ain't different on it but unless you want it to sit in cultivate and then you know remember to change it in five days even it wasn't the same five days I guess you could do that but might be a little extra work than most people are used to okay so Mary you had a question from getting from here or you one step further back get to here okay so you're in here okay now you're here okay don't want to lose anybody so let's go ahead and hit to the opportunity or the appointments phase and there we're gonna call the great phase but I've got one in there I can play with all right so now we go to the documents tab and once we're in the documents tab we can hit the start a transaction now this is if this isn't on yours yet that means you have it set up DocuSign yet anybody have any questions on getting back you sign setup don't have document back to sign yeah let's go take a few minutes while it runs it's actually creating what's called that room so the room is like we said the loop that you've had before this is what's gonna store your documents in DocuSign they ask you to log back in I know my passwords no new templates they weren't in here at last I looked but fantastic if they are get that pop-up all right so we're gonna skip setting that up because that is a little bit longer process so ever least it's gonna work on that but if you guys have questions on that let me know we can walk you through it on a one-on-one basis so now you have your room now you can add your documents now unfortunately our documents are not in here yet Minnesota North Dakota forms are not in your yet so you would want to still slip fill these out in any way that you have done before now that could be via either going into your thento sign and signing them right up to the MLS or if you use dot loop to fill them out a few and print them and fill them out whatever way it is basically we're at this point we're ready to have a PDF of those documents sure neither place all right if you've completely lost him you probably sent them someplace you're not sure where he is if you hit your sales pipeline and you hit all opportunities on the top here this should show you all opportunities you should go to find where your opportunity is at just the same as your sales pipeline that was over here so you know where the screen is that you're completely lost Mary you can hit to download them now Minnesota is fighting currently with DocuSign in order to get those loops in because I have an exclusive with instant it forms so that might not happen for months so until then you're gonna have to find a way to do it either upload your own documents fill them out online or they just won't be automatically syllable documents until Minnesota and DocuSign fight that agreement out North Dakota that should be a more available but Minnesota is stuck right now so let's say you've got a dot loop in here and you want to take all these documents now you can select the top button up here and that looks like all your documents in a folder you could hit download and that would make them all in one PDF the other option you could do is you could hit email or hit share you can put inbox yeah until we get forms uploaded League I get those forms from somewhere so either if it's not sent to sign or if it's dot loop you'll have to get from somewhere or regular printed its side yep know what that one's in there it'll be saved for the next time I want to use it unclick my clients because they've already seen it I'm just gonna do a view only I am going to add attached PD after that as well and click Share missing go missing yeah give myself a title all right so they've shared now if we go over into our DocuSign inbox we should see all those documents popping in here what's going to always want to start your rooms directed by going from the opportunity clicking starter transaction okay so let's say if this is email isn't working because it isn't we can also do the option we can hit the download button here that's gonna download all of our documents into one big clumpy mess we can go into our room here click on the room on the top where we can go actually right we'll click on the room on the top here so actually adding these documents directly to the room click our room now this room since we're in here we can click back and forth between them because they were made and connected from command go toward dracumite speed page right here if you would just click you know go to transaction if we brought you right to this spot and now we can drag our files up there and upload them directly to our room so maybe this is right from the copier wherever these documents coming from that's one way to get them in here now once we click on the documents we're gonna also click on the button up here document actions and we can hit split that's so much quicker Nia's here it's night and day yep but sometimes slow especially when you're just when you're showing it off to somebody turn up again here the in the process of splitting here what we can do is we can actually type in the name of this next first file maybe this one is gonna be disclosure do it was loading this file everybody else having slowness to which is my computer just me love it you're still gonna like great yep have you created a connected to through a loop already okay not certain on that leave no it should create a remedy when you click that blue button start a transaction um you may need to you may want to go into your settings and disconnect that loop actually we heard I'll have to ask that one of my group I haven't seen that one yet so if we're gonna split the transaction now that the file is up here we'll hit the transaction we'll hit split and now we can break those files out those first ones gonna be like there is money chest if you add a document clicking a little blue button underneath it and the next one might be a disclosure of some sort on dont that this was not popped up like yet now in the box next to it we can pick what pages those are so if it's a page two three four we can do it two through four we can type them in if we want we can also do them in reverse order if we scanned it backwards so if we one two four comma three comma two the cat-scan backwards we can reverse them and it'll actually put the documents in the right order going that way we have a document in like incorrectly in there for you maybe let's