- and then I'll start the basket hi and welcome to another ServiceNow community ask the expert event today we're doing mobile onboarding app with Kevin matcha hi Kevin hey Lisa thank you so welcome everybody to today's ask the expert session as Lisa said my name is Kevin Marcus I'm a part of the outbound product management team here at ServiceNow within the HR business unit and in our particular group we focus on product adoption so we like to make sure our customers are using all of our applications and the best ways possible and realizing as much value as possible behind the curtain today helping me out is Kyle Sanders who's also on our product management team he's going to be the expert monitoring the chat and the questions so please make sure you send over a very hard question and keep him on his toes we'd appreciate that before we get into the the content for today just a quick commercial for upcoming ask the expert sessions these are three that are coming up in October that are all focused on new features that are part of the New York release as you may have heard we have a partnership now with sa p2 we have a delivered integration between s AP and ServiceNow as part of New York we also delivered a pair of frontal leave journey where we are actually delivering content and configurations to support that life event and then the other session at the end of October is all about employees forums so I encourage you to get those on your calendars and either attend or make you watch the recording for that good information one other housekeeping item just in case we do talk about the future at all we might be as it comes to answering questions we have to talk about things that are coming on our product roadmap so I have to put the safe harbor up around forward-looking statements so just be aware of that okay so today a very exciting topic we are going to talk about the ServiceNow mobile onboarding app and what we're going to do is I want to start off by talking a little bit about what the ServiceNow strategy is around app delivery and what we currently offer then we will talk specifically about the mobile onboarding out and why that is something that you should consider using we will go in and do a demonstration walk you through the capabilities that the app provides and then we'll talk about how to get it activated and how to get it configured and set up and I'll actually walk through some of those configs as well to show you how you can make changes to how the app behaves and then this is because this is new there are a lot of questions so I expect you to get a lot of questions in the session in the chat but I'm also sort of lined up a few questions that I sort of was anticipating to walk through those and then there's a whole bunch of great resources out there that we want to point you to for more information as you consider using the mobile onboarding app okay so let's let's jump in right so when we think about how we use mobile devices and mobile capabilities in our personal lives we pretty much can't live without them right we all use our phones every day for just about everything if you think about you know I think about leaving the house in the morning I could probably get away with leaving my wallet behind and I wouldn't come back to the house for it but if I forgot my phone I would definitely be turning around and coming back to get that because there's so many things that we rely on our phones for there's so many moments in our day our moments in our lives that we use our mobile devices for you know simple example like my wedding bursaries coming up right in a couple of weeks I used a Ticketmaster to go find some concert tickets you Yelp to find a restaurant for dinner that night use open table to make the reservation and when that day rolls around I'll probably use uber or lyft to get us to and from our date night out right there are other examples too and you think about big things that we do I mean a lot of us travel for work but if you think about how the travel experiences change with from a mobile perspective and how good the airline apps have gotten around when you check-in allowing you to upgrade by Wi-Fi service before you leave I know when I get to the airport I'm getting notifications on my phone about what gate I'm leaving from I'm getting a notification when my bag is loaded to the plane when I'm on the flight you know I can pull up the flight tracker and see where we're at or watch watch a movie right off of my phone while I'm playing whoo when we think about those big moments and things that we're doing in our personal lives we use our phones constantly and here at ServiceNow we feel like we should be doing that same thing at work you should be relying on that mobile technology to get your job done not only to get your job done but also get that service that you need or the information that you need from your device and that's really what we're going to focus on today is how can we take and a significant moment that matters in somebody's life like changing jobs and leverage mobile apps to make that a much better experience so along those lines right there are lots of moments that matter in somebody's work life it could be you know relocation or going out on leave whether it's a fraternity or for some other reason or just changing jobs but probably the single biggest moment that matters from a work perspective is actually starting you know a new job right so as a new hire right you think about the recruiting process right or somebody that's looking to change jobs they probably use their phone to do the job search they applied to that job from their mobile device they probably interacted with the recruiter and scheduled interviews through their mobile device they probably even receive their offer weather and find it from their mobile device but then once that offers accepted what happens right there's sort of radio silence between that time that you signed that offer letter and then when you show up for work day one and that's a problem because this should be an exciting time right starting a new job should be exciting but it can also be a nerve-wracking time right because you're worried about things like oh what am I benefits going to be or what do I need to wear to work on day one or what what am I gonna have for a laptop or a cell