hi everybody this is margaret gordon from therap services i'm joined um along by my colleague katie woodburn we are both training and implementation specialists and we are going over the employment module today we're going to do an overview of our employment history module um if you will just take a quick moment read through our disclaimer here and then we'll jump in and get started um while you're taking a look at this um do feel free to enter any questions in um to the go to webinar questions section um katie and i will both be monitoring those questions as you know the other presents so please feel free to reach out we want to make sure you get all your questions answered so feel free to um enter those um questions in there can you just confirm that you can see my screen if you don't mind yep we can see you're good to go thank you so much all right so i'm sure you guys have seen our disclaimer before so i'm gonna hop out of here and i'm gonna hop into my demo account here um i'm gonna be starting here on the admin tab i just want to talk about just a couple of preferences um associated with kind of building your job bank which is really the first thing we'll kind of focus on today is entering in kind of those employers contacts job templates things like that so those privileges um are controlled in the user privileges section here so i'm gonna hop into manage and find my name and these are located under the module roles here so we have two here employment management along with um job development so with the employment management role you can really do everything on that agency tab can enter in those employers things like that we'll go through through all of those and with job development you can view those employers um but can do everything else needed for the contacts and job templates so you can give these privileges out you know as needed if you have someone who's pregnant really entering in those employers or as other people are more so potentially entering in contacts interactions things like that so these two privileges here will um be associated with that the agency tab in that employment history section so again kind of focusing on this section at the beginning here like i mentioned building that job name so hopping into creating um some employers here i do want to show you kind of the list i have currently um so again just as there are different employers you can enter these in associate those addresses with those um and that can really come in handy especially if you have um you know chains or things where there's potentially multiple locations you can enter those in um as needed so i'm gonna go back in and maybe add in an employer here let's do target so then i can enter in that address here and i'm going to keep it short and sweet i can enter that zip code here i can indicate you know the phone number email address or web address associated with this so can i you know can definitely enter in um that information as needed here but definitely entering in that address is going to be really great especially like i mentioned for those that have um you know multiple locations potentially so i'm adding in that employer here um and then going to that list to differentiate between the two i'll hop back over to my dashboard here another thing that is possible with the employers is you do have the ability to import these from excel um so we do have a um an excel template here that you you can use along with just kind of some information here at the top about the size and maximum number i'm just going to download this excel template um give you guys a chance to look at this katie correct me if i'm wrong but um when importing in um employers you'll want to do just one location for the import is that correct that's correct so each employer if they have multiple locations in the city or town that you're in each of those employers would need to be entered on a separate row here with unique addresses on each thank you thank you so much and we can always hop over to this help tab here if there is any um information that you need kind of to reference here but can enable that editing and then upload this information so you do have that potential here just wanted to point that out again not you know totally optional you can absolutely just enter them and manually should that be something you prefer to do um also i'm going to enter in a contact person for that target that i just entered in so i want to go into new here next to contact and again it's going to bring me my list of employers previously entered in i'm going to go into target here and i want to indicate who is so here i can indicate maybe this is someone in human resources maybe this is you know kind of the shift manager or something along those lines the address is going to pull from when i entered in that employment address so if that needs to change you can actually make changes as needed as well as indicate you know the best way to contact them right you can indicate you know how do they need to be contacted here i'm going to keep it kind of short and sweet so maybe you know in this comment box this person is you know out of their office pretty frequently so you know their cell phone is the best way to contact them maybe via text or calling or whatever you can indicate you know any sort of applicable comments here um in regards to this contact person you know maybe this is the person that the individual needs to request time off with or something along those lines you can absolutely indicate any information like that here let me say jane and i can indicate maybe the hours that she works or a good time to reach this person so any sort of applicable comments you are absolutely welcome um to indicate here and i'm just gonna save this information i'll get that successfully saved banner i always want to look for that and i'm going to go back to my dashboard and you can add in if there are multiple contact people that you need to enter in for one employer you can absolutely enter those in you know as many as as did here the next thing that i want to do is add in the job template so maybe i want to go in and see what job is available at this target so i'm going to go in here scroll down so here i can indicate the job category so i can indicate maybe this is hospitality and food services maintenance janitorial retail what have you here let's say this is a janitorial position see let's just keep it nice and simple i can indicate that position here i can indicate any benefits maybe you know they have a vacation or you know sick leave i can enter in that hourly wage here i can indicate their work hours if needed