okay well good and everyone to share your badge around a disability integration specialist for North Carolina emergency management I'm also the fast program manager for the new fast program here welcome to our very first quarterly sustainment training the audience for this is current fast members a member of people that are interested in fast and people that are just curious to know what the fast program is so everyone is welcome do you want to let you know that we're recording this to be used at later time for possible fast members that come along the future income vacuum and use these as a resource so welcome everyone so today's agenda I wanted to make sure that we reviewed by the notification process for to the past members the deployment of the past members assembling the fast go kit I review of forms and a scenario based discussion to end the training the purpose of putting this together today or for this quarterly sustainment was to make sure that we are all ready those that are established fast team members are ready to go as we're getting towards the peak of our hurricane season in the next couple of weeks so hopefully we won't have to deploy this year but if we do then we will be ready to go so the notification process if some of you may have been part of the original or last month notification test but the notification process will start from the local emergency management they will request to the the regional emergency operation center and if there is no fast teams at the regional level available to come in there's three regions across the state emergency management and if there's nothing at the regional level that the requests will then go to the State Emergency Operations Center which is here in Raleigh the fast coordinator will be situated in the State Emergency Operations Center in fact they will be in the mass care a breakout room which works with both sheltering mass feeding and other areas regarding Human Services the fast coordinator will be there and they will begin the notification process to the fast team they notice so all current deployable members will be notified to NC terms team management system right so for those of you who've signed up already you're familiar with what that is we'll be using that system to to activate the teams to notify the teams that they've been requested and then to continue to keep contact as far as where you're going to the point to and so on so there's the kitchen process the NC terms a team management system this is what it looks like from my end when I sent out a notification to you all so I wanted to make sure that you all could see what it looked like um this one is just a test three-fifty has been requested for shelters in Andover Brunswick in Onslow counties please let me have your availability over the next week so this will help us begin to together our team rosters i'm who's available what what their background and experiences will go so it all service discipline here and so on if people are speaking could you move please they'll be great getting some background if you want to do it exactly we going on so on the next step on the notification process i'm the notification that you will receive through the NC terms the NC terms notifications to SMG management system it will be in the form of a phone call a text and or email and it just depends on the urges of the situation it costs money to send texts and phone calls so we will generally be doing email if it's not an urgent situation you will be getting your monthly test through email and the first notification that you receive from us from the past coordinator will be or may put you on an on call status so for hurricane we know is coming it is 72 hours 96 hours and we may sit down and notice what everyone saying this is something how we're watching it we need um we may need to go requested fasting may be requested through putting on standby and asking what your availability is the information thank you I'm usually been on rate and she can't my carry this is Joanne I know you'd ask people to move you for but there's really a lot of background always going off okay let me turn you how does that better yeah it sounds so far thank you yep I have to power the mute button here so okay um so but before you deploy what you'll receive on your notification is that the three basic pieces of information is the location report - when you'll report the location and who you'll report to and because I know these actually the first two are going to be integral to you being able to figure out if you're going to be available or not yeah if you're going to be deployed to the other side of the state and if you need to deploy tomorrow that might affect your decision on whether or not you're available to deploy on the past jeans so the notification test we have started doing those at yen last month with the current team members that have signed up I believe we're up to 11 or 12 folks as well as the fast instructors and we are doing this on the third Wednesday of the month usually in the morning and it's just to get everyone used to refilling the alerts and knowing what those notifications look like so if you don't receive by the end of the day and you know that you're supposed to be receiving them please let me know and I'll be able to will be able to rectify that situation I will get a report about who received them and who didn't and how long it took to receive the reports or to respond and we're not going to as far as the testing give people a set amount of time that they need to open and respond it just will give us a better idea of how in a normal situation people how long it would take them to open their email and respond so you have agreed to be on the fast team you're available and so now it is time for you to prepare for deployment so what we're going to talk about next is the personal goal kit fasco kit and making sure you've got clearance from the FAFSA coordinator we have some instances in the past when we've asked or just put people on standby um they they then think they're clear to go and it won't be until you're actually notified from the fast coordinator