phone right people have all these questions so how can we take the mobile technology and use that to address this period of radio silence when somebody's starting a new job and that's where mobile onboarding comes into play right everybody has their phone like we just talked about let's leverage that device to keep people excited about starting their new job and start to get them getting things done before they actually show up for work so before we talk specifically about onboarding I just want to make sure everybody's sort of aware of ServiceNow is apt portfolio what are all the apps that we we have from our prop from a product perspective and there are three right and the reason we have three is because each one of these apps is intended for a different audience right the agent app which has actually been out for a while already is intended for the FULFILLER right the person that is working on incident right but it's part of the New York release we've introduced two new apps one is now mobile and that is the app that is intended for the employee right so this is where an employee would go to search your knowledge base or request service through your catalog or check the status of their requests or have a manager go in and complete approvals right so that's the app that your employees are going to use and that's a very different an employee a very different need than an agent does and similarly a new hire has very different needs and is looking for a different experience than even an employee is right so that's why we have these three apps and today we're going to focus primarily on mobile onboarding and one thing to note is the agent app and the now mobile app they are part of the platform right so you get those with your licenses as a part of a basic platform license mobile onboarding does require that you have an enterprise and onboarding Enterprise onboarding and transitions license so onboarding the app comes with onboarding when you have it one other point to mention is is that the everything we talk about within mobile onboarding today is really geared toward the new hire themselves if you think about the onboarding process there are a lot a lot of people that can be participants in an ongoing process like a hiring manager the hiring manager if they have things that they need to do as part of onboarding they're going to do that from the now the now mobile app right that's the employee experience so once you're on board and you're fully you know ready to get to work that's the outfit you would use so that's where managers or HR folks or other people that have onboarding activities to do they would use that app from from a mobile perspective so digging in a little bit deeper right so why why mobile apps versus a mobile web experience and when I say mobile web I mean using a browser-based experience and I think the first thing to make sure we're all aware of is is that just because we're saying that ServiceNow is delivering to new mobile apps as part of New York it doesn't mean that we didn't have mobile support before right if you have a service portal that you're deployed for HR or IT that technology is all mobile responsive and it provides a very good mobile experience so that is that is still an option you can you can still do that today you've been able to do for for a while but we feel like a mobile app a native app experience is going to be is going to be a better experience and the reason for that is is if you think about again back to how you use apps in your personal life you download an app from the app store there's no training right you don't have to read a manual on how to use it we all know how to navigate apps they all use similar you know UI concepts right so by putting it in an app it makes it much more familiar so the experience is more intuitive right just everything from swiping and tapping is is something that we're all comfortable with that's one reason why we think an app provides not only a better experience but a more robust experience additionally by using a native app you also get the benefits of the capabilities of the device and the capabilities of the operating system on that device so the big one for me is the notifications right just being able to get a notification that pops up on your phone as a banner or on your lock screen and having a little indicator on the app icon that I have things to do I don't have to open an email right to go see that I have something to do as soon as it comes in I can respond to it and go address it right away and again when you think about it in the context of onboarding that's key right because again back to my point earlier about starting a new job potentially being a nerve-racking experience if an HR person has to reach out because they need you to provide some information that you haven't provided yet you're gonna get that notification right away right and now you can respond to it right away there's not going to be any any delay you can also use things like the camera on your phone right so if you think about oh I need to take a picture of my driver's license to submit it right I can use the camera on my device to immediately just take that picture and add that to the onboarding activity if that's what I need to do and then even something simple as location services like on day one I want to you know pull up pull up my phone and see that it's going to take me 15 minutes to get to work and here's the here's the directions on on how to get there so really the bottom line with the apps is is that you know it's a you're experienced it's a better experience and that's why we think for something like onboarding it's a better a better approach so then the next sort of question that logically comes up is well why is onboarding a separate app right so okay service now you have three apps you've got one for employees why do I need a separate one for onboarding so the rationale there is first and foremost it's about simplifying the experience right if you think about shopping or doing anything else on an app on your phone it's very consumer like you know we're sort of in that consumer millwright we go to Amazon we swipe one click and you buy something we need onboarding to be that that be that simple right and be familiar right back to my point earlier about the overall user experience we