and also their schedule so potentially if maybe you know this this changes or it varies you can always indicate you know that this is kind of a part-time job or a full-time job um but indicate potentially that that work schedule varies i can indicate the shift here so maybe if it's just a daytime shift just a morning shift what have you you can check that off as it applies and also skills needed for the job so i can go through and indicate you know maybe they need some functional reading skills or they need you know independent limiting skills i can go through kind of check off some some information here that is going to apply to this this particular position so we have a wide variety to choose from again just checking off kind of what applies along with those job requirements so maybe they need to be able to lift 50 pounds ability to pass the drug test you need to be able to stand for long periods of time or potentially work out outside can indicate those here i can indicate if this job is currently open um so if this is something that you know is currently open here i can indicate that as well as a description so maybe i want to give just kind of some basic information some of the job requirements you know or what's expected or what have you i can list these here um in this description if you prefer you also have the ability to add an attachment so maybe you just want to you know scan that and just upload that here so you instantly see you know the entire um job description there you can absolutely do that as well i'm going to save this job in here i'm going to go back to the dashboard i can also indicate these contacts and interactions so you know if i want to go in and say that i contacted buffalo wild wings potentially i can say who i contacted so that's going to pull up from that contact person that we added in the date that we contacted them who contacted them i did and maybe i want to say that you know um to the pandemic buffalo wild wings isn't high right now this time so i can indicate any comments any interactions here um and this can really be beneficial especially um if you have you know multiple job coaches or employment specialists or what have you who are calling checking in on employers checking in on businesses this can really make it easy um to keep track of when they were contacted and what kind of um they were able to tell you in regards to job openings or an application things like that in addition you can always do searches for each of these um so if i go into my employer list one thing i do want to show you here is maybe i just want to see kind of you know what's going on at this home depot so i can select my home depot here again i can see that contact person their contact information i can see any job templates that i've added in if they're currently open you can also see kind of those contacts and interactions so right now you know they're hiring for a full-time uh warehouse associates maybe if someone wants you know to work in the warehouse so you can definitely make these changes um kind of take a look at an employer all all on one page here make any updates as needed and see what's going on with particular employers any questions so far on building these job banks i don't see any but just want to give everyone a chance kind of on building this this shopping in terms of your employers contacts job templates and contact people i don't see any katie is there anything else i miss before i pass it on over to you no there is not so give me just a second and i will start presenting all right margaret if you can just confirm if you can see my screen yes we can see it awesome so hi everyone my name is katie woodburn i do work exclusively with the employment history module margaret does as well and we actually work on development for the module as well as training and implementation so we've had a lot of changes that have come across due to user feedback some big changes that happened this year due to some feedback and things that happened at our national conference so i'm going to go through what we have for employment history over on the individual tab as margaret covered everything to do with the agency tab but before i get started there there are four roles that control employment history and so i'm just going to look at my profile to show what those are um but they follow the same logic as our other roles within the system so submit is the ability to document a milestone view is the ability to look at somebody's milestones update is the ability to update a milestone that has been entered and delete is the ability to hide that milestone from other people because nothing truly gets deleted and i'm just using milestone as an example as going through the roles here so those are the four roles that control what i'm about to show you over on the individual tab everything else that margaret showed was controlled exclusively by user privileges so you can separate these as needed from um if somebody exclusively handles and manages employers versus people who just work directly with skill building or things like that so i'm going to come over on the individual tab and there's a specific section here for employment history um the first thing i'm going to start off with is just running through what you see here so like the other parts of our system as a t log or a ger for example i can come specifically to the line that i want to enter data for so an assessment i can select new and then the next thing i'll do is i'll select the person and then i can come to a screen here where i can enter in a new assessment for that individual so i can do each of these parts independently it just depends on what you prefer your workflow to be i'm going to go through the employment history as a whole just for today because it's one cohesive look and it'll actually touch each of these sections that we're going that are on this tab here all right so i'm going to show employment history and we're going to work with ethan today so i come to my page here for employment history this first link under individual information is a link that will pop up the individual's idf this can be really helpful when you're trying to look and fill out applications such as what is the address of the individual if they have any guardians or what county or things they may live in additional demographic information that you might need such as their birth date to put on applications or things like that so that's really great and handy as a link there we've also got these jump two links over on the right which will take you to different sections within the employment history page so if you want