that you are cleared to to deploy and where you will be meeting up with your fellow teammates or what where you're going to head off to the shelter or a rally point and then also making sure that you get approval from your agency and our Department um so you just don't show up it don't not show at work the next day is around Osteen so for those of you who have gone to the fast training these are some of the forms that we have for deployment checklist will help you kind of walk through one of the things that I found in the deployments that I've had in my career is that when I get when I know that a deployment is coming up or that it's possible I get really excited and anxious and want to make sure I ever forget anything and want to call everyone and want to get things all settled so checklist really help to go through methodically and make sure you don't forget things so this is the deployment checklist you can use this as a guys talking about packing your personal items what if if we're going to be if North Carolina emergency management is going to be providing a car for you if you can use your own car what kind of where are you going to be staying overnight what it was it look like what kind of fast materials you're going to need and they're important that telephone numbers your contact information and so on making sure that you have the contact information of the patins coordinator as well as your teammates and making sure that your supervisor is aware of where you're going and how you recant you okay yeah let's see so as you've gone through there and so the personal go kit and well I talked about this if you've never deployed before um sometimes you're unsure of exactly what you should be bringing so one of the things that we like to go through the personal ability at your personal like if you're going to be gone for three or four days what are some things that you will need to have and not knowing what the layout of the facility is going to be where you're going to be staying so making sure that you've got everything for all occasions so that includes your favorite snacks and some water not sure sometimes shelters are open and they don't necessarily have everything with them because it's an emergency shelter or open up at the last minute so bringing your own snacks and some water it's helpful until those supplies come in cash and credit cards for any incident that might come up um making sure that you do have cash available because in some situations the power's out and there are fun able to take credit cards so in those situations having cash on hand is very helpful to get some supplies cell phone of course in a charger extension cord is always helpful because you may have your charger with you and your and but you it might be a long distance from the closest closest plug so by having an extension cord or or a surge protector that might help wherever your dad make sure you have your contact phone number as I mentioned earlier clothing make sure you've got changes of clothing you know extra undergarments and so on fasal here so if it's rainy rainy season making sure you've got a relevant and the rain gear if it's a the winter season making sure you get : winter cold weather winter gear personal hygiene items earplugs you may end up staying in a shelter so having earplugs or noise cancelling earphones would be helpful for getting some sleep I'm remembering your medications and then also I was reminded that sometimes you might want to bring extra entertainment books games or cards or video games that you have to just kind of take a break mentally from from the work that you're doing and then also to number that that you might be deployed to a shelter sharing a shelter with other folks with not a lot of supplies just yet or you might be staying in the hotel close to where you'll be working so it runs the gamut and making sure you're prepared if you're bringing your own car and you want to bring your own pillow and have extra spot then please feel free to do that as well so suggested fast go kit items so for those of you who have gone to the training we have a sample kit and as you look at the slide that's the file box almost exactly the type of file box that we use for our fast sample kit that forms that we're going to go through in a little bit having hard copies of those because you're never quite sure if you have access to a computer and then even if you have access to a computer on the availability for printer or paper power etc and so making sure you have hard copies of the forms your identification badge and your fast best are going to be two very important items - if you remember some locations if you don't show up with either one of them may not let you into the shelters so it's going to be integral to the success of area the fast program we need to be able to identify as a fast member as well as the other things making sure you've got your basic office supplies and those are helpful as you're keeping those and keeping records and and filing and making sure you're passing on information to your replacements it's just always easy to have extra supplies or has been chasing him down the footboard makes it easier as you're walking around evaluating and assessing folks I'm to have a clipboard for writing purposes some other things that might be helpful as you're in the process of communicating the folks of magnifiers we found that some of those magnifiers are helpful at the registration desk for folks that might not have glasses or the registration form is is a to smaller print pocket talkers these are sound amplifying devices cost about twenty dollars but it helps people that are hard of hearing I'm able to understand and in particular in the sheltering scenario where we have where there's a lot of folks talking and a lot of background noise sometimes amplifiers are our godsend also making sure you have a laptop bring your laptop if you have one flash drive we will be distributing flash drives to everyone with the heart with with the copies of the forms and some other documents from but it's also a great tool to have if you want to print out some of this