hello and welcome to this video presentation of ids's solitude solution my name is clint salsberry and i'm a regional manager for ids here's my contact information if you have any questions about what i'm going to go over today please feel free to reach out and i will be happy to help you with your questions and even give you a personalized walk-through of the system a couple of notes here ids has recently enhanced our hybrid e-closing product including number one adding increased functionality to the settlement agent and two making it easier to get started with settlement agent documents so this is more of an out of the box solution which removes the need to fill out spreadsheets and templates making it automatically more scalable in offering hybrid and more products in more states right off the bat in addition to the ease of setup ideas hybrid e closings are completely free through the end of 2020 as a result we have made it cost effective to start implementing e-closing into your process and then once you get started you'll see additional cost benefits and increased efficiency recent events have accelerated the demand for e-closings and getting started with hybrid in my opinion is quickly becoming an industry standard many of our clients have already started with hybrid and are preparing to implement e-notes into the hybrid process and before we know it we'll begin to layer in remote online notarization the baby steps walk and then run mentality is the most prudent approach in my opinion and because it increases lender adoption rates and leads to more successful results and the reality is that the this year 2020 will go down in the mid mortgage industry history books not only for increased volumes but also for when e-close became essential and i believe that there is no looking back so in order to help you get started i'm providing this demonstration to show you how to fulfill a hybrid e-close through ids's solitude solution for purposes of this demonstration the hybrid e-close refers to the borrower e-signing and e-acknowledging the vast majority of the closing documents and then went signing the no in all the notary documents at the closing appointment to frame this demonstration keep in mind that most of the action is most likely taking place during the preview phase of the transaction and so as a result the primary scenario today is that we are ordering the closing documents on a wednesday and the closing appointment is on friday i am splitting the demonstration into three parts the hybrid eclose experience for the closer the experience for the settlement agent and the experience for the borrower during the preview phase and after showing what the borrower's experience is during the preview phase i will show the borrower's experience on the note date so i'm going to go ahead and start the demonstration starting with the closers experience after importing a file from the loss to ids the closers landing page is here on the audit and order screen first the closer will confirm that the package type is closing the notary signing method is inc signed the note type is inc sign note the fulfillment delivery is e-disclosure and the e-disclosure method is e-sign this constitutes a hybrid transaction within the ids system note that below the ordering section is the choose docs section the closer can view all of the documents that are in the closing package and you'll notice here that this closing package includes the ancillary closing documents the inc signed documents such as the note security instrument and aka documents and the documents that are intended just for the settlement agent such as the clean closing instructions any of the documents can be unchecked like i have shown here and if you uncheck those you can omit the document from the closing package if necessary note also that this is where if you just scroll down here to the audit section this is where they can where the closer can confirm that all of the audits have passed we have one warning audit here this is an e-close package check your signatures and then these blue audits are informational that the loan is passed the section 32 qm loan features and other compliance tests the closer's next action after confirming all of this information is to click order documents right here the system automatically drops the closer to the order status page as the closing documents are compiling into a single pdf it takes a few seconds for all of the data to populate on the documents and once it's complete the package drops down from the queue section to the completed section next the closer identifies the correct line item and clicks option and drops down to send to fulfillment at this point the ids doc system works in the background and is automatically assigning the closing documents to the correct party it's also a fixing all of the e-sign tags to the documents it's creating the e-sign room and is sending the email to the borrower and it's also sending a text message to the borrower that the documents are ready all of that takes just a few seconds and the closer knows that those actions are completed when the blue envelope and the orangey appear here next the closer clicks the orangey and logs in to the e-sign room with their ids username and password under doc package the closer clicks the file that has just been ordered which is at the top of the list the closer lands on the signing progress page and by clicking on the addition sign the closer can see how the documents have automatically been assigned under the borrower's queue are the vast majority of the closing documents i will go more in depth on this list when we go through the borrower's experience under the settlement agents queue are all of the ink sign documents that the borrower will wet sign at the closing appointment and we will get to these in just a few moments when i go over the settlement agent's experience now the closer is looking at these documents and these are all of the documents that they're going to assign or invite the settlement agent to access now as the closer goes through here they can also click on any of these documents and review them so they'll have access to all of the documents there and then also if the closer notices that there are any one-off documents that need to be added to the document package they can scroll here to upload documents and there they will be able to create e-sign documents e-acknowledgement documents and the ink sign documents and insert them into the right person's queue and after that is complete they are going to invite the settlement agent to the e-sign room so they'll just