my name is Christina Richmond and I work for the Business and Technology office here at the DEP and today I'm going to show you how to access our DEP document management system which is called application extender and what this system does is it allows you to view our documents without officially requesting a Freedom of Information Act or making a FOIA request and to access the system you can access it one of two ways either through a link that somebody within the agency may send you or you can go to our web page and access it through the link on the lower left-hand side that says the ep's document management once you click on to the link you'll log into the system using the login DEP and DEP in all caps and we currently have five different applications that are available for search for the through the public access and it's the DMR mining article three permits the DMR NTDs and USC permits the dww M water permits the air permits and the oil and gas permits when you log into the system what you will it will default to a screen of whichever the last person that logged in using the log in left the screen add if you want to go in and do a search what you'll do is you'll come over to the left-hand side and click on the little black arrow and then you'll choose new query and what I'm going to do is go ahead and do a search in the DMR mining article three application to show you what happens when you bring up a list of documents and I'm going to your primary ID and all applications is going to be your permit number or your facility number or for oil and gas your API number so I'm going to put in my permit number into mining and I'm going to hit run once I hit search my result list comes up and I have returned two hundred and forty one documents and it is displaying the first 25 documents that are on the screen if I want to see a larger list of documents I can come down to the lower right hand side and change it from 25 to 100 you can use any browser to search for documents and application extender but Internet Explorer is going to be the best system for you to use because through the system we have links to our electronic submission system or our permitting system and those files are only available for view using the Internet Explorer browser once your result set comes up for your permit set you can modify the results set by sorting so I can come over to the document date and I can click on that document date and it will sort the documents from the newest to the oldest or from the oldest to the newest depending on how many times I click on the header up there I can also click and sort by the document type or or the sequence number any of the other information that's available within the system I'm going to come over here and I'm going to choose this document type right here which was a revision and this is to show you the link that it will take you to if it's in the electronic permitting system so it will pop up on the screen here and you can hit download HTML type file or view HTML file I'm going to go ahead and click on View HTML file and that will open a new window on my screen and then I'll have to click a hyperlink on the top of the screen and then it will open up the application as it was submitted by the company and then the user can click on each section and review that document if I want to go back to my search research set after I've looked at a document I can click back on query results and that will take me back to the query that I just ran if I want to look at a different document I can just double click on it and the document will open up and I'm able to view that document you can adjust the size of the document either by using the drag or you can also click on the buttons and adjust it to fit the height or width of your screen if you would like to print your document you can come over and choose print and print it to a PDF or you can choose email and email the document to yourself using your default email browser that's on your machine if you once you're done looking at the application that you're been viewing if you want to go back and look at a different application you can just come back and either hit new search to search for a different permit number or you can come back over and choose a new new application or a set of files within the system choose the system does allow you a lot of flexibility and looking for information for example one request for information that we get a lot of or request for oil and gas permits that have been issued in the in a certain date range and the system allows you to come in and select a date range and so I'm going to come in and choose a date range and I'm just going to enter the date with no dashes or spaces and I'm going to tell it ok and then I can also choose multiple document type but I'm going to look for the permit that was approved and the permit type that I'm going to look for is well work which is one of the most common foyers that we get and then I'm going to hit run and then I'll get a result set so for my date range of August 1st through August 8th we've uploaded a total of 18 documents into the system that then you can come in and select them and look at the well work that was completed you can also go back and again sort if you want to look at how they were issued by county and you can sort them in alphabetical order either in ascending or descending order the other thing that the system allows you to do is search by a wild-card search so I'm going to choose permits and I'm going to choose a new query and I want anything that the Western Union Department of Environmental Protection has a permit for so I don't know exactly how that's in the system and I don't know a permit number to search for so I can use the star which is above your 8 key on the keyboard and enter a wild-card search so I'm going to do Department of Environmental Protection and I'm going to hit star again and then I'm going to run a search and I've been able to retrieve 205 documents and again I can come and sort that by the facility name or I can come in and sort it by the document date and be able to find these documents and sort through them in the order that I'm looking for them in the system also allows you the ability to do what's called a cross application query where if you're looking for something specific across all of the permits that we have available for you to access and you can come in and click on the little plus sign and do a multi application search and then you're able to then choose where you want to search for what permit name or type and so I've chosen permits and I'm going to go in and select the responsible party name as the query that I want to search by and you have to name your query and then I'll hit save and I'll have the ability to then come in and search by the responsible party name and I want to go ahead and choose Antero which is a company that we get several requests for information on and I'm going to put that with the wild-card searches around it and I'll hit run and every turn 7900 three documents it does only return a thousand documents in each search but the system does allow me to come in and I can see that the application that they're in the water application or I'll find them based on the other applications of where they're at and I could also narrow that search down by then going back and readjusting my search to include a more complete name for Antero or I can continue to just search based on the name Antero to bring the permit documents and if you get or if you get a document that says to render a for and file you would just choose that and the document type will open up and allow you to view the document based on how it appears in the system once you're done using the system what you want to do is be sure to come over and click on the logout button and then that will ensure that you're able to log out of the system and free up that license for someone else to be able to access the system