stuff and then making sure you've got a phone and computer chargers one of the things that we have in our sample box in a portable charger and able to use that and have that available in case there's no electrical and let's also have a professional phone number list we're going to talk about this in training but one of the the biggest things that you bring as a fast member to the team is your resources the folks that you work with on a daily basis the people that you connect with that know about various services for a variety of different [Music] services for people with access and functional needs of people with disabilities so you might have your favorites a durable medical equipment provider that you know is open on the weekends and you can assist by having those numbers and being able to get durable medical supplies to the shelters because of those contacts and then of course spare batteries for anything that we have electrical having spared by Riesz then you know we might even might even want to put a couple hearing aid batteries in there because that's one of the things that always seems to be asked for in the shelter's our hearing aid batteries so any questions so far like I've mentioned this is my first time doing this in it I usually get a lot of energy from the folks that are in my audience but it's kind of hard talking just to a computer so okay for deployment one of the things that that the fast program workgroup put together was a activation deployment standard operating guideline so this is a form this three page guide line and here's a picture of what that looks like is in the form section if you've taken the training if not it is available and I can send that out but one of the things that we are researching right now is trying to come up with a great way to share documents and trainings like this one on where everyone can access it and whether it's putting it on a website that can be accessible by fast team members and other members or if we're going to be doing a SharePoint or if we're going to be doing Google Docs or something like that all of this stuff is going to be put into a common area where we can share this information so are there any questions about the deployment part of it you know we kind of let me just back up again so as far as the deployment but we will at the fast coordinated level we will be given all of the as much information as they have the locations of the shelters um we will then take a look at the people that responded with their availability and we'll start putting those teams together so we will identify someone as the team lead at this point in time because we're beginning our fast program and don't have a plethora of team members the teams will probably consist of two people in the future it might go up as high as six votes so anywhere between two to six folks will be on a team and sent out you may end up going to one shelter and staying there and and if being there to see the people come and go and and as if they're staying there and if their needs come up the third day of someone's day or the fifth day of someone's day that you'll be there and being able to recognize that or you may be assigned to go around to a variety of different shelters if we had this program up and running during Florence that's probably what we would have done because of the number of shelters that were out there and then the limited number of member team members so you would have been rotating so what the fast coordinator would do is look at the areas of the fast was we was requested and then send folks out and what their schedule would be and the different places that they would need to go and visit so all of this is keeping in close contact and information sharing with the fast coordinator at the State Emergency Operations Center so what we would be doing is making sure that you are getting to where you're getting to that you have arrived safely it is our responsibility as the fast coordinator in the State Emergency Operations Center to make sure we know where you're at as you're being deployed while you're being deployed up until the time you walk through your house or your home at the end of your deployment so we'll be keeping in contact with you all through your team leader on a daily basis your deployment you will be asked to report to either a shelter or a staging area where you will you will meet your team members and at that point the team lead will take over and will start working with a shelter manager and will start setting up your your station to start your workout so next we're going to review the fast forms before I go any further is there anyone that has any question metal all right say no questions we do have a chat open so if there's anyone that would like to ask the questions or chat feel free to do that please be patient as I'm trying to figure out all these nabis and buttons all right so in this form section during the training I think we shared like 18 or 20 different forms and really they're not truly forms all of them are forms are just documents to exist but what I want to share with you today there's three actual forms that you will be using on a regular basis and then the fourth one is a checklist that you probably will be using on a regular basis as well so I wanted to revisit those this also this video can also be used at a later time or as a just I'm training as a review if you get called in say maybe three or four months ago to be deployed as a fast member as a review effective use different form of gene within and and how to fill them out so the four documents that we'll be reviewing are the quick notes the fast resource request form the activity log and the on-the-spot assessment strategies checklist so let's start first with quick notes so the quick notes are are the way that you keep track of the people that you come in contact with so each each page is for one person so you want to make sure that you put the client name how to contact um so you can even put the clients first name and their their initial how to contact you can put the bed number if they number the beds the area of the the shelter that