Hello, my name is Erin. My blog at ErinWrightWriting.com is all about sharing writing tips for the real world. Today's tutorial demonstrates how to replace user names connected to Track Changes with the default label "Author." My previous tutorial titled "How to Change Your User Name for Track Changes in Microsoft Word 2016 and Word 2013" shows how to change user names for new comments and edits created with Track Changes. Word doesn't have a straightforward way to change user names connected to existing comments and edits to a different name. So that's why that tutorial only works for new comments and edits. Please note that this tutorial is for Microsoft Word 2016 on a PC. However, the steps are similar for Word 2013 on a PC. Before we begin I must share a very important note of caution. This process is not reversible and applies to all users associated with the file, even those who haven't used Track Changes. It also permanently removes author and last modified by data from the file. Therefore you should complete this process on a secondary copy rather than the original. The secondary copy should have a different filename than the original. To begin, select the File tab. Once you're in the Backstage view, select the Check for Issues button. And now select Inspect Document in the drop-down menu. If you haven't saved your changes prior to going to the Backstage view, a dialog box will appear asking if you want to save your document. Select Yes. When the Document Inspector dialog box appears, deselect all the options except Document Properties and Personal Information. And then select the Inspect button. Now select the Remove All button next to Document Properties and Personal Information. When that's done, verify the inspection results. And then select the Close button to close the Document Inspector dialog box. In order to finalize the process, you have to save, close, and then reopen the document. Once you've reopened the document, verify that all user names have been changed to "Author" in the Track Changes balloons.