to just skip around on the page you can use these jump 2 links and these sections are collapsible so within each section you'll find an up arrow so if you're somebody that likes to collect something after you've read it you can use that as your workflow um one other thing that has been added this year is you'll notice that throughout the page we have question marks and we have added contact sensitive help here and this is to help um describe what each of these sections are used for and what kind of documentation is really expected within this section for the system um so if you ever get stuck and you're not exactly sure what this section is for you can always check these question marks and get additional information there but i'm just going to start at the top we've already covered this individual information so the next thing is funding source so documenting the funding source of this employment service for the individual ethan here is getting a waiver service you'll notice that he has a start date of back in february but there's no end date or reason for ending request there's also no comments that's okay though not every thing that you enter will need a comment i'm going to go ahead and open this one thing that is a little bit different within employment history than other modules for example is that you're really going to interact with the data that's already in there you'll come in and update different sections that have been entered this is an example of one so once this funding source or this funding has ended i would come in and enter in the end date and the reason that that funding ended but until that funding ends i don't need to update that funding source options besides waiver that we have include private pay state funding voc rehab um and there's also an other option if it happens to come from some or the other source that's not listed there when you are working in employment history i'm just going to remove this really quick um any of these sections with attachments will actually look up against the individual's docs storage so if you're using doc storage and these things are already scanned and loaded in there you can just link that to this section here if you're not using doc storage that's totally okay you can still select a file as though you're browsing from your computer and any attachments you might have these are all my demo attachments that we use so i'm going to x out of that and i'm going to cancel that in the file um once you've made those updates you could select you could click [Music] three main report here for this individual connecting employment referrals so documenting where these referrals for employment services are coming from um in this case it was referred by his case manager angela murray back in january um i'm going to click in here just to show what all of these fields are but when selecting a referral source you're tracking where these are mostly coming from are they coming from a day program cas manager waiver support coordinator or some other source tracking whether these referrals are internal versus external um so where they're coming from are these mostly internal leads that you're getting tracking the date that you get the referral as well as the initial meeting date there's a pretty big gap here we'll find out why once we get to the end of the employment history documentation here for ethan you can capture comments and again attachments for each one of these sections so i'm just going to go back out to the completed one hopping down now to assessment so tracking the different assessments that are completed related to employment one thing about assessments here though is that any assessments you add on this page will show up on the individual's data form so down here on the sorry not the idf but on their assessment form so i can select an assessment type it's going to have specific work based assessments here i want to show the difference quickly so when i'm coming from the main page and looking at assessments and i want to add a new assessment i do not have the super old to do so from this tab i will show you guys that at the end but essentially the assessment list that you see from employment is smaller than the assessment list that you're going to see from the individual data form and really the rationale for that is that not all assessments and individual receives are related to employment so they don't need to show up on the employment history section however all employment history assessments are assessments for an individual and that's why they'll show up under the individual data form section um so you can select the type of assessment they've had if there's an associated score that can be recorded the date of the assessment any comments and then attaching the actual either results of the assessment or the assessment in full all right so next from the career development plan and this is where you're outlining what is the plan for that individual in regards to employment so i'm going to open this one here just to look at the fields um so you're recording the date that the career development plan goes into effect you can write a short summary about that i wouldn't you know rewrite everything because you have this attachment section where you're going to attach the actual creative element plan so anybody can read that in full if they would like to you can track the next time you're due to have a meeting and this comment be box can be used as you see fit all right next thing we are on is employment milestone it's actually time for me to add another milestone but looking here i can see that there was a job discovery milestone that should that was supposed to be implemented and due on the 14th and then one we're saying where job discovery was completed and that was actually done on the 27th um so we can now add another milestone so i'll click in to add milestone here and it'll bring me to a blank page i'll select what they're where they're at in regards to um employment so if we've treat completed training i'll say the date that that has started we started that back in july and training should be completed i will say by september 18th and now i can attach make an attachment if i need to or i can come down and save now i purposely didn't add any information about whether that's completed because i wanted to show you what it looked like back here on the individual's employment history form so we'll go back down to milestones so we can see that there's a milestone that's due september 18th it was started july 27th the milestone is for training to be completed i can have a short description of that but i can see