they're in if they have a cell phone with them and put the cell phone number that so it's a good way for you to remind yourself on how to contact them or if you're passing the quick notes off to the little replacing loop but they'll be still be able to contact them and one of the things I want to be very clear about it there's these notes are high-level notes and not meant to detail everything we want to be very cautious about any HIPAA or personal identifying information that is put on the vicinity start putting medical information diagnosis information getting really into detail about anything medical then we're we're kind of we're then pushed into another arena of how we keep these notes locked up and secured and reporting mechanisms and and all of that stuff so these are more to identified the means as a person in front of you that you're talking to what the plan is to get the resources to address the meet and then what the outcome is so rather than saying that this person in front of you has a chronic a chronic disease and lives in a nursing home and so on and so forth on that this person needs a wheelchair and that the plan is to request a wheelchair through a local Emergency Operations Center and then the outcome that is we received the chair on 48 hours later and delivered to the moment so that's the high level type of information that we're looking for for the corporates and here's there's kind of an example of one that's been filled out that the southern client name is Beth Allen there she didn't have a cell phone and they didn't label the beds in the shelter so they just left that blank so it was happen so you can see that they didn't necessarily put the time in but they did put the date and beneath that seeing eye dog and you can tell how old this form is because they're the term seeing-eye dog and food kibble for the dog and a cot for the client so that those were the need so we did to say that the client was blind or that or anything else around her diagnosis but the needs was she had a saying eye dog and that she needed food in kibble for the dog and she was without a cot for the see ya at the moment so the plan was to call possible open stores that have that have some absolutely to pick up the food and then extra pots are at the where of us that fast member knew that it was pots available and they just needed to be ordered so the outcome of this was to obtain a cot and we see the dog food and they also should have put the date or the date and time that the cot was obtained and from the dog food is obtained and as I'm talking through this right now I'm realizing that we really need to come up with a better example so before we talk about the fast resource request form anyone have any questions about the fast moves ok alright so the fast resource request form in the emergency management world is called the ICS 213 so the incident command system 213 forms so when you learn emergency management and the infinite command system there's many positions that you'll learn and what the responsibilities and roles and responsibilities of their positions and then there's a multitude of forms that go along with each of those positions so one of the things that we wanted to do with fast is making sure that we as fast members are are successfully communicating in the way that emergency managers understand they will get the resource vehicle or with the resources that we need in the services that we need so we as a social service of Human Services staff or in that just in those disciplines we're going to you learn how to speak a little bit of Emergency Management and speak in their language so I want to go through and we just kind of passed over this quickly when we were in the fast training but I wanted to go a little bit more in detail so why this is called a fast resource request form and not just a resource request for was because we added some more clarifying requests for information in it so for instance if you look down to section 7 where it says message or item info the ABC and B underneath that is not in the true ICS 213 section 7 we wanted to make sure that it was and it prompted on each of the fast members to really understand what needed to go into the message portion of resource request form so as we go through box number one incident name if you happen to know that it's hurricane Florence that's great if that hasn't been named yet don't worry about it um to add the name of the position this is going to be who the request is going to and that would be in all cases that would be the shelter manager so we as a fast team are going to fill out this request form give it to the SAS lead and the fast lead will take it to the shelter manager so we are requesting save we need a bariatric con so to shelter manager as well as putting their phone number in if you have that as a contact number that's very helpful the requestors information so this would be your information as a fast team member so you're putting me to put your name in and it name so i sherry badger position fast member the shelter name and you can either if it's a school within the school and then the contact information so your contact information and think of this as you know ordering ordering something off of Amazon you want you want to have whatever you are asking for to come back to you unless you decide to send it to someone else which will get down to UM in a little bit so complex contact information that most likely will be for your cell phone number subject in that if we're requesting a bariatric pod you would say bariatric cot and over for a shelter client the date and the time and those two are very important because if there's a lot of requests out there on being able to keep track of when submitted the requests what day you submitted the request and what time you submitted the request is going to be very helpful as you as you track down whatever a piece of equipment or what resources you requested sometimes it gets stuck in a holding pattern somewhere people change shifts and it gets lost in between the cracks or they just haven't been able to get to it yet or it's not available at