[Music] this video will demonstrate carrot legals bulk billing center utilize the bulk billing center go to the accounting section and on the invoice and payments tab you will find the bulk billing center button on the green Banner clicking this will open the bulk billing center modal here you'll tell the system if you should email or bulk print invoices or statement of accounts on the first page of your bulk billing center you'll see a header at the top outlining your selection and giving you a number of invoices or statements to be sent or printed you'll select the action to be taken email or print you'll select the format of invoices or statement of account you'll also have a check mark to exclude invoices that have been previously sent with the select date range the'll select date range will default to last calendar month but can be adjusted to other date ranges and custom date ranges click next to go to the second page here you'll see there's a preset looking for contacts where email PDF is the preferred delivery method this delivery method can be set at the contact level or the matter level you'll have options to set additional filters by client in matter responsible attorney practice areas or billing groups the third page in our book billing center will give you the opportunity to review the invoices or statements that would come up as a result of the filters in the previous pages here on the left you'll see a column for the type of document to be communicated the matter in client matter name and number will appear at the top and serve as a hyperlink to open that matter in a new tab beneath that you will see the client or recipient email address your ref number column is making reference to your invoice number and clicking this will open the invoice in a new tab in the same browser great if you need to review any last minute details or make last minute adjustments before communicating the bill the invoice date and the respective balance on review of the list if everything looks good you'll proceed to the fourth and final page of the bulk billing center your draft message here you'll have the opportunity to confirm or update as needed the message that each of the recipients will receive you'll start with the sending email address this should be a proper email and it could be preset in your firm settings next you'll have your subject line in my example I have a space where I'll fill in the new month because we're setting a specific month month over month in the body of my email I have merge Fields already present so that each recipient is going to receive a similar but unique message I'll use a merge field for the recipient name I'm asking that they please reference their particular invoice number which will be attached by PDF I've also let them know that they can use a payment link provided in this case an apx pay now link to affect a payment back to the firm on the right I have the option to view and copy those merge Fields if I need to use them more than once in the body of my email I'll see a toggle where include PDF is automatically toggled on to make sure that when the client or party does receive the bill they will not only have a PDF copy on that email but their pay now link will also provide them that same invoice from there I'll go ahead and say blast and close the emails will go out as prescribed and you will receive a confirmation email to let you know that that process has concluded you'll be returned to carot legal so you can continue working if you need to check in on the status of that process you do have the view batch invoices Link at the top of your invoice and payments tab this will open a tab in the same browser and this is going to give you the opportunity to not only check the status of the ongoing process but also reflect back on things that have previously occurred the additional tab will return me back to the invoice and payments tab within the accounting module of carrot legal this has been a demon ation of using the bulk billing center within carot [Music] legal