also want to be able to guide that employee through the onboarding process and make it very clear and we don't want them to get distracted with things that aren't important yet right so if we think about the now mobile app and how I described that right that's great for an employee because the employee can go search your knowledge base they can search your catalog they can check on the status of their status of their requests that's not necessarily something that you want a new hire to be exposed to yet right because they don't know how those things work or they might not be familiar with your internal lingo for things right so by having onboarding via a separate app we can really shield the new hire from any distractions and keep them focused on just the content that they need to worry about for starting work and the activities that they need to get completed for starting work right the other pieces is that there's some ability to tailor wind content is presented to a new hire in the app right so just as an example in this screenshot on the right there's a welcome video there right so that could show up immediately once you start onboarding right so the Welcome video is there and that's all great well you may also then want to swap that out so like the day before they start work you might want to to a different image or be more of an provide a link to some orientation information so that that person is ready to go for their first their first day and then subsequently if you sort of fast forward when onboarding is complete you can change that content again and the example there would be maybe put up something that gives them instructions on how to get that now mobile app and use that now mobile app as now that they're fully on boarded and already for the full employee experience right so another reason why having a separate app is is important then the last thing I want to mention around why there's a separate app is really around security right obviously when we're talking about new hires we're talking about people that don't they're not employees yet right so we don't want them to have full access to everything under under the Sun so again through the through the dedicated app there's no risk of them getting to things that they shouldn't be able to get to you whether that's content or resources or whatever it might be but you're also allowing that new hire to start to get things done before they show up for work without having any corporate issued hardware yet right so now when they show up day one things like their direct deposit are done things like other paperwork that you need to fill out and sign are probably done and now they don't have to worry about that and they can be more productive sooner once they actually get to to work all right so that's a little bit about sort of an overview of our current apps why we think apps are the way to go and why onboarding is is a dedicated app next we're going to move into a demonstration and I want to walk through you guys can actually see it firsthand before I do that I'll just I'll pause for a second and ask Carl if there's any questions that he wants to bring up just yet nope nothing yes okay great so before we jump into the demonstration right just to set the stage a little bit because we're focused on the mobile onboarding app today you know we're not going to do a full-blown onboarding demo obviously onboarding has a ton of capabilities that can do a lot of things so for the purposes of the demonstration here let's assume that you know the new hires information their data has been loaded to service no whether it's from your applicant tracking system or from your your HR system right and a an onboarding life cycle event case has been initiated right so let's just assume those two things are done data is loaded onboarding case is opened and being worked so at some point once that process is started one of the first things that's probably going to happen is that the new hire is going to receive an email from the system or from your company right welcome welcoming them to the team and this is where you would provide instructions on how they would obtain the the mobile app right so the mobile apps available in the app stores whether it's the Apple Store or the Google Play Store right so they can go download it from the public store and then within here you can give them the instructions on how they would authenticate once they get into the into the app right so I've already downloaded the app but the only thing that the new hire needs to do before they log in is just provide the instance name right which you could include in that email that I just that I just showed so that's really the only configure them if you want to call it that that they need to do to get logged in and typically for most customers that's the name of the company anyway which makes it real real easy then they're going to authenticate using those credentials that you included in the email and then they are off to the races with their onboarding experience oops sorry back up there we go so for the purposes of the demo today what I did was is I set this up so you could you can get into a sense of what this is like out of the box right so keep in mind that everybody's onboarding process is different so that part would would change so as an example we first get into the app it's welcoming the new hire there's an image and some text at the top that's what we call a media section and we'll talk more about those in a little bit but that is a an area where you have configuration options right so you can swap out the images you can put in videos you could also add links in here to other content and you can also have multiple media sections and I will again will show you how that works in a little bit more detail in a second the media sections are also what have the conditions on it where you can change the content based on the employment start date like I like I mentioned earlier right you can put different content in before the day before orientation as an example the next part here is essentially showing the new hire the different activity sets that you've set up within onboarding okay and this is where everybody's experience might be a little bit different depending on what your activity sets are in this case our new hire is at the pre boarding