hi it's Katie with the oak CI team and today we're going to talk about creating a proposal request and then also reviewing a proposal request after the contractor has added their cost information you can follow along with the corresponding job aid that's located on the ofc see website the contract modification or change order record workflows now utilize docusign which enables the electronic signature of change orders that includes GMP amendment proposal request request for change order and change directives users who are sent a contract modification for signature via docusign do not need a separate account to sign the document however it is recommended you can sign up for a free docusign account at docusign net for more information on how to use docusign please refer to the DocuSign job aid on the ofc see website the proposal request process is used when the revision to the contract schedule of values will not adversely impact the construction schedule or the finished product if not implemented the AE initiates the proposal request and the contractor provides pricing and time impact information the proposal requests are initiated in an oak CI is contract modifications the workflow it's created by the AE sent to the contractor for proposal creation set back to the AE for review send forward to proposal update if necessary and then on to the project manager for review finally it will go to the project coordinator who will send it out via docusign for signature to create the proposal request in oak CI you're going to navigate to the building project then two logs and scroll down to contract modification then click new you'll choose the workflow proposal request v 3.0 and click ok i'm going to click the general tab to expand that up or form and i'm going to go ahead and title this contract modification record make sure to check with your project coordinator and project manager for the specific title they would like on all contract modifications next I'll select my contract reference make sure the change order type says proposal request and then enter the change order number I'll scroll down to the change order details section where I'll enter the description of work I'll also enter a justification then I'll click the action details tab and choose my workflow action submit then I'll click the to button to choose the recipient if I choose the contractor role this task will go to everyone who has the contractor role in the oak CI system if I need to I can choose specific people from the list to send the contract modification to finally I'll click the send button once the contractor creates the proposal it will come back to the AE for review the aggie will receive an email notification that they have a task to complete an oak CI and you can click on the link in that email to access the task or you can log into your project go to collaboration and tasks then double-click the proposal request to open it click accept task to begin your review of the record and review the general tab or the upper form then review the line item list or the lower form in the line item list there's important things to look for if it's a positive line make sure that the reference is zero they should be adding a new line to the schedule of values to keep track of that money separately if the amount is a negative make sure that there is a reference number you must always deduct money from a current line on the schedule of values if everything on the contract modification is appropriate you can choose the workflow action except and if I click the action details tab I can see this is going to the project manager for review and finally I'll click send if you have any questions about creating a proposal request or reviewing a proposal request please contact the oak CI support at Oak see I at ofc see Ohio gov or six one four six four four two to 11