from this table that it is not listed as completed and there is no completion date so this is the current milestone that they're working on um so you can set these milestones up ahead of time so you know essentially which phase or when they should be working on um the next one at what point should they be completed or you can add these in as people are completing them all right next we're hopping down to training and coaching so training and coaching is not for you to document your day-to-day interactions with someone it's where you're going to document a summary of time with that person so as an example looking at this line here we're talking about from july 20th to august 10th skills that were developed were meal planning and preparing restaurant skills and safety skills the total amount of time spent with that individual was 14 hours and i've linked an isp program report here there's no description or other attachment but i'm going to go ahead and open this so we can take a look at it so when you're actually filling out training and coaching you'll have a whole list of skills that you'll choose on the skills that the individual developed during this time frame so selecting what all they worked on and what was developed the start and end date was the time frame that you were working on those skills with that person and the total amount of time spent with them is where the contact hour should be entered and then i mentioned i linked an isp program report so what you're able to do is on a day to day you'll collect that data in isp programs and isp data so as you're documenting that somebody is actively working on a skill or they have submitted a job application or they have completed mock interviews or things like that you'll track that data within isp data and you'll do that on a daily or every other day or on a pretty frequent basis and then this section will be used to kind of summarize all that together so after you have collected your isp data and ran and saved a report within the system what you're able to do is link an isp program directly to this training and coaching information so essentially you're backing up your data you're saying that we developed these skills and then here's my report that shows that we did that so what i can do here is i can look for any isp program reports and it's automatically going to look for reports for ethan since i'm on his employment history so when i do a search it will pull up the saved isp program reports that he has so i have a couple different options here and then i'll make the selection as which one to attach so i know it's not october but we'll choose october community placement this description box is here if i need it it's not a requirement though um and if i needed to do another additional attachment i could um what i've seen used here is people who have to still do paper billing are billing directly in the vr systems they will take that billing information and attach it here essentially saying this is the time frame that we worked with the individual this is the report and the data showing that we worked with the individual and then here are the services and time frame we build for so it's all within one cohesive section here i'm going to go back out to that main employment history page and next thing we're on is application and interview so just looking here we can see that they submitted an application back on the 12th the individual was the one who completed that application and it was submitted to chapel creek trading post we have some location information um looks like they were given an interview date of the 18th with the general manager and that's an in-person interview and they did intend but we don't know yet whether the job has been offered or accepted by the person and it was an interview for a cook position so i'm going to open this up just to show completely what this looks like as you're filling it out so this is definitely an example of one of those pages where you will come in and out as you get more information so we came in on the 12th when he submitted that application when he got a call back um telling him that he had an interview for the 18th we came in and updated that on who it was with and now we can make the next updates um so one thing you'll want to decide is if the individual doesn't get a call back after how long would you come in and update this section to say no the job was not offered is that a month is that two weeks do you actually call and ask whether that they are considered so just at what point would you come in and update this so we'll say for whatever reason the job was not offered and so i don't have to then fill out whether that was accepted by the individual under the description i can put y okay so ethan didn't demonstrate correct safety skills during his hands-on interview portion in regards to this attachment he will scan completed copies of applications or print screen if they're filling them out on computers you have that button where you can print screen um or you can print from your browser but just keeping a record of that application and that can be used a couple different ways one to verify that it was filled out but two kind of looking back on that application are there any teaching moments um did was it filled out incorrectly is there anything we need to look back and and kind of change on what information they're putting on um their application so that could be used as a helpful little tool there i'm going to go ahead and update this though and it'll reflect now back on his page when i go to view his entire employment history and i'm going to jump down to that application and interview i can see now that no the job was not offered okay so i'm going to go in and next thing we're going to do is go to job detail um so maybe right now ethan has a volunteer position uh he just he likes to get in the community and he wants to have some volunteer hours as well as learning about things um you can actually track volunteer positions internships paid jobs enclave work those types of jobs within the job detail section so we'll add one here i'm going to go into add job detail and what i have to do here is select the employer so which employer is he volunteering for or working for an enclave for whatever that looks like okay so we will do painting and we'll say that um he is a cleaner for this now when i make that selection information is coming over from the job template the position title is already set the job category was already chosen the employer and the employer address are pre-loading in i can now select the contact person so for this job or position who is