hey there welcome back to this channel if you have not watched part one of systemizing your real estate business make sure to go back and watch that first and then come back but if you already checked that out welcome back in this video we are going to talk about the final stage of systemizing your business and this is where really the most powerful stuff is that's going to 10x you're systemizing growth behind your real estate business so i'm super excited to share and we're just going to dive right into it so quick recap in the first part of this video we covered the first part of my step-by-step process to systemizing your real estate business which is idea identify documents and executes today we're going to talk about the a part it's going to be automating right but let's just talk about those first parts really quick we have identified the different systems that need to be placed into our business at this point we have documented the individual tasks and steps in those workflows that need to take place and we have executed them a couple of times to really shake out the kinks and make sure that it's working the way we want it to only after you've done those first three steps of idea can you move on to the fun stuff which is a automation but really it's automation delegate and iterate okay because this is kind of a beast in its own i wanted this to be its own video and we have some stuff to get into so i'm really excited to share so this is i want to point out where a lot of real estate agents tend to go wrong is they invest in the crms they invest in the new hires they bring in all these things into their business that they don't need because they don't have assistance in place yet and they don't know how they work right we're not going to do that we're not going to fall into that trap we're going to be smart and we're going to invest the time that it takes to really work on building the systems that are going to help support us and grow with us and then we are going to analyze them and look at how we can leverage technology and people to really just explode the growth of our business now during this process of automation you're going to start by going back to d we're pulling out that document right this is why we wrote it down somewhere and kept it safe and we're going to look at that documented system workflow and just kind of look at that that process and after we've executed it we're going to ask ourselves a couple of questions really just to get to the roots of what worked and what didn't so i've got three really important questions that you need to walk yourself through as we are beginning the automation step now first going through this document we're going to ask ourselves what of these steps didn't work which ones just didn't work right if you're going through and something didn't feel right or it didn't work or it was redundant and unnecessary you're going to cross it out okay so just cross that out we don't need those in there eliminate it next we're going to look at that process and ask ourselves what part of the communication aspect of the system works really well now we know that real estate is so dependent on communication between phone calls emails texts everything in between right and chances are almost every system that you have is going to have some aspect of communication look at when this occurred in this process and ask yourselves which ones worked really well which ones you always have to send for example you're always going to have to send specific emails during different parts of the real estate process for buyers and sellers look at those communications that you've sent over and over again and you're going to put a little star next to those in other words if there's an email that you always have to send at a certain time saying mostly the same thing that is your trigger to template this star that step and after you've gone through that the next question i want you to ask yourself is which steps did i really not like doing okay now it's okay to dislike parts of the real estate business there are parts that i just absolutely hate doing and remember we didn't get in our business to become a slave to it so there are ways that we can delegate some of the stuff that we just don't enjoy doing that is you're right as an as an entrepreneur so we want to look at our at our systems and think what if these did we not like doing one of these are we not as skilled at which of these tasks really don't result in revenue producing activities and we want to create a little x next to those okay we're going to just kind of identify those make sure you put an x next to those tasks okay so what did we do we've looked at our document we've removed anything that was redundant or unnecessary we have identified different things that can be templated for ease of use and we have identified a couple of steps that could possibly be delegated either by technology or by another person now at this point you have some decisions that you can make on how you want to leverage technology and people to help you get more work done and work smarter not harder now the most obvious answer here for leveraging technology in real estate is a crm a crm can take a lot of the heavy lifting off of your communication which is let's face it like half of the real estate business in general and so as you're looking at your system you can really understand what kind of crm you need and what features you need to help take a lot of that heavy lifting off of your plate you can use crms to help keep all of your email and text templates you can schedule task reminders for communications that need to go out at specific times and you can even automate your follow-up for months or years at a time for colder leads that don't need a lot of your direct involvement luckily for you i have a great extensive video all about how to set up your crm for success here so make sure you check that out and i have a great guide that goes along with that too that's totally free to download check that out after this video now what about everything else right there's a lot of other stuff in your business that can be automated or delegated using the help of technology and other people that isn't downright communication that belongs in your crm okay so there's a couple of different things that i like to recommend here in terms of certain task reminders or maybe things like content calendars for your marketing marketing strategies or other things you just need to remember to do at specific times you might look at a task management system like asana or trello these are both really good options for real estate agents and they have free offerings to help you implement these into your business and now you're just going to do this process over and over again you're going to look at your tasks look at all of your systems and automate as much as you possibly can using technology before you ever think about hiring somebody okay now i know that in real estate we want to make sure that we are extending opportunities for other people we want to be able to help enrich the lives and and you know professional lives of other people by hiring and cultivating their growth as well but at the end of the day this is a business and a lot of what you can do should be handed to technology first because we want to be profitable and we want to give ourselves the breathing room that we need in order to scale our business before we start doing costly hires the other thing about delegation to people is the training process can take a little while and salaries are typically the most the highest cost in any business so we just want to make sure that when we are truly ready to make those hires we're doing them the right way so that we can get the right people in those positions and keep them there for as long as they need a place now in terms of hiring the obvious answers here are like a transaction coordinator right somebody to help you manage all the paperwork and really take the clients from a to b through that sales process transaction coordinators are great to have and they have a very important role in your business so that's one that i always recommend first and that's a very important system that they can help actually completely take off of your plate after that we want to start considering maybe an assistant virtual assistants part-time assistants or full-time licensed real estate real estate assistants those are all great roles to look into but the difference now is that you have the systems in place you have the documented systems in place to know exactly how much heavy lifting you need in order to hire the right person so again as you're automating make sure that you're really being honest with yourself and looking at these step-by-step processes that you've created for yourself so that you can make great decisions on who you hire and you can invest in your business in a smart way and then of course down the line you can start asking yourself other ways you can delegate this work you can look into graphic designers you can look into marketing help you can even look into somebody to help call your leads like an isa or an internal sales agent what's so great about doing this process before you ever try to hire somebody too is that you already have the training manual documented you can hand this exact system right over to whoever you're bringing on and onboarding is a breeze because they know exactly what's expected of them and you've already done all the work of teaching them what to do in order to be successful as your employee so there you have it we have idea identify documents execute and automate and after you've all done all of that work you're still not finished i'm sorry to say there's one last step that you have to continue doing forever and that is to test test test remember you're never truly done systemizing your business your business will continue to evolve as your client base evolves and you need to make sure that your systems are helping support you through that growth and so i want you to constantly be setting time aside in order to monitor what's working in your business and what's not now for us that looks like setting time aside every quarter since ceo time is what we call it so really just check in and see what's been working what's not just take a look and see if anything's slipping through the cracks and if they are that is our cue to know that something needs to be tweaked in our systems this should also take place during your annual business planning so at the very least once a year you need to take a look back at your business and ask yourself hey how are things going what can i do to reinforce my systems and make sure that i am letting them support my business to the best of their ability and when your business changes and evolves just remember all you have to do is go back to the basics of idea identify document execute and automate and there you have it you are now a master at idea those are the four most important steps that you can take in