say it's age six as well 7 but page five wasn't part of that document it will actually skip that page for you as well so you can rearrange your photos all the paper is up in the air and from back in the scanner you can rearrange them and get them in the right order here so say if you have steps back to the scanner to get you the right documents then you're simply going to hit save and that is going to create then I'll still have a page on that one there great your two documents are your five documents then right next to your other document so your original documents going to stay there you can archive that if you want but then we'll create the other two documents then for you as well questions on splitting mm-hmm okay hit the if you hit the split button already you have split button to get there now you're in it oh it's click out of it probably and then kind of here split button on my computer at Lisa's right up above the document if you're zoomed in maybe you're on like a thumbnails page like this that where you get what I'm seeing so let's go beat this button right here the document access button you have one of those all right yeah so now we've got all of our documents ready now we can go back to DocuSign and we can submit these for compliance go back into our opportunity here if you hadn't moved around it would have been the same page looking so I was moving around a bit now we need to attach the e to the checklist now these checklists are universal across both states all of our market centers so there's a few things in them that might not apply directly to your transaction those have been updated to so whether or not they are conditionally required and some places the sellers checklist is not maybe it's a flood insurance those types of things would be conditionally required if they are specifically required then they're going to be throwing up required and that's gonna be something you need in order to be compliant now we are working towards having individualized lists for if it's a new construction North Dakota you can suction Minnesota all those other things we're trying to break those out but at this point that's where systems at so if there's list is way too long and you can't figure out where to assign your file here's a little trick you can hit the command F or control F for find and you can find like let's say I've got my earnest money check I can spell correctly it should find they're earning money isn't in there although still those things that won't have it well let's say I've got my tax info you can find the tax info right there and that'll be the one that you want to attach those files to ends on the city remember this is statewide and city wide so you have had to combine the PDFs basically at that point yeah I suppose since are both required that is a question conditionally required maybe but yeah understandable the question huh all right so now we've got our tax printout we want to attach it to the checklist basically this is the same checklist that we used to use which was just a form now the checklist is built into command retell Laurie or wherever your compliance person is to attach that we're gonna hit the add a file button and since this file is already in DocuSign where you flip the DocuSign tab here and it's going to allow us to pick documents that are already in this room and catch them directly to it so it's going to be this multiple documents folder or whatever it is that they sign button and that document now is ready for setting to compliance now we would go through the transaction would apply all of the documents that we have completed and we would be ready to send them over once we have them attached we'd hit the submit to MC and then Lori's gonna yell at us what we're gonna do this today but you know it'll show up on her side and then she'll be able to reply back to it like this team miss calls recognition required to be done with all sellers when fired all right so tell you exactly why the other options when we have documents let's say we have five addendums or five things going on you can click the add item here and you can actually add addendum for and make a make a spot to be able to submit that that to Lori so if you've got an addendum that just doesn't fit that's one way to make that happen you do still have to do a green sheet that will be until we get rid of the Commission's piece now be a couple months till then it goes to Laurie and then she'll start making notes back Laurie do want to make note back to us we can see it'd be fantastic the other options if you have like your listing photos those types of items you can also add them here and there custom folders so you can add a custom folder and you can call this photos you can store all of that in the cloud as well so everything can be located here all your marketing pieces whatever it is you want you just click the add documents and that will add those to that loop as well for do that opportunity as well for you any questions on submitting documents so far so there's our message coming back from her these are you know it's bla bla bla bla bla you couldn't do that for you so give you have one large amount and now she's resubmitted it back to us and we have questions so we go back to are listed here please it's not a tax printout we'll have to add a signature to it right that's the most common rejection not imagine not to jest ever has that ever happened Co yep Lisa getting your doctor's sign that loop refresh it to make sure we have the most recent version from you coming back in there's more than likely it's not gonna be resubmitted right away unless what Laurie is really on the ball all right under our submitted items here we should see it yep so we go down to that tax document that was rejected we'll see the big red rejected on it so let's go back that document now they've given us there's a list of tab here scroll down to our rejected we click on the buttons over here we can see the version histories can go back to the old versions of that we want if we've made an update to it you actually see the old version they're under version history a little slow we can also go in and we can update that file so we had to replace we can grab that new file if we have a new file that we've done we need to work on that file we can go back into DocuSign and we can work on that file as well so we go back to the