that time but by by having the date and time that they'll be able to narrow down where that request is in this process so box seven the message the item info so that bariatric hospitals are looking for so we're going to describe what is needed so what when we're talking about our bariatric hot I think I want you all to think about who is receiving this request and most likely it is going to be an emergency management coordinator or a cert partner who may in the logistic section who may or may not have any idea what durable medical equipment is what it looks like or how to or how to procure it so if you could be as descriptive as you can just by saying a bariatric cot that can hold up to 600 pounds is so being rather than just saying a bariatric con by having description because one of the other things too that they talk about in emergency moment when requesting resources is your but you want that item to do so so if there's something else that can fulfill and and you what that item can do then that might be an alternative so for instance if the Barrett there's no bariatric cots to be found at least not in North Carolina because they've all run out but they have been able to find there is a inflatable double size mattress that can be utilized then they will come back and talk to you if they hate you need a bariatric cot how about this instead this says it will hold up to 600 pounds so by calling back that information that you asked about there they might be able to meet the need in a shorter amount of time and by being able to to kind of be flexible and understand what you need that that resource for when it is needed or when is it needed well everything an emergency in a disaster is needed yesterday so by putting yesterday that's not going to cut it if you can be reasonable and say before um the next before nightfall for the bariatric cot or into two nights time being a little more flexible a little more reasonable might might assist the person and logistics and getting this request filled and then does it come with anything for example maintenance abatement so maintenance agreement or directions on how to use or a mini training for example one of the things that we we bought in Pierce County Washington was some fire whips to put on trailers so there's if there's information in many training videos on how to use the Hoyer lift and or if there is a transportation vehicle or transfer to it that that there's that it's more than just that one one piece of equipment and then the intended users name so this would be the name of the client and and this is one it to match up the request to the person who needs it is you may or may not be there by the time that piece of equipment comes with that resource comes they may not be able to get that resource for a week and you've been deployed for three days sale would be they may be able to contact that user and get that implement or get that resource to the user even if you're not there to facilitate that so halfway through the form here's the second part of it so delivery information so this is you want to put your name because you want to deliver it to you and/or the shelter manager um because also remember that you are you and/or the shelter manager may not be there when the equipment or resources come in and so making sure that there's a point person that can receive this and the address and give you the address of the shelter that you're at the street intersection one of the reasons this is important is sometimes the people that don't know where they're at is the GPS is down by having a street intersection or the road signs of them blown over or so on that that helps with the delivery and then some a delivery date in time that would be your preferred date in Thailand delivery and or when the person who is delivering it when they're going to to deliver it and then it's approved by the fast um nine so number nine approved by me the fast team lead so you would give this as the fast member goodness to your fast team leads and they would put their name and signature as an air position title they would then give this docket well first of all they would take a picture of this scan this so they've got a copy of it and then they would give this to the team lead the team lead would then give to the shelter manager the box ten it says reply so this is what the reply would be um so logistics would look at this form and say okay we have located the Berry Act because we have secured and we have purchased it it will be delivered tomorrow by three o'clock so the person in logistics will find and number eleven replied by their name and then their signature and then that is a complete fast research request form well making sure that you keep a copy and you may want to you if you if you give you a copy of this at the end of the reply minute make sure you have a copy of that as well so scan that or take a picture of that so we're matching up the request would be response and then the fulfillment of that request this would also this form will also be where you would make sure that as people are getting reimbursed for providing these services and resources to the shelters they'll need to prove that that these things which were truly requested and if they were delivered so that is something that you'll have these as documentation for that another suggested best practice is and the person receives the resource or supplies that they either sign this 2:13 as we've received or they can sign the the quick the quick form so by signing that they acknowledge that they've received this equipment or this resource so any questions so far ok great I know forms are a little bit dry but I want to make sure that everyone understands that's not this behind why we're doing into these forms and what each of the pieces of information is for so the activity log this is the third form that you'll be filling out and this is called ICS 214 or the 214 log form and this is basically a daily log of what you are doing in the the shelter and that could be high level I'm not one that likes to write down everything but the for folks that are used to documenting people that