hi I'm Jay from pop invoice in this video I'll show you a notion template that creates invoices from time sheets this template works with Popin voice but can also be used as a standalone tool too the link to the free template is in the description below here's how it works this template includes an invoice line items and client database plus a time sheet and project database as you can see I've already created an invoice for May in the invoice database here below are the time sheet records where you can log your project hours let me show you how to do this I'll add a new record for today's work naming it support 1st July clicking the start button logs the start time I'll select the project which automatically applies the hourly rate from the project database you can see here in the project database is where the price per hour is recorded for each project so after working for a few hours you click stop to log the end time the total hours worked are then calculated and rounded to the nearest hour you can adjust this rounding as needed now let's create a June invoice I'll add a new record in the invoice database name it June 2024 select the client and set the tax percentage if you need to open the invoice record and this database here is where you add the items to the invoice I'll add a new record and in the add from time sheet property I'll select all the June time sheets for the project you can use the search bar to fill filter the records to select I'll filter on June and add all the time sheets The View underneath this database shows you how the invoice items will be shown on your invoice by default all the time sheets you select will be shown as a list you can keep this or add a custom description I'll add a custom description called June supports hours and you can see the description is changed below here also on this database you can see the price per hour has been brought through and the quantity is the total hours of all the time sheets selected you can also add other items for example I'll add a meet in slide deck item with a custom price and quantity and the last thing you need to do is set the invoice status to ready now we switch to pop invoice to create and email the PDF in pop invoice select new invoice and the most recent invoice I've just created is shown I can also select the mate invoice from the dropdown here as you can see all the information has been brought through from the notion databases and is displayed on the invoice from here you can email the PDF invoice directly to the client or just create the PDF to download later I'm going to email it directly to the client from here by clicking on the create and email button all the default mailin settings have been brought through from your databases but you can also edit them here in this form I'm just going to set it so the invoice is BCC to my pop invoice email address then I'll click the send email button the email is now sent and you can also download the PDF invoice when you need to the invoice number and sent date are recorded back in the notion invoice database and that's it you can now log your project hours and create invoices from your time sheets remember the free template link is in the description below and you can sign up and use pop invoice for free at pop invoice.com my contact details are also in the description feel free to message me with any questions or template ideas is