stage and this is where they can go in and start to see the different tasks that they have to complete right so again this is going to be reflective of however you have your onboarding set up and you know what what activities do you have in your activity set at this point and you know what is the obviously configure it so that the new hire is only doing things before they show up for work that you want them to do before they show up for work so just to give you an idea of how some of these different task types present in the app right this is just a welcome video right so if you want them to watch a video I'm not going I'm not going to press play here because it's going to throw off my screen sharing but you can have a video and then you can see there's a once they watch it that mark is complete button at the bottom would become activated and they could mark that that task as as complete if you have any documents that they need to sign right so something like a non-disclosure agreement again they can go through and review the content of the document and then there is a sign option where they can come in and either type in or sign their name and defuse my finger on the screen and I can submit that so the signature capabilities are supportive as well there you can see the notification popping up to let me know that I completed a to do write for other types of tasks like selecting equipment and software right now this is one where this is a onboarding activity that just points to a catalog item that you already have so in this particular case it's just going to open up the existing catalog request for for a laptop and some software that I can select right and I can submit that task as well and I didn't complete all the mandatory fields but you get the idea about how you can walk through and complete these complete these items just put something in here to get through probably not gonna let me do that either so we'll go back to the phone sorry didn't mean to get that far into that tab you can also have tasks that are you know custom forms right and actually this is an example of that using that camera right if I want to take a picture for my profile this is an example where having that direct access to the camera capabilities from the device makes it super simple to get a profile photo uploaded if I then want to go fill out my my profile provide some personal biographical information right this is probably just a custom form example that you might have where you can come in fill out your profile submit it and now you've got that completed before you before you show up for work as well and then you're also going to have cases where things like completing HR items right so here you know we use workday as our HR platform so this would be an example of linking out to that other another application to complete onboarding activities okay so hopefully that gives you a sense of how the different types of activities display within me within the mobile onboarding app one other thing that you can do is down here in this quick action I have the ability to interact with the the agent or the HR person that's responsible for my unborn right so if I have a question that I want to ask I can do that right from here so I can add additional comments and say I'll just make up a quick example right and that's going to show up right in the activity stream of the case for that agent and you can see that I have the notification that shows up to me that I've posted something but now in return as soon as that agent posts the reply again I'm going to be notified right away and I can go take a look at that it's a very immediate interaction which is exactly what we're all used to when leveraging our our devices okay so what I want to do next is talk a little bit more about how this gets set up and it's relatively straightforward so from an activation perspective there's really three things that you need to do one is you need to make sure that the mobile employee onboarding plug-in is activated in your instance now if you already have onboarding activated when you upgrade this should automatically be updated as well similarly if you don't have onboarding activated and you activate it this plug-in for the mobile onboarding will also be activated the point is you just need to make sure that the plugins activated first and foremost the second thing that you need to do is within your life cycle event there's two things that you want to do first you want to make sure that the event type is set to onboarding because that's actually what the app is looking for right so back to my point earlier about security when you open up the app it's only showing anything related to an onboarding life cycle event so that's why this stuff is important the other piece here that you want to do is make sure that you're displaying the activity sets to the subject person or to the new hire right that's what's going to allow the different activity sets some display within the within the app then finally in your HR service configuration you want to make sure that the showcase the subject person is checked as well right so no have visibility to the to the case then there's not much not not gonna be much for them to see in the app so that's the final important step for activation okay the other area from a configuration standpoint to pay attention to are those media sections that I've talked about and showed you right and out-of-the-box we deliver four different time frame conditions that you can use you can change those if you honor or add other ones but the way that those work is the first one that we deliver it's called before joining so it's actually the time period between when the life cycle event case is created to one day before the start date right so you can have one set of media in this section that would display in this time period you can then have a second one that's one day before joining and this is that example of providing the new hire with orientation related information right and in these examples in these screenshots which is a little bit different from what I showed you in the demo these actually have links right so they learn you tap on learn more it takes you to additional information if you want the third bucket is after joining so this is that time period but between start date and when the