in this video we'll review creating commitments for pro clients will begin at the commitments tool we're all sub contracts and purchase orders are created and managed before we create a commitment let's review the commitment summary across the top we have the committed cost totals below is our list of sub contracts and purchase orders instead of opening a commitment to edit the status we can edit the status here which is indicated by the blue in the top right corner by each column we can also use the filters to sort the first option filters by type of commitment the second option filters by commitment status the last option filters by executed or uh NEX acute admit menteur utilizes the executed checkbox within each commitment within each commitment the general sub tab shows our financial summary for the commitment at the bottom now let's create a sub contract menu select the subcontractor then enter a title for the scope will keep the status in draft mode until we have built out the schedule of values by default the commitment is private which means it is only visible to users with admin level permissions to the commitment tool even users with read-only or standard level permissions to the commitment tool cannot view a particular commitment unless they are added to this drop-down this drop-down provides a second level of security anyone added to this drop-down can view other sub tabs within this commitment tool including change orders draw requests payment issues related items and emails they can also view the schedule of value sub tab if they allow these users to see sov items box is checked if you do not want an external user such as your subcontractor to see these sub tabs which may show things like draft or pending change orders then do not select the user from this drop-down we can enter the start date and estimated completion date when the commitment is signed you can fill in the signed contract received date when the scope is complete you can fill in the actual completion date these dates are reference fields only and are not used for sending out overdue reminders we can enter a default retainage that will be applied to all draw requests line items for this scope this retaining percentage can also be adjusted within the draw request the executed checkbox is used for the filter we discussed earlier you can enter a description and specify inclusions and exclusions we can also attach files such as contract exhibits we can browse and attach files from our computer or we can attach files that were previously uploaded to pro core once the contract is signed you can attach a copy of the signed PDF now that we have created the commitment the tool sub tabs appear we review change orders and draw requests in a separate video we'll start with the Advanced Settings sub tab to confirm one of the tools configuration settings will verify the appropriate accounting method which can either be a mount based or unit quantity based now let's navigate to the schedule of value sub tab the commitment schedule of values shows your subcontractors view of the cost breakdown for the project your contractor will see it in their commitment and they will see it in their draw request prior to creating the schedule of values you may want to review it with your subcontractor to agree on the draw request breakdown there are two options for creating the schedule of values the first option is to import the schedule of values from a CSV file this option can be used if the schedule of values is more than a few items the second option is to add individual line items even if you choose to import the schedule of values from a CSV file you can still add individual line items as necessary we'll use the second option and add individual line items we want them to submit their draw requests by floor then by scopes we'll add four line items the prime contract line item is for reference only and does not need to be filled in in the Costco drop down the cost codes are separated into budgeted and non budgeted we can select a non budgeted cost code if it's a new scope the budget tool will notify us with a warning banner that a new cost code has been selected and will allow us to add that cost code to the budget we review the budget in a separate video we can drag each line item to reorder the line items now that our schedule of values is complete and we are ready to send the commitment to our subcontractor for signature let's change the status of the commitment back on the general subtab well change the status from draft to out for signature until the commitment is approved commitment change orders and draw requests cannot be created and the buttons are gray and inactive let's review the budget to show the commitment we just created under the doors line-item here is the commitment we created in the pending cost changes column now we're ready to send our commitment to our subcontractor for signature which we review in