somebody that i should contact if i need to ask any questions or things like that um so we can put brian there but then sometimes your supervisor is different than the contact person for that job so i can then put who that actual supervisor is i'm just going to say it's margaret in this case the benefits that are prop that are populating here are coming over from that job template if for any reason like the individual didn't accept one of those benefits like they didn't take their medical insurance you can deselect that and actually leave with the benefits that they have or if they were offered one that wasn't on that template you can add that another benefit maybe they get an employee discount okay so there's the discount that they get um the average hourly wage and work hours and work schedule would all be populating from the job template but that was not entered on this specific job template so now i can put what that person is getting um they're actually volunteering in this case that's what that's the story we're sticking with so i'm going to leave that as zero the average weekly work hour so how many hours a week do they volunteer we'll put five and hours of support so how many of the hours that they're working are they actually getting support and we'll say all five they have someone there the whole time that they are volunteering as far as the support description what does that support look like and then what does that work schedule look like um we'll do monday through friday after the shop closes and the job type is where you're going to specify is this a volunteer position is this um are they self-employed is this an internship or enclave competitive paid what kind of work is this so i'm going to say in this case that it's voluntary as far as job status you can track is this a current position or a previous position so i'll put current and when did they start that so maybe he's been here for a while it's a family friend it's just something he really likes doing um so i can select how long that's been going on i'll put this back to 2018 just for fun we're just getting to know ethan and what he's been doing so we have a job end date and a reason for job loss if that were to happen um but here i can go ahead and save and now he's going to have that under his job detail section so he's currently a cleaner we can see benefits what the work schedule is how long they've been there but maybe this changed maybe it's no longer a volunteer position but he's been offered an actual paid position so if that's the case i can actually open this i can make any changes i need to so maybe you know after being there for a while they were offered new benefits or when it came time to renew benefits they didn't opt in for for those anymore um their work schedule may have changed but let's change this from voluntary to the competitive paid job now and now they work on the weekends so they were from 12 to 6 that's their current work schedule and i need to make some changes as far as wages support description and hours of support and all of that actually lives now down here on the job outcome data list so i can add job outcome data and i can say what is the date that this change took effect we'll say it was earlier this year in june they are now getting 12 hours per week they're making ten dollars per hour their hours of support per week they're still getting five hours of support per week and what does that look like so making sure that they complete that task checklist then you can continue and this is going to create a grid and so you can see their movement throughout the organization you can keep adding job outcome data as things come up i'm going to click update now and go back to view the employment history jump back down to job detail and then there's this button on the left hand side that says view job outcome data list um and this is essentially that information that when you're filling out a job application it asks for it wants to know where you worked what your position was what the address was when that started and if that job had ended it would have that end date and list the job as previous but then you have what wage did you start at what wage did you end at how many hours did you start at how many hours did you end at those typical questions that are on most job applications when you're filling out your last three years do that general overview of employment i'm just going to stop a piece at the question box like we are good to go all right so we have this job detail but now you can see it's been updated with competitive paid we can see what their new work schedule is what their new hours per week wage per hour support and what that looks like all here on this page so it updates with the most recent information next we have benefits counseling so this is documenting um that you're having conversations with individuals that employment impacts their benefits so we haven't done that yet with ethan i'm going to come in and add benefits counseling here and he started his job back in june okay so we'll say back on june 15th the reason for that ben for the benefits counseling is the individual got a new job the decision is what is the decision of that person based on the counseling provided so i sat down with ethan i told him that he could make up to this amount of money before it started impacting his benefits from us having that conversation did ethan decide to take that job or not and so decision i can put yes he accepted that job if you have something where you just provide benefits counseling when somebody comes into the program to have them start getting an understanding of how employment affects those finances we have an option that's just provided to say that you did provide that service so for counseling provided by who was the person that sat down with ethan and did that i'm going to say in this case it was judith my job coach and then whose responsibility is it to report these earnings to social security to medicaid to food stamps um to housing authorities to anybody that they have to be reporting earnings to who is responsible to report those earnings so in this case it's going to be ethan's responsibility comments you can use these however you see fit attachments if you have any worksheets that you use to go through benefits and income and hours and things like that scan and attach those here so you always have a reference i'm just adding that information there and now i can save and go back to that general employment history and generate jumping down to benefits counseling we can now see that he received counseling back in june for a new job he accepted