transaction so now we take this back event we could do whatever the modifications we need to do to it if we need to send something out for quick signature we want to use DocuSign we could certainly do that in here you could hit the signature broke down to DocuSign ring create what's called an envelope an envelope is very similar to your loop this is the documents that you're going to be sending out to somebody so let's call this our 1 2 3 Main Street envelope we're gonna add the documents from the room that we want to be sending to somebody we're going to add the recipients sometimes the room recipients is gonna pull up with our actual listings people it does not have them in there yet eventually you will grab your client from there otherwise you can just hit add recipient right now rumery separate they're out they're not room recipient email address you can put their email address in for them so I'm just a friend dummy stuff in here right now all right we're going to tell that they need to sign this document we're gonna add another recipient if we have two people make a quick basic email for them and Oh hit next inviting somewhere into the rooms can give them access to everything in the room we're adding them to the envelope it's going to be just sending the documents that you want them to be able to sign if you don't want to invite them for the room next here come on here's where we'll build a markup that document so now if we need to add a signature to this document which is drag it from here anywhere on the document that they need to sign now when we do this it does not do a date so make sure you drive the date signed to it as well you want to take the signed and you can actually assign who this is my mind if you only have one person right now yep this is the one person so just signed in there so I'm at this sign Drucker to that person you have two people you'd sign the next one you can add any text that you maybe need to add in here so let's say with a sign you're listening River does you want to write to these people to add that up there and then you click send and that would send it off for them to be able to sign it they click through very similar to Ally once you get that it'll come back and it'll be a signed copy back in your loop you cancel because that's not obviously a person to sign it to any questions on that so now your file is gonna be back in your loop and your envelope will return it back to your loop and then you can go back into your opportunity itself and you can reassign that new updated version to it by clicking here we can replace we're gonna premier DocuSign saying here's well it's not gonna let me do because I didn't make any changes but it would have been made changes you could pick any other file whatever it had replaced with that questions on that it would have if the original had been made changes deal since I didn't make any changes yep correct now I'm gonna submit it back to her but now let's say I forgot to add a file and she hasn't gotten back to me now what do I do because I can't resubmit it beautiful part about this system is that it's a live folder between you and compliance so if you need to add a file before she looks at it you can just add that file or the DocuSign they conduct file to it sign it it's gonna automatically be sending that to her cuz it's whatever the stage ISM she's looking at that folder that's what she's getting so now she's looking at she can actually do both of them because it spends somebody basically when you submit it it opens up a flag for her here's a folder that needs to be looked at so whatever it is exactly at that period of time that's what you can see there's no reason to resubmit three times because you forgot to add the earnest money check or whatever she hasn't returned it back to you just go ahead and plot one all right well that's the refresh button here so now we're gonna see that the two files are here that this is approved and our listing paperwork is approved now just doing a bad job if we were just missing all these other files but you can understand the process here and if there was any note she would have updated this file here right here for with those no note for you same exact process you're gonna be in the same room saying back when it's gonna be there just working through the new documents of the earnest money or whatever pieces you have for under contract then we go to the closed and we do still have to do a green sheet and tell the green sheet pieces replace which will be the Commission's off offer up here so that should be coming out here hopefully the next couple months there's been a few of them that were working through it so excited for that and they'll get rid of that exit piece but as you're moving up the stuff in there if we're reducing the amount of times you have to reenter the data of name email we'll be working with price closing get pull it information that you do right now so I'm excited for that to help make easier questions on opportunities so far any concerns we do have as far as timeline goes we've extended that loop for at least another 30 days until they get the form to figure out what we're doing for forms so we have at least until November 15th at this point in time I mean any new loops you can start in dot loop you can do that but please start playing with this Laurie doesn't mind getting a test one [Music] again if you want to go back to something as well you could do the history of that documents like this one here is they have to touch you can go down here you can hit new year history and you can click back and forth between the two copies of documents that are in there by using these arrows at this point times folder tab are just an email just Ozzy email there the chat feature has been being built into command as well which might be able to solve some of those questions once that gets built in not a high priority for them unfortunately so that's what kind of cover getting yourself getting paid who's got transactions they want to get in there right now just that one all right all right you know it's playing around us learning so that's okay okay what you do okay oh nice so you got you've emailed your documents over okay you mailed them over you my understanding is you can take them and you can actually drag them from their gum that dragged them sorry you're in boxing in the