navigate here to the top to invite signers they will confirm that the email addresses and the names are correct and then here under settlement agent invite signer email's been sent to the settlement agent and click ok now the closer to experience and the closers process at this point during the preview phase is basically complete just a couple of notes however is to keep in mind that any time during the preview phase or or on on or on or after the note date the closer can navigate back here to the signing progress page and they can invite any signers to the e-sign room they can follow the borrowers and settlement agents progress in real time all of these documents here will have green check marks next to them as they are completed so the closer can monitor that progress and then they can also once all of these documents have the green checkbox they can download that completed document package right here under view print all and in that they will also be able to print off the pdf copies of the ink signed documents that the settlement agent uploaded after the wet sign ceremony so here under settlement agent all of these documents will have green check boxes and then at the very bottom there will be a link to those scanned copies of the wet sign documents the note and security instrument and now i'm going to move to the settlement agents experience when the closer clicks invite signer the settlement agent receives an email with their name and the name of the file in the subject line after opening the email the settlement agent clicks the link to the e-sign room and on this login page there is a note for the settlement agent that states if this is the first time you have used this platform to sign or retrieve loan documents you will need to create an account first for this for purposes of this demonstration i have already created a username and id for this settlement agent's account and then they'll need to complete the multi-factor authentication by having the security code texted or emailed to them and i'm just going to go ahead and have it texted to me and enter it into the login code please here and then click login once they pass these protocols the settlement agent clicks on the correct file here on the document package page then they click agree and continue on this electronic disclosure and consent agreement which is the form required by the e-sign act and then they land on the signing progress page in the e-sign room and this is the same place that the closer landed on when they entered the eastside room here the settlement agent can see all of the documents in the closing package by clicking on the addition sign and they can click into any of these documents and view them such as the application in addition the settlement agent can click upload documents here in the top right to create e-sign e-acknowledge or ink sign documents and upload them into the borrower's queue prior to the closing appointment again this is the preview phase and a very important functionality for the settlement agent here is to be able to print out the ink sign documents prior to the note date to prepare for the wet sign ceremony and to do that the settlement agent simply navigates up here to the sign documents screen and then clicks ok on the preview phase notification and now each ink side document is listed here and to print them the segment agent simply clicks on any document in the list and then they simply click print all ink signed documents now all of the documents have a green check mark and the lender receives notification that the settlement agent has completed their portion of the closing documents and the settlement agent then picks them up from their printer and is ready for the wet sign ceremony on the note date the settling agent can monitor the signing progress of the borrower by clicking on the signing progress page which is the page we just landed on in addition on the day or the day after the closing appointment the settlement agent can scan copies of the website documents into their computer and upload the files into the e-sign room by clicking upload documents and inserting them into the settlement agent's queue now the closer has access to pdf copies of the wet sign documents that wraps it up for the settlement agent experience and now i'm going to move to the borrower's experience during the preview phase referring back to when the closer ordered the documents the borrower receives a text message notifying them that their closing documents are ready to be viewed the borrower also receives an email notification the body of the email contains ids default instructions for the borrower regarding the hybrid e-close process you will more than likely want to review this email and have it customized ultimately there are two main purposes for the email number one is to equip the borrower with clear instructions on how to proceed and two to provide a link to the e-sign room and just a quick side note here a borrower and co-borrower can use the same email address each email contains a unique link to the e-sign room and each will have to create their own unique username and password so when the borrower clicks on the link to the e-sign room the borrower lands on the login page there is a note here to the borrower that lets them know that if this is the first time they have logged into ids for their closing documents they will need to create a new account first for purposes of this demonstration this is the browser's first time signing in which will allow me to show you the security protocols ids has put in place so here's vargo we'll click create new account next they will create a username and password and create some challenge questions next is the two-factor authentication and they can get the security code by phone call email or text after entering the security code and logging in the borrower is admitted to the eastside room on the dock packages screen they click on the correct file and then click agree continue to the disclosure required by the e-sign act keeping in mind that this is days before closing the borrower receives the preview package pop-up box this provides this information to the borrower to help them understand the process of how to proceed this is also customizable which would allow for example providing a specific contact after clicking ok the borrower sees the list of documents that they will eventually e-sign or e-acknowledge on the note date at this time during the preview the borrower can view these documents by clicking on them in any order and address any questions to the appropriate person or department as they are