that judas did that and ethan's gonna report his earnings his paycheck stubs whatever he needs to to the entities that he needs to we can see the comments and attachments uh variance so i said earlier we would see the reason why his funding started back in february but he didn't have an initial meeting or his referral was back in january and he didn't have an initial meeting until july variance is where you can document why you're not pursuing employment services with somebody is it due to outlying circumstances such as covid19 that's a very real thing that's impacting people with employment services these days is it based on the individual's health it has something happened and they're not able to work in the short term or they're not able to participate in employment services or training in the short term so you need to document that is it somebody who's really just a retirement age and so they're not going to work and they don't want to work so variances is recording why you're not pursuing employment services with somebody so i'm going to go in and add up there and open up this variance here just to take a look at what this field looks like as far as the drop down options it was either the person's choice their choice with team approval physically unable to work retired or in this case it was other due to covet 19. that variance began back in february and it was he was put into place because ethan was at risk he's had previous respiratory illnesses and then i came in and i updated it just saying that the variance ended back in july and he's ready to begin employment services within his community if you have any paperwork that can kind of back you up as to why you're not pursuing employment services if you have a declination of services that people sign or anything like that scan and attach there it's always a great resource something to have handy to refer to all right and last but not least on this page is additional information so if you're tracking things for employment history that don't fit in any of the sections above like you have one very specific in-house form that was created for you to track something um you can use additional information to keep track of those types of documents so in the additional information section it's really just a place for you to scan and attach and provide a summary or description for those items so the date at which it occurred a summary of what that is a description and an attachment so using this kind of however you see fit for your organization right now i'm going to click back um at the bottom here we have an option to display a pdf and so what that's going to do is that's going to take all of the sections that you're seeing here on this page and display it into a pdf for you to print or share with whoever you may need with all of the employment history information for an individual now one of the things i've kind of been skipping over each time and not on purpose but when you're selecting an individual you're brought to this screen here employment history report criteria so essentially what you're doing here is selecting what sections you want to have on a report so if the only thing i wanted to appear were wanting to know is application interviews and current job details i can make and select just those two generate this report and that's all that's going to be here application interview and job detail so now when i display pdf at the bottom that's the only information that's going to be included within this pdf so on that right report criteria page you're selecting essentially what you want to see on the next screen and what you could generate into a pdf for an individual um now i'm going to hop back to the dashboard really quick and go to my individual tab uh something that i have looked over or not looked over but i haven't mentioned yet is this job employer search um so coming here to job employer search you can be very specific and hone down what kinds of jobs you're looking for we're talking about using this as job matching so if an individual wants specifically to work in food services then you can narrow it down by industry or job category if they only want to work with a specific employer you can select which employers individual have and what jobs need those skills also what job requirements can i pass and what jobs would that match me with which ones are currently open that's something that margaret showed on the job template is the ability to track whether or not jobs are open or closed and so when selecting yes you're just going to be looking at those jobs with current openings they need to stay within a certain wage hours or shift however you may see fit you can search like that i'm going to do an open search and just get all of my jobs here so this is where i can look at that look at what wages they offer how many hours a week et cetera and really just be looking at the jobs that are available for people all right i need to log out of this account real quick to show one the assessments that i was mentioning earlier and we have an employment history preference as well let me get into this account and i'm going to go to the individual page go to ethan that we've been working with and now that i'm under my admin account i'm going to go to the assessment list so when i'm looking at it from this page and i go to add a new assessment the list is longer i have options a lot of options here i have like icap iep fsiq and this list might be different depending on the state that you're in if you have specific assessments in each state um but this list is a whole lot longer than the one that was available on employment history um so just showing an example of that there the next thing i want to talk about is on this admin tab if you don't use all of the sections of employment history you don't have to show them so on the admin tab you'll have a section for employment history and preference and when you do that you select which portions of employment history you want available on your dashboard and available for staff to document under um so if for whatever reason you don't want them to use additional information and maybe um you just aren't collecting variances or you're not doing assessments that's you know an external entities uh department you can deselect those and then what happens is when you go to the individual tab and then down to employment history those options are no longer there so we no longer see the option for variance or additional information or assessment here on this list um so that's going to remove those as options for documentation so that's pretty nice the other thing i wanted to talk