they see places they go actions that they take um this is something that will assist you in that and putting an incident name at the top that's optional operational period so with that is just this particular log covers this state to this state from from this time to that time I your name your ICS position I just wish it would be fast number and then you can pretty uh but if you want to put number five your home agency so that would be your employer resources of signs you can skip that portion of it and activity logs so this is just putting down the even time you can either keep one page per day or one page for your activation as you need a second page with the activation in that phone as well this also will help you at a later date and time to recall in students if it happened as we were doing a hot launch or after action view or where you make suggestions and changes so it'll just give you a it will be a reminder for you before that also if there's any incidents that happen that you make sure that these are noted as well so we have a record of what happened what we've done about that and so on and then at the bottom is in section 8 prepared by you signed by you or your position with the date and time wires when we finish this report so here's an example of one that is filled out and and this was filled out in in reference to an activity log of the fast training so um so you can see the incident name of the fast training when they held a fast training who this activity log is for the resources assigned she chose to add the other instructors to this list and and you're more than welcome to do that if you want to feel comfortable or you want you put the other team members fast team members names then that's fine as well and then the activity log and you know arriving at class beginning to teach unit 1 taking a break you ca be this detailed or you can say you know had a break for lunch evaluated five people so you see fast quick notes on cetera later on the day we had a delivery of a bariatric cot made sure we delivered it to you for the person requesting it she wasn't in her spot so we left it with her her brother those sort of things so if we need to go back if there's anything that comes up at a later point that we have records to keep track of those one of the things that we'll be asking to do as well as making sure that you keep all of these forms that you have and then taking pictures of them or scanning them and then sending those to the fast coordinator so they can keep track of all of these once you've done that you don't need to keep the paper copy anymore but all that information will be given to the fast leader and a fast leader will either give it to the shelter manager or the Emergency Operations Center and then the last document that we're going to talk about is blue on-the-spot assessment strategies checklist so this is just a checklist to get your head in the evaluation and assessment and game and so these are just a list of things to think about as you're walking around the shelter and observing and strengthen have conversations with folks maybe those that are sitting alone in the corner or looking like they're not understanding what's going on but these are different clues as to what might be going on with with some of the individuals so this is a good thing to you kind of pull out and look at so that's all in the forms section of your training curriculum so all right any questions at all as we move to the scenario based discussion portion of our training huh I can hear crickets it was very informative sherry thank you so much how are you welcome okay so this next session section um I am going to be counting on people participating in this because it is a scenario based discussion and I will need feedback so I'm going to go through it I mute some of the folks okay okay alright everyone then we're moving to the nickel based discussion so here's a picture of a town in North Carolina over that has flooded that the scenario is it is March 4 and heavy rains have been falling for five days the Cape Fear River is over flood stage and remembering combat blue hand over independence are being evacuated all three counties open shelter two days ago and would like fast at them to the shelter's at home as they can to support their clients with access to the ocean so for the fast request we are receiving requests from three different counties extend fasting and they are requesting um they're requesting fasting so what I would do is the fast coordinator is um have at least one team for each of the county so we're looking for three fast teams if we end up getting more members that are available we may end up either adding more teams to go out or adding more members to each of the 15 so the fast notifications I then put together the notification that would let everyone know and anyone who is met basic requirement to be Maps team members would be receiving this notification anyone tell me how you ocation do you say how you get them out of page yes I work I phone call a text to by phone call yes text your fight for my email friend and that would be through the NC terms team management system right and at that point you might not feel a lot of information might receive the information that is these three counties and they're requesting other teams within 48 hours and please send back your your availability for deployment so the deployment of a team member can someone tell me what you would do once you have decided that you're able to deploy right you will have to get you know this lowly checklist make sure that you have all the items and resources that you need I would add to that you know grab it at your fastest great who do you have to notify your employer yes yeah and then also wait for the actual head from the fast coordinator I already like putting those teams together and at that point well no perfect which County that you're going to intern with remember somewhere and when you should be deploying and oh your contact name is at the shelter's for staging area that you'll be going to so a rival in shelter what is the first thing that you're going to be when