instructed by the lender in addition they can email this package to whoever they want for example to a trusted advisor or attorney that can assist them in reviewing the closing documents by clicking here email package note that documents that will be ink signed at the closing appointment are included in the list such as here's the note and there also is included here are the notary documents and the security instrument under this scenario by default the borrower is encountering these documents for the first time during the preview phase which gives the borrower the opportunity to ask questions which will accelerate the time spent at the wet sign ceremony however if a lender so chooses these inc signed documents can be removed from this preview package so that the borrower encounters them for the first time at the closing appointment which is standard industry practice today now i'm going to move to what the borrower's experience is on the note date prior to the closing appointment first thing in the morning on the note date the closing document package is automatically converted from the preview read only mode into an active document package where the documents can be e-signed and e-acknowledged around 4am in the morning of the note date the borrower receives a reminder email notifying them that their closing documents are ready to be signed the borrower can access their closing documents in the e-sign room in three different ways the first is click the link in the reminder email that was sent out that morning two is click the link in the email they originally received at the beginning of the preview phase or three instead of searching through their email they can use the shortcut by going to directly to esign.idsdoc as the borrower i'm going to log back in using the shortcut after completing the multi-factor authentication and clicking on the document package here the borrower receives document signing instructions and lands on the documents to review sign page the user interface and the process of e-signing and acknowledging these documents are the same user interface and process that the borrower uses in completing their initial disclosures scrolling down the list you'll see that the borrower does not have to print anything so they can complete these documents anywhere that has an internet connection on a laptop tablet or phone and it is multi-browser compatible the borrower simply goes down the list and e-signs or igni e acknowledges each document by clicks of the button depending on the borrower this can take approximately 10 minutes and just to show you how easy it is to say the borrower just wants to click here on the first payment notification they'll receive document signing instructions again and then they can simply just jump to the next signature item here with this button they can go to the next document automatically and they have a running tally of the documents they're completing in their queue so i'm just going to jump to the next signature item and i'm just going to go through a couple of these documents to illustrate how easy it is now if i click on if the barber wants to move to another document or check their progress they can just click on the x up here and then they'll see a green check box next to the documents that they have completed and you'll notice i started with that first payment notification and it just automatically goes down the list and will go back up here in order to complete all of the documents and i want to show you what the note looks like so this is the document that they will actually wet sign at the closing ceremony during the morning of the no date while they're going through this this is an acknowledgement document this is what i refer to as e-acknowledging and so with the note they won't sign that what they'll need to do is just scroll to the bottom and click acknowledge current and sign and go to the next document same with this aka statement and notice with these acknowledgement documents they can read them and then direct questions where they need to go and again with this one you just scroll down to the bottom of the page and acknowledge and if they want to check their progress again just click the x and they've completed these documents now and again like i said this will depending on the borrower this will take about 10 minutes to complete all of these documents prior to the ceremony and keep in mind that during the preview phase they theoretically had all of their questions answered as they went through these documents these are the exact same documents they see in the preview phase and so with that and having their questions answered they should be able to go through this pretty quickly and that wraps up the demonstration of the closers experience settlement agents experience and borrowers experience with hybrid e-close many of you may be wondering what do i need to do to get started listed on this slide are seven easy steps that follow the closers experience as i demonstrated to you at the beginning of this webinar you can complete these steps in plus or minus 30 minutes the first is to turn on hybrid log into ids and at the top of the screen click settings then fulfillment then electronic signature e-sign then e-closings and check the box number two is to create test file the next thing you want to do is create a test file you can roll out as many products in as many states as you would like make sure when creating the test file to change the emails for the borrower settlement agent lender and user so as not to accidentally send an email to someone not expecting it number three package selections you'll confirm you have the correct drop down selected on the audit and order screen the package type is closing fulfillment delivery is e-disclosure and e-disclosure method to z-sign four order dots and send to fulfillment at this point simply click order docs on the order status page identify the correct line item and to the right select options and drop down to send fulfillment the fifth step is log in through the orange e after sending to fulfillment it takes a couple of seconds for the orangey to appear and once it does click on it log in with your ids username and password and select the correct package number six check assigned documents click on the addition symbol next to each of the signers and confirm that the documents are being assigned correctly if there are any tweaks that need to be demonstration of ids's solitude solution for hybrid e-closings i showed you what the closers settlement agents and borrowers experience are and provided some easy steps to get started now we we've