case is closed and that's where you can present yet another media section with different content in it and then there's once the onboarding case is complete there's another opportunity to present different media and the example here is hey gratulations you finished onboarding there's actually two media sections in this example right nicely done and then also hey go download the employee app because that's what you're going to use going forward now that onboarding is complete alright so this just gives you a sense of what we deliver from a from a media perspective media section perspective so let's just take a look at where you configure this so you can get a sense of how that works so I'm just logged in to my instance as an administrator and over here in the navigation I'm just going to search on applet and there's we're looking for applet launchers but we want to use the one that's under system mobile there's a separate one for the now mobile app so applet launcher is under system mobile and in the list here you'll notice that I have an applet launcher for the onboarding homepage right so when we drill into this and when we go to the body tab here you'll start to see some familiar pieces right so here are all the different sections and there's six of them that are configured but keep in mind I'm only one in the demo I was only seeing the welcome to service now before joining right because the new hire orientation and the after joining one have different visibility conditions on them right so just to show you what that looks like so if I drill into the before joining media section I will actually start at the bottom and sort of work our way up down here under visibility you can see that it's looking for employment start date is after tomorrow essentially which means a future dated start right so that's the that's where you set the visibility condition or or change it if you want now let's say I wanted to swap out and put a different image in here instead of the picture of the people on the couch right I can go up to the manage attachments I could choose another file select it and very easily replace the the image that with you but for the purposes of this example I'm actually going to change this to a video so I can change the type to video and I've already had this video in here so that's why the links already there but if i unlock the field this is where I would just paste in the the URL to the video that I want to use within the media section okay so now I've taken and updated this media section to be a video instead of a instead of a photo and what I'm going to do is just save these changes and let's just take a look at some other changes that we can make here so as another example there are different types of sections that are delivered out of the box and not all of them are specific to onboarding right some of them are there because the the now mobile app uses them so as an example let's say for some reason you don't like the Timeline view in the app and you just wanted to use a task view right I can come down here and add in a different a different section right and there's one for my two dues so I can display this as my to do instead of as a timeline now I still want this to be last from a order perspective so I'm going to put in my order but now that I have this I don't want the timeline to display I'm just going to remove that and do a quick save before I forget so now instead of having the timeline view it'll be a am I to do the my to do's applet I'll show you what that looks like in just a second the last thing I want to point out from a config standpoint is down here is where you would add or remove to the quick actions menu right so I use the quick actions to add a comment to the to the case right but let's say that you have chat enabled in your instance whether it's live agent chat or whether it's virtual agent chat I could make that available in that quick action as well so in my example the chat that I have set up is actually virtual agent so we'll just you'll see what that looks like so now I've just changed that whole homepage of that onboarding app we've changed out the image for a video we've swapped out the timeline for two do's and we added a new quick action so now we'll go back to the app it's going to swipe down here to refresh and we'll immediately see those changes that we've made so up at the top it's a video instead of the image I have my task showing up as a carousel here as opposed to the timeline right I can click see all to get to that same list of tasks that we saw when we did the did it by activity type previously and then now when I click on quick actions it gives me the option of do I want to ask a question or put a comment in the case or do I want to chat right in this particular case it's going to bring up the virtual agent conversation to get that started right so pretty easy to make changes to the app as we deliver it out of the box and one thing I didn't show what you can do too is like I said is you can have multiple media sections so if you wanted the video but then right below it you wanted another section that had a link out to some other important content that you needed the new hire to review you can do that as well so you can add other other media sections in alright a couple other things to talk about here so I showed you some some simple config changes that you can make in the app to tailor it if you have more significant or unique requirements that you need to address within the app ServiceNow does have what we call the mobile studio and this is actually a whole platform for building mobile apps but it can also be used to configure the now mobile app and the mobile onboarding app as well right so obviously this is a little bit a little bit more involved probably a little training needed to learn how to use a mobile studio but the point I wanted to mention this for is is that if you need to do more with the mobile onboarding app it there is that possibility leveraging the mobile studio capabilities I mentioned it earlier but the app is available publicly on the different app stores today so you can actually go download this and start to take a look at it and play with it because what we've done is there is a built in demo experience within the app so obviously if you have New York already you know either