you get to the shelter introduce yourself to the shelter manager make sure that know you're there Brett and what if you are not very team lead make sure you find your team leader [Laughter] very good yes yes so there's actually two two answers to that if you are not the team lead you can still go in and interested deuce yourself to be the shelter manager because you might not know when the team lead is coming but they might want the shelter might want some what right away to assist and then the second one is to if you feel uncomfortable I'm been waiting for the team lead to get there and you should have the team lead contact so you can go ahead and call the team lead and see how long or how far out that they are one of the the principles that we talk about is if you're the first one on scene even if are not the team group you are the complete until that team lead guests there so that's one of the ICS principles that if you're the first person on the scene or the incident commander until someone with higher rank or more experience that's there until they get this and replacing so you've now arrived at the shelter and your whole team is there you've got a team of three you have been told that you have this one corner of the registration area that you can set up your equipment or your resources we've got three chairs and you get everything out there everything ready to go you pull out your assessment checklist and you start heading into the shelter the next step is assessing a client so how would you go from having set up your station to assessing your first client what are some things that you might think about doing well first of all you have to show the identification of who you are and probably use the phosphor notes form so you can start getting information from the person and what are the needs that the individual needs in making sure that each person has when you take note to have one page per person great great one thing that you might want to do when you first get there is talk to or have the Shelf of your your fast lead talk to your manager and see if they have any documentation on people that have self-identified as people with access and functional needs or people with disabilities and that is part of the shelter registration process and in some shelters they're able to share that information with you and something to be able to share that information with you verbally and and help to identify some folks might want to focus on first and the other thing that you might want to do is just take a walk around acclimate yourself to the shelter and just start looking and observing because one of the things about shelters is it's not a normal situation shelters are not normal so how people are acting is probably not going to be a normal situation being able to know what the shelter normal is versus regular normal and then being able to go in and just start having conversations with people as well so um how might one person start a conversation with a complaint that looks like they might have some needs you would definitely want to observe their communication style and introduce yourself and let them know what your position is and very good very good and you have your clipboard with you and your your quick notes and and I think by having the the identification ID as well as the vest then you will look like you have some authority and that may assist in people opening up to you and them requesting things that they might not have requested with the homeless Terry I had a question yes I've never done this before so if if you're with like an elderly person often there's an advocate for that elderly person might be a daughter might be a son or whatever you go ahead and take that information even if the person is not physically in front of you if they a she's over there in the world charity like if they're disabled do they have to like be physically in front of you to have part of your team maybe go around the shelter to people itself look like they can actually walk or get up that's a good question and you may want to as you mentioned they might have a caretaker with them and they have seen you and have requested assistance I'm you might want to then walk with them over to the person as they're requesting assistance for and go ahead and assess a little bit more with you on that I think making sure that you have your eyes on that person that that is requesting or someone's requesting services for who's going to be helpful because they might you might identify some things that they're not requesting just yet yes that's a good question okay there's a problem ever a problem with who queues up or who lines up you know if your emergency medicine sort of look at the person who is the most dire mood but as someone walking into you just say well takes first person in line or do you make an assessment about notice this person over here looks like they need more help right now well one of the things that were focused on them is more of the facility and react with some functional needs the servers versus the medical needs right right I get that I just am so if there is anything that is more or someone is at higher risk that they might want to go to the health services whether the Red Cross nurse or whether it's the public health nurse um but I so I think what you're asking is whether you triage people with accesses on some means right yes so um we actually haven't really come across that yet mostly because it we've been there in observing and looking and identifying people that might not self disclose right away oh it's it runs and people lining up I've not noticed that versus you're really trying to dig in and identify needs that are unmet that might not be identified right away thank you okay we're cling to the close of this is there any um any questions about the process do people felt comfortable and seeing what the process would be or requesting being requested being notified deployment what you might do when you get to the shelter and then of course the forms the exciting forms is always paperwork I share a severe and I am NOT looking at the number getting to the webinar