That is a very large question that would need a much more elaborate answer, but I'll try to cover as much as I can here. An ERP implementation implies, by definition, an organizational change. An ERP is developed with a certain business process in mind. Most of the time, this process will be flexible, but still, it's designed to work a certain way. The business that implements the ERP also has business processes to achieve a result (product, service, etc.). So, to get the best out of the ERP, a company has to change its business processes to (a) adapt to the ERP so that it can work within the company and (b) get the most out of the software. Normally, adapting to the ERP doesn't require a lot of change in the business process (unless the company never did a process re-engineering). For (b), it's a bit trickier. By only adapting a business to make the ERP work, companies usually lose a lot of efficiency. The ERP is made to work optimally a certain way, the closest the company gets to that way of working, the more efficient the ERP will work and the faster the return on investment be. So basically, when implementing an ERP, the goal is to get the company's business processes the closest to the ERP optimal way of working, without giving up productivity or competitiveness. (Note that "optimal" here is different for every company and every ERP). Change management in an ERP implementation is crucial. A new ERP implementation is one of the biggest change a company can face, so everyone in the company will have to adapt to the new way of working, adapt to an imperfect software, lose productivity for weeks (the time they learn the ERP and the time they adapt to flaws), etc. Even if the ERP is very good, if it is badly implemented and the employees are not involved enough in the process, the implementation may fail. Plus, an ERP implementation normally lasts a couple of months to a few years. During that time, the company continues to evolve. That has to be taken into account by the implementation team to make sure that the needs at the go-live are the same as they were at the business analysis. That does imply flexibility both from the implementation team and from the employees. A company I worked for a couple of years ago had a failed ERP implementation exactly for that reason. The company was on a rapid growth path and their revenues more than doubled during the implementation. What happened when the ERP was ready to be implemented was that the company had changed so much during that time that the ERP wasn't doing what the company now needed. So when they presented the ERP to the whole company, it had flaws everywhere and didn't respect the new business processes the managers had implemented in their departments. The ERP implementation team and the management didn't talk enough during the implementation, so the ERP reflected the old company, not the new one. The person who says that “ABC ERP is the one” is not really helping you; this statement is probably made for one of two reasons:“I have a relationship with XYZ and could therefore benefit financially if you buy this product” or“I found this ERP meets my organisation’s needs, but I don’t really know if your organisation works in the same way, has identical processes or wants similar outcomes”Clearly this is of no use to you whatsoever.... So what should you do?What’s required here is an objective view of your business requirements based upon your needs, processes and desired outcomes.You need to make some decisions based upon how you do business and the circumstances specific to your organisation and industry sector, based around the following….What do you want ERP to do, how will you use it, how will it integrate with other business critical tools you already use (for example billing, invoicing, accounts, credit/debtor management, stock management, bulk emailing tools etc.), how many users, remote or hosted, which commercial KPIs do you want to measure, what reports do you want to generate, how do you currently produce reports, create proposals, raise invoices, manage stock, what marketing are you doing - Inbound or Outbound, social media, do you have written sales, marketing, client management workflow(s) and strategy plan(s), at what point are leads passed from Marketing to Sales, have you mapped out of your complete customer journey, all of which can be configured into your ERP solution, can you automate certain business processes to save time and increase accuracy and efficiency, does much of your information reside in excel spreadsheets and or in people’s heads / devices (phone, laptop etc.) - how do we get this into the system ......Prioritise this list (and any other factors) into 3 - absolute essentials, nice to have, yep that would be cool.Now you will be able to select a list of ERP tools which deliver what you need, the way you do it, as there is nothing worse than having to change your business processes to fit the tool. Get demos from at least 3 providers, and ask difficult questions.Budget: You need to obtain the total price for delivery, not just the per seat price.... additional factors here are any customisation, data upload (inc. any standard documents), building/setting up interfaces between ERP and your existing tools, training, maintenance, getting all the modules you need to provide you with a complete solution.....Word of Warning the delivery of successful ERP projects are never as simple as the product vendors (or the implementation partners) would have you believe.So here are key points that my customers find useful (no particular order):Make sure you have someone senior within the business overseeing / sponsoring the project.Take a phased approach to delivery - do the easy stuff first.Keep it simple.This whole process will fail unless you get input from all users / interested parties within the business - ERP is a team sport.In the same way that your business will change over time so will you ERP requirements (it must be synced with your business process or it will be useless) so be prepared to re-evaluate your tools and processes in line with these changes.Make sure you select a vendor / implementer with specific experience of your market, who has successfully implemented ERP for businesses like yours, speak to their customers to get references. If a vendor / implementer is unwilling to cooperate find another.Find someone with relevant ERP experience to manage the project and your vendor / implementer. Making sure you have regular progress meetings, and deal with issues early on.Final point I use when dealing with clients and discussing their commercial objectives, desired outcomes - Position ERP as "the glue" which holds the organisation together; more Customer Intelligence (or MI if you prefer) than just sales management.