in production or in a sub production instance then great you could actually connect this up to your own instance and start to test it out but if you don't have a New York instance but want to play with the capability some more there's a built-in demo experience and when you get to that instances screen on the bottom you can just have try with a demo account and then click the art app you launch demo button and it will take you into a demo experience where you can you can play with it and get familiar with all the different capabilities so I'll go back to to Kyle in a second for question but there are a lot of questions that we get pretty regularly already around the mobile onboarding app so I thought I would just tackle those straight on and then at the end we'll see if there are others that we need to to address you know one of the common questions that comes up is okay what can I change with in the onboarding app right and we covered this pretty much in the demo and I showed it to you through the configurations the media sections right that's the big the big area where you have the ability to change things right you can swap out videos images text you can put links in there you can add or remove sections or reorder sections right you can also configure that quick action option to add other other capabilities there and the other thing that you can do that I didn't mention is the navigation across the bottom of the app where it had home notifications and settings you could add navigation options there as well so if there was something in particular that you always wanted expose at the bottom the bottom now you could add links to other things in there as well and then of course if you want to do more more fancy things the mobile studio would be the place to go for that so then that leads into the next question which is well what can't you change in the onboarding app so the the things that you can't change are the app icon and the name right so today when you download it from the App Store the icon in the name of the app are set also when you when the app launches for the first time there's that service now splash screen that displays that is not not configurable and nor is the header or the color right so that's the state today as of New York those are all things that we are addressing in a future release so this is you know a big requirement for a lot of customers to be able to do more branding and that will be will be supported so that is that is coming all right so what does a new hire have to do to configure the app to use it right obviously they have to download the app that's pretty easy we all we all do that all the time the only that they need to do to configure it is put in the instance name all right we talked about that already the most logical thing to do is just include that in the in the welcome email that you send out and then when they get into the app you know the option to inside the instance is is right there on that first screen and all they needed the instance name they don't need the full service now URL so it's pretty pretty straightforward the other question that we get a lot is around languages language support and localization support so the app does support pretty extensive list of languages that are listed here it is also going to look at your instance and we'll match that right so pretty pre complete localization and language support for the app these next two questions are sort of related so I'm going to build them out at the same time but the first ones around you know what do you need to do to prepare for a mobile rollout and the nice thing with onboarding the onboarding app is it doesn't affect your entire employee population it's just your new hires so the change management is a little bit it's a little bit less when you talk about mobile onboarding so it's more about thinking about making sure that your your processes is updated to support the app meaning you do things like update that welcome email right make sure that your recruiters or your agents know that that's an option so if somebody calls ass about it they can answer those those those questions right ideally we would you know we're encouraging customers to deploy mobile onboarding and now app at the same time you know that way your managers have a mobile experience as well and then also when a new hire finishes onboarding they can transition over to the employee app and still have that that good experience now as far as how long it takes to roll it out right this is all this is the my favorite answer my favorite resulting answer of it depends right so obviously the activation of it as we just talked about is is very straight forward I think the configuring of the media sections is pretty straightforward I think the biggest factor in the rollout time is going to be your onboarding process right because you're gonna want to thoroughly test your onboarding process in the app right make sure that everything's displaying properly make sure that all the conditions and things are triggering appropriately so that's typically where the biggest amount of time is going to be is in your testing and of course that varies based on how complex your your ongoing process is another big question that comes up around mobile apps in general is around security right so now you have people using corporate capabilities on personal devices and that always raises some some some eyebrows right so that the simple answer is is that we put all of the highest security standards into our mobile applications that we have in the platform right so that was a priority with with any mobile app that we were going to deploy and I have a link here that takes you to a page that goes through a lot of the details of the different security measures that we have within the apps for being different encryption types that we use the different authentication protocols that we that we support if you need more extensive details on things that we do like around penetration testing there is an area on the community that is focused on compliance called core and you can go there to request very detailed report outs on things like how we test security one other important note around security is is that out of the box we don't store any data on the device right obviously the platform supports it because we have a lot