you have all these areas discussing your PowerPoint yes so what is going to happen is I'm recording this this webinar right now so I'm the link should be available by the end of this afternoon and I'll make that available to everyone I will also send to you and Joanne a copy of the PowerPoint so you can view the PowerPoint thank you so much you're welcome okay questions questions anyone in okay hey I have a question - yes Anita I got received that chap how much time do you have to respond to the request I mean that is a very good question some of the requests are going to be easy to fill you might even have some of those resources right on site it might be at a church or the shelter might be in a church or it might be at a school and they've had a supply closet on-site that has some wheelchairs in it or walkers or something like that or there might be a trailer that's out back and in bracket that you can access the supplies right away some other things that might be more per day or they can buy so many people that they're they don't have any left and they might have to go to another city or another state to get some of the supplies so um the most important part is letting the person know that was requested or needs the resources that you're continuing to work on it so if it's been 48 hours and the supplies the resources haven't come in that you connect with the person requested or that you connect with the shelter manager asked if they can followup with variable where it is how long it might be and it's making sure that the person who needs the supplies or resources knows that you're continuing to work on it and you haven't forgotten the other part about all of this is if during a disaster and we can't promise anything we can't even promise that we'll get them what they need by the time they leave the shelter we can promise without going to work on it but as far as the response to get the fast team how long do we have to respond to the request for a fast oh that was the question yeah I'm sorry just let you go it's okay so how much time do you have to respond to the request the fast request that's a very good question since we're probably initially going to send it out by email I know not everyone has their email on all the time probably we will say within two hours and if we need it any quicker then we'll make phone calls or we will send text the other thing if we realize because I'm able to see if I send you an email and you haven't opened it yet um that I might just pick up the phone with text you individually so we're looking for as many people as we can that are qualified to come in and we're not looking to explore the one okay sounds good thank you but that that is a good question and I think that we should probably put some numbers in when we're looking at the notifications so people know that they should be responding within a certain time period okay well any questions and think of anything that you want to ask me afterwards you want to call me or you want to put my cell phone on your speed dial please feel free to contact me at any time I want to let everyone know if you don't know that we have our next fast training on September 10th it's at the State Emergency Operations Center in Raleigh you can go to NC terms you can just type that into your web browser and if you are not familiar with NC terms and sign up for that I'm also if you have taken the chest I started the training you want to be a team member and you have not signed up for the NC terms a management team management module please do that so you can start getting the notification chest and you're on our roster so when we do send out notifications of deployment that you're part of that also want to mention that one of the requirements for being a team member is the Red Cross shelter fundamentals and we are coordinating with Red Cross to offer that training on September 11th so the day after the fast training and that's going to be in the Raleigh area and the morning part will be shelter fundamentals and the after you part will be shelter simulation so edge free of charge and that is also listed on in some terms to sign up for that so two days and you can get a lot of your classes requirements out of the way okay well thank you everyone for being part of this and we are going to be doing these trainings on a quarterly basis so our next training is okay it is going to be in November and November 13 is the next quarterly training but I will send out information to everyone for that thank you everyone and have a great day thank you

Frequently asked questions

Learn everything you need to know to use airSlate SignNow eSignatures like a pro.

How do you make a document that has an electronic signature?

How do you make this information that was not in a digital format a computer-readable document for the user? " "So the question is not only how can you get to an individual from an individual, but how can you get to an individual with a group of individuals. How do you get from one location and say let's go to this location and say let's go to that location. How do you get from, you know, some of the more traditional forms of information that you are used to seeing in a document or other forms. The ability to do that in a digital medium has been a huge challenge. I think we've done it, but there's some work that we have to do on the security side of that. And of course, there's the question of how do you protect it from being read by people that you're not intending to be able to actually read it? " When asked to describe what he means by a "user-centric" approach to security, Bensley responds that "you're still in a situation where you are still talking about a lot of the security that is done by individuals, but we've done a very good job of making it a user-centric process. You're not going to be able to create a document or something on your own that you can give to an individual. You can't just open and copy over and then give it to somebody else. You still have to do the work of the document being created in the first place and the work of the document being delivered in a secure manner."