about is reports so from the individual tab searches are reports searches are very very powerful reports within our system so i want to see just milestone information so i'm going to go to employment milestone and search and i want to see all milestones that were due last year let's make sure that we got those finished okay so we've got here's our milestones that are popping up all for last year i've got some yeses i've got some no's and i've got some that don't have any yes or no selected so they didn't go back in and see whether or not they were completed check um these that say yes if it's our process to have our vr billing paperwork attached i can look for this attachment and see yes we have it build for that information so that's a pretty handy thing you can do there when it comes to looking at searches and you can also export this information to excel so if you want to see what are the different milestones people are working on and let's just go ahead and do that throw it into a quick pivot table and look at the different milestones that people are in so i'm going to do just a quick pivot table we have um guides and information on how to create pivot tables that'll walk you through the different steps if you're interested in those um so here's my pivot table i want to see the types of milestones we're working with so within last year these are the milestones that people were completing or working under so of those are they completed oh let's not see that put form id over in values there we go so now we can see how many so i've had two for job discovery that have been completed and the others are just one each now i want to see who the people are that are working under those so the two people in job discovery were tony and olivia otherwise we can see charlie made it to 120 days job placement 180 days job placement so on and so forth here um again i want to see whether or not they're completed so charlie his is yes looks like olivia did not complete her job discovery and scott did not complete his milestone two or three here so pivot tables are really um easy to look at information overall if you just want to get a snapshot of where things are that's helpful there i also went ahead and i downloaded two reports ahead of time oops let me get that page back up i downloaded two reports ahead of time just to take a look at but out of our report library we've got a few reports available for employment history so i'm just going to search for employment under the report name um we have contacted interaction info with contact person details so this is checking and making sure your job coaches or employment specialists are contacting people on the right frequency listing just who all the contact people are so if you want a quick rolodex of who you need to contact at each employer you can use this report and then these two reports here are essentially the same it's just one has program enrollment information and one does not so i've already downloaded a copy of the contact and interaction as well as one of the job details so i'm going to pull those up from excel down here see all right yep so here's this one for contact and interaction information i'm going to go ahead and enable editing and i'm going to make this just a tiny bit smaller there on this page i don't necessarily have to do it by a pivot table i can enter some pretty easy filtering here so if i come up to sort and filter i'll select filter and it's going to put filters on each one of these um maybe we have a policy in place where each job coach needs to make you know x amount of contacts per month um or each business should be contacted once a month however you determine that frequency is so if you wanted to check on that you can search by the contact the person listed as the contact um you can search by entered by let's search by employer though i want to see all the contacts that have been done with aerojet so it looks like we've done a lot got several different ones here we're recording that we're leaving messages that they have positions open whether or not there's any job openings and when we should be calling back so these ones are really great and easy to use just to check and make sure that people are contacting on the right frequency the other one we have or that i've opened so far is the job details and so this is where you can get some additional information as what's going on with jobs with individuals so i'm going to do a pivot table on this go ahead and open it there and i am personally just picky and i don't like the way that the new pivot table looks so i'm just changing it to the old look that's all i did there all right so job details um we want to see the employer let's put employer into rows okay and then we can see so these are all of the employers of our job details that we've listed um next i want to see who are the individuals at those employers so aerojet is matthew um let's make these a little bit bigger there we go and i'm gonna clean this up just a little bit more really quick make this a little easier to read there we go so b m painting we've got elizabeth and matthew casey's we've got christopher and margaret um margaret also worked at hyde at one point it looked like i can now see job status so are these current or previous jobs so i can see some of these are listed as previous so margaret isn't currently working at casey's um it looks like she's currently working at lowe's i can look at then those job start dates and end dates perhaps what are their wages per hour well we got to look at this differently whoops we won't do wage per hour we gotta do some manipulation on that one beforehand um and i could see maybe what that job type is looking at this from another point of view if i take out kind of this individualized information here i can see what are the types of jobs being offered at employers i can see let's do wage and the values and i don't want a sum to be an average so the average wage at each of these employers um so at aerojet they pay about 13 11 25 over at b m painting okay and so breaking that down to see kind of where individuals are making more money if certain employers pay more even looking at specific locations for um the employers that can also be helpful as well and let's see maybe what the position title is but here we go so for a parts distributor they make about that much in the paint booth they make about eleven dollars about eleven fifty a pack or about seven fifty et cetera all right i think i've covered everything that i wanted to cover here um of course you can always look at our help and support site down at the bottom here and we've got a page