of use cases around field services where people are using our apps offline so if a if a customer uses those capabilities then we would store data on the device but out of the box we do we do not do that but even if we when data is stored on the device it is encrypted at a pretty high pretty high level so that not shouldn't be a concern and then of course the data movement is all done via secure encrypted protocols as well and then the last question that I wanted to proactively address I did mention this earlier but you know the question around is the mobile onboarding app sold separately or do I have access to it right and because this is this app is specific to our morning you do need to have a subscription to enterprise onboarding and transitions in order to leverage it whereas the the now mobile app and the agent app are part of the platform so there's no additional subscription required for for those so before I move off Kyle any any other questions that have popped up that we haven't yet covered that you want to bring to the table yeah so there are a few of you came in and for those who are listening feel free to send in a chat on in the Q&A or in the chat on YouTube I'm as we go through these so the first one is I think it's more related to some of the slides you had earlier on with the various apps that were up that we offer it says so looking at the trends are we going to or possibly going to have separate apps for each application so and I I'll state my assumption here so we say different applications I'm assuming you're referring to you know HR IT and if that's the way the question is being positioned that is that is not the direction that we're going in it's actually probably the opposite as I stated up front the the app a strategy has been persona based right so the apps are geared towards a particular type of the user but within those apps the capabilities cross are different products or cross are different domains so as an example with onboarding right the onboarding process is going to touch HR it's going to take touch IT it's going to touch facilities potentially and any of those activities that I need to do in any one of those areas will be presented to the new hire within the app similarly with the now the now mobile app for employees that's taking the same approach right so that is a what we'll call a unified experience from a mobile perspective so if I go in and look at my request as an employee in the now mobile app I'm going to see you requests from HR I'm going to see requests from IT you know whatever whatever applications you're using same thing with like searching right if I search the knowledge base from the mobile app I can search across all of your knowledge bases regardless of the domain so as I mentioned the app strategy is more about the person using it versus the application that they're using under the covers right and then another question is that it's a normal scenario of changing the date of joining so is this app mature enough to handle this stuff depending on change right so again that's a that's a good example too of how there aren't a lot of configs that are specific to the app right so that question is actually probably just more of a standard onboarding question more so than it is specific to the app right because if a start date change comes in that gets updated in the system the onboarding process in general handles it and the app will reflect that change in the system it's not specific to the mobile experience then the only other remaining question was I believe has already been addressed based on how people get access and the security yeah so again that's a good question and it's one that the whole access question is going to probably be a different answer for every customer just because everybody has different systems that they use for credentialing and for authorization I can give you an example here at ServiceNow we use the mobile app and the way that it works is is that we load the new hires information into Active Directory at the same time that we load them into workday so what ends up happening is is in Active Directory we load them there with their personal email address and that's what they use to authenticate into the app so we point the authorization protocols to Active Directory they use their personal credentials before they show up for work and they get they get in that way there's a process that runs the day that they start that changes that personal email address to their corporate email address the person is then notified that they now have a single sign-on account that they can use and then when they go into the app again it points them to our Active Directory authorization which we happen to use octa for and it logs them in that way so the bottom line is is that like I said everybody's going to be different and the the answer about how it actually happens might be different but we can support that handoff from an authentication perspective of the new hire becoming the employee and the credentialing changing at that point so good questions appreciate you throwing those out there the last thing that I wanted to talk about or mention are these resources and these slides will obviously be posted with these with the session when we're done and these are all of these links are good resources where you can get more information the first set they are documentation related I think the release notes are pretty straightforward mobile onboarding is just a link to the mobile onboarding documentation specifically the third one there the demo instructions that's the instructions for using the built in demo experience that I've pointed you to right so I gave you the quick access to it on the slide Very user friendly and easy to use as a document sender and a document receiver. There are constant updates to the site to allow more functionality. Since starting with airSlate SignNow there are things that I always hoped the site had and before long, those functions were implemented. For example, uploading multiple documents at one time instead of one at a time as well as adding and deleting documents from an already created template. I also like that you can replace a signer when a document has been sent because sometimes the email provided is incorrect. I like the direction that airSlate SignNow is headed.
